Okay. I would like to call this meeting to order. This is a regular meeting for the Leach Library Board of Trustees being held on Monday, August 10, 2026 at 7 o'clock p.m. in the Moose Hill Council Chambers at the Londonderry Town Hall, 268B Mammoth Road, Londonderry, New Hampshire. The meeting will be recorded for later viewing on Londonderry NH Government Access YouTube channel. The library's mission, as you all recall, is to provide materials, information, and services for community residents of all ages and to meet their personal, educational, and recreational needs. We have called this meeting to order. Could we please stand for the pledge? I pledge allegiance to the flag of the United States of America and to the republic for which it stands, indivisible with liberty and justice for all we do have a consent agenda has everybody had an opportunity to review the minutes yes yes okay very good i just wanted to bring a few a couple of meetings to your attention we will have a meeting on thursday august 20th here in the moose hill council chambers at seven o'clock pm I beg your pardon. I said that's a regular meeting. It's a special meeting. Excuse me. We will have a regular meeting here Thursday, September the 3rd, in the Moose Hill Council Chambers at 7 o'clock p.m. May I have a motion, please, for the consent agenda? I make a motion to accept the consent agenda. That was a motion by Erica. Is there a second? Second. Second by Beth. Is there any discussion? All those in favor please say aye.
Madam Chair, sorry. I just have a suggestion for the minutes. Yes. Sorry, Erica. The donations on the last page of the minutes didn't have the reasons for why they were donated.
Okay.
So my only suggestion is to add those. Okay.
I can do that. Thank you.
So would you like to make an amendment to your motion?
Sure. I would like to amend my motion to approve the consent agenda pending the suggested revisions to the minutes from the July 22nd meeting. Very good.
That was an amended motion by Erica. Is there a second? Second. Second by Beth. Is there any other discussion? All those in favor, please say aye. Aye. All those opposed? The motion passes. Thank you very much. Public comment. We have people here tonight. It's exciting. Wow. Very good. Is there anybody here that would like to say anything tonight? No? Okay. Very good. Staff reports. We'll start with you, Donna.
Okay. My staff report's pretty long. I'm not going to go through all the minute details of the building stuff, but... Just to say that the carpet replacement project is going well. It's on schedule. I did, towards the end of the report, which, Megan, you can put up on the screen if you want, I have some photos of just some of the flooring changes. So like this staff break room, so you have a before and after view of adding the hard flooring there. And then there's one of the tech services office going from that old green carpet to our new blue carpet. So just so you have, you know, a preview, I guess that's what I would call it. The roof testing, as you know, I talked about it a little bit at the last meeting, so I won't go into a lot of detail, but we're still expecting the report from that. And the leak, unfortunately, did... HAPPENED AGAIN IN THE ENTRYWAY AFTER WE HAD A LOT OF THAT HEAVY RAIN RECENTLY. SO THE THEORY IS THAT THAT IS STILL COMING FROM ROOFTOP UNIT ONE. AND SOME OF WHAT I'LL BE PRESENTING TO YOU IN THE FUNDING REQUEST LATER ON IS HAVING TO DO WITH THAT. I also wanted to share specifically today that we had E&E back on site to investigate a leak that we found after we had gone through and replaced some of the stained ceiling tiles. We found that the brand new tile also had a stain on it, so I was like, something's going on there. So they came out and took a look, and that valve was in the process of failing. It was corroded, was leaking. So they've replaced that, and we've replaced the ceiling tile again. Thankfully, it was caught before it stained the brand new carpet underneath or anything like that. While they were there, we also had some warm temperatures, warmer than usual temperatures in the building, specifically on the main reading room side. They investigated that as well since they were already on site, found that a fuse had burned out in rooftop unit one again. Okay. And they fixed it temporarily, but it could do the same thing again. Right now, the unit was cooling again and the temps were starting to come down. But there is a need for a longer term repair. that they will be preparing a quote for. They also recommended another quote to repair the condensate trap. So the repair that's on the agenda for tonight is for the condensate pan. So they're recommending actually further work than what they initially suggested, considering that that leak has now resurfaced again. I also wanted to mention, since there's a photo that I included, is that they have been gradually repairing our two boiler pumps. So they have returned pump two, which is pictured here. And actually, when they brought it back, they also installed what I'm considering like a support feature. Because as you can see, the weight is really the part that's sticking out and doesn't have any support. And they thought that some of what was happening with the seals was happening over time because that weight was not supported. So the plan is to do that as well when they bring back pump one, they have that off site right now to repair. And I also just wanted to mention that the drywall work has begun on the ceiling, like the lower ceiling in the lobby. So they're working on removing that drywall and then replacing it with ceiling tiles. So it'll be much easier to access for maintenance purposes. Also some upcoming notes. The staff this month, we worked with the town to get photos taken because we're moving towards all staff having photo IDs. That includes town employees too. And eventually, the hope is that we'll have technology to also match those IDs to give us access to buildings. So it will be a little bit easier, especially at the library right now, where only certain staff have keys. And in the mornings, we're ringing the doorbells to let each other in. And it'll be much nicer when we have that set up. So that was just an initial step towards that process. The elevator inspection is scheduled for this week. Not expecting any problems, but at this rate, I don't know for sure. So just so you know, that's coming and that the hope there is that it will be all set and usable again for when we reopen. mold testing is retesting is also scheduled for next week the retesting results are really going to be what sets the tone for us to be able to reopen as we're hoping initial results they are they are putting a rush on these results for us because I've made it clear how important they are they are going to put a rush on it and we're hoping to have the initial results the week after retesting so I think that's the point when we'd be able to Assuming the results are good, actually share dates with the public. And also funding requests on tonight's agenda are for the deep cleaning which we've talked about ahead of time and Some tree trimming so I'll get to that later The friends are going to be sharing an old home day booth with us on the town comment on Saturday Highly recommend anybody come by and visit us The next friends meeting will be next Monday on the 17th at 1 o'clock in here Moose Hill Council chambers And I wanted to point out, we have resumed ordering collection materials in the new fiscal year. So that's exciting that patrons will start to see our more usual volume of new materials coming in again. It's gonna take some time, obviously, for those to come in and us to process them, but we're on the right track there. We also were reporting June statistics in this month's reports, and we weeded a very high number of items in June. Over 2,200 items were weeded from the collection, mainly because staff were actually able to do that, which is great. I think the shelves are going to be a lot less crammed when we get everybody back. They'll be looking a lot nicer. But some of that also is coming from us doing a lot of the flood replacement work. So we're still counting those discards as we're replacing them. So I just wanted you to be aware of why that number was so high. Let's see. I also wanted to share programming-wise for adult programs. The Aquaba ensemble performance was really well received. 172 people attended. The New Hampshire Humanities was really, really happy with our project, our grant project. And they invited Becca to write a blog article for them. Sharing the experience. So that article is going to be I'm not sure the exact timing of when it will be posted, but it will be posted on their connections blog at some point in your future.
