Okay. Um we will call the order. Um member Carol, vice chair Lesie Scott here, chair Cheryl Mill present, and member Cindy Pringler is on her way. Yes. And yeah, she awesome. Um all right, public comments. Um there are none. There are none.
Uh we will move right into the consent agenda. Um so number one, approve special uh community relations committee meeting and it's from February 18th. Any corrections? Don't say to approve the minutes from the 18. Oh, please. I'm not doing that. I'm sorry. I guess this will need the training tomorrow.
Okay. All right. And then all in favor Joe Hicks. the next day. Who want to replace from the mayor?
Yes. So, your 2026 remaining budget was unanimously approved last night. So, none of that Yay. Yes. None of that needs to come back to council again unless you were to want to change something or increase expenditures, right? You're always welcome to spend less. Um, and then so we'll just be the next time you come back to council will be the 2027 budget when you all feel like you all have that finalized and ready to go. But y'all are all set with uh to work with staff for the purchasing, the contracts, whatever is going on there. So, uh, other points, um, I know Leslie, you replied to this, but Wood Creek has in years past participated in National Night Out and it was sometimes its own event and it was frequently, it has been tied into the Wood Creek day, too, in the past. And so, it's not an added thing anyone has to do. We just register and then we can notify the local first responders. And so basically what they can do is just they come to that event, they get a free meal and we can recognize them when we're doing the volunteer recognition. And so it's not like an added burden, but I would like to go ahead and register for the CYJ day if that's okay with y'all. Um, absolutely. Okay. It doesn't need to be a formal motion. It's just sort of like if that's not stepping on toes here.
Yeah. Great. Sorry. How are you? I'merald. I am the mayor. Deborah. You're the mayor. Hi, mayor. Thanks for being here. And this is our city secretary, Carrie. Hi.
Super exciting. So this the mayor will basically give us any updates from their city council meeting. So we were just hearing that our budget was approved for the remainder of the year and we're talking about neighbors night out which we have planned for August. Oh okay. So I was asking to be able to honor our first responders on that night. We just register and then invite them and then they can come to CYJ and they eat the free meal with the rest of us and then when we're recognizing volunteers we'll give them a little shout out. Was there something in the email of like a touch a truck situation or is that I thought it was in the fire truck or did I see that some
I but I think we can have that conversation see what they would entail like we don't need to engage something else besides the pool like yeah we don't have to get into the details of that today but mostly I just wanted to make sure that if I registered as wasn't we're on board. Yeah. Okay. Uh and then the only other point I have for this meeting is that the luminaria event has a lot of remaining supplies and the candles uh we couldn't really think of a separate function for. I just said keep them at city hall for now in case there's a electrical outage. We could offer them to residents. Right. Oh,
but Kathy wanted to mention the white bags as something that maybe could be used for the Easter event. Like you could, you know, we could cut ears and they could be little bunnies. They could decorate or they could be available if kids didn't have Easter baskets or really the white bags are just up for grabs for anything. Or if y'all wanted to do a micro luminaria something, I don't know. But we just have an excessive amount of supplies. Is it just bags of candles? Yeah. We take it. And there are gosh I would say that was very or something
little they're the they're real right not the entire issue yeah we have an entire we have a lot of them okay and I do not recommend the luminaria event at this time given the drop conditions and how we've been on the burn van for pretty long stretches now. Yeah. So, but just to have that on your radar of supplies we need to come off of the secondary use are the little the white bags and then like little cutouts like the little lace up bags. Yeah, that's
I think we could keep it in the background. I know that and think of something we try to do with it. Could be an easy craft. Jingle, mango, jingle jingle. Okay. Um and okay. Uh quick question on the budget. Um when would you guys like our 2627 budget buy?
As soon as possible because budget season starts at minimum in July. It's starting now in the back end of things. And so the more things we have on our plate, the easier it is to accommodate them, right? And if y'all get us your stuff first, then you get slotted in first. So when we're taking money from other places, you know, y'alls will be already in there instead of trying to come up with it later if it's delayed. Okay. Do we have a new updated one of these? We get that updated. I thought you were bringing this before we left last. I I did. I I think that's the one. Let me this. No,
hold on. I'll I'll send it to you or I can put another one. I have the city's version, which is the one the after y'all voted. Yeah, that's the I want to give this to She has a date. Okay, let me print it. That might be it. I'll just print another one. Does anyone else want to copy? Sure. Yeah. And that'll be the dates of the events we have coming up. What's considered in the CRC umbrella?
Yes. Um All right. Cool. Well, let's move right in to keep on our time uh our schedule regular agenda. Um item number one, a recap of the first March Music in the Park series. So we anybody like to start or sh Yes. Uh well one I have received just nothing but positive uh feedback from that event. Everybody had a really great time. Um I think Russell counted upwards of 75 people that were there towards one time. Yeah. So we think maybe total maybe 100. I saw at John Odell the market.
Oh, nice. Days on on Saturday. And so we're going to talk we're thinking like if 75 the comes and going maybe total 100 attended. That's what we're estimating. Nice. I think turn out the really nice. Yeah. I'm sorry it couldn't be that. It was Well, you were celebrating something very special. Her birthday.
Thank you. Yeah. Uh, so Jennifer gave us something about compliments as well and I'm just excited for the next one. I think there will be one big or better. Um, our next event is April 3rd. Um, we have a full weekend that we give. April 3rd is our next um, night with the Poochie Brothers at Sour Bridges and they're pretty big name. Um, also Wood Creek residents um, that live here. So that was really awesome that I said yes. Yes. Uh, and we have the Wimberly Valley. confirmed. That is confirmed. Yeah. So, she's confirmed. She's going to come up with a menu and we'll be able to do pre-orders. Um, and then she'll on site like school year. Um, I think the music could have been a little bit louder.
Yeah. Music. Yeah. And I think having more because this was our first event, we didn't really know what to expect or the turnout. I didn't have any more of a streamlined process for welcoming everybody and making that a loud and proud welcome as a final threeack like making her at the end of the night before the last song I hope they were like sold out of stuff so that was great seemed very happy. They sold out as well. Nikki did too. Yeah, they told who did they tell you drug for somebody the next day. Oh, awesome. Wonderful.
