Members of the commission, welcome. Thanks for being here tonight. If you're keeping track, when we conclude tonight's meeting, we just have three more before the event, so Okay. The first item on tonight's agenda that we have prepared for your consideration is an update on the revenue sources, sponsorships, and probably most importantly, the conclusion of the discussion we had at the last meeting relative to a selection of a beer business for this year's event. Before we get to that particular topic, we're going to give you some updated incidents and things that are going very well for the event spending and what we're raising. And as you know, each year the city council sets aside as part of its annual budget money for this particular event. This year we have $70,000 put aside with those less than we've had in past years. It was a sum of almost $20,000 on the low end than $25,000. To date, we spent $22,000 relative to all of this in three days. And that's kind of the amount we spent this year in 2025. I think the real good news is that relative to the sponsorship program, We've been very successful over the years. We set a gold, a lesser gold than in past years, but recognizing again that last year was our 30th anniversary and kind of, we really kind of pulled all the stops out to raise funds for that. We set a goal of $25,000. Chris just updated that amount. We're at $15,105. Awesome. That is well ahead of last year. At this time last year, we had raised $15,600. So things are going well from that perspective. As you know, we can't provide you all of the monies we collect from vendors fees, those things that we charge for to participate in the event, because we don't have all the vendors yet set. We are still soliciting artists, crafters, not-for-profits, government agencies, all of that group. Pull out the oval and add to the character of the event. But as we get a little closer and start knowing, we'll get back to you as quickly as we can. I'm going to jump over the request for proposals relative to the beer tent sales and revenue sharing and identify number five. I think, and I recall this, so correct me if I'm wrong, Chris, but Stacy and Chris met with West News Magazine for last month's meeting. West News Magazine has made a similar commitment as they have in past years. So we'll have a minimum eight-page pull-out section in the publication right before the event date. It's valued roughly at about $8,500. So the in-kind contribution from West News Magazine is about $4,255. And so again, a nice amount that we don't have to pay, but we get the publicity that we so desire. So going back to the RFP, as you know, we received two responses to the advertisement. One response was from a partnership of the Lions Club And in reviewing the response to the request for proposal, they completed all of the component of the form correctly, so to speak, and then also agrees to the 30% amount for sharing. On athletic was the other responded. V2 completed all of the components of the application correctly, but they retained the 12% amount for sharing as they've done in past years. We had a representative from Pond Athletic Association in attendance at the meeting, and I think he made a personal plea on behalf of the board of directors and the facility to consider its larger role in the community. and that it has been the sole fear provider for many, many years at Celebrate Wildwood. Certainly that is your heartstrings. It's hard to say no. And on the flip side, we are trying to raise as much revenue as we can, offset the decrease we received as part of the annual budget. But again, I think we all wanted a little bit of respite and some time to think about it before a decision was made. So the action of the commission, a meeting was to postpone. So tonight we're at a position where certainly we can discuss it. If we have time before we need to take action, if you want to just take it over, or if you're ready, Stacey, Chris and I are more than willing to discuss how we did the request for proposals, the advertisement process, and the receipt of the responses. And with that, I'll conclude a part of the presentation. There's a few other things on the memorandum I want to go through, but if you want to talk about beer sales, I think we're ready over here.
Questions? Is there any reason why we wouldn't consider, I mean, Lions Club seems to be a strong supporter of Wildwood too. Is there any reason why we wouldn't just consider them since they're willing to meet the terms that we put out there? I mean, I know you've had Pond a long time, but Lions Club has done hot dogs every year too. So they're also a strong supporter. Just a question of, is there a reason why we wouldn't want to just go with them since they're the one that said they would donate the 30% back?
Well, if you're not familiar, for many years, we offered free hot dogs at our concerts. The Lions Club, for a nominal fee, would cook all 800 of them, put them on the buns and wrap them and distribute them. And they did that for years and years and years. Also, they've been a consistent participant in the Celebrate Wildwood event, oftentimes having not just one vendor location, but two. They would do eye tests. as part of the vendors row and then be selling over in the food court area. Last year, they kind of stepped up because we were shy on available wine distributors. And they said, sure, we'll do that for you. So I would tell you that they've always been a great participant and they've always stepped up when there's been a gap or a hole we need to fill, generally it's been by the Lines Club. So I can't say anything bad about any of them. I would never. The Rotary Club for many years was a difficult part of the . I don't think we could have been successful with a scale of event without the Rotary Club and its volunteers.
I don't know if I'm wrong, but didn't we always have trouble getting money from Pund as well after the event? I didn't want to mention that part. I'm sorry to interrupt.
The Bond Athletic Association tried to address that and said that for the past two or so years, they've had a treasurer that was not necessarily as versed in the processes as they had hoped. They have a new treasurer and they feel that they'll address that problem. They promised that the payment would be much quicker than it has in past years. And there's no way that both could come. Well, it's certainly from, I think, our perspective isn't a problem. We don't care where they buy the beer as long as they buy the beer, I guess. Not to sound crass about it, but whoever's selling the beer, we're going to get a percentage of the sales.
But I don't really think that's fair.