Yeah, well done, Becca.
I also wanted to share we're still experiencing really high demand for adult craft programs. We actually had someone who doesn't live in town but lives in a neighboring town sign up for a non-resident card just to be able to go to our craft programs. So just to give you a sense of how excited people are about those. They're pretty fabulous, I'm going to tell you. Highlights for this month for adult programs. On the 18th at the Senior Center, Eric Orff will be presenting What's Wild in New Hampshire. He's a former employee of New Hampshire Fish and Game. And he's also written a book called What's Wild. So that presentation is going to be great. And the registration for that will open tomorrow. for anybody interested and registration is already open for an adult graphic novel book discussion first time we're offering graphic novel book discussion for adults that will be held on august 22nd at 11 a.m in here and books are available to check out at the library um i won't go through my list of meetings but you're welcome to read through that if you want Some reminders are that summer hours are still in effect and they will continue through Saturday, September 12th. The library will also be closed on, well, our satellite location will be closed on Saturday for Old Home Day, but we'll be on the Common, so come visit us. And I also had two that I didn't fit in there. I wanted to note that... THE BOARD OF TRUSTEES ARE WELCOME TO JOIN US TO WALK IN THE PARADE ON SATURDAY IF YOU'D LIKE. AND I'VE INVITED THE FRIENDS AS WELL. AND WE ARE MEETING AT THE LAFFA FIELDS NO LATER THAN 9 15 A.M. IF YOU'RE INTERESTED IN JOINING US. ALSO A REMINDER THAT OUR CAPITAL IMPROVEMENT PRESENTATION IS TUESDAY THE 18th NEXT WEEK. THAT MEETING BEGINS AT 6 P.M. IN MOUSE HILL. I'M NOT SURE WHERE WE'RE GOING TO FALL YET IN TERMS OF AN ORDER. I'm sorry can you repeat the date for that please yep Tuesday August 18th and the meeting begins at 6 p.m. Megan would you like to anything from Your report.
Before, would you mind, before you move into your report, I just wanted to ask you about one item, and this was the item that you and I talked about that we just wanted to maybe get consensus from the board on. Could you tell us just a little bit about your meeting with potential donors, and then I'd like to have a brief discussion about that.
The one that I noted?
Yes, please.
So the one that I noted actually was donors that did end up donating, so the board accepted that donation at the last meeting. Okay.
Yep. So Donna and I had had this discussion about how people are seemingly coming out of woodworks to want to donate and support our library, which is wonderful. And there are some donors that are more willing to donate more than others. And so what I wanted from just to talk about briefly with the board is to just gain consensus from the board. If there is a donor that comes along that I don't know, wants to donate a wall or donate a section of carpet or something that's more, you know, larger to just be able to sit down and talk with that donor to see what's on their mind. You know, we're, I don't know, in my fantasy world, maybe somebody might want to donate something to the children's room, you know, a large item, and just meet with that donor, and then, of course, report back to you all.
So direct them to you and Donna. Correct.
Yes, correct. So when you have somebody that wants to donate an addition, please feel free to give me a call. We'll talk about it. Thank you very much, trustees. Check my Rolodex.
Very good. For circulation statistics, we're Seeing, again, from June that we had over 7,000 people visit us over at the temporary location, which is almost 2,000 more than the previous month, we did have a total circulation of 10,000 items just over. And of those, 81 were from museum passes, which is really exciting. Nice. sneak peek, the July number's even bigger. I was pretty excited. And then again, I put the 274 Leach Library patrons visited other G-Milks libraries, and they checked out over 2,000 items as well. So not only are they seeing us, but they're actually taking the opportunity to visit the other libraries in the consortium. That's wonderful. doing that. I've been on site a lot with the movers as they're moving things back and forth and putting things away, so spending most of my time at the library, which is fun. I have the vision coming. So we did have six programs for teens. The movie Night on the Common ran into some technical difficulties, but overall everybody had a great time and they were very gracious about it. the sun was hitting the screen so we couldn't show the movie until later which it's okay, it worked, and we had some activities. Kona was on site, so there was about 22 people that ended up over the whole course of the movie and doing the activities that came, and then we have some fun activities coming up this month to finish out our summer reading program. We have a MakerBot camp tomorrow in this room, and we will be bringing the creation 2 old home days so everybody gets to kind of see what they they made and interact with at the booth.
On behalf of Jen I just wanted to add a coming event tomorrow. We're hosting Magician Mike Bent at the Town Common. This is considered a preview event for Old Home Day, and it's being advertised with Old Home Day events, which we're really excited about. And thus far, the weather is looking a-okay, so we're excited to have that tomorrow.
all right registration is not required since we'll be on the common um if i could make a shameless plug for old home day um i run a booth called we are londonderry and it celebrates um our diverse community um and dana one of our townspeople who is part of the friends group has made a beautiful quilt that she's donated for us to raffle off All the proceeds are going to the friends. So come to our tent, buy handmade stuff, get raffle tickets. Dana's quilts are always gorgeous. And we've got a variety of wonderful things that she has made that you can purchase. And all that money goes right to the friends and the friends will be buying stuff for the library. So just saying.
Yeah. Thank you for that. Thank you. I appreciate that.
all right you know lovely we will move on to our treasurer's report so we don't have the july numbers um yet but uh we should have them for the special meeting perfect all right very good
So bylaws met one more time to go over what we are hoping will be a draft to present to the board and to interim director of plant for review and then for review prior to presenting it in discussion in I believe the first meeting in September is our goal.
We're going to present it at the special meeting?
Okay, so never mind. We will be presenting it at the special meeting, which is going to be on the 22nd. Sorry, Thursday the 20th. I am looking right at that date. I am just not literate. So it will be presented on the 20th for the public to see. We've been going over everything in public session, obviously, but... having it presented formally to the full board and the public at that meeting for consideration and then ideally a vote at the next meeting so that we can get those bylaws into effect. But when I send it out to the full board, I will also be sending it to the two of you and I would absolutely love to have your feedback on it as well so that anything that we've got in there that seems weird or
um doesn't belong and things like that please feel free to give us that feedback because we want to make sure we're doing this correctly and appropriately along that name you should know and as well as the public should know that anytime we've had a question on anything we have not been shy about seeking legal counsel to make sure that we are writing the language correctly and when i say legal counsel sometimes i call upon our our town manager because he's very knowledgeable and sometimes we call upon the new hampshire municipal association which we're members of and their services are at no charge. So we are optimistic that it is put together in a manner that is ethical and legal. So when would you anticipate sending that to the board? Sometime this week? I will ideally have that out tomorrow so that it's available for review before I leave time to look at it and go over it. I should give everybody a couple weeks.