Perfect. So, I the only thing that I didn't love and it is what it is, but we had different opinions because we pulled out all of the chairs and then in some of my videos I was like, "God, there's a lot of empty chairs." But I'm crazy. But everybody brought chairs. So, we pulled out all the chairs from the gazebo. And we haven't freaking chairs. I know. I know. But I don't think we need to do all that next time. I think we could put them out and let people use them if we need them. But we took a lot of spots that could have been people chairs. Maybe just pull them out of the gazebo. Haven't decided if I want to come pick one up. Exact. Yeah. Yeah. The other ones was the sun came out for us. It was beautiful.
It wasn't perfect. The breeze was nice. I wish there time. I I I agree with you about the sound. I think it needs to it needs to be louder. comfortable. And then also I think we need to have like I kept on jumping up there but don't you know let's remember about tip and let's remember to do this maybe have that a little more organized instead like kind of so am I like that and then in golden times do they have tip jars anymore
I think yes people do we did not have that set up and I think with like the Fuji brothers. I think we can definitely have better. He was there when I was talking. Y'all y'all three were talking. I'm interrupted of course, but um suggest myself, but um I suggested that he's absolutely I know Max always has a guitar case. But yes, so they have the Vimmo thing out there Cindy and and some of them could do, but what made me do is just sign into your Vimmo account. Well, I don't know my password when I care code goes right to it. That's pay. And that was the issue with that. Did you go to the dumbbell app and scan it that way or Yes. And it still didn't move your room,
right? It did flip me around. So that was a suggestion, but um in advance and just also have someone who's want to come up and say, "Hey, let's remember." I mean, it was it was very organic, but was fun to do that, but make sure I wasn't stepping out of out of lines if I was jumping up and doing that. I think you did great. And then also I could have done better and making sure that with traffic following up in advance. So we had the W4s will in advance. We had the invoice in advance cuz that didn't happen. So we finally got that done yesterday. Nice. So she got paid. So now we have Max. Max doesn't have his invoice in. Okay. So we have to make sure that Max invoices. Okay. To be clear, Taffy is on it. Yeah.
Click car's a city. Okay. Problematic title, but it has meeting. I I shouldn't have been assigned. So, Taffy is our front desk receptionist. She also handles all of the administrative assistant. Administrative assistant is a great word for it as well. Um, but she handles all the egg posting. So if you ever have receipts of any kind related to this business, they go to Taffy. Okay. Okay. So that's really I mean I thought it was wonderful. Yeah, that was great. Yeah, I got some also online. I saw that Next Door social shout outs. I know. Next on Facebook, John.
I saw there was a Wimberly whatever Facebook page and I saw you and Russell in the front. Yeah. And that's one thing. That wasn't sharable. Can we not share? It's because the what Creek D are private groups. So you can't share something out of a private group. So that's why I texted or I messaged. It wasn't the same. I would have like to share it with my network, but that's okay. What do you mean it wasn't? When you sent me the video, it wasn't the video. Wasn't the real. It was the music and went on the day of the neighbor. It wasn't that. It was just a video. Um it's yeah so when you make a real on Instagram or Facebook
if you try to download the video it doesn't come with a basic licensing but so you can't so I share it on my own personal page I think if I share it on my own personal yeah so I would like to share that okay just follow yeah Um, I don't know if you mentioned a porta party already, but I would like to
I don't see that there. I would like to make sure for the next two events we do that because we had several people that had a boat also go to the bathroom, but also we had kids by cars. It's adorable and fine, but it's just not it's not the right call. We can easily pay for a port of funding and I think we should and I'm not saying that comes out of y'all trying to finance that at this point. I just we need to coordinate with the city and we'll find it somewhere in our budget somewhere else. Okay. Thank you. Cuz I'm for that as well. Yeah. We had it in the budget somewhere for that one. Yeah. Because we weren't sure how well these attend these events were going to be attended. But based on how that happened,
I think we definitely need one. A lot of people sold the new bathroom though. I was like, you could calm down. Um, and then the only other So, y'all hit the music already or like possibly even moving the generator a little further away like Schoolyard dogs was close for walking to purchase and that was nice, but also the where the generator was placed was Oh, I thought it was behind them. It is, but it's the music and the generator are going like this like that. So that's where
well if they were angled further or just a little further down kind of like where was or have them place their generator on the other side of their vehicle because theirs was it was literally like you were in between two sounds. I thought their generator was behind their truck on the roadside. It was not. It was. But it was still bouncing. Yeah. So you were caught literally between the two sounds as the audience. So I just that I just a suggestion if you make the music louder that might be fine but like a few people commented on the generator and I was like well I can't turn it off. So yeah, u but if
so if you're facing the gazebo then to the right of the truck but like in between the schoolyard go truck and the if you could either push the food truck for like I don't know if Cassie Cassie won't have a generator have a popup but the next time they come if they could push down or if they could make sure that for sure the generator is like on the front of their truck so the truck can be buffer. I'm fairly certain it was like right there. So, but either way, you know, they were just at the most level spot for the truck. That was the Yeah. And we may not ever have a huge year. She talked to me about it. Yeah. Yeah.
And it might not be something you can address. It's just the the note if that makes sense. Uh the last thought I had is um if we choose to continue this next year, I would recommend a later start date after daylight saving sign if daylight saving sign exists just because it got very darkly. And it made a little scary for like the children and some of the elder residents, I think, trying to get out of there and pack their stuff up. I mean, and then the musicians are fine because they have the lights, but there's no lighting in the rest of the area. So I couldn't even do a super trash at the end. I was trying to walk around with my flashlight but
you know so it would be nice we either do a later start date like after in the fall. So maybe if we find success with this and we want to do it again and maybe doing it as a full Yeah. It'll be a sub that time changes in the middle of November. So we could use it till October November but it stays bright later on that version. It's the screen. That's what I'm saying. literally like I think it was like one week in later and you would have been fine. That's what I'm the second week. Yes. Not change the time just start then we can't send the first quite of each month. We've got to change our
well maybe daylight saving time. Yes, good point. I agree. Good point. Yeah, exactly. And that's the same with the pack and all that is kind of figure out a way for Yeah, agreed. Uh Carol Did you have it? Nothing to add. Nothing yet. Well, you'll be hopefully you'll be at the next one, y'all. Yes. Yes. Have the fun with us. How did y'all advertise that? So, we promoted it. The city does a news uh newsletter, a blast. It was on the website. It was sent out. How else does it?
