Um, y'all can y'all can vote in a um vice chair if you want. Even when they got a new person or family wants to step up, I know they're welcome to do it. But any question
and you do have welcome everyone. Feels like it's been a long time that been a month. I know um we do not have any public comments. Um I do want to just take a moment um yesterday or what just Oh yeah, sure.
Um so yesterday I we received a um I was resigned from the board. she is battling some health issues and I think it's just hard for her to she's she's not getting the answers and comfort she needs with what she's dealing with and this is just another stressor. I'm really sad to see her go. Obviously, I've been working with her for the last couple of years and he is a a true light in the room and brings a lot of energy and the humor and good ideas and um she cares passionately about this community and I was very grateful for her to come and join the CRC board and uh the tree board and parks combined forces. Um so she's not gone. She's just taking a step back. So, I'm sure we'll see her around the the neighborhood and when we when she's up or if she wants to come back, you know, we'll welcome with open arms. Uh, but just want to let everybody so she is our co-chair. So, we will be looking for someone to fill that um seat on the board as well as the co-chair seat. Um so if anyone is interested um we can chat we'll we'll have to vote on it at our next meeting. Um but you want to reach out to her obviously is um all right so we'll move to credit agenda. Um if we can look over our meeting notes on whatever I can do it today. Uh pull it up if anybody needs it.

So we had we had everyone present except no public comments approved the committee minutes from the 5th of June and then you had the workshop on the CRC budget possible action on the CRC budget that was that would been there and that is on the on the agenda the council agenda for next week by the Okay. [Music] Workshop day off pool party and then action with loot out theme. Um we're playing and then the tree giveaway date uh November 8th or 9th. Uh, I will make a motion to approve the July 3rd minutes.

It said we have three, but but when I want to pull it up, it says Oh, we have Joe. We have Yeah. Okay. We have Gilbert, Judy Newton, and Joe. So, and this hasn't necessarily We don't have any of your names. Yeah. Oh yeah. So we has the
how has that gone out? It's gone out in every newsletter. It's gone out in emails. Um Okay. You know, so yeah, when we get closer and it's like, okay, we are going to do this. It's going on this date, you know, Ryan or son, whatever. And um and but you know, we'd really like to know if you're planning to come. So then we can order appropriately. my person. We didn't have a date, but we just simply We don't have a date or anything as of yet. We were just collecting volunteer information. So, we'd have a rough count, but I think based on our last meeting, we're roughly estimating 50 to 75 I am. So, um
more than three more than at least five to seven board and so none of the committees have filled it out. So, I personally haven't shared it and I I just asked where it's gone on because I haven't seen it yet, but I've also been in a haze of summer and toddlers. So, um I personally will do my part to share it and promote it on any of my channels on socials. Um if you guys and when you see it, maybe I'll send it out in the email link and we can all share it to our whether it's a text to your neighbors that you know or in your own socials. Um just so we can get it out and let people No. Hey. Yep. Poke into there. We need you. We need your
I can see everybody. So, all that is is just they submit their volunteer information, their name. And yeah, that's all we get. It's like, okay, so we've got a submission date, a name, an email address, and an address and do you want to be invited to this party? And everyone the form is actually a little bit more extensive than that because they're they're placed for notes. Yeah. And people are like, "Yeah, I can't wait." Yeah. Yeah. Um, so we will put a little more energy into that. At least I I will commit to doing that too. Um, any other updates or

You know, they have the years they volunteered and etc. and then would you like to receive a personal invitation blah blah you know just sort of regular on the form. So um as as far as the rest of it goes you know we've got you know at least two items on the agenda so far the the annual budget and then the um luau budget. So, those are both going to the council on Wednesday. So, and we're having our budget workshop, so the timing is pretty good. Okay. I dropped that ball. No,

um All right, perfect. So, moving on to regular agendas. Um number one, report on the 4th of July recap to discuss and keep notes to prepare for next year. Um, I do have this working spreadsheet that is shared with city staff and the mayor. Um, and then this is where this spreadsheet has come from. Um, but basically for every event that we're hosting, I have a tab on this spreadsheet and as we're moving through the year, I'm taking the proposed budget and after the event it's done, moving it down to previous year line um, so that we can start projecting for the next year. Um, and I'm including a little section for notes on the event just so we can kind of
Right. Is it a sharable document that people are giving? So, you're just giving you comments and you're going to share there. Right now, it's just I'm the only one I think putting any info in there, but it is sharable. I'll share it with everybody on the board too. Um, right now I think it's just a city staff, but yeah, if we get it and put it on our SharePoint, the city SharePoint, we can we can make it sharable and accessible to each of you individually, you know. So, you'll be able to get into SharePoint, see the document, make up, and it's it's not just Is it possible for you to pull it up? Where is it? It's shared with a Wood Creek Gmail. Wood Creek. Yeah.