Yeah. Sorry, I was going to say that so the way I'm setting it out just so you all are prepared in advance for it, and I'll put this in the email too, is i'm sending the copy that's currently in effect that the previous board voted on no no changes noted on there and then the document that nancy and i have been putting together and i have highlighted in that document it's i've highlighted the sections that have been modified so that you can see immediately like oh this is something that's going to be very different than in the previous version And then there are sections that are highlighted in a different color, and those are the sections that either quote directly from the RSAs or are quoting from legal counsel. So you can see where something is reflecting something that really can't be amended or changed based on the law. So hopefully that helps clear up some of the concerns that have been out there in the past about that. Correct. Yes.
Okay. Thank you, Erica. And then we have a report from the Library Director Selection Committee.
okay um do you want to speak to that azra do you want me to um i we met oh two weeks ago no last week last week wow time sorry um i think it was very productive meeting our goal was to really look it over um and thoughtfully condense it because there's a lot of repetition and the responsibilities and so a lot of confusing language that wasn't very clear and I don't think would be clear to someone looking at the position, looking at the responsibilities. So Beth and I really took the time to focus on that, get some questions answered about salary. Beth, is there anything?
No. We changed how the process was happening. So instead of having the resumes directed to the trustees, it would go to the HR folks. But yeah, it was just a lot of cleaning up language, fixing some typos. getting rid of redundancies.
OK. Very good. Thank you. Thank you for that. Any other committee's reports that I should be mindful of tonight? OK. Very good. move on to presentations and discussions and before we move into the presentations and discussions that are listed I would be remiss if I did not thank once again Bob Slater for coming to this meeting two weeks ago to help us and discuss maintenance trust funds so Bob if you're watching thank you very much we might call upon your expertise again but I think that we all found his information to be very helpful and we will most likely be crafting some maintenance or at least one or two maintenance trust funds this year so having said that we will move on to our fiscal year 2026 missing financial documentation discussion asra uh yes and so this is of course as you know we've been working on
working on since the new board was elected in March and when I say we I mean mostly Colleen and Donna who have really been working hard on top of the building issues on top of not having a director going to citizens getting whatever copies we can of missing deposit slips Um, and then, uh, the document is the result of, um. What I got from the past treasure in a basket, what I was able to go through what. I'm calling Donna we're able to do, um, and so. this is this is what's missing we really want to close this open loop if the past treasurer is unable to find these documents these missing deposit slips that we have a memo for if we get audited we are able to honestly say we've done our due diligence this is what has happened and we'll make sure absolutely that this does not happen again so I have a question about this so is the bank completely unwilling to provide us with any documentation so citizens sorry not citizens yes citizens sorry I'm getting things a little bit confused there's only so much that they were able to give us, especially with me being current treasurer, not past, but there are things that they just can't conjure up for us.
And like some things like avoided check, like there's a procedure that we would need to follow with on our end. So there's unused checks that are not accounted for that would have been turned in procedurally. So there's some things that are just about moving from one set of hands to another or being voided properly, documenting why a check was not used, even though it was not, you know, sequentially there.
and the procedure that was adopted last year that we have changed back to the original procedure which means that staff are handling most of this and they have a procedure they have a way of filing so that there aren't missing pieces anymore okay i have another question so if i'm if i'm understanding this correctly need copies of deposit receipts from td bank
We made a deposit totaling $38,178.64, and we have no deposit slip? That's correct. Nothing?
We have the statement showing that it was deposited, but we do not have a deposit receipt.
OK. And they can't produce one manually?
So can I chime in for a minute? Yes. So to my understanding, Citizens has already been asked for what they were able to provide us, but TD Bank has not. At least I haven't. I don't know if you have, Azra, yet. So I think that can still happen. I tried to split this up into three actions. So one of those, I think TD could actually get copies of those for us is my guess. The first block or the first list of items, those are things that we cannot recreate like was just mentioned. It's either that the former treasurer can provide them or MMO needs to be prepared to say that they don't exist anymore. Or you have you don't have them and then the second list of items Can't be recreated. There was no deposit slip written to our knowledge So the in the bank can't recreate what doesn't exist.
So it's more a matter of just documenting it at this point Okay, I don't understand this so when you go to the bank and you make a deposit you get a receipt and
So we have a receipt. However, everything we deposit, we also, the staff, right now the staff write a slip to go with the deposit. That is the part that's missing.
I understand. Yeah. Okay. And so we can, at the very least, contact TV and ask them if they can create receipts for us for these deposits.
For that last list, yeah.
Okay.
Yeah, and I can do that by the next meeting.
Because I'm with whoever just said, when we get audited, this is going to be a problem. Oh, yeah. This is going to be a big problem.
Oh, and I wanted to mention, too, that when I was typing this, I missed the check number in the second list for the first dated item of December 12, 25. I was meaning to go back with the check number, and the check number is number 701. OK.
So these issues have been made public. Our updates have all been made public. Our hope is that the past treasurer, who is not currently here, will be able to find a majority of this before, unfortunately, we have to go to the next step.
But as yet, there's been no response. So the effort has been made, but we haven't gotten that response.
OK. My ask to the board, so we are expecting, the town is expecting to be visited by the auditors this month is my understanding. So my ask to the board would be that we have something, like we have moved on to the documentation phase. my hope would be by the 1st September meeting that the September 3rd meeting. But I would leave it up to you to decide the timing of that.
And then we can just create a statement that says on these dates we met as a subcommittee and we met with the banking staff. I if this is not the proper venue for this question then I apologize what is the next step for us as a board if we are unable to procure these materials if there's no response from the previous treasurer etc what do we need to do we just have to identify in writing that we took these measures to rectify the situation but we can't recreate a document and we can't make check registers come from a kitchen table to here right like we can't so yeah the onus is on the person responsible, I think.
So it would also seem to me that when we're audited, we would want to have some of this very open and frank discussion with the auditors to explain, you know, what had happened and the steps that we have taken.
But to Donna's point, I think she's looking for a written statement that we can put into the file.
Right. No, no, no. I understood that. I was talking about the auditors. So that when we have, when they, when our number comes up to be audited you know like it's just like with the ira something is better than nothing so if we can explain what happened and present the documents that we've been able to gather give them a statement that we've you know in a very transparent manner made every effort to retrieve the information that's missing um we'll just have to hope that we don't get body slammed by the auditors so Do you have any other ideas on this, and ASRA as well? Let me know and we'll figure it out.
And with a memo, I don't expect you to know the answer off the top of your head. Is this something that the trustees would write? How much detail? Something that we'd have to vote on or sign?
I I think just documenting what date you went to the bank you know say that the subcommittee met on these days you know we we discussed the problem it was you know you emailed the treasurer on these dates you went to the bank on these dates these are the emails that you receive back from them um just it just keeps a timeline so that they can recognize that we've been working on this for months
And if you're putting together a packet to go with the memo, it would include like the minutes from those meetings, copies of copies of the emails that have been sent to the previous treasurer or any other attempts that have been made to contact the previous treasurer regarding that.
