morning Rosemary uh so we have everyone else here Jen and Kathy and I and usual crowd in the audience here um happy new year new year um so I guess we'll talk about uh our committee a little bit um since Rosemary has decided to leave so congratulations on the Move Rosemary still there you still there yeah yeah I'm here and thank you very much okay so we will so it's been great having you on the committee we'll miss having you on the we don't want to lose her um so why don't we just talk about the little Comm committee here for a little while so there are three of us now it' be nice to have a few more members so I guess we have to think about that so Lynn you've been very helpful in helping find more members so I don't know been thinking about it at all but I was looking at like on the golf was on the golf post committee and not like I can contact Amy but she's I don't know but I didn't know do you think either Carol or Dian or Susan do you think any of them would be interested Carol and Diana involv a lot in the church yeah stuff I don't know do you want to ask them I thought I thought it'd be better for you to ask and Susan even though she works you know she might still be interested so you know I also think that we need I mean I don't know unless you're taking over the you know me I'm a computer illiterate I know okay so that's a wellknown at work and at home oh it is Nurses have I think any of those four people so I'll contact Amy so yeah I think any of those four Amy yeah okay I I can call her too I T okay okay if you talk to her yeah so yeah I think that any of those four people I think would be great additions so if you could ask people that you know I have a couple of people I'm going to ask um and so we'll see if we can come
with another member be interested um I think she'd do it if we asked her she was a computer teacher so yeah I go to her for all of my help yeah yeah Kath do wanted you ask her and so then there are roles on the committee so I've been the chairperson for I don't know a year and a half now I don't need to be the chairperson so someone else want you to be the I'm very happy if someone else would like to I want to offer obviously I mean if so if you have no interest would one of you be willing to be the secretary for a while but I guess Rosemary would have to describe maybe you could describe what you've been doing Rosemary so people can understand and maybe we can just we can spread what you've been doing around a little bit can you just describe what you've been doing a little Rosemary are you there Rosemary so maybe that's why I I don't know how you watch and as far as that kind of thing um you know like Rosemary would put all on the computer and the email yeah I'm not I wouldn't be worried about that it's more the getting stuff to so I think there I think there are two things I think there is scheduling meetings which I could you know I haven't done it but I could take over the scheduling the meetings and and so that if that would and then there's someone to just create very minutes um so I don't know if you'd be willing to do that or if you don't if you'd rather not yeah and then then there's the creating the agenda and getting it to the town clerk's office and so so I would be willing to do I would be willing to do the agenda and get it to the town and schedule so i' be yeah all right I mean I'll if somebody tells me like the time we with the bushes somebody tells me who to go to
and who to talk to I'm not an email person I will go directly to somebody so I'll do that I mean the only thing is you need you do need to email them the agenda so they can oh no no I meant like if there's things that like I know Rosemary would like go and meet with different people I mean I'll meet the people personally so why don't we just so we can operate I will create agendas and schedule meetings okay and if you're willing to take on the role of secretary okay and then be uh and really just create minutes and rosey's been doing a great job of creating minutes of just and it really comes down to capturing who who attends um what votes are taken and what decisions are made that that's that's what needs to be admit very simply who attends decisions made um he it votes taken votes taken votes taken that's not decision made yeah I think you're supposed to say you know like if a vote was taken who you know who voted yes who voted no I I think that's I think that's what you're supposed to do but I'll work with you on that I think that's what you're supposed to do and it's and our votes are almost always unanimous so you can just say took a vote on blah blah blah and it was so really but it's trying to keep track of attendees votes taken and decisions decisions you see you have a few people you might want to speak to and one of say you have two and one of them says yes and Jen has somebody or I asked is there a problem with too many too many yeah you can't have more than five oh you can't we can have I think this committee is set up to have no more than five and it must have three okay and to have a quorum right now the three of us have to show up yeah so you know we'll hopefully all keep doing that here all right so maybe if
