Library Board - Regular Meeting

I'm working out. Okay let's call this meeting to order and welcome is the first thing on the agenda so bear with me everyone as this will be my first time running this meeting. Y'all will see I'm kind of big on Robert's Rules of Order so just as a heads up that that's happening so we are calling this meeting to order at 4 0 1 p.m. okay I think the first thing we need to do is to approve or modify this agenda so I am gonna ask for a motion on that and all in favor aye okay motion to approve the agenda is there and then we have moving on to public comments there's no one here hi people okay Next up is the approval of our June meeting minutes which are in our packet on the second page. So I'm gonna give everyone a second to look over it and then entertain a motion to approve before discussion. anyone want to make a motion I'll make a motion awesome all in favor oh before I'm sorry I should have said if there's any discussion first any discussion okay next up is the financial report Courtney do you want to give us like a staff report on it first

Okay. Okay. Glad we're on the same page. Thank you. So for the financials, it's the beginning of the fiscal year. So everything is going to look kind of like this. Low numbers in that percentage used category, except you will notice if you keep scrolling down to line 428, 432, and 437. Those are our materials allocations. You see how that says 80% spent and 72% spent? That's not real. I mean, it is. But don't panic, because we haven't actually spent 80% of our book budget. At the beginning of the year, we put the majority of our budget into purchase orders. So we order from, like, three whole places throughout the entire year. So it is just easier to put that amount onto a purchase order. It's like putting money onto a gift card and then spending it at that place.

Oh, like you have a credit at these places? Okay.

Yeah. Why? Out of curiosity. And then we spend it down, and then we will close that purchase order when we've spent it out, and then we will start a new purchase order for the end of the year spending.

Does that give you a better pricing to do it that way?

No, it's just easier so that we're not having to – new purchase orders all the okay that makes sense that makes sense hey i know i want to spend 20 000 here i know exactly when it's out it's out yeah we'll revisit then okay as opposed to like because we what we have to do is cas has to write the purchase order i have to sign it we send it to the county the county has to look at it they have to send the check so it takes time every time we do it so we just do it all okay that makes sense thank you for explaining yeah okay

Yeah. As far as everything else, I didn't really have anything else to mention because, again, it's the beginning of this year. So there's not a whole lot crazy going on, thankfully. We did get our second Canon copier. I saw that! I saw that this weekend! We dropped by and we brought donuts. We're very happy with it. It also replaced our old fax machine, which was... acting like it wanted to die very soon. So we were like, um, maybe the new copier can also fax.

Yeah, your Saturday librarians were excited about it when we stopped by and we saw it.

It's like, you guys got it. It works really well. It's very efficient. We don't have to scan each individual page. It's so nice.

Oh, it's one of those ones you drop and it's like...

your other one was just a manual it was if you had double-sided pages congratulations on your upgrade thank you is that number like very easy for the patrons correct in terms your copier has generated 763 dollars correct revenue in a month people are getting their stuff copied with you that's for sure the office max closed right yes right and since we can take credit cards

No. I don't know that we need to.

I mean, you get an increase, but it's probably one of those things where it's like, hey, FYI, the library offers XYZ. Yeah. Just like a reminder to the community.

I know, I think that the assumption is that we know because we frequent the library. No, you're right. As opposed to patrons who maybe don't.

So if you recall at our last meeting, I mentioned that we received a final estate bequest from the estate of Patricia Carol Lee to the tune of $5,291 and some change. And I said that I had wanted to get some genealogy books. Well, we already have them all. There aren't any being published. not really like a lot.

Um, I think Dr. Bradley is working on one. I heard a rumor that he's going to be publishing a book soon, which is great. We look forward to that. Um, but I don't have anything to purchase for that, but I do have stacks of books in my office that are genealogy or local history that are falling apart that I cannot replace. that I want to keep in that collection. Here's the thing. If we buy the materials and the supplies, I can rebind these so that they would be structurally sound and usable for the next 20, 30 something years. Okay. So I would like, how? I have no idea. I haven't purchased anything out. I wanted to get, permission first. It won't be more than the $5,000.

I can't imagine.

And that's what she dictated. It would be spent on genealogy. So this is genealogy.