Oh, yeah, it's a lot of work knowing that someone might just need to.
yeah yeah thank you very much no thank you donna and colleen for all your patience and very much appreciated frustrated okay any other comments or discussion on this particular item that's on the agenda all right seeing none we'll move on to the next one furniture replacement for second fy 26 insurance claim
Okay. So just a reminder, the second insurance claim that we filed last fiscal year was related to a second radiator leak that was happening while the work at the building was happening. It was actually caught by the construction company. And it was caught quick enough, but it did damage some furniture. So the items that we're looking at are a larger round table. This is one of the tables that sits directly on the floor. And then there were three of our end caps. So these are like the wood pieces that go on the ends of our shelves. And these ones specifically were like slatted so that you could display. materials on them um the what what i'm bringing to you as an ask it was um three slotted in one solid one sorry thank you megan um three slotted one solid um what i'm bringing forth to you as an ask is that instead of replacing those exact items we replace with something else that's a little bit more practical um i also want to note that megan actually found four and of course she did extra end cap displays in storage so we have those to replace the ones that we lost so we don't really need to purchase those in particular however the downside I suppose of going with something different is that we lose the depreciation amount whereas if we bought the exact same thing insurance would would give us back the depreciation that they've removed. So I'm more so looking for board consensus to move forward with purchasing something different, knowing that we're losing the depreciation. The things that we have in mind to purchase are two display stands on wheels, so they'll be much easier to move. We currently do not have any of these specific display pieces in the library. We use tables for displays mainly. So that would give us back use of those tables by having specific displays. We also want to get four bistro height chairs to go with a table that's a little bit higher up. And then two soft seating chairs and a small cylinder table. All of these items would go in the adult area. AGAIN, NOTING THAT WE WOULD NOT GET BACK THE DEPRECIATION FROM INSURANCE AND THAT WE WOULD ALSO PUT MOST OF OUR RECENT $1,000 DONATION FOR FURNITURE TOWARDS THIS COMBINATION PURCHASE. AND MEGAN HAS ALREADY BEEN WORKING WITH SOME OF OUR FURNITURE VENDORS BECAUSE OF OUR OTHER RECENT DONATION AND THE OTHER INSURANCE CLAIM, TOO, SO WE KNOW THAT THERE IS Some opportunity for some steeper discounts than what is just available online So, I don't we don't know the exact figures yet But that is in the works as well just so you're looking for consent to move forward with pricing for these items.
Yeah Go back and go. Yeah. Okay, you're going to bring all of that information back to us and with numbers, correct?
Well, that's up to you. I'd be happy to move forward in ordering. I know it would be a matter of what we get from insurance without depreciation in most of our furniture donation.
And I don't disagree with you. But I can bring them back. Yes, I think in the interest of full transparency and the public being able to see how we're rebuilding their library, if you could have those numbers. I mean, I'm one person.
I will note that if we do that, we would not have them in time for reopening.
killing me, Donna.
I trust Megan. Yeah.
I was, I was going to say, I feel okay with working deals. It sounds like you've got, I can show you pictures of what they are. Of course you can. Is that, would that be helpful? Like I've,
i don't have concerns about you identifying we see the numbers yeah um okay i'm not the only one which is fine i think we've just been so transparent about everything just so that way it's another check off for the people who might
Yes. Yes. Okay. We'd like to see understood.
It could be pending coming, you know, it's okay. Okay.
Very good Okay. Thank you ladies. I have no doubt that you're going to be frugal and get us the best Can I hire you for my own budget?
Can you just shop for me in general?
So, okay Very good Are we done with that, Donna? Yep.
Okay.
Tentative reopening process. Wow. Yay. That's so exciting. We made it. I didn't think we'd ever get here.
Thanks in no small part to every single extra second you have worked over the last nine months. My God. Yeah.
All right.
Talk to us.
Okay. So I sent you my tentative reopening plan with dates. I'M ASTERISK TENSITIVE ABOUT 20 TIMES. KNOWING THAT THAT IS REALLY DEPENDENT ON THE RESULTS OF OUR MOLD RETESTING. I'M NOT READY AND I WOULD HOPE THAT YOU WOULD SUPPORT THIS, NOT READY TO ANNOUNCE A DATE TO THE PUBLIC BECAUSE OF THAT.
A COUPLE OF SETBACKS AND WE DON'T WANT TO SET EVERYBODY'S EXPECTATION ON A SPECIFIC DATE. Find out that we're not because there's been another setback. So we under exactly I think we understand. Yeah.
Okay so mainly my purpose in bringing this up tonight is to Make you aware that on the August 20th meeting. I'm going to Assuming everything is still running smoothly and on schedule. I'm going to be asking for board approval for two decisions one to be the date that we will close operation public operations at the lpd community room so that we can take a little bit of time to move everything back and get everything set up at the library before we open again to the public and secondly what i hope will actually be part of that closing period the saturday before labor day to redistribute those staff hours to the Monday through Friday instead so that we have more hands more people to do more work during the week. Yeah, and that may be a Saturday that were close to knowing that that may be a Saturday were close to the public during that moving process. So that's my main reason for bringing that forward to you and also to give you opportunity if you've reviewed the plan if you have any feedback or concerns or anything like that.
I don't but I would like to request respectfully that as we get closer to this date and it becomes more firm I would like to perhaps bring in some of the police staff mainly the fire chief and graciously thank him for you know opening his home his house to us and letting be us be guests in it and anybody else that was part of that decision because I know that this is not only been a long haul for us but for them to be without their community room and not being accustomed to people coming in and out of that space as often. So if you could reach out to the chief and just kind of tee him up that we'd like to see him. Sure. Absolutely. Bring him to us.
Do you want me to invite him to a specific meeting yet or just give him a heads up?
When we have an exact date of when we're opening, then the answer to that is yes. Okay. But if you could just dial him in that as we get closer to that date, we'd like to speak with him. Okay. He's going to throw a party just to get rid of it.
Be on your way, people. Be on your way. I do not envy you. Moving is horrible. I've done it enough. I hate it. Library furniture.
I will say we're asking for a lot of help from Cyber Services Department and DPW. Plus doing a lot of it ourselves.
And they've all been so supportive. They've been great, yeah. They're probably going to be happy to see us out of there, too. Here's your hat. What's your hurry?
Yes, please let us know as things go. If you're like, oh, wait, we have so much stuff. Maybe some trustees could lift some heavy furniture or something. I volunteer Nancy first.
Here's my girl.
Beth's got a big rig. I volunteer Beth's second. Okay. Thank you very much. Anything else on either of these two topics? If not, we will move on to deliberations and votes. So library director posting. Let's have a little discussion. I've read this. I think it's so much better, so much cleaner. It reads very well. I don't think there will be any confusion when our prospective candidates read this post job posting. Is there some other discussion?