Well, that is not included on here, but you will see in the first sheet all of the fourth of July what is spent so far for any of the events that have already occurred are actual actual numbers. I said I can't I'm sorry. All the expenses exam for July 4th and reported. Yes. Mhm. Okay. Well, it's up on the screen. Okay. So, if you'll go to the go to the second.
So, this is the budget that is printed out. And then if you see at the bottom, I have events. And that's where the second page of this is. And this is total numbers for this whole meter rather than a breakdown. Okay. For line items for each event. Yeah. This is what's in the these two sheets are what's in and then so if you go to the 4th of July. So for Fourth of July for example, I've already moved. So if you keep scrolling down, I've already moved the 25 expenses and made notes of what it Oh, okay. of what that event looked like. And I'd like to do this for each event so that we're not like I think we had 100 people like
and do it fresh. Oh, I think that's whenever. So I did this like the next day when Deborah and I were in the car again right away. That's fresh in my mind. I was taking notes. Exactly. So you already forgot what we talked about. So I just made a note of like exactly what our estimated budget was, what we asked for, and then what we actually spent and then obviously the difference. So, we were under budget. Um, about how much? I can't read that number, but like $300. No, the total cost was 392. So, we were under budget by 390. 392. Okay, that's the total. Okay. On July 4th. For July 4th. Yeah.
Okay. Thank you. We got a lot more work to do. Oh, yeah. We had we had 1765, but then we spent $1373 and we had asked for $1,800 for the event. Um so again estimated what we asked for what we spent and then the and then I took some notes just wet rainy fourth of July. Um I think for next year like just having an idea obviously we'll be checking the weather again. Can't do anything about it but having a rain plan in mind of like how do we pivot if we need to. Um I talked about like how we ran out of candy where we ran out of candy and also having it separate because there was a bag of beans. Yeah.
You know have it all together. Um, so once I shared this, if you have any other notes, you can definitely go in here and add them. I added who was there, how many people we had, how many volunteers. Um, go so slow. One piece for each person, please. Um, and then just looking at this, I took what we did and then for like the 2026 budget, which you will see some letters, but very hard to make out. um and put that for our budget for next year. So like we needed more candy, so I bumped up the candy line item. So you'll kind of see that.
Um but if you have any notes or if any thoughts on the Fourth of July, long story long, that's where I'm going. Anything else we can add to this? Um what do you think went really well? What do you what should be changed for next year? Well, I think um when you got course obviously I was so slow, but maybe it was great walking out to the kids, but I think that we just need to stay with stay with the truck. Mhm. Sorry to interrupt. I mean, if you are super in first. No, I shot. Uh, sorry. So just sticking closer to the trailer or just Yeah, make sure we're staying with the I think for me it's my first time I had some candy but after a lot of steps doing I really just say you know what throw the candy out. I felt really bad. I was like I'm sorry. I'm sorry. Like and then the kids behind me were just like throwing candy.
They were going too fast and I was like they should have been crawling down the street. You know I would look up and it's like holy smoke. He's a block ahead of us. Yeah. Yeah. Just finally the rest of the parade. Yeah, it was hard. Yeah. Um,
so I think how we organize the bags of candy, how we decide who's on the street walking versus riding and packing bags or things like that. Uh, I would say because we only did the hand fans halfway through, I feel like once we broke those out, people were like, "Yes, I want these." So, maybe even upping that number uh of hand fans. Uping the number of hands became popular. Yeah, I think we had 10 left over. Under 20 for sure. Um, yeah, that's great. And we ordered 250, right? Mhm. I think uh
was 250 I believe it was 250 right I can't pull it up but yeah something like that
um all right otherwise it was great our float kind of stayed together even though it was pouring right leading up to it parted for us just long enough for us to get back to our car Um, I think it would be cool. I don't know if this is even feasible. Um, like having a little creek station like on the side of the parade like because I realized we didn't see any floats like my kids like we rode on the float but I missed the whole par like I haven't seen the whole parade. So like if we had like a sponsored Wood Creek area or tent or something that we can invite neighbors to and come and sit there and have like a space
I do not. And you know what else that like a midway point and if you do run out of candy guess what we can pick up there. Yeah. So maybe like the Brookshire Brothers or something. Yeah. Okay. That's good. or if somebody wants to swap out or if there's kids on the float and want to get off that throw. Yeah. Um but I think we had a midway point where it was like a Wood Creek branded tent that we could invite like meet us here and make it like a neighborly thing. We also talked about having a cupboard.