I posted it all of our social media, like on all of our Wood Creek neighbor pages, like the Facebook groups. Okay. Um, yeah, maybe we need to find we'll all request you and I'll send you advice to all these groups. Okay. I think there's probably like I don't know five to six different groups that I had posted on. Um, there were signs around the neighborhood. Yeah, we did yard signs that went out on that Sunday before. So, they said music in the park this Friday. So, there was like two We were We were a little late in getting the advertisements out for this one. I will say that. You think so? Just a little late than normal. I'm talking about
you can't I personally did blast it like I do a lot of Yeah. Nor that's all. Yeah. Uh but even still I mean to have Yeah. No, there's also a community calendar on the website. So if you look at the website there's like a actual physical calendar there. So all of our dates and events are listed. Okay. And uh there is a newsletter if you're not subscribed to it yet. We should probably will you add up to include that link in our email. Her her and Moira. Yeah. So she was officially accepted last time. Oh, by the way, you got officially appointed to
That's what Russell said this morning. Okay. He goes, "You were the topic of discussion yesterday." Oh, well say I'm big on freak cuz you are. You
I'm good people. That's what we um all right so I think that's a good recap. Um we'll move into number two which is workshop on the uh music in the park April music in the park series. Um so we'll enter workshop at 11:33. Um I think one I'm curious s based on the port of potty need what would be our next steps that we need to do in order to facilitate and make that happen. We feel okay with that. How many get what's happen? And they delivered there a few times. So
before today, how was parking? Did anyone complain about parking? Right. We've had spots left over. Um so that's good. I will say that a lot of people for whatever reason are nervous about using the ADA spot even though there was people that needed to use it and they came up and told me and they're like can I park in that and I'm like yes that is what it's for. I don't know what signage for that or what a big sign that says handicap. I think that one sucks unless you like I don't know. Did you see where the Jennifer was right here? And then here's the parking.
It's like Tom where you can tell I don't know if it has sign. It's like right in front of the parking spot. Yeah, they could they could do a public parking where they had that thing signs in front. No. Yeah. There's nowhere else that it's noticed. Yeah. Yeah.
Uh okay. So that is that. Um, and then the other thing, and I'd mentioned this, I forget to who, but I I don't know if we necessarily need our own table at these events where it's like a W Creek table, but I would like moving forward at all of our events to have some consistent signage that lets people know how to find out about these events. So whether it's like I just did an event last weekend and I made a sign that had QR codes. It was like, let's get social, follow us on Facebook, follow us on Instagram, sign up for the monthly newsletter. So, we could do Facebook next door and the newsletter on it. And it's just something we always put out at these events because it never fails if there's somebody like,
"Yeah, I don't know if it's late or I How do I find out about this earlier?" Yeah, totally. Isn't it in the plan to eventually put up a board that has all our a community board? It was proposed. I don't know if it will. asked. It has been bumped from agendas for a few a few times for different reasons, but it will likely come up in April finally. Uh there's no reason to really bump it again. It got locked from this meeting due to how heavy this meeting was. Yeah. Um we had like three executive sessions oped up. Wow.
So, um April, you'll have a decision and um the digital message board was post or not postponed, but essentially it'll come back up. There's a subcommittee form. So, they've been trying to kind of track those two items together since they're so related and would likely be it's not that it's one or the other, but the decisions made on some of these things will impact other decisions. So, we're trying to keep them together. Okay. Um, so you should have a decision in April. Okay. But, yes. So, so this table is going to be this. It's not going to be mando. It's going to be just
I think and it just I'm I'm just open to soundboarding on ways to be able to not only promote what we do, but I feel like we do the most when it comes to interactions with residents. And so having some kind of presence that is like if you have questions, this is where you come. Or if you want to find out about the next one, here's a great way to make that as easy as possible. or we need volunteers. I guess it's a great way to sign up to be a volunteer, you like doing this, come help us next time.
Is there a way to for us to wear something that's identifiable like we did at the the little elf hats that says if you're if you see somebody wearing the hat or wear that t-shirt at the 40th anniversary, those are the people you need to talk to about D. So, we thought about having some kind of We have not really thought about that before. Some kind of We can order t-shirts at any point in time. That's not a big deal. Did you add to mention? I I think of that. I mean,
I can't make promises of where it would come out of. I do know that y'all have kind of surplus in your budget right now. So t-shirts for your board should come out of your budget. Um, and we, you know, if you all wanted to produce a design, I can I think custom is a great option because you can one off order. You can all order your own. You know what I mean? Like it the city can pay for it, but um, custom is really easy to interact with. Yeah. And then we use another site for our Wood Creek shirts. Fellows. Threadfellows is another good one. I don't know that they have the design capacity that custom ink does because custom ink is very user friendly.
I do think it would be a good idea to have people working events demarcated in that manner and even if it's beyond your board like providing them for a bigger group of people then it could come out to the city's budget. Um so I think it's a good idea. It's been helpful in the past for like fourth of July and the 40th we did that and it definitely
it made cohesive group and it also gave people like a oh that was I can go to that person and ask for help. Um, and then I will I mentioned this to you before, but Todd Gardner who does our newsletter, he kind of in conversations with him, we I I've broached the same idea like we need posters with QR codes for getting volunteers, newsletter. So, he was focused mostly on the newsletter, I believe, but also getting people to sign up for city notifications. So he he's done a mockup of one and it's just the Wood Creek letterhead with the colored background and then the QR codes and labeled and we can have that po like a a board
of well we can have them laminated and we can post them at the parks. They could be passive like that. We um we could also have one of those like uh foam core boards a little larger scale printed. Um, we don't I don't think we own an easel. So, we could purchase an easel like they just blow in the wind. Remember, they get a or the flag the fans, right? Is it the same? It can't be. We have not ordered those yet for this year.