May I chime in? I'm a little bit concerned about the job description, mainly because I think almost too much was removed. This is my personal opinion. I think the job description should be reflective of the salary and justify the salary, and Honestly, after everything that you're proposing to remove is removed, it's going to be shorter than most of the staff's job descriptions. And while it being shorter does not necessarily reflect on the job being less duties, I do... concerned for that reason and I also wanted to note that in comparing like assistant director job description to director there's some items where like my job description says assist the director with this and that item is not currently in the library director's job description a big one being budgeting okay so as much as I don't I really don't want to delay this anymore I want to be able to post AS SOON AS WE CAN, BECAUSE SPEAKING ON BEHALF OF AT LEAST THE MANAGEMENT STAFF, WE ARE EXHAUSTED AND REALLY WANT TO SEE A DIRECTOR POSITION POSTED, BUT AT THE SAME TIME, I have those concerns about the current drafts.
Would the library committee be willing, can we make you guys have another meeting and revisit this with some input? Then we can have it back on Thursday. agenda for the next meeting okay I don't think we need to oh yeah we do need to vote on that let's let's have a vote yes I need a vote then to not vote on this tonight just delay it delay this I have this committee revisit it and then we'll bring it back I make a motion to table the library director posting vote until the committee has had a chance to meet one more time and to reflect the input from interim director plant very good that was a motion by Erica is there a second I second that was a motion by Erica with a second by Miriam is there any other discussion I just want to make make sure that word this will be on the next agenda for the 20th meeting okay very good any other discussion
May I just ask a question? Yes. I know originally I'd asked if you wanted me to be present at the last meeting. I'm happy to be there. I know that there was some concern about it not necessarily being appropriate. So I'm just asking if you want me to be present for it, if you want me to just write up some suggestions. Whatever is helpful.
I was under the impression that you didn't want to be part of it because I understand it does feel like
I more so didn't want to be the one directly editing it. I didn't feel like that was appropriate to be the one responsible for editing it myself. But I'm happy to attend a meeting to talk it over.
We value your input because clearly we missed some important things. Well, it's a process. It's a process.
Yeah. Okay. Okay. We have a motion and a second. Is there any other discussion? All those in favor, please say aye. Aye. Any opposed? Aye. That's a 5-0 vote. Thank you, Donna, for that. OK. Purchasing policy and property disposal request.
OK. Would you like me to speak on this one, Madam Chair? OK. So this was brought forward to the board maybe a month or so ago in just the purchasing policy form from the financial ad hoc committee that had reviewed it and BROUGHT FORTH THE NEW DRAFT. THE RESPONSE FROM THE BOARD WAS THAT YOU WANTED US TO, THE COMMITTEE, TO LOOK AT IT AGAIN, ESPECIALLY FOR THE LAST SECTION OF THE POLICY. IF YOU WOULDN'T MIND GOING, section four is property disposition so the committee specifically looked at the town's latest request form for materials that are to be disposed of or to be otherwise transferred to other departments or etc and we literally took that version and made a version of it for the library so the last page after the Policy, if you want to scroll down again. It's very simple. It's just to list out what you're disposing of, the quantity, how it was disposed, who did it, and the director approves and dates it. The policy just, it does refer to this form and specifies that THE DIRECTOR WOULD BE THE ONE MAKING DECISIONS REGARDING WHAT TO DISPOSE AND HOW. AND THAT IT WOULD JUST BE A MATTER OF IT BEING FILED. SO THAT IF THERE WERE QUESTIONS FROM THE PUBLIC ABOUT WHAT HAPPENED TO THIS OR THAT, THERE WOULD BE A DOCUMENT SHOWING WHAT HAPPENED. AND WE TRIED TO BE SPECIFIC IN THAT IT'S FOR ITEMS THAT WERE PURCHASED AT SIGNIFICANT VALUE. SO IT SHOULD REALLY BE LIKE PIECES OF FURNITURE, BIG pieces of technology or equipment, such as a photocopier or that sort of thing, rather than every little office supply or something along those lines.
This looks acceptable to me, but I'm one of five people here this evening. We'll start with you, Azra, since you're the treasurer.
Yeah.
Okay.
Three of us helped draft it.
I'm very proud of it and personally attached to it.
Just keep that in mind, Miriam. A late brainstorm.
No, yeah, it looks good.
All right, then. This is under deliberations and votes. So if there are no other... Questions or comments or discussions on this? Are you good with this, Donna? Anything else?
May I please have a motion to adopt this policy? I make a motion. Sorry. Should it be a motion for the purchasing policy and a separate motion for the property disposal request form?
No. Okay.
Then I would make a motion to accept and adopt the purchasing policy and property disposal request form.
That is a motion by Erica. Is there a second?
I'll second.
A second by Azra. Is there any other discussion? Seeing none, all those in favor, please say aye. Aye. All those opposed, that's a 5-0 vote. Thank you. Okay. And thank you very much for your work on this. We appreciate this getting done.
It's been a good team. Yeah.
Okay. Funding requests.
it away donna all right so the first one is related to rooftop unit one um specifically the drip pan repair so um the the documentation that's attached is just an email from eme for this one um that is because this work is strictly labor related um so it's the drip pan cannot actually be ordered like the replacement cannot be ordered they have to actually make it And in order to install it they said they have to either lift or remove the compressor from the unit So it is strictly labor-intensive the best that they could do is explain that to me in an email for me to pass on to you and Say that they think it would be about 1,500 but when it comes to labor
could be more than that so could also be less than that so the question is how I mean we certainly we have to fund this but the question is how do we fund this motion so that I mean if it's more than $1,500 I think the board is gonna want if it's fifteen hundred and three dollars we're not gonna care right if it's you know I THINK THE BOARD IS GOING TO WANT TO KNOW. HOW DO WE CRAFT THIS MOTION?
I HAVE A BIGGER ASK BECAUSE OF WHAT HAS COME UP TODAY AS WELL WITH THE LONGER CONVERSATION I HAD WITH THE TECHNICIAN TODAY. I will say the technician we spoke with today is very experienced and has been to the building many times. I've spoken with him many times. So I trust his opinion probably more so than another technician that hasn't been to our building many times. I think his recommendation or suggestion is really that there's more happening than just the drip pan with the rooftop unit one. And so my ask, actually I think I wrote it out best I could. My ask is to approve moving forward with all of the recommended rooftop unit work presented tonight, even without the quote. So more so on like if you would consider it an emergency basis, even mainly for two reasons. One is to schedule it all at once so that it's less of a cost to the taxpayer, because every time they come out. TAXPAYERS ARE PAYING SOMETHING MILEAGE WISE FOR THEM TO COME AND SHOW UP. FOR THAT REASON, BUT ALSO TO HOPEFULLY REALLY ADDRESS THIS LONG-TERM LEAKING ISSUE THAT'S BEEN HAPPENING IN THE FRONT ENTRYWAY BEFORE WE REOPEN. OBVIOUSLY, SINCE YOU JUST PASSED THE PURCHASING POLICY, ONE OF THE THINGS UNDER EMERGENCY SPENDING IS THAT I WOULD HAVE TO GIVE THE BOARD AN UPDATE AS SOON AS I HAVE A COST. BUT OBVIOUSLY YOU WOULD BE SAYING TONIGHT THAT YOU WOULD APPROVE MOVING FORWARD WITH SCHEDULING THE WORK. something to consider that would be my suggestion at this point where we really need that leak to finally be resolved and we have the rooftop unit to point to as the reason um so and to remind you about what um this technician today said he said that the it's not just the drip pan it's also what do you say the condensate trap which he said really that work is not going to be very expensive. It's like repairs with PCP or PCV piping. Thank you. Yes. So that won't be a lot. And honestly, if they're already there for the drip in, they could do that work as well.