So if we like we have a 10 by10 tent like if we needed a smaller tent or I know we even talked there was talk maybe we need a bigger trailer for next year whether it's rented or Yeah. We can do that. Yeah. Jacob volunteered his but by that time we' already planned for this one. Yeah. And I don't know if his is like 10 ft wide but a lot of people have trailers. I mean this Yeah. He'll cook.
Yeah. So maybe we put our trailers out a little earlier next year. um reassess but having cover I even before I was like researching umbrellas I was like what they use like branded umbrellas just to like shade ourselves from us making possible rain but uh otherwise great job everybody uh anything before we move on just to let you know I just set this up in our SharePoint and send invitations to each of you um
I'm not really a Microsoft guy. Um, I'm used to Google. So, I think that by giving you access to the folder, it gives you access to everything in it. So, just when you get a chance, you know, follow that link and see if it lets you let you into that folder.
All right. Well, we'll move on and go ahead and item number two, discuss and take possible action on the planning um our luau day at CY at CY. So, I um I know after our last meeting, we all kind of went home with some homework and we confirmed several things before we even left, which was nice. Um yeah, I find that was I'm going to look for music, but you were going to talk to your I got we got out in Texas. Okay. Lock. Yes. Thank you. Who is it? Island Texas. Island. Island Texas. Right. I went back through my also Iris had sent an email and I she had some questions and then Iris obviously was on the road and I had no notes. So, I just went back and just rewatched our meeting and kind of
fast forward through things. that I needed here again and then took some notes on what we all said through or where we were at. Um and then you will get my brain dump on the single sheet here. Um as far as where we are, what we confirmed at our last meeting and then uh some followup needs that we need to discuss regarding CYJ and then just confirming other details. Um, so we are confirmed for Sunday, September 14th, and I already noticed an answer. It is 2 to 6:00 p.m., not 3 to 6. Uh, what today? Sunday, September 14th. I have that up here, too. Okay.
But it's 2 to 6. Um, so CJ, we discussed and I think we need to confirm with them. Um, but our menu request is for beef and veggie burgers. beef maybe vegan or is veggie dogs chips soda to me and inclusive water from them. Um we can discuss I don't know further down about desserts. We can talk about that too. Um but that's so far what we would like to ask from Cy J in regards to menu. Um and then yes Leslie was on Leslie and Jeff were the team with the food and entertainment. Um and
no thank you that for me. How are you? Um, so entertainment, we have Island Texas band, so they have given us a very generous discounted rate of $225 for a twohour set. Wow. And I know that that they're kind of like a Jimmy Buffet, Margaritavville type vibes when it comes to their sound. Yeah. A little bit of everything. Yeah. Um, and then Yeah. um questions that I wanted to confirm or get from you is um their arrival time and then how many members will come. So whenever you like six or so members
if they all come I mean it's family band. Yeah. You know so so sort of sort of five to 10 more. Well, it's not as many as I mean when I saw them at um at market day I think there was so it was JV Christa Marley I think it's her parents and then and then Marley is Marley is JB's daughter from first I mean I mean his wife passed um and then their son played on something. So, um, now they would just as far as it goes, they they want to go over to CYJ and sort of check it out.
It be a good time if we can get a date that that y'all can go the same time and we can grab Danny and talk about all this stuff. But they want to know, okay, well, can we get the truck in close by? Do we want to do we want to be outside on the deck or is it just going to be inside or or what? But they will play for they'll basically do a do a probably a 45 minute set or so. Take a break and then another 45 minute set for two hours. Okay. I like the way y'all put the 40 inside just because the weather. You never know. Yeah. But wouldn't it be cool if there's a way to be able to pipe that music out to the pool, too?
Yeah, we we probably could. Um, you know, it's just like that would be the question. They have I mean they have they have um Bluetooth speakers at camp. Um if we can find a way to mic them so that it's going to the speakers. Yeah, we can see about that. Be cool. So when are we going to do this crazy? Well, I mean it's got to be after the 11th of August because they still got camp in session. Place the 13th of August. 13 after 13. Okay. But so it's going to be, you know, like it'll be in a couple weeks.
Yeah. I would say if we can shoot for like the week of the 18th, we can see when maybe sometime the week of the 18th. Do you mean we need to pick that now? Well, he'll reach out to CY and check their availability. Okay. Okay. And then if there's a day or time, does everybody here want to attend that walk through? Okay. I'd love to. If they're able to do a is there a time that would work fest like 11 or noon or an afternoon? I just
for temperature wise I'd morning before 2:30 11 o'clock is good. Should we see maybe if they could do 11 on our point? Yeah, I'll send something out to I'll send something out to them and I'll just send something out to everybody say looking for a time that we can come say hi. Okay. And um and get a few questions answered, Danny. Um and the week of the 18th looks pretty good. Okay. Talking to Ira, she said like how many tables they need decoration for and stuff like that. So that's something else to figure out.
Yeah. And so I did everybody Did you all come to the 40th anniversary party at CJ? And I got a really cool cup for too. Um, so inside and I have some photos I can share them too, but inside I think we had eight table eight round tables set up and then we had the stage. Um, and then we had a long for my 50th birthday I had a lu theme party. Oh, and uh really cool things. But one thing I thought was really cool is you know those cutouts we take a picture. Yeah.
And that's it. full and stuff. I think it's pretty cheap. So, my mom bought it. So, it's like a on get one of those. I do. I love the photo op area. So, on my I know you had that thing outside, but I think inside with more reasons to come inside instead of just going back and eating. Yeah. Um, let me see. I'll rearchite. I'll pull up some photos and share, but we had and I guess one of my questions is for how many band members would the stage that fit the honey um cocon be the same size? They need bigger than that.
I mean, if they've got another riser to throw on it, it probably be a good idea. Okay. I don't know exactly what they did, but yeah, I I you know, we'll we'll find out what they have in the way of risers because they had a we had a sage set up in the center back. And it was only what it was about maybe 18 inch rosary if that. Yeah. Maybe even a foot. Yeah. But um I mean just enough to get four by 12. It didn't look that big. Maybe 5 by 12. Those are they usually what? 4 by 6 4. But we'll find out.
Um okay. So we'll find out their arrival time. And if the event is from 3 to 6 or 2 to 6, we have a 2-hour block. So, do they want to do 30 minute sets? Do we want to do that? So, we can kind of work out the Yeah, they probably play three to five to to, you know, but everybody sort of everybody sort of filters in. Yeah. So, the two to three time is fairly light as far as attendance goes.
Okay. Three to five. Okay. Um and then we also at the last meeting um confirmed moving forward with the Wimbley Shave Ice. So I just had an idea of doing um or as well as Carol. I don't know whose his brain title was, but um kind of sticking with that Hawaiian theme and doing um like sorbet floats of some sort. But honestly, I think we can talk to Allison and say, "Hey, can we have like a specialty?" She has like everything you can think of when it comes to making snow cones, including like to do like orange creamsicles or