everybody reaches out to the people they thought will'll just get back to each other and say so and so and first come first yeah yeah so why don't you let me know if you talk to people and some people seem interested then I can chat with them briefly and then we'll get the select board has to approve that um anyone who joins the committee so we have to recommend the name to the select board so that they can vote to add someone to the commit and then they have to go through you know there's that training okay well that's how we'll operate then now for now so and Jen's I mean Rosemary's been doing a great job on minutes but you'll come open your own style and it doesn't have to be yeah no that's it's not that much yeah okay well thank you very thank um [Laughter] so yeah no we all can be fired I think um so we do have prior minutes so uh we need to vote on approving so someone should say he I move to approve the minutes I move to approve and then you can say second second so is there any discussion about the minutes that were created for the November 14th minute all in favor okay ex your back okay so that would be a decision that you could capture on the EV okay so continuing business then uh the irrigation project um I I heard that there's a meeting tomorrow yes you guys are meeting with an engineer um so maybe you can give us an update on where we are on the irrigation project um I don't know what the exact uh you know theme is of the meeting however it was scheduled by the engineer who has been doing the uh and regarding the pump station out there uh what's
going to happen or status uh it wasn't much description of what the meeting's about it was just reference to the to that so see what happens tomorrow okay uh and dick was mentioning something about Melissa making some comments about wetlands and yeah there has to you have to go through the approval uh process through conservation I just uh sent her a rough sketch uh where I thought it would be uh they know necessary to get the approvement uh the approvals um I had it I had an engineer do it a civil engineer do it I actually I was just looking I have my Russ sketch yeah uh which case that's a little bit of a process I guess uh so that would have to be and I didn't know who would be the representative to deal uh to do that footwork from the board as far as getting approval was going to the conservation um and getting the whatever's needed from Melissa I guess I don't I have to admit Melissa's on here now I guess I don't actually know how that works yeah last time uh we I went to her was regarding the uh asphalt path on three uh which case I gave her a sketch uh uh an engineer sketch which I have now here a little bit more accurate uh but I don't know exactly what they're going to ask entail I know that's go through sbts or that allall even though this project has obviously been you know discussed well before the acquisition or during the acquisition by the town of the propy so Melissa's on here Melissa can can you hear me or hear us yes okay can you thanks for joining Melissa can you help us understand a little bit about what steps are required now to get the
irrigation project properly approved or so it's more um kind of unrelated to the the CR aspect it's more of the wetlands protection act and our local Wetlands bylaw that needs that more um cohesive plan for submitt for an application for permission to work um both within a resource area and within 100 ft within it um so what I conveyed to John was that um you know based on the sketch that he gave me and the locations of where the irrigation was going to be going there were several places in which it was crossing um the stream you know throughout the property mostly along the pville road side apologies I'm so bad with the whole numbers and T numbers um but because of that you know you really do need an ual engineer to put together a plan with the Wetland resource areas and having an application in a form of a notice of intent submitted to the commission um with the justification that the work meets the performance standards for work within that area um you know it's a little more intensive than some of the other work that has been done on the course and that's why something is kind of a little bit more of an upgraded application as necessary um you know for the purposes of the CR I think the the sketch that John sent me in terms of the um irrigation um team has sent me with that showed the whole course is probably sufficient um but this is more of just a for state and local laws for Wetlands protection um is where things are kind of a little lacking so what what need what's there's some notice of intent that needs to be created yes so it's a um standardized form from the state um but it does require an engineered stamped plan um that shows where the irrigation is going
to be placed how it's going to be installed you know other equipment that may be associated with it um in areas either within Wetlands or within 100 fet of their boundaries because that's our jurisdictional area um you know which a good portion of that cville road side and some of the interior ption ions would be um so in that instance you know especially with it cross literally crossing the stream um it's important that that official plan be created um because it's it's direct Wetland impacts um you know so we want to make sure that the performance standards are met not just on a local level but on a state level as well so thank you for describing that so is it a allowed to have a pipe cross a wetland like this for I mean do you think this will be allowed um I think I think it be allowed you know I just don't know I sorry you Melissa you were really breaking up there could you start again please oh sorry um I believe it's going it would be allow um just the demonstration of you know how it will be installed to limit erosion into Wetland areas you know there is some existing irri lines there already I know of um just from my visits with John so um you know it's like is it going to be drilled underneath the stream is it going to be placed on top of it so those things are kind of the the aspects that need to be hashed out um and you know both internally and with the Conservation Commission okay and the next step on that creating that document then is a meeting tomorrow is that corre correct no this has nothing to do with that okay that
