City Council - Special Meeting

All right, item number one, new business, is consideration of awarding the bid to repair lighting systems in the Glennon Center. The system that controls the dimming system for the canned lights in the ballroom has become obsolete and no longer works. The work was put out for bid in accordance with the city's procurement code. Someone like to make a motion?

Mayor Pro Tem and members of council motion to award the bid for repairing the lighting system to L4 Electrical LLC in the amount not to exceed $28,750 and authorize the city manager to issue the notice to proceed.

Yes, yes. So, Charlie, during the last city council meeting, we did have this discussion. We did approve the roughly $12,000 for the lighting budget, because that's what it was supposed to be. Since then, we received the bids, but the company that gave us that original bid didn't... didn't didn't post a bit that is so I'm wondering why they didn't post the bid and then there's a huge difference between what we had at 12,000 and the 28,000 that we're trying to do now and then the other bid was like more like double that 48,000 so yeah 48,000 can you help us understand that aspect of so not sure why the first company that was doing the work and completed the work in the hallway and gave us a change order

for a little over $11,000 to fix the ballroom lighting. Not sure why they didn't bid. I have not received any communications from them. So with the bids that came in, L4, I will say, is a new vendor, company, contractor, whatever you want to call them, but came in, asked a lot of questions ahead of time, scheduled time, and came in and reviewed everything. Feel like they've got a pretty solid bid. Hate that the person that gave us the change order Hate that they didn't bid, obviously, because it was less expensive. But reviewing the bid and the scope of the work that they're proposing to do for this will absolutely cover it. It's exactly what we're looking for. It'll take the dimming system that no longer works, it'll take it out of play. So we'll still get the same result, but it is coming at a more expensive price. But we've got the operational contingency to be able to cover this without a problem. And work will take anywhere between, I will say, two and four weeks, just depending on how long it takes to get material in. So, you know, with council's approval this evening, we'll give them the notice to proceed tomorrow so that they can order it and they understand that we want it done as quickly as possible. And we'll coordinate with the event staff from the garrison to make sure that none of that works, interrupting any of their stuff.