smoothies, too. I don't know if we want to go that far. I think if we said, "Hey, can you come up with something tropical?" And that make make that our, you know, signature cone. Not that that's the only thing offered, but to kind of bring that sorbet I don't remember exactly what she called it. A sorbet float, I think. Um, could that be made like it's just like a snow cone, but she just puts the cream and then the juice. So, it's like a Okay. Kind of the same idea. Yeah. My thing with But yeah, they people happily stand in the line to get them. So,
Exactly. there's anything that she can make that she could have stacked up ready to go.
No, like she's pretty quick with it. Even with the line like people, it's free. People love it. And she doesn't give us like a limited menu of two items to choose from. She'll give us a pretty extensive like options when it comes to the the flavors. Um, and unless obviously that's why we're here to talk about this. nothing has been confirmed and paid for. So if you guys have thoughts if um yeah the other thing she suggested um and this could be something we offer inside we do could work it into the budget is doing upside down pineapple cake.
Um maybe cupcakes inside or I don't know where we would source that from. Can you do upside down cupcakes? That's what I saying. Well, um well, yeah, that was Iris's idea. I didn't I thought that was pretty good idea. Yeah. And so, um I don't know, you know, uh cupcakes, just a cupcake with icing and everything. Those are pretty expensive individually. And so, um that's something CJ might do, too. Yeah, because they they did the cake for the
but we I don't remember the exact size, but it was a pretty big cake, the large sheep cake, and it was $225 for it. Yeah. Um Well, so we don't have to go that big, of course, but if we want to ask that could be a question for them if they are able to make pineapple upside down cake. Unless someone voice a surprise and say actually I was a baker and I want to taste
that is so easy if you want you do it from it's not but the cake and you know so we can get a price out from CYJ and see if that's something they can even do if that's something we all are on the same page and want to offer we can have that inside Um that's
yeah we can ask them but if not then how many I don't know how much that ted but so how many cupc are so we don't need one for every just every attendee but then some kids will eat four watching upside down pineapple Well, I my father probably would eat that. But I agree. I mean, I would say like two dozen. Is that four? I can't remember how many we had.
Maybe 24. That doesn't seem like I mean, it doesn't seem like a lot, but also we have if we have a 100 people there, more than 24 people going to I don't know. Well, let me just check those. We don't we don't ask super about that. Upside down shoot cake and No, one or the other. So, do you want to do a cake or cupcakes? I'll do Well, because you have to cut a cake and not that that's a boo doodle, but cakes are just so easy. So, yeah. Okay.
Upside down. Not a good place. So now shoot cake. Well, what they did for us um for my birthday um probably, you know, similar size. We had a bunch of people similar size and they did I think we did a carrot cake. And so they did um they did one pretty one, you know, for cutting and stuff. And then they obviously did they did like sheet cake. So they cut it into into squares. Oh yes. quite cool. Yeah. And it was um Did you guys have What now? Delicious. Cool. It looks good. CJ made like a little cake that he could be presented saying happy birthday and then came out with just like trays of precut sliced cake.
Oh yeah, that way you can see it. That's really smart. And how many was that, Jeff? Do you think that they served? How many do you think that they served? Um, we had about 70 people. 70 for 70. Yeah, some pretty close. I never really got a count. I was too um in gross. Uh, okay. So, we will move forward in time. Carol's gonna make cupcakes. They go inside. Inside.
Okay. And then Allison and countless events at CY already and she's always uh when we do the walkthrough we can confirm where we would want her. We can show you also where she's been in years past. Um and it just kind of helps you flow and moving people around. Um if you haven't been there, I'm not going to explain where she was. I found I found my photo booth hanging from 999. Oh, awesome. Okay. That would does it just hang somewhere or how do you make it stable? Instead of the stand, you kind of stand by it. Oh, really? Okay.
Okay. Um Okay. And then Okay. So, as far as questions for CYJ, um the ELC building is that indoor building where we have the band at the last party. It's a big space. Um, I would, unless we do the walkthrough and the band wants to be outside, there is another outdoors um, deck area that they could set up that is shaded. You'd be able to hear their music from the pool if they did decide to sit there. Hill Country Honeys outside was not an option for them. So, they were inside for that reason. Yeah. The only thing about Island Texas being inside is they're a lot louder than they're louder than Hill Country. Oh,
I love the idea of them being outside. I think if they're okay in the shade like if it's a shady area and it makes sense just so that we can hear it at the right under the big trees right outside that ELC building. Yeah. So the the deck is shaded by by a big oaks. Okay. They've also got covered picnic tables down on the grounds. Okay. um better. So, there's plenty of places to to gather outside if the weather's relevant. And then we can use inside for the the games and the photo booth and
I mean, there's going to be there going to be some of us that are going to be inside the whole time enjoying the air conditioning. And there going to be some of us like over there that are going to be out in the pool. Yeah, we've got that. So, if we can Yeah, if we can pipe them over to the pool, that would be great. Yeah. So, we'll ask Danny about that. Um, like I mentioned, they have round tables, chairs, and in years past, they've let us use their black linens. If we're all on board with that, I would love to confirm that they can do that. And I think if we have um six to eight rounds, that's see blue tablecloths. Yeah. in the black.
So, Carol's been on Iris and Carol were on decor research and so she sent me a list of stuff. I'm sorry. I ain't going back to LA. So, and that's why I said you text me that I like throwing wish list on the taffies. I looked on Amazon, but like didn't you say that the ceiling was too tall? behind pitch fall or
yeah we wouldn't I mean even we just don't have a way to access it to hang stuff like that so we've never really done anything from the ceiling but there we've used in the past to hang like a balloon garland behind a stage last year from the 40th um we used tape like painters tape so we don't we can't plug we can't pin anything into the walls and we can't like so it's really just tape and then I had um a bunch of suction cups that had hooks on So we can suction that and we can hold the banner up with that. Um, and right now with because there were links, I just researched what you had listed out and then I added things I found, but we know we'll look at this. Yeah. And I I think you had said that you had made balloon arches. Can you do one or have you looked at the data? You made them. And so, I mean, uh, in those all those colors. So, I found a balloon, like a kit that it's $22 and a kit that has um Oh, wow.
It has like a skirt and then it also has it has the balloons for $22 and it says aloha. So, it has all of this stuff in it. So, I have these drinking straws, like cupcake toppers, a couple like the little umbrellas. We can give those to Alison and uh it has basically split the whole St. Clues. So um and we can break it up into different area. So u his stuff is small, right? So we're
so yeah, we're really interested in this, right? And based on what we've done in the past, so I have a a like a a stand that we can attach the balloon to. just rather than doing like a massive arch. Okay. If we did just a stand each structure that we can put next to maybe the cake table or band or this kit is not like a huge giant the woods arch by any means because it includes some of the palm le
draw sorry I also have some beach balls. So, it's a pack of 12 for $10. Yeah. Skirts. Yeah. What do y'all think about? Yeah. This is You're looking at what I'm looking at. This is incredible for 22 bucks. Yeah, it is. It's cheap.