Okay. So, if we had a fan that had to sit here at Wood Creek and a QR code real big in the back, but we can, you know, do it for anything. And we use it in park or for both of July giveaways or hey yeah QR code. So in other words yes I agree we need to have a table but I don't know if it's a table I'm just think it's a t-shirt then we all just need to agree on a t-shirt and then my only hesitation with that is like some of these events I like we want to wear something else not just a t-shirt. pretty up. Dress it up for
I think these are good ideas and I think I had not thought about the handban and last year we had the back dedicated to our 40th anniversary party. So I think having more of a general happy 4th of July and then how to stay up to date with Wood Creek on the back that side. Yeah. Yeah. And then I mean we could even think about not necessarily hard graining it for the July. That way it could be something like we have 10 left over. get those away at the use of the parks. Yeah. Carrie just mentioned we also there's these weighted stands that we use out front. They could be for the 8 by10s. Yeah. Piece of paper because then you can carry them to all the events and just set them out. Yeah. Yeah.
Yeah. So like some and I know QR codes are some people use them, some people don't, but it's just another way to like a visual reminder like you do have ways to find out about this stuff and here's here it is. Um, so the yard plans are always kind of easy because you just shove them in the ground.
I think the yard going away from banners at the entrance and doing the yard signs and maybe more of them out. I think we did six this time and there's I think six or eight places and a few of them are never used. I think there's two spots of eight never used. Um, and I'm curious just Cindy as our new tourist member and learning about these events and even having to spark a dentist just to join us like Yeah. when you hear about things happening around the neighborhood. What do you feel is like the best way you find out about it?
Um, well like I you said you put out signs maybe I didn't notice or whatever. I live all the way at the end of uh Brook Meadow and Okay. They normally do one at that liquor store in that corner, but it's hard. They didn't see that. If if they hadn't told me, um, then I would not have Yeah. word of mouth or like I mean that little sign in between Brook Meadow Drive the island. So that's a spot sign. Was there not one there?
I live all the way at the other end. I never go that way. said, "I only go out to Ra 12." So, yeah, I didn't see anything or store. Yeah. See, I was wondering about that a lot if you So, they're basically the spots that we typically put them are at both sides of the memorial entrance. So, one as you come in and one as you're going out. So, on either side of the street there. Um, and then we there were two of the triangle. So, one on each corner as you're coming up Whip Creek and as you're coming up Hollowo and then there's another spot right at Champion Circle that stop signing Whip Creek
there's a spot and then the liquor store that front end I think put on the there's one on one side of liquor store but one where the stop sign is. So I don't think we have how it's not a designated like there's literally cinder blocks in the ground. That's where you could put them. Could put signs wherever they want on city property. But the problem is we don't own a lot of property over there. So that it's pretty limited. It's literally just the right away there. Um so that's a little tricky. Can you exercise people want to put them in their yard? Yes, you could do that. The only I put one in my yard. Yeah.
We order every the other end of where you are. Yeah. So, I mean I I don't know if people would notice as much or not, but at the liquor store, there's a lot of like little signs there. So, it did register to me just coming from a fresh perspective. But, you know, and I was thinking, do you list your next event at the event you're at? like at we talk about like when we announced it. So I said welcome and thank you. We said our next one is on stage. But you're right. That's all. But if we do promoting Yes. for the next one. Yeah. So that you know, oh hey, you're doing another one of these.
Whatever. I like good old flyers. I'm sorry. Maybe pass those flyers out at the events whenever we have the event. So, here's our We did a big foam board of the next event that And here's your I think I don't know. I mean, it's a good idea.
That goes to the calendar. Just trying to think it to get it out there to people. Okay, hear me out. That's no ball so fast. You're using it for each event. You can just write next event this date. I'm just saying this is have this and it's free. So we're put in front of city. Exactly. There you go. Bring it on. Thanks. But you know, we could we could use magnets to put our flyers on. That would be better than I could see people like
or like a sandwich board, you know, right? You know, two. Okay. Uh for time sake, let's keep going. You missed the sign debate last night.
All right. So, as far as before we wrap up this workshop, I move into making any action or calls for action. So, just to recap, Deb is going to connect and source the port botties for our next two events. Um, and then I think I'm curious what the overall thoughts and if we need to vote on it. And obviously we will, but if we did more, especially as we roll into these summer months, more generic hand fan signs that are just branded city of Wood Creek and have QR codes on the back side if that is something we want to move forward with. Um, and we would happily be able, our budget's approved for Fourth of July, so we have that in that budget and then we can definitely use some of our marketing dollars. Well, we did last summer during the foot like parade, we had little handbands.
They came out to be very popular because they laptop. Yes. Pass those out. So, in lie of like t-shirts or things like that, are we all on board with moving forward with designing and coming up with a handband that we can use not only for these spring events, but also have for Fourth of July and until they've grown up. But I still think we need to identify us some way. It may not. Yeah. A name tag. Okay. I feel like the community needs to say, "Hey, I know we're pointing out, but that's that's awful." Do you What would be your choice of shirt? Well, I mean, you brought a good point. I like to, you know, dress for the occasion, you know, or um
you can wear a pin with little circle buds. Okay. Sashes. I like a sash. I like a tiara, too. Okay. All right. Fine. Okay. I think since let's think about the shirts because we need to all be on board not only with the stylish shirt, the design of the shirt, but I think at this moment we can decide that we do want to move forward with the handbans. Hand fans. Yes.
Okay. And then I would suggest that we do QR codes and mayor chime in when you are ready and your thoughts but like QR code whether it's straight to the website or straight to the newsletter sign up and then to social or those could be the three website newsletter social Facebook page u out of all of that the website is the most relevant because I mean I social media is great and all, but your website landing page has all the current news and of the calendar, right?
