Okay. So we have a couple of upcoming events. So we've got the window workshop. We've got the arts walk craft event for two days and then the Legion Way Tree Memorial Day combination event with the Bighill House Museum Olympi Historical Society. I wanted to make this a business item to make sure that it was up at the forefront.
I know that there are some folks who were able to and some folks who weren't able to answer the call for shifts earlier. But I guess to start, we've got the window workshop happening, on Saturday. I think at this point, we've got Melissa who is really doing awesome to, like, get to shepherd this forward and

Yeah. Thank you, Melissa. I think it's gonna be really awesome based on all of the stuff that we've been talking about with Dave. Did you have any comments or things that you wanted to bring up to the group for that one, Melissa?
So so right now, it's just just me, and my husband's gonna help me too. But we have I think we have 20 people reserved so far. And I don't think we're gonna we're not gonna do anything too elaborate for a kids craft for that event because it doesn't look like we'll have a ton of kids anyhow. So we're just gonna do some coloring pages, just in case there are some kids that come. And so it's I think it's pretty simple.
If anybody feels like they wanna come and help and make sure things are moving smoothly, Any help or and representation would be grateful.
Yeah. Absolutely. I have a potential conflict on Saturday, although that conflict might fall through. If it does, I'd love to come. So I'll let you know. Not quite sure what my status is yet.
Yeah. It should be interesting. I think it'll be, I think we're gonna have it outside. I have to it looks like it's gonna be nice out. It's supposed to be 70 and overcast, so that should be nice. So, yeah, it's kind of exciting.

I don't think so. Dave has volunteers on his end that are gonna do most of the moving of bits that they're bringing. I think our our main task is gonna be keeping everything on schedule to keep the budget in line and just enjoying the day, I think.

I'd also I mean, I know that if folks are free, they would be there. But even as attendees, I think this workshop would be great and very beneficial for anyone who is able to join. As commissioners, I'm sure that people who know this fact about you might ask you questions or maybe even resources on what's out there for them. And so if you've got time to stop by, I also think it'd be really awesome for you to, I guess, experience a little bit of the community aspect of subject matter experts. I know that there's going to be the folks who are leading the workshop, but there will also be some industry folks.
I did invite all of the previous contractors that we've done design reviews with. There's a lot of folks who've done window updates in the past while, and, actually, I did see that one of them did register it, at least one of them. So it'll be a, I think a really interesting conversation. So highly encourage it. And I think they're recording it. So if not, we can also try to get the recording out.
One of the reasons I'm kind of excited about it too is that for those of you that are on the design review committee, you know, the the question of windows and what to do with them comes up all the time. And, you know, it's it's one thing for us to say, oh, yeah. With Windows, you should definitely restore those and just kinda make that a blanket statement. But I think us getting more educated about what that really means is gonna be really helpful, I think, in the field when we're doing our reviews. So I think that that is one thing I'm I'm excited about.
Yeah. And it's also kinda cool because Dave is is he's been in the area so long, and he's so knowledgeable in the field, not just with wood windows, but woodworking in general. So

He's definitely somebody that we could partner with in the future for either a similar workshop or additional workshops based on his experience. So I think it's good to be supportive of him and and make sure that it's a good experience for him too.

Yeah. Thank you very much, Melissa. I think that having this first one done will also be a great example for what we can do with future workshops. I know that in this sort of planning phase, the Bigelow House Museum and Swan Town Inn, which are both also historic properties, were interested in some sort of a collaboration in the future. So maybe that's opportunity to see what cyclical maintenance they might be trying to figure out and coincide some kind of a public educational programming around that too.
So, yeah, there's there is interest, and I think this was definitely a a good learning experience for how to set something like this up. I'm gonna share the sponsorship spreadsheet that I have. Give me a second. Okay. Let me know when it's up.

Yep. Okay. So we've got the window workshop. Melissa is gonna be awesome and work with the EcoWoodWorks team to kinda set and tear set up and tear down. But for the next, we've got ArcBlock.
I know that there are some folks who can and can't make it, and we've got the specific time slots broken down here. It seems like folks are more available on Friday than Saturday. I will also note that I personally would not be available to be here for the second half, but I'd be there for the beginnings of setup. And so I'm wondering, does the group have capacity to do both days, or do you want to see if we can do Friday and not Saturday and sort of condense so that we are, maximizing but still present?
That's so far. I
haven't signed up for any daytimes either, but I'm available all day Saturday, and I can do Friday as well. So I kind of just blocked my calendar for Friday and Saturday, so I'm available for both days, whatever's needed. So I was already kinda planning to be there for Saturday. So

I did a more elaborate one, but I think it's just too much, and it adds glue into the mix. But it does have some, like, other stuff on it.

Well, yeah. I mean, I have the stuff for the for the gems, and the the regular old glue seems like it worked fine on them. It didn't work on the pom poms, but that's fine. This one's just kinda huge. But this one was really easy. This one took, like, three minutes.
Alright. With the fall leave theme, we'll Yeah. I'm working on a little handout for cyclical maintenance as far as cleaning your gutters so we can tie it back to heritage and historic homes. So it'll be pretty cute.
Michael just chatted a nice little tagline for us.
I think it'll be fun to see all the different kids and the as they're walking by with the crowns, you know, just like, hey. They came and saw us, and they don't have to carry this. It's on their head.