um I also from our um decor committee I have everyone will be required to wear a leg a skirt a skirt skirt a brass skirt just the dang minute oh I'm coming I'm coconuts. On your coconuts. I'm going to wear the skirt. Wearing the skirt. You're such a good guy. I do have a I do have a little So, I have a couple. So, are you gonna get all the skirts?
Yeah. So, it's No, I'll include it in here. It comes in this kit that also comes with lays and like bracelets. And I figured we could just put it out on the table. We filled a bunch of coolers like that. I can't hear your So, with everything that I have on here right now, I think our it comes out to about 120. And so I think we have on here 200
200 bucks for decor and signage. So if you wanted to try some stuff out like we have a little wiggle room and this is just kind of me and this does not include anything for LA making. Do you want to do that making I wanted to just run by everybody again to see because they picked that I found it was just string and then we could have get flowers. Would we buy fresh flowers or we just buy the fake flowers? Okay. Yeah. Yeah. Well, if we think people will actually do it, then we have some funds to buy it. But if if we have laid them, they're already going to weigh. I'm just I wanted to just bring it to the table. Okay.
Well, uh when I priced it out, it would be I don't know. And then how many would we want to try and make to I say nothing. We'll be giving them away. So make them miss it. Yeah, they won't miss it. That's right. Unless there's a bunch of kids on. Okay. So, make sure we have the loops. Yeah. So, I have two hoops that I bought from the Easter egg hunt. And so, I think that's a really fun idea. We can gather. We just came back from Florida, too. And at the pool every day, they did a doodle competition with Oh, yeah. So, you got some. So I have six of them as Texas brings their own
plug in a little better and they're they're younger kids that aren't in the band. Um can't remember whether it's Kennedy or Kennedy but in Hul they perform. My two pieces one. We're not even talking. You need to plug into yourself a bit. Okay. I love you cuz you're talking. Okay. The other thing that I talk about it's Yeah. Is that a limbo? I saw that going there. I've seen them with two palm trees on the side. You can find the blow up ones.
Oh yeah. Yeah. Palm trees. Palm trees on the sides and the poles. So that'd be perfect. I wonder if they're blow up outside. not bend. Okay, we figure it out. Maybe we'll Amazon search. You have a dial big enough, you said. So, Mark and I Yeah, if you'll order the palm trees for each in then Mark and I just figure out how to make it stand and we've got the a six foot in J. Okay. So, uh I'll put the answer for us to do that.
Okay. Now, I'm sure this band Island Texas band can play limbo or if not, do we have music that we can pop in? I think they can play anything. Request or if we let them know ahead of time. Yeah, we need to ask them. Yeah, if you ask them. I mean, if you say, "Hey, listen. At some point, we want to just do a limbo thing. Do y'all have the right music to do that?" And it might also be determined if they're inside and this is happening poolside. Yes. We might just use a speaker and place the music on our own and not break. That's fine too. Yeah.
The other thing that we had is to table decorations. We're just going to do very simple with those um just what are palm leaves. And there I put it on there. And then in the middle just put those pineapples and then y'all have like you know door prizes. Um I have it on my list of things to talk about. So if we for like let's say the hoopla hoop and competition um like oh yeah we can have it as just for kids.
They probably won't want a pineapple. So, I actually started doing a little research and I then I was like, I should just go to like the dollar. Yeah. Like full toys that we can just I don't want we can do but I don't want to do it. Have you ever listen that show um just go with it with Adam Sandler and Jennifer Aniston. Not I don't know. Anyway, so they're in Hawaii and they have like a coconut between the two of us and they start here and they have to make it go move it up their body. We can do that with a beach. Imped your neck. Yeah, we've done that. Yeah, that kind of we passed around some kind of stuff. So, we we could
probably take 20 bucks and get some prizes at the Dollar Tree and get stuff that the kids would like to use at the pool and make it a simple like this isn't something but kids too we'll advise people with coupons. We'll give coupons. Yeah. Can we buy coupons and to have prices together? Yeah, we can also give gift certificates of prizes. Can you turn it up a little bit? We're almost done. You could be patient. Why don't you scoot your chair a little closer?
So, I only need two games. It's hula hoops and limbo. Um, so far I know at our last meeting we talked about not trying to do too many because we're going to have a bunch of yard games out and in years past everybody just is kind of just enjoying the space and the food and it takes a lot to like all right now we're going to do a game. So I think we keep it it's something fun that the kids the especially if the live music's inside and that's where a lot of our work will be. kind of outside. It could be more of a a playful uh environment where we're playing games. And we could break down the Hulu by age and do like three different ages, maybe under under five, five to
seven and then seven to 12 or you know. Yeah. Um and then could be the same. Yeah. Well, uh so would there be somebody needing to officiate? Yes. And so so just somebody Yeah. So we'll need um we'll need somebody to take the rings and kind of take a lead on that as far as keeping a track on what time we're going to do it, when are we going to do it, announce it, get it set up, and then kind of facilitating the actual process of the games.
Um and so we can work out things and decide who wants to do that. It can be a day of call. We'll have probably city council hands as well as volunteers that day. They always are very hands-on, ready to help when we do these events. Um, unless someone right now is like, I don't want to do that. We'll put we'll move back around. I was just as tall to do. Just tell me what to do.
Okay. And then, so moving right along. So, the round tables and linens inside. Um, I think the simple table top decorations sounds great. Carol having the palm and the pineapple. Um, I saw some uh just doing research on Pinterest. It looked really cute. You probably find it at the dollar store where they put little cheap kids sunglasses on a pineapple. Oh, and putting little legs around face. Okay. Okay. So, we can do again some some of that. I can see what the Dollar Tree dollar store has towards the end of summer. Yeah.
What we could buy for sizes of the cool toys, right? Make it like a potato. Um All right. And then we'll also have a couple of eight foots. And they have six and eight foots. And once we get there, we'll build. Um, when it comes to breakdown and setup at CYJ, they have everything on site, but they will drop things, but we will pretty much have to be the one setting the space. Um, so we'll determine kind of the layout. They'll put everything in place, but then we will actually have to situate it and place it where we want it. Um, including like dropping linens on those tables.
So, do they have do they have they have the rounds chairs? Yeah. Okay. Do they have laundry or we can do a laundry? But in past they've done all of that. Okay. So, we just need to confirm that we could use the linens and that they are willing to do that for us. Yeah. Okay. They do. Yeah. And they're black. So, if we wanted to do a runner or just the I did look on Amazon like some plastic covers for like the six and eight foot tables and then we can put the skirts around them for like the food station and our welcome table and our swag table. are late.