And then from there, you know, really this is where we want people to go for the city today. The thing with social media is not everyone uses it, correct? Everyone knows how to use a website at this point and I think that's your safest option. Um, the problem with going to the newsletter page in particular is it's very ugly and well, what if it was a form that was like sign up for updates? Yes, that's what it is. Okay. But it's just it's an ugly it's just a very practical page. Yeah. That's all form and function. Yeah. At least the front landing page
you know what I mean? They're going to get whatever is the latest. You know, right now it's stage 4 drought conservation volunteer sign up. you know, you you immediately have a splash page to sign up for the newsletter if you've never been to the web page before. It's a popup. You can't even get in without it. So, I think that's the most economical and attractive thing to think to one side. I mean, that's not going to change is is our logo on one side, right? I think our branding city branding on one side and then the back side would be like stay connected. And can I ask that it be that more attractive thing that you did for like the coolers, not our seal? You were the boss.
Yeah. Sure. Demographic here. I mean, I've been here six months. And so, is there more older people or is there young fans? Yeah. Another popular debate right there. Because I don't see a lot of little kids. Oh. No, there's so our community has a shifting demographic meaning it used to be a uh second home retirement I see low income that explains
and families kind of it's been shifting where it's a lot of families ever since blue hole was built. So as uh people as people sell homes or pass away uh families are moving in. So you know what was once a primarily 55 and plus community or even just second homes vacant is shifting and going to a younger population. Our dynamics right now are probably like 40% 55 plus. I I'm kind of making this up off the top of my head. It's not a majority 55 plus anymore. I'd have to look at it again. And then that that younger kind of 45 lower demographic is is coming up and it's like 35%. You know, so it's almost neck and neck with like 45 and under and 55 plus being like almost half half and half, right? Which makes it a hard thing because somebody who's older isn't doing the QR codes as much. Somebody older is not going to social media like you were saying. But you want to bring those younger ones in because they have long lasting, you know, longevity here.
I will say that because all the restaurants started using QR codes during co that that kind of has tipped to scale in that favor. I don't think it replaces a shortened URL. And so I I do think it's relevant to go ahead and write out a shortened URL like look tent or whatever. Um, just so people realize what the QR code is taking them to because I know some people are kind of even hesitant to scan them because they're like, "What is for?" Oh, right. Texas. Um,
so I I just wanted to tack on this one more time because I do I get the need and want to just push people straight to the website. But for some people who are just looking to do one thing,
having a direct link to that one thing would would be our goal to get them either signed up on the newsletter like without like I Not to say that I do use and look at this website more than most, but I spent some time on this website and I know that I've even gone I'm like, I'm looking for this because I want to put it in this blast. I'm like, I can't even find it. Like, okay, I'm obviously not looking in the right place or I'm looking in forms, but it's not over here. And now like the volunteer sign up is at the top and I know it's been up there for a little while, but there was something that I was and maybe it was the newsletter. I was like, how do we get people to the newsletter? Where is it? because I'm looking up the forms
and then oh here's another click I got to click to here but then 25 and I still haven't got to the form where I want to sign up for the newsletter. I was I feel like it'd be smart to just do a QR code to go directly to the fill out exactly to the website and you get any information and then a QR code but I'm like you should sign up for these here it is just fill it out. I wonder. So this is what that landing page looks like. It is not very attractive and I personally find it a little confusing. There's not a better way to do that. Where did you how do you get to that? So if you go to public resources, it's the first. But why isn't it under forms?
Because it's not a form. It's on this website. It's called notify me. So in the front on the landing page um it's under So maybe I need a news a training on how to Yeah, wood news would be the the other this is a hyperlink too right here. News and announcements. So news and announcements. This is this is it. Yes. This is So this is on the front page. Yes. TX. That's the That's the How do we get to sign up to get that?
That's notify me here. It's also uh under public resources, email and text notifications. And if you've never been to our website before, it's a popup window. Yeah, I just I've never looked up the website on my phone, so I just did. Okay. So, if you do the thing, it'll pop up and then sign up for notifications. Like that page, like when you scan the correct, it takes you to that page. That's our landing page. That's the front page. So, if you've never been to our front page before, that popup comes up, but then it does this, right? So, you have to select which one you want to sign up for. That's why that's why I don't recommend sending people straight to that.
I think this is very difficult and for people who are I think a lot of for the user experience when somebody hasn't studied this website over and over or like if I'm assuming I'm going to fill out a form to get something, I would go to the forms, which is what I was doing. Wood Creek News is what you want to do. So I hear you. This is so simple for it's not something this is the website meaning the notify me is there they call it a widget and that is the only place to collect it creates accounts for people each time. And so forms all that does is create an Excel spreadsheet.
They would still have to go into notify me and sign up for these things. Yeah. So that's that's just municipal government website. It's not necessarily the most user friendly. So what is your main presentation about including the link other than it's not a pretty page, but that doesn't matter because it's just getting them what they're looking for a QR code to notify me page because that's what happens when you scan the QR code and go to our website for the first time. So if somebody is not already signed up and they go to this website for the first time, it's the popup window and it takes them to that page anyway.
And that's why otherwise this page h the reason why I was recommending it and y'all y'all decide whatever you want. Please know I'm just the reason why I recommended it is because it clicks all the boxes you mentioned with one code. Meaning they go there, they immediately have a popup window telling you to sign up for the newsletter. Maybe they go do that. Maybe they click out of that window and they land straight on our front page where we have the news and announcements and the community calendar loaded ready to go. So they can see everything going on.
It also starts to familiarize themselves with our landing page, right? And everything going on here and they'll see these banners, our drought in our volunteer app. What do you think? Who are you talking to? What about me? Yes, that's the same thing. You have to see and I'm
manually gets very people who have are looking to sign up for newsletters if they have scammed this they will get that popup because they are not already in the system. Correct. So that's why we won't do I think it's probably a lot easier to to do on a computer than the phone, but most people computer I mean most people I'm going to scan a QR code with my laptop. Yeah. URL.