I don't disagree with any of this. I just am wanting to know how we craft these motions if we don't have definitive dollar figures. Do we give you a range?
So you could, but the challenge there is that I may not even be presented a range. What I would recommend is naming it in a motion as an emergency expense that can proceed under the purchasing policy.
Because that allows her to spend as needed and then bring us the information once that's done.
You're not anticipating this to be thousands? No.
It looks like 1,500 plus some PVC piping.
Right.
What's the board's pleasure?
And there's the fuse issue too in the rooftop unit. I don't know about pricing for that yet.
I think we have to recognize that this is a unit that is on the repair list, and we will continue to service it, and we have to repair the things that are... I mean, what is the point of all of this if we just go home tonight and know that there's going to be leaks next time it rains?
And remind me, we put RTU-1 on the capital as a CIP...
ITEM RIGHT SO THIS IS SO US BEING ABLE TO REPLACE THIS UNIT IS DEPENDENT ON THE CIP BEING APPROVED AND US PURSUING THAT ACTUALLY EVEN EVEN SOONER THAN THAT UM WHAT WE'VE DISCUSSED WITH TOWN MANAGER MULHOLLAND IS THAT THE THERE WILL BE A WARRANT ARTICLE OKAY IN MARCH FOR REPLACING ALL OF FOUR OF OUR ROOFTOP UNITS THAT'S BEAUTIFUL SO WE'D BE LOOKING AT REPLACING IT HOPEFULLY IN ABOUT A YEAR'S TIME IF THAT PASSES
But in the meantime, we've got to preserve.
In the meantime, we need it to function.
We just need this building to stop malfunctioning. Okay. All right. Let's have a motion. Hang on. I can. Yeah.
All right. I'll make a motion. I make a motion to permit Interim Director Plant to expend funds on an emergency basis for the RTU-1 repairs as needed. Does that seem appropriate? Will that serve you?
Yes. OK. That's a motion by Erica. Is there a second? I'll second. Second by Beth. Is there any other discussion? All those in favor, please say aye. Aye. All those opposed? That motion passes. And as soon as you have any information financially, we'll get it to us. Thank you very much. I appreciate that.
Absolutely.
All righty. What's next on the D&D list? The deep cleaning. Oh, yes. We talked about this. Deep cleaning before we opened. We sure did.
Yeah. So our current janitorial company walked around the library with me and we looked at Three different things actually because that's why you have three different proposals on the agenda site from them One is for deep cleaning or what I'm calling deep cleaning the proposal actually says professional construction cleaning That is a proposal for a total of two thousand four hundred dollars So I can I can just start with that one so that is pretty self-explanatory in terms of deep cleaning. We want to make sure it's back to a healthy environment for everybody when we reopen. But it's also looking nice. And I did point out specific areas I really wanted them to focus on that I knew were an issue. And I also wanted to mention that part of the reason why I could bring this forward to you is because while we've been closed, they have not been charging us our contracted amount every month. Instead, they've been charging us a very low amount to clean the LPD community room instead. So there is, even just this fiscal year, there is savings from July and August that I know for sure will be there to cover the deep cleaning entirely.
Which line item in the budget does this come out of?
So the deep clean, I'm recommending from the custodial services.
OK. All right. Very good. Could we have a motion, please? Yeah.
Oh, sorry. I make a motion that we spend $2,400 for professional construction cleaning and spend that out of the custodial services line in our budget.
It's a motion by Erica. Is there a second?
Second.
Second by Beth. Any other discussion? So when are they coming in?
So after you approve the money, I will schedule them. I'm hoping the week of the 24th, so in two weeks.
Make it happen, Captain. Motion by Erica, second by Beth. All those in favor, please say aye. Aye. Any opposed? Book it, Dana.
Thank you. Next, another proposal from same company, A1 Phoenix, is to do the stripping and waxing of the meeting room floor downstairs and also the hallways on the lower level. So basically the most traveled public areas at the lower level. Mm-hmm. And they have done this work for us before. They did a great job. And they quoted us this time for $17.50. So I would have them do this work.
I was like, $17.50? Sorry, $1,750.
And I would have them do this work at the same time as the deep cleaning work you just voted on.
So this is kind of your choice.
There's not enough savings from the contract to cover all of this. It would be about $70 more if you did the custodial services line. Or alternatively, you could do maintenance.
Okay. What's the board's pleasure?
i think this is probably should come out of maintenance that's what i think what are you thinking maybe more custodial custodial do you well i mean is this it makes more sense to just put it out of the custodial so that we can see where the deficit is for the next year okay yep a good point um it's not something we would do annually I think it's every few years, right?
So I looked it up, and it is actually recommended annually, especially for a space that's used as much as ours. However, what we actually have done in practice is at most every other year, if not three years, like you said.
Okay. Or maybe we just have to add it to the budget, but at least this way we can demonstrate the need. Sure.
Then I will make a motion to – sorry, one more question. So to phrase this motion, this would be to approve the expenditure of $1,750. Some of that is coming out of the savings, and then do I have to separately mention the additional overage or just – okay. Okay. All right. Then I would like to make a motion to expend $1,750 to strip and wax the floors and lower level hallways.
That's a motion by Erica. Is there a second? Second. Second by Miriam. Any other discussion?
And I'm sorry to come from the custodial.
Come from the custodial services line. Thank you.
Okay. Any other discussion? All those in favor, please say aye. Aye. All those opposed? That's a 5-0 vote. Thank you. This library is going to be looking so snazzy.
It will be.
OK. Next one is tuition reimbursement and additional funding. OK. Take it away, Donna.