So, outside it does, it makes sense because everybody from the pool and just dripping and just able to go get their food. Inside is nice because it's air conditioned, but then if we go like wet kids running in and out. So, but they're
I'm fine with it being outside. It works. They do it well. It's not like everything is wrapped up individually. So, it's not like their food just sitting out. Every hot dog is wrapped. Every burger cuz they and they use that outdoor kitchen to prepare. So, they're they would probably want to. Yeah. Yeah. So, and then we can do desserts as far as the cupcakes inside if everyone is okay with that. that is a very much on a table inside you know a few more than a few I know but that's where how it might look a few so I'm wondering you know I don't know
and we could use a smaller table like we don't have to use their 68 foot tables if we have a cart table we could use and set it up on that we can do that we could use a little I know me I know I could borrow a 4ft table from a friend like we some options if we don't want to use a pool.

I just if not, I mean, if we want to order 50 cups or 100 cups or whatever, just as a souvenir kind of thing. Yeah.
Yeah. I was doing a little research on two different things and it's things that I thought could be to give away for this event. One was like the color changing cups or like brand city of creek sunglasses. Um it just obviously add up. It gets pricey. Um cups obviously would be something that we can use for any event throughout the year. Um, and I I think I might have put it on here, but I think as I was budgeting and putting all of these line items in, I was like, I feel like I should have done like a an annual marketing sweat line item for like cups that we can buy in bulk and get them cheap and then use it for all of our events versus each event getting something different. Um,
but then they're gonna have like Yeah, cups are great, but then if you That's all you ever give away. Exactly. Yeah. I got a cup as a And this could be for something else that I saw some really cute um I did a little mockup last night, but I save or send it little wood city of wood keychains. It's like a little branded keychain. I don't know. something other than the standard of what we give out. But everyone's got fees, right? What about like send or something? They just get expensive. Yeah. Even like the faulty ones, but would it be something where spend