Yeah. So with this website, everyone's forced to create an account for everything. Um and it's because it tracks people in the in the best way possible. Meaning if you fill out a form for a permit on your house, it goes into your account and it's held there forever. So to access your historical documents with the city is now so quick and easy versus, you know, we used to have like files back here. We had to thumb through and find your address. So everything is being tracked in this municipal government system now. And that's why it makes you sign up for an account that also collects your phone number. So people have to opt in for the text service. And so by creating that account, they can put their phone number in. And so then we can text them, but it it all takes creating an account and opting in for each of these things. And then you can opt in for the you know, the newsletter goes out to the email blast, but then you can also opt in for the notifications on each individual board. So, say you're really concerned with what the CRC is doing, people have the option to opt in for your board's agenda notifications, like every time your agendas are posted. So, it it is a more complicated, elaborate system, and it is a little clunky to use. And these are not toggles we can alter though, if that makes sense. I don't know if I'm conveying that well. Like the notify me is their widget and that's all we have.
Did you pull it up? Did you get a popup? Did you where are you able to sign up? Um I don't I don't know where it is to sign up for the um in the corner. Yeah, they're at corners with admin password. Um I don't see where to sign up for it. It did give you a popup how you first landed on that page. Let's see. I looked up newsletter, but oh, sign up for notifications. Well, that's it.
Stay up to date and and so I'm just being honest. Well, you probably still experience isn't friendly to do it. Yeah, a text. Um, we've struggled to get people to opt in for these things and that dates back to the past website. People don't want more stuff in their no inboxes. I get we get it. It's uh So then I think if we were to accommodate everybody having the email or the newsletter, the website and social like I would I don't get the newsletter, so I only follow what's happening on social. There is no link to the newsletter, but I'm asking manually to be added to the newsletter
to sign up for the newsletter is what I'm saying. So, right, or maybe it's just the website or Facebook. There is no way to sign up for the newsletter without having an account because it goes out through the city's we use Mailchimp, but the the city emails it through the city's email. Yes, I do. Okay. Create accounts. Okay. So, again, for time sake, we're going to keep moving. Um, but we definitely will get to work getting the the porticotties and the hand fans started and then we will I guess let's wrap this up by 121.
Quick question. Why don't you create a QR code? It goes to something. Can you ever use that same QR code to go somewhere else or is that it? You can back link and edit the link. Yeah, that's my question. Thank you. Thank you. I'm sure. So, you obviously once we have it printed, you can't update what it says you're going to. So, if we keep it really general, just real general. Yeah. Stay up to date, stay connected, whatever it is. And then Yeah. Okay. Thank you. Okay. 12:02. We are wrapping up. So,
and then number three, discussing classical attribute unit from workshop one, the gold music at the park series. Um, well, someone's ready. I'll go ahead and make a motion. I would like to make a motion that we ask. Mayor ask city staff to source and confirm a portaotti and a portaotty and hand washing station. No, tax sent me quotes too. I think it's like $300 350 or something like that. Okay.
225 and then hand washing. But I like motion 510 for quarter potty hand washing for Spooktacular. Is that just for one or two? That was two hand washing. Um, I make a motion that we ask staff to source and confirm a portbody and handwashing station for April 3rd and May 1st Music and Park Series at the TR. I second. All in favor, show of hands. All right. Workshop number four, workshop on the April 4th community egg hunt. Um I will start the workshop 1203 and then did everybody get a print out of this?
What is it? Okay, this uh T angel or Terry, whoever did this. No, it's all this is our uh basically from Oh, we don't have it.
No, she just gave it to me. It was all of my receipts from our last. So to fill Cindy in, so this will be our third community egg hunt here at Augusta Park. Um it was a small little group of moms that started it at Augusta Park and now this is the second sponsored year from the city. Um basically it is from 9 to 11 at Augusta Park. In order to participate you must drop off 12 stuffed pre- stuffed eggs here at city hall by Wednesday. Um I I think I said 3 p.m. office closes at 4. Um and then that morning we I get all day on Friday afternoon and then Saturday morning we go and just like scatter them all over Augusta Park from like the driveway to the fence line. It's crazy. Um and then we separate the kids out by age. So there's like a 2 to four year old group that gets released first and then like a five to seven, seven to nine. I think we did like three or four or five bio groups.
Um and then we do after the egg hunt, we do a uh Are you guys familiar with Augusta Park? Yeah. No. So there's a bunch of like builtin games. So there's like a cornhole game. There's a botchi ball court. There's a tennis uh street. Okay. A tennis uh Oh my god. What's it called? Pickle ball. Paddle ball. No tennis on the table. I guess yesing pong table. Um but
we always use a bot court and it's been so much fun. On the website you can see photos from last year. We basically do a kids obstacle course down the botchi ball court. So we get like noodles, we get little little hula hoops and like a whole little thing. Um and the kids just like on repeat run through it and it's a lot of fun. And then after that we have an adult egg toss. And so it's mainly all the g all the dads and they start close and then they just keep going out. We Yeah. Last year we started using a water a reusable water balloon. Um reusable water balloon. They just they just suck up water. And of course everyone's drinking their bloody maryries in our head. Exactly.
Yeah. They just don't look at the balloons because they're really funny. Um, so we did that and then I randomly found like a chicken dinner like little trophy both one of the dads got and then the kids got something for them. Um, and then we got donuts. The the city will be having um coffee earns and we've got coffee. It's kind of bib if you choose. Uh, which is really fun. Two hours. Wrap it up. Go about your day. Um, and that's on the Saturday morning, the Saturday before Easter. So, Saturday the 4th. Um, so same thing this year. Um, as far as I think last year I did 10, but I just put the number at 12, so it's like a dozen
suck eggs. So in order you put in the just like you can put whatever you like it as. Yes, exact literally whatever you want. We the city like this is a box and I think we have like a hundred left. We bought that and they're pre- stuffed with like little trendy tattoos and Some people put quarters in it and Yeah. Yeah. Yeah. I have an idea and I'm like curious what we think about it. I have little babies so I'm like what else can I do? Um so
typically because all of the eggs are coming from the people participating and that's kind of how we get their buy in to show up. It's like you already dropped your eggs off like we know you're coming. Um, and then we also have a list of people because they have to sign in. Like I dropped my eggs off so we know, we don't check it the day of, but just so we know. Um, so I have an idea about the eggs. Um, if we did like we have a small budget for things and some like the obstacle course we have a budget for, but some of it like we've kept um and we can still use again. Um, if we put numbers I saw this online. If we put pick a number like maybe 10 eggs have numbers on them one through 10 and then we divide them up by the age group. So like each age group gets like two of these eggs that have numbers in them. But then you get that egg is like your lucky number and then whatever number you get. Let's say you get number one. You can go to the table and you get to get gift number five. I mean, I think that would be great, but do you know how many upset kids there will be?