Would this take, I mean, this is going to take a lot of time too, right? Okay.

And you guys feel like you have a long-term project. I mean, the books aren't going anywhere, right?

Oh gosh. I don't even know. Probably. Um, We probably had this when we first opened the library in the, or when we first went to digital. in the 90s, so like 80s, 90s. But it could be older than that. I don't know. I don't have a date.

I mean, it looks older than that.

But this is actually one of the better ones. One you can actually take with us. There are others that are, this one's just called Service Record, World War II, World War I and II, Tullahoma and Community. And it's got a nice little dedication here in the front handwritten by somebody. Do you know Judy Phillips?

Should I? I think her first name is Judy. She's an archivist for Coffee Franklin County. OK. She might be able to give you a handle as to, I'll look at my phone and make sure the first name is right, on the age. Where they came from.

Oh, that's, I'm sorry. It's just not here on this. I don't know off the top of my head. We have it in our records. Oh, you do have it? Yeah. Oh, it's not. It's in the catalog. I just don't. Okay. You don't have the catalog.

I just brought this so that I could show you the condition of some of these books. But it'll be interesting.

I have already sort of rebound one. I was going to bring that one, and I actually gave it to a patron yesterday, so. Mm-hmm. But I didn't have to redo the cover. It will require the purchase of a press, book board, book cloth, and pages. We already have the glue. We already have most of the other little tools and things for regular repairs that we do.

Could we include some way to honor the person who contributed the money in either like a sticker inside the book that said that we've repaired it in honor of me? I like that idea. Or having a plaque that says that, you know, our genealogy books were repaired in honor of. Or in memory of. Yeah, in memory of. Just something to acknowledge that that was contributed. I love that. Oh, that's not too bad. OK. No. This is something where maybe the librarians will learn a skill. Yes.

Oh, that was the other thing. Thank you. Yes. So along those lines, teaching book binding is really great for book repair lessons. And so I can repair a book at like a staff meeting. the staff would watch and take notes. They can learn. Yeah, I have. It would be training as well. What a wonderful idea. And they can get training hours.

Okay, yeah, I think that's great. I just want to make sure that we acknowledge the memorial of the person who committed the funds, and I think that's a great plan. I don't have any questions. I don't know if anybody else has any.

Permission to spend the funds because it's out of committed funds. I need it in the minutes that you approved spending this money on book repair and rebind materials.

I think that our books should stay in shape and what a great way to keep them for our patrons longer. So just want to check.

Because we will not have it downtown. Because it's a Friday. Right. We're not doing one at all?

No, I really wanted you guys to get a sense of what our staff meetings are genuinely like. I mean, we don't go around – I don't go around and make those fun little introductions. But, yeah, for the most part, we kind of – We go over a topic of interest that may have come up in the last month or something that's going on circulation-wise that needs to be addressed. I like to, if it's something that the staff are working on or it's like a workflows thing, I like to get their input and having them all there at the same time just makes it a lot easier. And then we can all come to a decision together. And I wanted you guys to see that that's... That's how we operate.

They seemed, as observing, they seemed to really respect one another. They liked each other, too. It was great. They respect each other and they like each other. So that makes it a happy environment for you all to work in.

Beautiful workplace culture.

I work, I try to cultivate a very... cohesive environment and i think we have that we have really great employees though they're so wonderful so it's it's easy to work with people who are just really great yeah um okay closing i don't think there's any dates in november thanksgiving Well, we already closed for Thanksgiving. Just make sure. This is just like extra stuff. Extra stuff. Yeah.

Like at 6, but they have the doors open because it's a commission meeting, so there's a lot of people here. So at their committee meeting last night the Manchester Library decided that they could have their committee meetings The same Wednesdays, so we would actually all be here at the same time Us being a smaller group. We're going to meet on in conference room two because it's a smaller room. They will have the bigger room since they need more space. That works out great.

Second Wednesdays at 4 p.m. That's not the second Wednesday. This is the second Wednesday.

So yeah, October 14th will be our next committee meeting.