We're going to get it no matter what, but it's going to.
One of the thoughts, Mr. Huber, our senior planner, and I were talking before tonight's meeting, and we thought maybe an option might be that we alternate each year if the Pond Athletic Association is willing to up the ante, so to speak. I think that's going to be a hard argument for the commission HAB-Masyn Moyer- This Mr blosky or me when we're standing at the podium. Why did you take 18% less of the right that's HAB-Masyn Moyer- This one. Well, we like them. HAB-Masyn Moyer- That's HAB-Masyn Moyer- A great emotional reason, but it's not a good business. Right.

Yes, and I'm not pressuring you. I think we have until July. That gives the vendor a full three months to basically make all the arrangements, and it won't take that long. I can assure you, Gray Eagle knows how to do this overnight, in their sleep overnight, ASAP, all those things. But if you want to make a motion tonight, we're fully ready.

Was Rotary the one that said that they had a truck
Well, as you'll recall, Ms. Lynn, Gray Eagle would bring over one of the trailers that has the spigots on the side. And it usually gives that nice draft beard that everybody likes. So you can get different sizes that you want to be small. I understand from Honda Athletic Association, Gray Eagle's going away from that. So they're going to have those trailers. John Potter, On the plague associations pitch at the last meeting is we think we can get it one more year. If you like the trailer. I think we can do it. Otherwise, it's going to be cancer, our boss.
I think people John Potter, Would prefer cans, just because it's not always tapers not always and was jealous.

I'm willing to make the motion that we accept the Lions Club proposal since they're willing to accept the terms that we provided for the beer vendor for this year.

So I'll get with the Athletic Association and advise them for this year, we're going to try the partnership. But next year, the opportunity is theirs if they're willing to match the things. We'll know from their decision than necessarily ours. And then we kind of see how it works out. We can do an assessment after the second year of its bond and say, do we like the setup? Do we like how they still will have something to judge them? just staying on that first agenda with your permission madam chair uh the new efforts as you know we've developed the new promotional permit materials including the new logo for 26. i hope you all like the logo i think you've got a wonderful job yeah i think that's something that's going to be very nice we have restarted the marketing efforts with the memorial favors we now have the group John Gerstle, For critical installed, so we have something to send people to now as well, so hopefully that'll get some momentum as we go through the summer. John Gerstle, Spansky will go through the merchandise here is the last item on the agenda, so I will not steal her thunder. John Gerstle, Again, still soliciting business interests and this point I like to turn it over to just sulfur in our.
ears hands and feet out there since the last meeting okay so if you all remember last um last month i talked about trying to help them out as far as getting out there and trying to find some sponsorships it's not an easy task but if anybody would like to help it's it would be really appreciated um if you want both Stacy and Kristen could provide the information. And so what they have is the actual event and then they have the sponsorship and everything that's on it and what they would get for the money that they would do. And then on the back is the letter. and everything they have to do and they could just go ahead and get online. So it's not easy. What I'm finding is that people procrastinate. So I've gone out there, I've hit probably about eight or nine places I've got one so far and that's my son. And I did have to twist his arm a little bit, but anyway.

Anyway, so what I do is I go in and I basically tell them that it's a great way to get your name out there, your company name out there, help your community. And everybody's like, well, we will definitely think about it. And now I'm kind of in the area where I'm going back and making phone calls and stopping by just to see if they want to. Last week, right before Farmer's Market, we stopped at Letty Lou's for breakfast and I brought this and we know Lisa Bax. So hopefully that will be another one that you'll be seeing. Like I said, it's not easy, but it's not difficult either. If there are places that you go for your hair, your nail salon, or your dentist or orthodontist or whatever, it would be a great way to jump in there and say, can you help out? So anyway, that's pretty much it. So does anybody have any questions?