So as I've shared previously, we currently have two staff members that are requesting tuition reimbursement to cover masters in library science program courses. on graduate on the graduate level and at our current budget which is four thousand seven hundred and seventy dollars for fiscal year 27 that would cover 1.3 classes for each of them and that would leave no money left for the rest of the fiscal year I I'm suggesting or asking the board to consider overspending that line. I gave two options, one to cover one and a half classes each, which would be an additional $495 total, or to cover two full classes each. which would be um two thousand two hundred and fifty dollars um total over the line um obviously the board can consider beyond that if you wanted to this is just my suggestion I do think that so for fiscal year 28 we in the department budget proposed um five thousand dollars for the tuition reimbursement line so um If you wanted to reflect more closer to that ask of spending-wise, that would be more so. And you'd still be over by doing the $495. The... The tough part is that if we have an ask later in the year, it will be spent, so the answer will be no. Granted, I am, I mean, it doesn't go very far, we kind of knew that, but I'm spacing it out in the sense of you can only do this class this semester and you gotta wait for the next season of classes to do the next one, but even still.
so i would also just like to make the point that we are negotiating a union contract yeah and all benefits are being discussed in the union negotiation okay and this is one of them okay does that mean we just can't do anything the board can't do anything right now it's an odd precedence it probably requires some legal You're right. That's a good point. This would require me to get some legal counsel because I'm not sure what we can and cannot do given the fact that we're negotiating the contract.
I think we could get in trouble if we promise something that we can't.
I understand. I do have an answer because I figured a question that might be asked is where would it come from elsewhere in the budget? Because we have not hired the director or the children's librarian yet, there's going to be We haven't posted them yet either that we know there's going to be, I'm guessing about four months salary savings. So I think there's going to be money in the salary line essentially.
Let us get a legal opinion first and then we'll revisit this on August the 20th.
Okay, sounds good. Because am I correct that would then take away funds for anybody else that wanted to, you know, so yeah, it almost feels like, approving one class for each person and then coming back to it with whatever funds is left. And then we could have a discussion with legal about what else is available.
So I do want to note, though, that the board left it up to the director to decide how to approve who gets what. So I don't know that the decision there should really be regarding, you only get one class this year. I think the question is more so, can you put any more funds towards it or not?
OK. Let us get some advice on this, Donna, and then we'll talk about it at the next meeting. Sounds good. Okay. I'll call. I will call. Okay. Okay. Thank you. All right.
And the next is additional flagpole repairs.
Okay. So this quote. Flagpole.
Oh, yes. Yep. Mm-hmm.
presented to you from Flagworks before. This was like the second repair quote from last fiscal year. I did reach out to them because there was only like a 30-day window where that quote was valid. So I asked them to reissue it. So the current quote is $893.95. This repair work, I will say, is not really required for the functionality of the flagpole. It's more so, there is a broken piece on it. It's also to kind of, it's, outdated technology that's inside the in my technology I use that term loosely because it's very manual so this would make it easier to operate but I will say it's not required for it to function and for us to use it and have it there so and this would this generally the flagpole repairs come out come out of the maintenance line okay could I have a motion please
I make a motion to approve the expenditure of $893.95 from the maintenance line to do the additional flagpole repairs.
That was a motion by Erica. Is there a second?
I second.
Second by Azra. Any other discussion? All those in favor, please say aye. Aye. All those opposed? That's a 5-0 vote.
Thank you.
Asset Interactive Room Booking Module. Did I say that word correctly? Yes, you did. Yes.
Okay. So Asset Interactive, this kind of goes together with the contract. That's why I listed it first as a contract. So our regular contract renewal includes two modules. One is our calendar slash contract. Program reservation module that allows the public to reserve spaces at our programs online The second module that we have right now is to reserve museum passes online both of which have been huge in terms of really meeting patron expectation in terms of technology and what they can do from home instead of having to call us every time and whatnot and What our ask is is to add a third module that is for room booking, so this would allow patrons to reserve meeting room spaces and also do our requests for using the meeting room downstairs online as well, which has been asked for quite some time. The module does allow us to set like an approval on it. So that's what we would probably need to do for the meeting room. Just because right now we do approve those but they come in on paper form. And it would work very similarly in the sense that someone would have to put their library card number in and it would need to be a valid card number. It checks it against our system in order to proceed with their room booking. If we wanted to, we could also extend this to the talk box. Right now, that space is just use it as it's available. But it's an option for us to do that as well. I did want to note that this would prompt us to need a little bit of staff training for us to add this module. And we also have to update our room policies. to reflect that this is a possibility to reserve this way. So I think those are the only things I need to mention. I ALSO WANTED TO NOTE THAT WE INITIALLY BROUGHT FORWARD THIS THIRD MODULE WITH ACOBET IN PART OF THE CIP DISCUSSION AND WE AT THAT POINT HAD JUST INCLUDED IT IN THE LIST TO BUDGET FOR A FUTURE YEAR. WE HAVE INCLUDED IT IN THE DEPARTMENT BUDGET FOR NEXT YEAR. ASSUMING THAT WE GOT IT THIS YEAR. So I hope I've described it well enough.
Did you guys get a tutorial or anything, or just information?
I got a tutorial when we initially joined Acibet, but I haven't gotten a more up-to-date one. But the interface really hasn't changed a lot.
And you're already using it for the events, so it's not like totally brand new software to you guys. Correct.
this is the wave of the future everything is online these days so you know we got to keep up with the joneses okay any other discussion or questions could i have a motion please um sorry remind me which line item does this come from
This one is from Management Services.
Thank you. I make a motion to approve the expenditure of $850 total from the Management Services line of the budget to acquire the Acibet Interactive Room Booking Module.
That's a motion by Erica. Who would second that? Second. Second by Miriam. Is there any other discussion? Seeing none, all those in favor, please say aye. Aye. All those opposed, that's a 5-0 vote.
Thank you.
OK. Interactive?
Yep. So this is our contract to renew the two modules we already subscribed to. I wanted to note that it was an increase of 3% over last year. This also comes from management services.
All righty. Take it away, Erica. Okay. I make a motion to expend $1,650 for management services for our Acibet Interactive module subscription.
That's a motion by Erica. Is there a second? Second. Second by Miriam. Discussion? All those in favor, please say aye. Aye. All those opposed? The motion passes 5-0. Thank you very much. Thank you. A1 Phoenix Janitorial Service.
OK. So this is the third proposal from them this evening. This one does cover our monthly regular cleaning. So I shouldn't say monthly. They charge us monthly, but they come in to clean five days a week. and do a great job. They're very responsive and anytime I think they've missed something or a staff member points something out that, you know, a trash can didn't get empty or what have you, I have a contact that will get back to me right away and will take care of it. So we've been very happy with their service. They are proposing A monthly cost of $2,195. This would be a 12-month agreement to start when we reopen. And I wanted to note that this is actually a 4% decrease over last year. I don't know if that was purposeful.
What did you say? Sounds like a computational error, but we'll take it.
I wasn't going to question it.
Seriously. On that note, could I please have a motion? I make a motion to approve the continuing of the contract with A1 Phoenix Janitorial Service at the quoted price of $2,195 per month.
Thank you.
Is there a second?
Second. Second by Beth. Is there any discussion or any other discussion? All those in favor, please say aye. Aye. All those opposed, that's a 5-0 vote. Thank you. Where are these people located, Donna?
They are located in Nashua, I believe. They also clean Town Hall.