engineer is not uh has anything to do with the plans of sing the INR system okay and again I'm sorry Melissa you were you breaking up some then so what what is the name of the document that needs to be created that describes where these pipes would go um the formal application is called a notice of intent I'd be happy to send the board kind of a overview and checklist of things that are required for that um if that makes it any easier for you to look over and determine what your best next steps would be so please do s so thank you and who create who creates the notice of intent typically I would suggest at this point for this project to have an engineer do it um because of the supplemental information that would be needed on that performance standards um for the regulations aspect of it who is the engineer who's talking Who is the engineer and who's talking to this person we do not have one so you guys are going toen I think the town has Engineers correct they don't have an engineering department or do they think they do with DPW okay that' be something to talk to Bill uh I don't know if you can hear that discussion Melissa so I was uh you you'll need to get a PE you know professional engineer I we assume uh a professional engineer Y and to basally uh do the uh um descriptions what is entailed they'll know all the requirements that the uh Conservation Commission would have so it makes it a lot easier um they're probably well versed in that I do not know and again I I don't know what the uh town has for engineering you know professional so do you think I'm just wondering who's working on this next step so do you think right now nobody nobody so do you um you think Bill knows someone to talk
to um yeah the president uh architect Doug Smith so Doug might have a there's plenty of people around so I don't know if the town deal I know the town deals at local like uh bowler engineering up here think they've done work in town I'm sure they have the you know all the engineers on site that could do that so Melissa we did not understand what you just said there oh sorry I think it's just picking up feedback it's just a little loud in my office so I muted myself I'm sorry oh that's all right oh did you have something else to add no Melissa engineers and I'm happy to just a few submit to us um you know I know the tra Committee just Ed bills and Thomas for their Boardwalk project um the town used Park corporations for a lot of their infrastructure work um so there's definitely ones around that are familiar with with the project with the regulations that's sent to us quite frequently so unfortunately Melissa we can't understand you at all I don't know if there's something you can do about your microphone or or whatever but that we don't understand you at all right now okay um is that any better that is way better okay I'm up to my computer um so there are as John mentioned there are a lot of Engineers around the trails Committee just used Beals and Thomas for their Boardwalk project down by the Sudbury Dam um for the bridge project that they're doing to connect to the burs loop trail so they worked with the town recently the town uses par Corporation a lot for their infrastructure projects and they do a
lot of wetlands delineations um you know we do have some exist information from when the public safety building was built in terms of the Wetland delineation that I'd be happy to share that might provide a cost savings um and uh but other than that I think you know there there are plenty around so if you need any recommendations I can't necessarily recommend anyone but I can tell you who submit to us frequently that would be familiar with um the requirements of submitt okay so I guess I'm I'm still just trying to understand who between the management company and the town who's arranging this professional engineer is again it has to be brought up to you know pal to pay for it yes got pay for it that's thing so I can't so I will take the action to contct Max Bill Harrison and Mark purple and ask who's arranging this professional engineer sorry I know it hasn't been discussed yet okay okay I will do that is there anything else on the irrigation project right now that we should discuss actually I'll just this was tough I sent you an email earlier regarding the Cod path which is be coming up I send it to M also that's just a rough sketch from something else U here's the irrigation coming here this is why s yeah down here this is old stuff so it was kind of packed up again is rough so I'll let you keep that b i I thought you I sent it to you also so not that one I didn't see that one I sent to you a different one okay based on just the Cod path uh thank you very much okay uh anything else on the
irrigation fund okay so then I think I I have the action to go off and with Bill Harrison and Mark purple figure out who's arranging the engineer for the no in 10 so I will do that okay moving on um continue effort to minimize waiver golf balls I like that language so the third green and fourth T so last time so Rosemary can you can you hear us Rosemary yep I can hear you just fine okay so maybe your last commentary on this before you leave the committee so where where do you think we are on this right now uh well last time um uh did we approve the November meeting minutes we did right so at that point we had said that we were going to take a look at the three proposals for the third green and fourth T new barrier and we were going to make a decision so how do we do that how do we do that this is this has been so so challenging sorting through the fencing yeah we've got three proposals in front of us two came in at about 10,000 and one came in at about 177,000 excuse me are you sure that it that is for replacement of the fence from seven to behind three I believe I don't I don't think it has anything to do with that area from just confirm that would you please it has everything to do with the the new proposed barrier okay it's not the other ones that we had looked at me and you and I get you those three quotes that's all those three quotes are for a new barrier to replace the existing Franken fence as you call it correct no no no that's a that we haven't even talked about that this is strictly a new fence because I don't think I gave you