I stand by that a 4 p.m. meeting is hard on people right but like and not like it's fine like I can manage it but I feel like it's gonna make it hard to recruit other board members when that comes time and also this is a public building and it closes at 4 30 p.m. the services close at 4 all like even like to go get your car title okay so second Wednesdays at 4 sounds like it might work for us and we will just schedule all of our meetings around that yes great great it's gonna be wonderful wonderful I will let the state know as well so they don't schedule any more trustee workshops and then we'll try this out and if this works well yes then we'll change our bylaws later correct

Because I'm saying as far as the time for the dates, I think they could. there could be a little latitude within the bylaws, so this is not coming up again.

It can be a little less rigid. I mean, as long as we're notifying. Well, it's got to be flexible, like Veterans Day or the Fourth of July. It can be a little less rigid.

I mean, I think it's all about notifying the public, right? As long as I feel like I'd like to see our bylaws say as long as we're notifying them and they're happening monthly.

programs in july we held eight story time events with a total attendance of 265 we had an additional three children's programs with a total attendance of 148 the highest attended program for july was a firefighter story time how cute isn't it i know it was really fun we had 76 in attendance for that program We had two adult programs with a total attendance of 28. We gave out 218 take-home crafts and we held four one-on-one tech training classes. There were 86 logged visits to the Story Trail, 59 for Friday Scavenger Hunt, and 369 educational worksheets were completed. the packet that i gave you this little cute little board thing i did the fun i included the calendar kind of like a breakdown of some of these numbers and then i included the spreadsheets where we log our numbers so that you could see exactly how we log it and what is

I'm sure that the story walk is underreported.

Oh, yeah.

A hundred percent, because I walk on there sometimes, too. Yeah, exactly.

It's only when you distribute something for it, right? Correct. That's the only way for us to count it right now. There's so many kids that probably opt out of that.

Oh, yeah. So for it to be 86, it's got to be at least triple that. Yeah. So you can see that this... This part right here where it says passive programs.

What's handwriting?

Those, okay, those are the educational worksheets. We need that in our house. Yes. So the color by numbers all the way down to the connect the dots. Those are all the different kinds of educational worksheets that we hand out. So when I say that we gave out 369. Keep going, keep going. Yeah, keep going.

So when I say we gave out 369 educational worksheets this is the breakdown.

We gave out 114 color by numbers, 36 word search,

Only two crosswords, that's okay. 27 word scrambles, 71 eye spies, 49 scissor practice, 39 maze, 15 handwriting, and 16 connect the dots. I think I've mentioned this before. This started last summer. Some of the staff decided that we wanted to give out worksheets. We weren't thrilled with the worksheets that were in the CSLP binder, so they developed their own. And Alicia thought it would be a really good idea for it to be educational based. So these are all things that require some form of literacy practice or even handwriting practice or scissor practice. These are basic skills that and following directions. People are lacking.

Yeah, I love it. It's a struggle. I hope that your next children's librarian continues that.

What do you think is the demographic that's coming here for these? Like age groups? Is it from schools? All of them. How are they? How and why? Like is it homeschool groups? Is it?

Over the summer my grandchildren. It's yeah, it's anybody and everybody won't pick up one of these papers. He'd be like I'm not Yeah, yeah the basket with the take-home crafts Yes, he would get the maze like the high number ones. I feel like are the ones that like because they're we've done, you know Color by numbers that's on here color by numbers 114. So like that's that's a pretty popular one and they're sort of challenging. All of them are sort of challenging. They're not like itty bitty baby kind of stuff. Like it's elementary age kind of stuff. And yeah, we get elementary age kids, middle school kids. We've had teenagers do the color by numbers and the word search and they love it. Yeah. The fine motor skills, something that we're hoping. The community practice. Anyways, there were 31 participants for Scrabble and two for the puzzle. 15 volunteers completed 52 hours in July because Tennessee Promise hours were due on August 1st. So that was really fun. I have no building updates at this time.

Circulation update.

Polly mentioned wanting to add a section on AI to our collection development policy at their committee meeting last night, and I agree that it's completely necessary. She and I will collaborate on a policy update and have it ready to present at our full board meeting next month. We have received our first quarter funds from the state, and I plan to spend that on overdrive. We should get the rest of those funds, state and federal, after MOE has been completed. It hasn't even been sent out yet. They're waiting to send those out after elections. Some counties, the names on those documents may be different, so there was no sense in sending them out before they knew what names to put on the documents. So once we get those, once we get them signed, and returned, then we will have the rest of our allocations released. And typically, I spend those funds on STEAM kits from Penworthy and Wonder Books. Now, with the STEAM kits, I'm very excited. They have a handwriting practice and cursive practice STEAM kits.