Besides us doing it through our methods of arm twisting, which is typically Tom Lee, our city administrator, sending it to our contractors and consultants saying, oh, by the way, you know, we gave you a million dollars last year for slab replacement. How about celebrate well? Exactly. Good idea. I have no qualms about that. Come on. So thank you again.

Number five. Originally, when we prepared this memorandum, probably at the start of the year, we were still doing resident packets. So Cameron, Missouri, publishes a list of new electrical connections. So when someone moves and discontinues services and the new property starts servicing, we get that information. In our budgetary situation, we've stopped doing that. through number five. At this time, we're not doing . As I mentioned at the start of my presentation, we spent about $22,000 so far on all of the components of the event that are generally completed or required some kind of deposit or payment. So I think we're doing very well there. And I think you all received at your homes the March edition of the Gazette. That edition will be the only edition when it's mailed to households in 2026. So the lead story was about the celebrate Wildwood event. And what we're thinking on doing is, as we get a little closer, kind of pull that article out and start using it maybe on some flyers that we hand out at the back to school party, some of the events that lead up to the back to school party, and then obviously get it on social media, the website, and then the e-newsletter. generate an interest. So in lieu of having a Wildwood Gazette go out right before the event, we're going to have to kind of do a gerrymander or a jerry-rig around it and do our best to provide information to our residents and others in the community. So these are the items that we've been working on. The items that we still have work to do. So if there's any questions about any of the items on the list or anything that we can identify, we'll be glad to answer them at the time.

Anything about the cost reductions? They were at $22,000. But with the change of menu? Well, What we found, there is a footnote to that. Our first concert was held in 2016. I think it worked really, really well considering we had talked about all the things we wanted, weren't sure that all the things we wanted were all the things we needed. But we did have an issue with our sound person and had to get a generator. We are working on that. The solution is relatively inexpensive. We're thinking somewhere around $5,000. We'll need a generator or two for the food court area because that's in the back parking lot and it's not set up for electrical service. But collectively, we used to have at least a half a dozen if not more generators at about $1,500. we'll maybe have one or two. So there's a cost reduction there. Obviously we're trying to do more things internally and externally with through consultants. We'll probably still use silver tablet marketing, our social media person, Debbie Ward, to help us a little as we get closer to the event. But up until that point where we all tell us this is the time to push, we'll be doing it ourselves. So I don't, I can't tell you if we've realized a lot of cost savings yet, but I'll probably have something a little closer to the event than certainly afterwards.
I can tell you the concert was much louder this year because I could hear it. At first I got out and I was like, who is having a party? And then I was like, oh, us.
You know, my favorite thing with the concerts over the years is one of the officers will walk up to me and say, hey, we just got a call about peace disturbance. It's you.
In that direction, I could really hear it. I left a little bit early.
Yeah, I hear it pretty loud.
At the break, I went up to one of them. I said, you know, this is a more, let's say, confined area as was over by the theater because we had road noise over there much more than I think we have here. And so I asked them to turn it down a little. We're going to talk at the start of the event this time.
I just think people weren't as spread out.
They really enjoyed being in the oval and the perimeter of it. So I don't think it needs to be as loud. And it's an age thing. But I think you go to a concert, not only to hear the music, but to talk to your audience. Yeah.
You don't want to be yelling the whole time. Yeah. See people you haven't seen.
Well, the venue's better than the other venue. It was pretty obvious people enjoyed it. OK.
Thank you. And Madam Chair, members of the commission, Each month, we give you an update on the parade. And as you can see, the things that needed to be completed, the things that for the most part are underway is because we do keep the application for parade participation open very much into the summer months and almost, frankly, to the start of the event. So a lot of the things, again, that needed to be completed are completed, and some of the things we'll keep updating you as we learn more. Tonight, however, though, is the discussion of the Grand Marshals. And I touched on this subject at the May meeting, asked that the commission members maybe go home and put their thinking caps on, come back with some ideas. Um, I think at least I did, I thought about it as well, and I have a suggestion, but that'll be the fallback or the safety net if we can't decide that. But it's really, is your commission, your parade. So from Parker's perspective, we'd like to hear from you. So to summarize the parade generally is going okay. Um, Chris will give an update on the numbers. Um, We secured the starting point. We own the ending point. I'm working with a couple of individuals to try to address the police concern along Taylor Road particularly. We've done some parades for other municipalities. I'm trying to understand how we might make it a safer route in that particular kind of choke point. And I'll have information on that hopefully in the next month or so. So all is going well, I think. And parade participation following Ms. Silverman's lead, I have a tendency to procrastinate. So they kind of like, oh, the parade. And I still get in. So brand marshals. So I know we've all been thinking on it in earnest since we left here in May. You're excused. Thank you. But certainly I'm hoping you have some ideas as well. So I open the floor.