those I gave the only thing I provided you for the fence behind three to replace Franken F that's I'm just I just don't recall giving you uh the additional ones I just want to make sure there's no clar yeah so so John um that's that's interesting we're going to have to go back and look at the quotes again and make sure we understand what they're for I I'm pretty sure they were for a netting fence the quotes say netting material I never got that I never got that for netting so I don't know you might have gotten it but I never provideed I just want to make sure that it's not the one I provided you I provided you with three quotes on uh what one green and maybe two black chain fence so um I will forward the three quotes to everyone in attendance well no I'll for the three quotes to the board and the board can take a look at each one and then we can Circle up and make sure that we understand what the quotes are for and move forward but all along the agenda has always talked about a new barrier not replacing the Franken fence we haven't even touched that yet I just want to make sure that that you're clear that you okay that's that's all I just don't want to see you vote on something that's inaccurate yeah no that's no absolutely thank you for bringing it up y um and then uh as far as the seventh Fairway is concerned Tony uh after a lot of debate during the November meeting you had taken a ride over to collect your thoughts and try to figure out with a a new eye on the problem uh or a renewed eye on the on the problem um that's where we left that we hadn't come to any decision we don't have any quotes we are still very much trying to figure out a path
forward yes so that that one I do recall that that that clearly I did go over there and look once again I do want to talk to I'm think I want to go schedule a chat with Mark purple to talk about this a little B and see if the town has an opinion of how they want to proceed with the seventh Fair the seventh Fairway because that's just you know there don't appear to be any really good options um short of more fundamentally trying to change the hole um and and then that comes with complications so I will take the action to chat with Mark purple about this a little bit so when we when we next meet maybe I will have some feedback from the town about what we might want to do okay sounds good discuss for planting more trees May taking the trees up on talking lot and yeah a different yeah I mean right so that's right more trees or more fencing or or move the green or move the tea box or do everything right I mean so so that so I think that's just a much more complicated topic so we're going to be talking about that one for a while whereas I feel like we're close to um uh being able to make a decision about the fencing behind the third green um and so Rosemary thank you for sending out those three quotes if you could send them to John also um and then at our uh next meeting hopefully we can make a decision on those I might might you be a able to attend one more meeting Rosemary but just as an attendee uh sure I can dial in remote sure okay that would be great if you could do that just to be part of this conversation so and hopefully at the next meeting then we can make a decision about that so we'll we'll come back to that um we'll come back to scheduling the nice meet okay um anything else about fencing right
now are there any other updates or general topics we want to discuss today so there were a couple of other um Improvement planning projects being talked about the the t refurbishment uh I'm sorry the first whole cart path was going to get paved I don't know if John has an update on that yeah I do um I looked at the uh I did some measurements uh I just sent you an email I thought I was going to be able to make a good copy um I sent you an email uh with uh a propos and I sent it to Melissa also just so she's got a heads up on it I just sent her at this meeting um and um I probably say uh you know over time um because everything has to be within three months all the quotes and when it would get done I just need to a the you know the appropriate money is going to be about 320 feet approximately by six F feet and the reasoning for it is that with the heavy rains that we had uh last season not this past season but 23 a lot of that uh aggregate is washed downhill and holding on to material similar to what happened on three that's one of the reasons why we uh asphalted three last season uh and has really gone out into the Fairway and my uh I would say that a good figure might be $225,000 and the last time it it cost 19 I think what we uh it is approximately the same type of uh project very similar uh but that was again was going to be over two year and a half difference year you know with quotes and stuff like that so I think if you approve something in the area of $25,000 probably get it done in the spring uh which case I'll get once I get the approval I'll get the uh posts from contractors okay and it's pretty