I didn't get that one. Well, there's so many eggs. There's so much happening that like I don't know. I thought it would be fun. It's like you go to the dollar store like and find like some little nothing crazy, but like has a different element to it. I don't know. I don't know. I think last year I think last year was so perfect. redo it again and just 30 or same thing. Just saying the same thing. Just just do it perfectly again. It was It was wonderful. Why change it? Cuz switch it up a little bit. Well, we're going to have the theme for that. I know. Okay. So, I liked it. I like I love the idea. It's cute idea.
I like it. You're all just kidding. I love it. That's fine. got these numbers on. I'm just kidding. So, so just to question like the people drop it off. Is it us that distributes the eggs or does this? Yeah. Did you come help me last? I was there last year. Did you come with hug? That was the only condition. So, I basically I go with another neighbor that I started day hunt with a couple years ago. Oh, so this is your thing? You know? Yeah, I heard that. She started, but now it's a city. Yeah. No, no, that's great, though. She say lots of stuff. Don't
go out and look at my community garden. I did take pictures of it this morning, actually. Did you paint? Everything else is very sad, but So, I'm just wondering who set up cleanup kind of thing. That's what I'm asking. Is this like PCA? Like, we're responsible for the thing. So basically for everything that has is happening like everybody will be delegated a responsibility. So that's all I want to talk about for one at a time. The council the council also council also comes. Okay. So for the egg hunt uh we're going to keep it the same. We'll do the obstacle course. We'll do the egg toss. Hide the eggs. So I have to know who who did what last year. I know that you're a whole different committee. So
So I think Dev did the obstacle course. I will not be at this event unfortunately. I was going to say that again. Okay. I was doing I was off to the course a little bit then I was doing the little kids was four to six. Yeah. Four to six. So and then we also had somebody stand at each of the markers so that you're not ready. You can't come. You can't come past this point. Um because the first year like or the second year like the little kids like all the big kids came and like because they're literally right on the ground to make it easy for them and all the big kids came and were like do we provide baskets or they bring their own
bring your own basket? Um and I just want to think about the number thing from the city because the because everybody's showing up with their own eggs or like they bring them here. We are not putting like we got those as extra last year and I don't think we even really used them really because we have so many eggs. Yeah. Yeah. I mean, at one point by the end of passing them out, like I was just like throwing them on the ground, right? Yeah. Um, but okay. Well, let's think about what we need. So, food and drinks. Um, so somebody would need to be responsible. We've done donuts and coffee. Anyone like to take that test? I'll do that. And then I need to be at the table. Didn't we have a have a canopy last time? I brought my 10 by 10 and it was over the um king table.
Oh, okay. So, I don't it wasn't really needed, but I I'll have it and let everybody know. Yeah. Okay. Okay. So, Ter will be food and beverage. Um and then the obstacle course is another one. Anybody want to own the obstacle course? I guess I can Yeah, sure. And some of these things like we have a list of other moms that will stand up and help you that day. Yeah. Um, but what I'm going to put you down for, Leslie, is just making sure we have what we need for the obstacle course,
right? Uh, so we have some Carol took an inventory of what we have in the bin. So, we have some rings. We have some eggs and spoons. So, that's come up with the flow of the obstacle course. Yeah, I think we'll probably need little cones. Yeah, we have soccer or like the little kid cones. Um, we have a lot of stuff that came together. I think Deb has all the little round discs from soccer. Yeah. Uh, yeah. And if you look at the photos from last year, like we don't have to do it exactly the same. Like I don't paint, but I also like the little new. We can do some help out. So, you said there are some moms that are going to help out.
Yeah. Okay. And I believe Jess will be in town. He's very Yeah. And I'll put out a So for all of these events where we need multiple hands like I put out an email blast. We have a list of volunteers that have said they want to help and so I send that out and say, "Hey, here's what we have. Who wants to sign up for this?" Okay. Um and then we can assign them where we need them or to fill holes. Okay. I think also there's only one obstacle course I can't remember. What's down? Honestly, there's hardly anything to do. I just basically handed the kids the eggs on a spooner. Yeah. Okay. I'll pass down the thingies when we're doing that. Okay. Okay. We can work together. Cindy,
anything that we've said so far to call your name? I don't know. I mean, I want to receive the eggs or put them together. Come here on uh on Yeah. So all the eggs are dropped here on Wednesday and so I typically come to get them that Thursday or Friday and then my one of our neighbors, she lives on Augusta. She's here, too. Her name is Claire Palmer. She and I meet at like 8:00 a.m. It starts at 9:00, so like between 7 and 8 and we dump all the eggs. So if you wanted to come and join us for that, you come and do the egg drop. Early riser. Why don't we have
Okay, I'll stick to the I would rather like pick up. That's okay. Well, I hope you we have you and this is your first event, so like you can get a feel for it, but we'll have you kind of as a floater. That's just like where we need you that day. Okay. You 46 get up with obstacle cord. Yeah. Get my rope out. Yeah. Did you see that? Did you see that? There's some there. That's the pennant that was in that's in that box. The what? The 400 foot pennant. Oh, the green tennis. Those are from Arbor Day. Yeah. Oh, okay. It was in there. Yeah. Yeah, they're all It's a mixed sea. I just realized so Charles is on the photographer. He's going to be there though, right?
Yes. But he does not come out of our budget. And I actually that was a question I had about asking Charles for music in the parks. Okay. Deb is also going to ask about Charles for Music in the Parks. Is there face painters? Yes. So, we have a face painter, Laura Green. She's come out every year. I just messaged her about confirming. Sorry, I don't have to turn this off without Do you know what you could do if you're up for it? If is okay with it because this is kind of your role. But so we do awards a sponsor thing.