So we talked about alcoholic assortment of alcoholic beverages of beers and we might not use all of that. Um Costco and yeah, we talked about a cake, but that would be left over. What can we do with that? You have to have it back. Yeah. So, we talked about getting food cases from Sam's or Costco and just having a cooler drinks that are available. And then, of course, we won't promote that. It'll be available when people arrive and then we'll promote that at Speak Wife. Well, and they provide a service, soft drinks, hang out.
Did you say service or two? We'll ask, but I'm pretty sure they had a cooler of soda last time. I don't know if it was left out. And then I think 40th they had like a a standing like open door cooler like a like a fridge cooler that they brought into the DLC room. Wow. Um that was just like they're very generous and very amazing partner. Yeah. So like we can confirm exactly the stuff they'll offer, but that's what they've done in the past. Uh okay. Number three um to take discuss and take possible action on the planning of the volunteeration event. Um so based on our last meeting um as you can see in the page two of the printout we have it's the very last line item date TVD volunteer appreciation party we're asking for $3500 um and then on the front page at the very bottom is where you'll see a breakdown of that it's a rough estimate based on um I think I did 50 people so food at $35 a person for 50 people. Um $20 per person for this.
Either way, we've asked for $3,500 and we'll need to actually break that down um when we go plan that event and get that um event budget approved. Has anybody put any thought into that parting? We only have three people, so I think really it's a it's break. Yeah, we haven't I know I personally have not done too much digging for this event yet other than just trying to get them all the forum for volunteers out. Um,
and what are we thinking month-wise? Are we we're thinking this year, right? I mean, well, this fiscal year or this calendar year. Yeah, it needs to be in this fiscal account. It needs to be in the budget year, this fiscal year. So, it doesn't have to be within 25. It can be in the spring. I think if we look at the calendar and look at what we already have, what do we have to take on and win if we have like spectacular? We have something in September. We have something in October. Yeah, we have something free giveaway in November. November, December. So, I think we're looking the spring right now. Yeah. So if we did you know because the people people say I can't
I think the focus for this right now the discussion is be let's we know volunteer to submit exactly so we get a better camp and then agree that we'll look at more the spring 2026 yeah I think that's where does that need a motion um it's not a specific day kind of no we're just going to at this point. Yeah, you're still discussing and then so if you nail down the date then then you want to make a motion.
Um I mean if if everything goes according to plan, you know, council approves the budget and then then you don't have to really worry about that anymore unless you change it. So then it's just a matter of hey it's like hey in it's it's almost a formality to say hey council you know would you approve you know April 3rd um for the volunteer appreciation day and they go yep then you're done. Okay I look at the gifts for $500 for the appreciation. What were you thinking like a 10 or something? Um I so
on this coolers so what I did with this on these line items I have not done any re I've done very light research when it comes to like gifts and things like that. I have nothing specific in mind but I basically took an average for the food and beverage. um got those numbers and then the remaining balance split between gifts and decor with gifts being a higher budget line item. Well, I was saying is that if we're looking at trying to get an approved budget like Jeff was saying we want to up the budget of gifts just in case, you know, typically on something like that it's like a little Yeti cup or you know. Yeah.

If there aren't very many more than 30, if there aren't very many busy 10 days for you and guests would be if we get closer like we have a date narrowed down, we have a guest count and then we get into gifts and we're like this would be really amazing like I'd love you to do these custom plaques and it's over our budget. We can go back to council and say hey would like to do this. Okay, got it. And ask for amendment to the budget. But I when we did the I went to the Wimberly volunteer appreciation thing they do annually and they had they had done just a small like it was Yeti branded you know their logo on there but you know something looks like they you know pro volunteer city wood
you know something they're going to keep and use. Yeah, but I don't know how much it cost because Yetis would easily be 40ish bucks cover. Yeah. Yeah. Another thing we could also do is something like that if if it said no. No, we definitely got to do this thing and it's going to be 800 bucks instead of 500 bucks. Then I think we need probably sponsored to do the rest of it. Yeah, maybe. Anything out to the um golf did like they want to partner with us. Yeah. They're looking things at spy.

you know, if we did some I mean, we could do some plaques for like current committee members, you know, just to show volunt show some appreciation for people who are actively volunteering now and then something else to go for everybody. Yeah. So I mean like I think that's what when Iris started pushing the volunteer appreciation thing. It's just like yeah you know we put all this work in it's like do something for us. Yeah. You know so so that's where this all stemmed from. So if you can take something home and put it on the wall I mean I I don't like that stuff. I don't like that stuff. Yeah. Those plats,
you know. my garage. I had to clean out my office and because I were painting and everything, I took everything out of everything and all these awards and all this stuff like I had faucets and I'm like what are you going to do? Who wants this? I mean, my kids don't want this. You know, I'm like, what am I going to do? I mean, I got to take it to I got a water for bowl like that big. Yeah. You know, it's gorgeous. But what am I going to do with it? donate it to the city and we can draw golf balls out of it at a later
be a fun idea whether we try to secure like partners like sponsoring this or that to give people not necessarily cash reward prizes but some kind of even the gifts are gifts are for dinner or family photos or for golf club. Yeah. Golf or I think so I think if we
as we think of this event and have we know how many people are going to attend if there's specific volunteers that we know have been shining lights in the community for years and we really want to recognize them and do something a little special. Maybe it's because they've done more than 500 hours of volunteer work at the city. Me who've done five hours, right? Or something like that. Okay. Like iris or something. Yeah. So, it's like Yeah. I think once we have our guest list and like maybe our guest of honors, if you will, as far as the shining stars and um they don't all have to be the same. They don't all have to be the same maybe of the same value, but I like that for a theme, though.