straightforward it's straight again that's go through Melissa first she has to get the permission as we did on previous cth uh which case she do that that was done by an engineer so okay well if you can keep us up to date on that and we'll keep that on our agenda then um uh when would you be able to uh again uh would you recommend this project and could you recommend it today that so we get things in motion uh you know put ceiling on it $25,000 or and bring it to the to because I think they need that first think in the past we've had to go to the select board meeting to get correct get approval for the 25k once we have that then you can proceed but could you just make a recommendation I think it's a worthwhile thing I think it's quite obvious golfers should play there yeah so any discussion from the board members here about no so do we just we when they have a meeting we correct presented right but if you have a in the past is we we recommend projects that these you know that the management company can pursue but the select board and has to sign off on all of that this would be us giving our opinion for up to $25,000 to build a new card P so that could just be our simple recommendation but then the select board has has to approve it based on all the details that the management company would come up with so that's a good question I think we do I think we do weend a lot of money came in last year I think you better spend it yeah say you don't want to hold it too long because you don't ever know what's gonna happen because the fisc year ends in yeah 30th right yeah so we want to you have the funds for this and the pets those are our two I believe you do and aration because I anything been appropriated for the past Cisco year correct no I don't think he any recommendation what he basically said yeah what what was the sand traps sand TR Bas uh was the year before was the
last disc okay so that was before we did that Paving on yeah and what about the paving on three that was that was previous that that was in previous fiscal year okay make them not here CU all that got approved prior you know three four months prior okay and that was much and then Al so how about the uh tea refurbishment tea refurbishment I have uh got some quotes um there and uh we recommend a group of t's on uh pole three the T complex is there both back and front forward um on five we recommend um each each T be well each of the two T's existing T's be redone and which case it add an additional t uh the reason for that is that as you know you know it's uh we guess uh you know we're forecasting 20 to 30,000 rounds next year we had 27,000 this year I believe the final number was thereabouts I don't know if you have that number to confirm um so that that's a lot of play for a course that used to handle 12,000 and that's what this yeah course has really set up um and you know just to give you some reference uh we also there's another our golf course in the area that just did the same thing they enlarged their's and I was there in which case uh the first comments out everybody who saw it said wow this looks like a golf course now because the te's were just too small they couldn't hold up and that's basically what we have here uh it's it's grown out of its you know existing condition existing structure curious why why those why those tea boxes why those tea because those are uh the ones that are in most
you know we've already done six and seven they've already been redone right you know one has been redone nine has been redone we had it there so we're just added we're just continuing on improving and there's only a few more about two the worst uh two again is going to be within uh it's going to be long process eight like and uh so we have five um and then the back te on eight uh to be pulled forward only because of all the tree lines there and it's just it's so high and so they are very small yeah um and we propose bringing the forward a little bit um and then you know the uh you know basically you have a poster stamp for the 4 te yeah which is basically every te's off in the same spot at the middle it's square feet um so why an additional te on five just because of way our customers actually play the course A lot of them will move up to the gold te's uh we have three sets of T markers and it just gives you more to deal with uh the existing key is uh in the rear is in a tough growing environment and the number of rounds on it makes it very tough we just can't keep up with uh by you know resurfacing it releveling it uh and adding an additional T in the front ease that need for that right but you wouldn't eliminate it because I think a lot of the absolutely not a lot of the some you know a lot of the right and and we're not talk like the challenge of it yeah and and like right now I believe the back te is approximately 1,800 square feet which case we're recommending um actually not even, 1800 excuse me say that's less than 1200 so we think that if we enlarge that to uh actually got make sure I get F right actually I don't have it's going to be a
rebuild on five I do not have the existing uh but we're looking into be basically using what's there because we can't go out into the woods and using existing tree lines there's a lot there because we can't take down trees without going through a process um and so I believe that you know there are some trees there that I will be getting I bestest for a not cultures but a tree expert and take a look at them there are some trees that need to come down and which case have be identified um and some that we can you know thin out you know try to make the environment a little better for the own but by adding by pulling that out and putting in another te is going to be beneficial to everybody I think'll be a great see that you're going to add it between the two current it's going to basically right in front to the left of the existing fifth okay I've already had an architect out there take a look at it