And we've also got the last one, the Veterans Day event. I know that Gary had sent an email that he was interested in attending. And then Eleanor and Garner, I think you both had sent me an email that said, oh, yeah. Maybe, possibly. It depends on some
of those stuff. I needed to check my schedule on that. Keep talking. I'll do that. And
so this one, I think if we have enough people to physically be at a station, we have handouts, and we can, you know, set something up that's in theme with the Legion Way trees. It'll be indoors at Madison, and then I believe that'll be a walk from Madison down Legion Way to the armory where they'll look at the interpretive sign. I see Garner says no.
Kicking my head. I thought I had yeah. Okay. Unfortunately, you have to take me off there.
Okay. And so if anyone's interested in this one, let me know sooner than later so we can confirm with the historical society that we do want a booth. Eleanor, if you're the only person that's interested in it, I think it would also be helpful for me to know if you're okay being mostly alone. I I'm in town on the eighth, so I would be able to help. But if we don't want to commit to it because we know that there aren't going to be enough folks at the booth I don't think Gary was, committing to being at the booth.
I think he wanted to be at the event in general because it it does he he's got a lot of ties to the themes. But, yeah, so I guess I think we would wanna have maybe another person who was committed to doing it before we sign up.

It's different in a couple of different published, like, flyers that I've seen drafts of or unpublished flyers that I've seen drafts of. But let me just quickly see what I have as the latest draft.
And that's an event the public is invited to? Or Yes. Then it might be good to have one of those flyers when they're finished drafting to have an arts walk because we can advertise it at ArtsWalk too. Mhmm.

We had talked I can't remember if this was a as a big group or just the more committee, but about contributing our $25 if we had signed up for that into a pot that can support, the materials that Melissa is purchasing or, anybody is purchasing. So I wonder if there's a mechanism to do that. If, Melissa, you have a Venmo or or any other ideas for how to get you some money to support your purchasing of all these materials.

Thank you for bringing that up, Michael. I think, as a commissioner led initiative, that's very wholesome and nice that y'all are banding together to donate to get these events going. Not on the business item, but I feel like this is a very casual meeting right now. We did have a, look at the city's budget moving into next year, and it's not looking as good as it it last year was kinda tough. We kinda felt like it was getting a little better, and I think next or this year is also getting kinda tough.
So I don't think, like, we've sort of been able to spend a little bit of money here and there, but I think that's going to probably actually stop soon. More

I don't think anything's been decided, but I did want to also bring up I think our bylaws do say October, but then we closed December last time. December seemed like a good spot for us to have enough time to discuss, get a work plan drafted, and then have it actually get reviewed and submitted on time.

Okay. Well and part of it too is just making sure everyone's schedules are available for that. I know for me, it would have to be early December, probably for most people. I don't We we wanna talk about a date to schedule on the calendar.
The holiday open house is also on December 14, so it would have to be I think probably a week. Do we have it on a weekend last we did on a Saturday.

And then the November meeting also needs to get either rescheduled or I don't know. There's a person who submitted a tax valuation application. They're due in October, but they only submitted half of it. They submitted with the county, but they didn't submit with us. I haven't been able to reach them to confirm.
If they do end up having everything and it was a mistake and they just needed to press go on the portal, I think the committee would or the commission would need to meet once before the end of the year to take a look at it.
So we could do that at the retreat. That wouldn't be a problem. Well, assuming we have a quorum, which we should. So
Oh, we could do that November meeting if we did it the week before on the Wednesday, do the third Wednesday instead of the fourth. Would that work for everybody in just a simple push it back one week? We could do a quick November meeting, finalize retreat details, do the approval on that if we need to.

Yeah. No worries. So I guess maybe this is something that we're going to be discussing at the retreat and then having a formal vote on, but it's been a whole year since we've last looked at who is on the I guess, we'll call it the executive committee, really just chair and vice chair, and then all of the different committees of the more committee, heritage review committee, and POG Committee. So how do we all feel about did is that something you'd like to have as part of the retreat to sort of look at as a group, or did you wanna have an election in January?
Do you wanna wait and see what the retreat agenda looks like? I'm all for doing it at the retreat as long as we have time.
Mhmm. And we could potentially do some prep work too at the October, November one too if people have questions about what those roles entail and just thinking about what our committees are too moving into the retreat, almost like some homework or just some things to think about as we move forward. So unless someone's ready to go right now with one of the positions, but we're always happy to have that discussion and questions so we got some time for prep work and stuff before then.
That sounds good. So why don't everyone think about it between now and October, recognizing we've got both committees, not only the leadership of the committees, but just what committees you want to commit to in the upcoming year as well as the officers. So start thinking about that, and I guess we'll pick it up next month.
Does anyone need a refresher on any any of the structure topics that people work on? Like, would it be helpful for me to send out some sort of a recap of the committees, or do you all still have the info from last year?

I think we we gave most of our report. We've got the Art Spot coming up, and then we have the Windows workshop. I was curious if Michael and Stacy and Brittany would like to go ahead and since we're all here and looking at our calendars to schedule something for October to start thinking about the retreat as far as activities and venue and that kind of stuff. Like, the October might be good.
I actually think that the POG committee is the committee that technically helps plan the retreat. Mhmm. Because I think that the more committee is the outreach, and then the pub committee is the internal. Does that sound about right? Or, like I guess, Bill, do you wanna join in on this planning meeting?
Sure. I'd be happy to. Okay.
And now it can be the difficult one, but October around the fifteenth is when I'm out of state. So but I could jump on a Zoom if needed, but I'd love to do it in person with y'all too. So
I probably have to do it virtually just because of work. But if it's, in an afternoon or something, I can probably make it work either way.
And while I'm on the more committee, if we have Bill stepping into, then maybe you don't need me as much. So
I mean, I'm not on the pod committee either, so maybe you don't need me.
I need somebody. I think maybe rather than deciding right now, I I'll send something out, but having some general time frames that work would be helpful so we can at least say these work.
There's no reason why it couldn't be a joint committee planning session too.

Which is another good reason to maybe have pod help with that committee to give Melissa a break because they've been working so hard and are attending so many events with all of us too. It's okay to let go of some of that too.