So I and I did connect with Jacob before I left and they're out of town right now. Um but uh we talked about a the tree giveaway in the fall like picking out a date on November 8th or 9th. And because I don't have my notes, I want to say that he was leaning towards Sunday the 9th just to avoid your Google. They are leaning towards Sunday night. I don't know if they voted on it at their last meeting or I don't know if they did they have a meeting.
Yeah, I did have a meeting. I don't remember them voting on the day. I'd given him a couple I was like put that on your So I haven't talked to him again since that July meeting. So I owe a followup for that as well. Um and I only found one receipt for $250 for simple trees and only found $250. So I have no idea where the cruise come from, where we paid. Yeah, we only bought foods from Simple Fe. So that was pretty much the only thing we bought other than the banner. Okay.
And I did find that was like 119, which is an annual banner, so we can use it over and over again. Uh, I almost did the donuts and stuff and then she might not have even expensed the donuts. It was probably 20 bucks and I know in past you've just written that off. Yeah. Fruit and coffee creamer. Mhm. And it was 61.93. Okay. That's your reimbur. Yeah. And then I had Vista Print for $259.45 because there were some foam boards at that was for Arbor. That was for Arbor Day. That was for Arbor Day in the April, but for the fall, we didn't have anything.
And that was in September when I actually ordered that stuff. So that might have been the um yard signs, the Oakwell signs. Okay. Oh, it was I know exactly what it was. It was Oakwell yard signs and then the rack carts. Oh, right. There was confusion on what budget to use for that and we used it when it shouldn't have been for our birthday event. It should have been just like a general only that one invoice. Okay. That might have been the only thing we expense then you said it was 250. Okay. So we also had a tree that had already been bought that we planted at that time.
I don't know either my emails on my Google. Like I don't know why I kept finding I don't know. I mean I know somebody bought it. Who did we reimburse? I mean that's that's that was I couldn't find much. Okay. I'll go back and look again. But I think Well, we can sit down and we can sit down and look at the accounts again. But I was I was trying to hurry because we were

Um if we want I think I volunteered too at the end of last meeting to be the you know our get going point of contact for the trees and parks just to start that conversation with Jacob and figure out who on their on their board. Um I think it would be smart of us and I don't know if everybody would be open to a special meeting or if Maybe Jacob comes to our meeting and I go to his meeting or we have a joint meeting. I think September would a lot of our focus will be for the pool party. But I think a lot of it will already be done. So it might be a good meeting for us to do a joint meeting because that will be the time we need to start planning the fall giveaway.
Can we do at the same time we already have our meeting scheduled? Uh, we would have to see because I think theirs is in the afternoon. So, at 4:30 if Shannon and Jacob are if if we can get two people from their board to come or even just one person to come to our meeting, I think that would work. Or if I could make it to their meeting, I will definitely Or if you just have two people from here and two people from there, that's no form. You can meet anybody. You can go meet over wine and cheese. Okay. and start thinking in September and you start thinking about spectacular. Yeah. So that's I mean because that's two meetings before and that's a that's a big deal. Yeah.
And that has been their medium that there have been in the past. I don't know how much they're you know really concentrating on that spectacular. The treeboard is spectacular. No park but you know they all have that. So yeah. Um, so do the jump houses and stuff need to be reserved a long time in advance like before that? Yeah, because everything is going to get busy in October. And so I'm wondering if we need to as soon as we can get a date on our calendar for our event, the better. Um, that for sure. So that's going to be on our agenda for September
for a day for what? Spooktacular. Yeah. I think I call it fall festival instead of spooktacular. Well, we've had it rated as spooktacular or I can't heard it now. But it could be more of a fall fest. I did do some research and I'll I'll share some stuff I found because I as I was doing this budget asking Kathy I was like what have they where's the items what was where's the invoices for these numbers because I don't know where this is. Um and things I I was not taking consideration before I got her notes like we also have to rent generators but now we also might own our own generators.
We do have a generator. So, so, um, I just called the numbers on We had a generator. We have a generator because I think they rent it three generators last year for it. One for each of the bounce houses. No, we didn't rent. No, that was all donated by Cody Abney. It was for rental the generators. They they came with the Yeah. came. You might have had another one there, but they were on the invoice because I was noting that in my budget. Yeah. Okay. So, Cody Yeah, Cody used to fly the trailer the stage. Oh, okay.

and talking about their Christmas holiday. Yeah, they do the big tree on the square now and they're saying hey you know if you want to be a part of it let us know. So maybe we want to be a part of the Christmas parade. So it's like a toy drive and the Christmas parade and the free lighting. I don't know. I know when you sign up for the Fourth of July, if you sign up for Fourth of July Christmas, you get a discount, but I wonder if they'll offer that again. If you if you sign up for Christmas. Yeah. So hope so. But we we talked about it, but we hadn't budgeted for it. So we just didn't we didn't pull the trigger on it. Yeah.
Um so I'll put that on our agenda because we if we want to do that, that parade happens the weekend of Thanksgiving. Like I think it's the 29th. That sounds right. Uh just like July normally I was out of town for Christmas for Thanksgiving. Yeah.