Yeah. So we do awards. So like for the egg toss, we give away something. So I think if you wanted to reach out to some local businesses and say hey we have like almost I don't know you could say upwards of 100 people. Would you say that? Oh yeah. Yeah. So upwards of 100 people we have a couple of they're small small things. So whether it's like $25 ace or to the coffee shop or they can be fat. Yeah. Well, for so for the kid, like if you get a couple for the kids and if you don't use them all, we can save them, but like 10 bucks to Monster Treats or 10 bucks to the candy shop or 10 bucks to the toy store or something.
Yeah, I don't know a lot of the places around here, but um yeah, like that ice cream place across from the Leco Amy's or whatever. Monster Treats. Uh oh, is that Monster Treats? Okay. Okay. If you want to think of like some I would say probably like two adult and two kids. Like we don't need a ton for this. Okay. So for or even gift cards like whatever you think you would want to Yeah. Okay. Okay. That they just donate. Yes. Okay. And so is there something I have to present because I could just be hey a donation and uh
I'm relations committee for the city of Blue Creek and we're planning our community eggplant on April 3rd and we're looking for some sponsors for prizes if you'd like to donate a gift card or a small toy or she's posted a flyer on social media already too. So you can use I just blasted this yesterday. Okay. Will you email that flyer to me? She's not here. Okay. Great. Okay. Uh, yes. Okay. Um, everybody feel good about this? So, I'm sorry. Is Charles coming? Is he scheduled to come? He's going to reach out to
I didn't schedule them for the egg hunt because we have egg hunts. We're not getting photos of each event each year. We just wanted photos of each event once to be able to use. Got it. Music. Yeah. Where can I find those pictures of the egg?
No one wants to I just got there. Okay. Um the other things you can help with is like setup. So, I'll basically do all the eggs and we can talk offline about the actual logistics of it, but I'll be on site early to drop off all the eggs and then I can drop off a bed. So, we have like a table let in that goes over the ping pong table where all the food goes. I know, but it starts at
Exactly. I don't know if she has and then Okay, I don't think we need to vote on anything for um we're in a workshop. Okay. And does everybody feel good? So, you'll help get some award surprises for the games and then help us set up a breakdown. I have an idea. Yeah. Because my dog is currently there with a um dog sitter and she charges like $25 to come by, look at your dog, whatever. Yeah. What do you think about that as a gift? Like
a dog. Yeah. I just thought other people do. Hey, you and I going to spearhead next year's 2026 pet walk. Yes. Okay. That would be awesome. No, I was just thinking like that could be a cool gift. Like it's unexpected for spectacular dog. That's what I was going to say. I was like off topic, but what if it's a pet walk instead of the parade animals? Yes, that's a stimul. I think we can rally bring back this year because last year was our first Was it our first year?
Oh, what are you talking about? Let's focus on keep us on track. I'll go with Dr. Exactly. Oh my god. Is the dispensary okay? Yeah. Rolling paper. Does everybody feel good? Yep. All right. Good. All right. I don't know if I can do that. So, it was fun. 12:21 rush. And then I don't think we need to vote on anything on the egg. Everything is rinse and repeat.
Yep. All right. Moving right along. two right on top. Okay, there we go. Um that is our agenda for the day, ladies. Um so considerations for agenda items for the next regular meeting. Um tomorrow, I know Cindy just joined, but if you're available tomorrow, um there is a required on boarding uh training from 9 to noon here at city hall, and you would get lunch if you can make it. What's it for? It's for all of the volunteers and advisory boards to basically just kind of learn the process and the right way to do things and can tell you more. The mayor can tell you more.
I mean, that's that's really good. The city now has like a training manual, so you'll get that to take home. And it's a real, you know, it's like a half day kind of crash course on city business, sort of like why she has a gavvel. I mean, not that silly, but you know what I mean? Um,
what what is the point of the motions? Why do they have to be seconded? Um, what can can you do outside of the meeting? What can you not? Um, things that are, you know, we can't control you. Your first amendment, your free speech, we can't control, but we have like guidelines around good social media use if you're representing a city. and just little stuff like that that over the years we've heard back from volunteers about how you know what was difficult about this or what didn't work well. So now we've created kind of an onboarding to help
kind of smooth that transition so you don't show up to a meeting like you did today. Uh I felt so stupid that I walked in there and they were like I don't know about me because they're supposed and then like two other people came out so they're all like are insurance Wimberly and not working. I was like, I don't know. I have no idea. I thought I'd go. I don't know. Well, luckily my mom is super sweet and we get a bunch of phone calls from people uh from them. So, it was our trick to give them some There you go. You're welcome. So, that's tomorrow and it'll be here. I'm not sure if I can make that.
Yeah. If you can't make it, we are going to report it. It's just you won't get bunched then. Oh my god. Chipotle will wait.
All right. So, I think that is it. I just want once again say welcome Sydney. We're excited. And just as a kind of a um so our meetings are the second Thursday of every month from about 11 to one. like we try to keep it as short as possible. Um we try to keep it about two hours but it's two hours once a month and then homework if you have it. So like you're going to find some spot like some private.
So we try to keep it pretty light and then the day of the events we're all hand on deck from set up to break down. Um and again we have a list of volunteers that we call on to kind of give us support which is really nice. Um, and if you have any suggestions or fun things you'd like to see here in the neighborhood, like that's why we're here to bring it to the table. I will now that we have another, it's just been us for the last couple of months, but I will be in the habit of sending out a reminder. Okay.
And asking uh I've been doing this for a little while, but then it was just us ladies, so kind of got off of it, but I'll send out a reminder of the meeting, but also ask if you have anything you want to contribute to the agenda. um like the week of or couple the day before. No, no, I'm just kidding. I mean like I would love to know like new people. What do you do to bring them into the poll and I mean I know a meeting's over but like those are things like you know like women's groups or something like I would love to join some sort of group or men or I don't know.
There we are. while they're gonna meet a lot of people. But there are some other