And then my phone overheated, and then I missed the next 10 minutes of conversation while I put my phone in front of a fan to cool it off so I could call back in.
So just a little background. Since the inception of the city back in 1995, We've had three fire districts provide EMS and fire protection services. North third of the city is Monarch, the center is Metro West, and then the Southern end of the city is . They are all fire districts. They're not affiliated with a specific municipality or set of municipalities. They have their own boundaries and provide services within the confines of that. Just so happens within the last 18 months or so, all three chiefs of the fire districts have retired. That being Monarch, Metro West, and Eureka. In Eureka, Greg Brown had been there prior to the incorporation of Wildwood, so for at least 30 plus years. And most recently, if you're not familiar with the East-West Gateway Council of Governments, he received a Lifetime Achievement Award from that regional entity. Mike Krause was here at Metro West, served for 10 plus years as chief and was recognized at one of our city council meetings this year. And then Cliff Well, I'll find it here when I can get to my email.

Yes. He retired. That's old. He actually retired. His retirement goal was to see the new station on Alters Creek Road and Edmonton Road opened, which had to go through a court, a system of court hearings with the city of Wildwood. But as soon as that opened, he retired. So I thought it might be a nice gesture because all three of them have provided a long-term service to the city and its residents relative to fire and EMS. And I think it's a great way to get participation of the other two fire districts as well. And that's always been kind of an area where we haven't I don't know if it's just from since Metro West is so much close to the event grounds and most people associate Metro West with Wildwood. The other two districts just do it on our system. It's like they're there. We don't want to step in. But I think it'd be a great opportunity to see if we could draw in the other two fire districts. And a good way to do it is honor the retired chiefs that served for decades, either as fire personnel to chief or somewhere in between. So that was my thought. And I certainly... will not hurt my feelings if you say that's a terrible idea. I have a better idea because I think you do because it's your commission and I want you to pick.

Mike Krause was very touched by the ceremony that the council had for him. And despite the lawsuits we had with Monarch over the new facility, they were always gracious in anything we asked. Outside of that, it's like, we need somebody to do an inspection. Sure, we'll be right there. That kind of stuff.

Update of activities, commitments, and actions.
So, as Director Boonage said, from when this MoMA was done, we've already went from 16755 to 19105, and Fifth Supply, Big Silverman, All Star, which was premier martial arts, and Three French Hens, just in the past two days.
So that's lovely.
What else has happened? We're reviewing the bid for outdoor lighting for the Beaster Lighting. We definitely love that out there, so I think that gives it a nice ambiance. The proposal for line dancing is still with the city administrator.

Ellisville Sharks and English Sweep are in addition to what you see on the memo. just talked about grand marshals and miss chansky just brought up that eureka fire department has agreed so we have metro west and eureka so far so we're excited um it's funny today she's she reached out to the u.s air force military band to see if we can get them well it's through a form so i've submitted but that would be really exciting that would be exciting you know what you gotta try Right. Our food vendors are where they're at, the drink vendors. We discussed the beer vendor tonight.
Chris, I think I may have Valara as a food vendor, so we need to fit one in.
Oh, okay. I don't think we had any. Well, if you can't help them, I would help them with it. So that would be a nice addition. Okay. Okay. Interpreters, we're kind of trying to see if we can get St. Louis Community College to help us out with interpreting, to help with cost. But it is summertime, so we'll have to keep on that. Jolly Jumps, we did meet with Jolly Jumps just to kind of check out the lay of the land out there. I think we might have talked about that last month, just in case the playground is already under construction. They needed to know where they were going to be. And Booth Commitments artists, we are up to 28. And government agencies, we did get the addition of Babbler State Park. So we're excited to have them as well.