I might have to give them a call. OK. Thank you. All right.
We have tree trimming and removal on here, too. Tree trimming or tree removal. Did I miss it? Yeah, it came in today. So it was the last minute.
So thank you for bringing that up, Eric, because I have the old one copied in front of me. So for tree trimming, I just have a verbal quote right now. I actually have been working with DPW on this one. THEY TYPICALLY WORK WITH TURCOT TREE SERVICE LOCATED RIGHT IN TOWN. THEY HAVE PROVIDED A VERBAL QUOTE OF BETWEEN 1600 TO 1800 TO TRIM THE TREES ON THE LIBRARY PROPERTY. AND WE ARE ESPECIALLY CONCERNED THAT A LOT OF THEM ARE TOUCHING they've grown so much that they're like touching the roof and could become, if they haven't already become a maintenance issue. But I wanted, that's more the short term, like for cleanup and maintenance. But I also wanted to mention that there's been, early an early conversation about more long-term consideration especially for the trees that line the sidewalk along the building because once the school district building is built the students are going to be kind of rerouted pedestrian wise from the parking lot to come through the fields and follow our sidewalk to cross the street with the signal at our intersection and there's some concern where those trees get very low in the winter with ice on them but also in the spring there's loads of bees in them which is understandable but with a very large amount of students going to be walking through there there's just been a noted concern from both the school end and DPW, that maybe those trees will eventually need to be removed entirely. That's not to say that they can't replace them with something smaller, you know, that hasn't grown to its... Or if there's a trimming or pruning or something that could, like, keep those branches higher or... Yeah, I will say the winter is tough. Like, those get weighted down a lot. Oops, sorry. And... The ice is bad in them. So for that reason, I have both that quote to trim, but to remove those ones along the sidewalk entirely would be $3,000. Okay.
Well, geez, crow, I don't think I want to vote to remove those trees.
Which is fine. I just want you to be aware of what may be coming down the road.
It's enough heart palpitations for one night. Thank you. I respect that. Geez. Let's talk about trimming them and then, I don't know, can we talk with the tree experts and see if there's any way to save them at all, Donna?
While they're here, I can certainly talk to them about ways of maintaining them so that they won't be as much of an issue when the students are walking through there.
Is there a spray that can be sprayed on the trees? Like I know with fruit trees, when they can't be maintained, there's like a spray that will keep them from bearing fruit. I don't know if there's such a spray that will keep them from flowering, but I don't know. Talk to the tree experts.
I will say a lot of the draw of those trees them flowering in the spring. But they draw the insects like crazy.
This is all sort of like a, you know, laying the groundwork for conversation that's going to have to continue. Hypothetically, we could ask... the tree experts what options exist for if we feel like that removing them is truly the most appropriate option what like are there native species that we could plant that would be maybe less prone to the damage and the the safety concerns with snow and ice but that would thrive in in a spot like that and still be absolutely gorgeous
People in this building talked about it all spring long. If you follow the town hall pages, when those trees come out, everybody loves them. And they're beautiful.
We also get a lot of reference questions about that time. Like, what kind of trees are those?
I hear what you're saying there. You just don't want to answer that question again.
No, I'm happy to answer that. I've got it locked in there now. The advice will be run, kids, run.
The staff are always happy to answer questions, folks. I was being facetious.
But it's good to have the long-term planning of both worst-case scenario and best-case scenario. So if you have to plan budget-wise for it, we have something.
All right, let's get some info. We vote for trimming tonight, but we're not voting for removal.
So if you are willing to do so, I would say up to $1,800 for maintenance to trim the trees.
I make a motion to expend up to $1,800 from the maintenance line for tree trimming.
That's a motion by Erica. Who will second it? Second. Second by Miriam. Is there any other discussion? All those in favor, please say aye. Aye. All those opposed? That motion is 5-0. Okay, we're down to acceptance of unanticipated funds. All right, we need a motion. We're done, Erica.
So do you want me to read what's in the unanticipated funds? I have them all listed out. I'm going to get this right. Go right ahead. So we have been offered unanticipated funds. We have received $10 in an anonymous unrestricted donation. The Friends of the Leach Library donated $880 to sponsor an adult book, or to sponsor Naughty Singular adult book discussion programs, a storytime program at Sensory Seekers, and concerts on the Common for Kids. And the Friends of the Leach Library also separately donated 32 books, which have been valued at $508.67. These are specifically high-demand titles that the library staff have selected. So if you wanted to add anything to that.
I'll just note for the books that that's been part of something they've been doing regularly. And right now in the LPD community room, we have a cart where those books are on display so that patrons really know that they have been donated by the Friends. And they also have spine label stickers on them now with the Friends logo on them. Nice. So we're trying to spread the word that they're helping us out a lot by... Also, these ones in particular were while we had paused ordering for transitioning between fiscal years. So they still got those really popular titles our patrons were expecting into their hands. So we appreciate it.
As always, we very, very much appreciate the support from our community, particularly during this very difficult and stressful time. So that was a motion by Erica.
I did not make a motion. You did not? Not yet. Sorry. Sorry. while she's typing i'll let our home audience know that for ten dollars annually you too can be a friend yes all right so i make a motion to accept these unanticipated funds under rsa 202-a colon 4-c and rsa 202-a colon 4-d very good that was a motion by erica is there a second
second nobody I'll take your money any discussion thank you thank you thank you very much everybody so much all those in favor please say aye aye all those opposed that motion passes 5-0 thank you All righty. It takes us to public comment. Is there anybody here that will? Yes, ma'am. Oh, my gosh. Come forward.
Speak into the microphone.
Name and address for the record, please.
Hi, I'm Linda Lampkin for Griffin Road, Londonderry. I just wanted to add something to what Beth said about the $10 to become a member of the Friends. If you would like to do that at Old Home Days at the booth, you will receive a lovely gift that was made by Dana. She made something specific for anyone joining as a Friends member for that specific day.
VERY GOOD.
AND CARMEN WILL BE THERE WITH HER COMPUTER. SHE'S GOING TO DO IT ALL TECHNOLOGY. I WORK IN A LIBRARY AND I CAN'T SAY THAT WORD. I'M SO SORRY. BUT WE'RE GOING TO TRY TO BE AS tech savvy as possible, so you know I won't be doing the computer. But I just wanted to let everybody know that, so another push for the friends.
Very good.
Yeah, thank you. Thank you. Any other comments from the public? Seeing none, we remain committed to opening our library and serving the needs of our community and building trust in our ongoing relationship with our staff. Is there any other business to come before this board tonight? Seeing none, could I please have a motion to adjourn?
I make a motion to adjourn at 8.24 p.m. Very good. Is there a second?
Second. Second. Oh, did you have something else? You were just waving at us? Yes. Okay. All those in favor, please say aye. Aye. Any opposed? This meeting is adjourned. Thank you, everybody.
Thank you. Thank you, everyone.