again that's going to obviously you have to draw Plants and bring them on board to you know again that's something that should probably approve as an architect to maybe approve looking at these teeths which they already did gave me the rough we already looked at it you know uh I just brought them over here from another project um just take a look at it and you know give me a rough ESS so I could have these numbers for you what what do you have that rough estimate um I'm guessing $85,000 to do all three complexes um again that's uh you know whether we do it all at once Pro proove it all at once or do it you know one at a time one in the spring one in the fall you know again um I think eight probably easiest I believe and I I'm not too sure list my fa to know is that there's already a envelope there from the construction we had already proposed a team which case I don't know if that's still that envelope makes it less of a issue because um uh and I don't know the ramifications day I have't brought I brought any of
this to anybody yet so as far as you know talking to talking to SG you know svtc stuff so so you know that's a pretty interesting conversation um and then obviously a lot of this will come down to budget corre and so maybe I would recommend that I will go I will work with Mark purple and find out how much money we have available okay so that we because we have a number of things that we're talking about spending money on now true fencing but if you just get approval then so I think you should keep going down this path John but it's going to come down to us being able to actually allocate funds between different projects oh I understand I understand it again if again do you support this ispace so we support it I think we we support it I think the question will be uh how many T boxes can be tackled in 20125 yeah because of budget I think that's going I think that's going to be the only question you just want make sure have this money things AR you know there are a lot of you know so the irrigation project um kinding uh T boxes maybe signs right there's a lot of things we're talking about spending money on and we're going to have to allocate funds here when we have a little bit more detail um so let me go find out I will find out from Mark purple how what is the fund status right now in that the golf course revolving fund um and then at our next meeting we can talk a little bit more about so how do we want to allocate it as a recommendation of the select board um Can least know then obviously again you still have to get you know golf course architect first boxes yeah yeah so again that's something that you know the first thing would you short mine um let me talk to Mark purple about what the funding status is since I have no idea how much money is in the revolving fund at this point it may not
be as much as we think but he gives us Revenue numbers we don't that's gross right that's gross yeah that's not the money yeah no I I will ask so how much literally the question is how much money is in the revolving fund today right um because some of some money was also earmarked for the irrigation system some money was going to be taken from the revolving fund I think it was 50,000 I could be wrong about that but I think 50,000 was going to be taken from the revolving fund yeah to put into the irrigation project I don't know if that money's been taken out already so we just need to reconcile so how much money is available after the irrigation system in the revolving fund to work on further projects in 2025 so I'll come up I'll get an accounting from Mark and then we can all talk about that in our next week I suspect we won't have enough money to do all of these things oh no I know I don't it's just that you just want to have it ear Mark have it approved that have your you know basically your Bless yeah and then when the money comes up the town will say yep now we have the money let's let's certainly I think we all agree again that t-box improvements make a lot of sense now I think we have to figure out so how much money do we have okay all right um that was very helpful uh one other topic then on the agenda or on on the minutes from last time you could talk again about just the autobond project I continue to have email exchanges with Freddy gesp on this nothing concrete yet to for us to work on so maybe at the next meeting there'll be something more concrete for us to talk about from the a point of view okay and I think we should carry forward this question of signs to the next meeting um something else that can debate what we how much money do we want to spend on signs um actually we uh wanted to talk about adding something to the scorecard because um Bill Harrison
said he was going to be putting in a new order soon and now is the time to make that decision okay thank you for that reminder so that's right I think simply a statement about be kind to uh staff neighbors and fellow golfers um something something simple but just something prominent on our otherwise very um minimal scorecard that's right and you sent a scorecard which I was looking at earlier where's the score card I have the score card on my screen uh I don't you guys so let's uh right let's just debate I I will type some language here let's let's debate some language that we think we want to add to those spard um and I will pass that along to Bill Harrison be considerate so let be respect be respectful be considered responsibility uh so this was all so let's talk about this a little bit this was motivated by uh concerns about balls leaving the course right language oh it was language language that people were using while standing while putting I think or something uh okay it's it's time to off and not swear oh you're looking at the you're