Because they're in the playoffs. great idea okay yeah that is a good i mean he's not as high profile as redbird so he might he might not be as expensive budget friendly i know that's what i'm saying it might be budget friendly because last year we had redbird and louis so that would be that would be cool yeah so he's new so i think this is only his second year archie's okay on our list

I know I sent that to Ms. Silverman. So if I can email everybody who I've contacted. We can update it. And just because I can't necessarily get in, if you know somebody and you might have a better connection, you know, that's all good.
But I can make sure you have a list of who's already sponsored. Right. So you know. I have that except for the new ones over the last couple of days. So I'll spend some of the current sponsors to all.
How many vendors are we looking for at that booth? We have 25, but how many are we looking for?
70-something, but that does include food. We have space for 42 arts and crafts. Okay. We're at 28, but that can, we couldn't up that because we have space for authors that haven't been filled yet. Nonprofits are full and sponsor booths. We currently have seven, I think probably eight because I haven't updated this yet from today. And we have max 20 sponsor booths. So we will have some room to play. with some of those, and I'll tell you what, farmer's market applications are out of this world with vendors. So you may try to pillage some different ones from them. I mean, so, it's crazy. It's those, they come in on the daily, those applications for farmer's market. And there's a lot of neat looking different stuff. But if you've gone, it's, yeah, so many vendors.
And a lot of interesting things.
Different things. We like different. Yep. Our poster. The commission approved last month. And that's one thing. Oh, that's what I was saying. Stacey has done. We like to do the proud sponsors and then drop off those posters to the proud sponsors or to the sponsors. We call them sponsors. So then they can. You can still promote even if you're not a sponsor because we've dropped them off to local businesses, but we like the sponsors to have the recognition of proud sponsors. Yeah. The scavenger hunts for the past couple of Celebrate Wilder events have been wildly successful. Just surprising how many people really enjoy doing that. It's kind of Unfortunately, kind of pilfered off our own success. We had one at the start of the year, the winter one, and then we did one for Route 66. So we're trying, Stacey, Chris, and I are trying to figure out a way to make it a little more interesting so that it's not the same thing again and again and again. So July, we'll have something. Yeah, excellent. Great. And it's a little more complicated. And I think it's going to be a lot more fun, actually. A little more challenge time. She's doing much of it. So if you want to know what's going on and where we are, we'll have to twist her heart.

No, I'm not modeling. So, we were thinking that, you know, one, we don't know what, okay, four commissions. We are thinking of using the colored logo on your, like make a special shirt for commission and use the colored logo. But then for sale, we would do either both colors with an option of maybe like this in full or this in the background. So we can decide, and in your packets are like the different views of it. But we do like the option of, because last year people liked our shirts, the staff shirts, and they were like, oh, is that color available? And it wasn't. So this year, even though like we'll choose a staff shirt, but then we wanted to have, you know, just both of them available. So people would have a choice, like if they like our color, if they like the other color, but only you will have the special color. So if that's what you want. And then I know you wanted a sweatshirt, but we were also thinking like more of a summer long sleeve sweatshirt hoodie. And we've done this with, for Shivering Shadows, but they have it in a natural color and we could do that in the colored logo or we could do it in a solid logo. So we can decide.
Those have been very popular. At least the people that have gotten them would really like what we've given. I do want to ask in terms of your shirts, I think I know the answer. Some t-shirts are t-shirts, but if you want a polo, I think that's something we can do as well if you prefer the polo shirts. And then obviously we can get them in sizes so you're not wearing a unisex or a man shirt.
I like the t-shirts best, personally. Polo was kind of itchy last year.

The shirt was super soft. it's just a summary you know wait and I know we did the bigger ones last year and it was chilly but yeah first part of the day it was all about the t-shirt and after the storm everybody wanted this that's what we sold so the long sleeve is good so really the only decision is if you want the the one with the background so it would just blend in you know, like that. And would it be that big? It'd probably be bigger. Bigger. Okay. Yeah. Or, you know, the one with a, not a colored background. But yeah, it would basically be the same one on each one, on each shirt. There's other options if you want, like we could do a white, just a white. So anyway, in the packet, if you're looking at it, are the different options.

We had... Yeah, last year we had a lot. We had water bottles, which did not really sell at all. We had the bags, which we, you know, we gave away a lot. Yeah. And that's fine.

We had crewnecks and... hooded um and you know they sold because of the weather so you know there were a lot of options but our t-shirts were only the lighter color um the peachy color like i said was for staff people were asking about that color so

No, not peach. Well, we can. But we were just thinking these two, you know, the two earthy colors to go, because it complements the logo. Okay. It's up to you if you only want one. Oh, well, I was thinking maybe hats for the scavenger hunt.