How exciting. Great. Well, these go in the library of things? Yep. So nice. I love your library of things. I think that my kids get stuff from there. Just as often as they get books. Phillip gets to do new stuff there every time we're there. I love it. I'm so pleased to see that.

I was so glad I could find that book that he was asking for. Oh, good. The MD Master's Guide.

Oh, yeah. It has to be somewhere. He asks for all kinds of weird ones. Not weird, but vague ones.

I think it's interesting, because I didn't know, until I joined the board, I didn't really know about our library things or think about it. But I was on a call the other day, and we were like, do we rent this? Do we do this? They're like, our library has it. So I was like, oh, thank you, volunteer lead. She's going to go pick up giant Jenga's and stuff like that from a library. And I was like, they have this. It's a thing everywhere. This person's in Massachusetts. So I didn't realize how prevalent it was. Yes.

We were one of the first libraries in Tennessee to have a library of things.

I remember some people did not think we needed it.

Yes. Yes, they did. And we proved them wrong. It's so cool. We had one before Nashville Library.

Did you see the – I sent you that thread, and somebody said they have a carpet cleaner or an upholstery cleaner in there.

See, I couldn't find all those comments. I was on a weird – thread.

You blocked. It was just like about a library thing. Somebody was like, oh, we have an upholstery cleaner in ours.

Sometimes if we get like... like we have a projector in ours because we had a projector and then we got a new projector with, I think it was like grant funding or it was donated to us, something like that. And I was like, okay, but we don't need two projectors. I forgot my laminator. So yeah, we have a laminator because it's like, well, we don't need it all the time. Let's circulate it to the patrons and then we can use it when we need it. Well, that's me too.

I don't need it all the time. I only need it once a year. We do have a stuff.

The library had artworks that you could check out.

yeah and just hanging on your wall for a week I just added to our library of things a ghost hunting kit oh yeah staff of youth services job was posted we accepted applications for two weeks i've gotten those and i'm setting up interviews this week and next week i'm hoping to have a decision made sometime next week for which position children's library okay okay in the meantime i am covering story times april is covering art explorations and everyone is helping with lego club

For the Legos specifically? For the Legos specifically, what we have done is we have a kiddie pool, and we put them in the kiddie pool with sanitizing solution. There you go. Perfect. And then we rinse them off, and we put them in a little shaker thing, and then they dry. Okay.

Once a month. Is that enough? Probably not, but... For how many Legos we have, that's the only feasible way for us to do it.

They'd have to use it. And then keep their hands out of their mouth. Ugh.

Yeah. Well, if they've got them in their hand, they're less likely. If they've got something in their hand, they're less likely to put something in their mouth. They're going to put that thing in their mouth.

I think encourage parents. You need to loudly have one parent that you're cool with be like, hey, could you go loudly make your kid hand sanitize before? And then monkey see, monkey do, right? You just need one mom friend.

And they should hold each other accountable because they don't want their kids getting killed.

Because that mom friend will be like, hey, friend, do you want hand sanitizer? Hey, guys, here you go. And then that's it. The moms are passing it around.

I hear you're using the spray ones. I use a squirt bottle.

We'll keep a giant tub squirt bottle at the desk. And people use it when they come up and check out. But we could put one out at the tables so that it's very visible and accessible. Guaranteed. Parents should use it.

Especially during cold and flu season, which is about to get wild. It is a good idea. As I keep sniffling and drinking my water.

Jack doesn't flush when he goes. I'm always like walking behind him to make sure he flushes.

We've gone by the last few Saturdays and have really enjoyed being there on Saturday mornings. It's changed our schedule. It's becoming part of our Saturday morning routine. We go get breakfast and we go to the library. Jack almost made it through the Magic Treehouse books for the first time. He went like a third of the way, which, I mean, he's six. I was so proud of him. That's amazing. Because they're so cool.
