There's been some decisions that have been made and lots of discussions that have been happening. So I'm gonna turn it over to our staff to give us a status report on where we are.

Good afternoon, committee members and committee and committee and members of the committee. I wanted to provide you guys with an update on what happened at the last council meeting. Some of you may have stayed and watched until I think it was one in the morning that we went to discuss remember. Yeah. We can't remember. Okay. But wanted to provide you guys an update on where we're at. Oh, and then I need to share my screen.

So our agenda tonight is just a recap of where we the last council direction from the from the council and then an update on or kind of a group breakout group session on a couple items that we do need input from the committee tonight. So as I mentioned, the the newest update is that we have received some direction from council. And what is that direction? So this is what I believe we shared this table with the committee at the last EDMC meeting, and it's the type of event, the type of the number of the attendance that we anticipate for the event, the the locate the possible locations, and then the time frames. So with the watch parties, we will be focusing on the FIFA sporting or the FIFA matches for the watch parties.

The community concert, we're looking at April or July 2026. The night markets, we are looking at we could begin activating the space January 2026 with the outdoor plaza creation being completed in possibly March. And then with an event at the stadium, which we have a couple updates for the committee tonight on the event stadium, and then the Stem Bowl, we are still moving forward with the April 19 date for that event. Okay. So before I get into the the the budget, one of the things that the council provided direction on was that sponsorships are gonna be critical part in moving forward with any of the events and or activations.

The goal is to have the net cost to the city be approximately $1,000,000, and one of the things that we will be going, into tonight will be the the draft sponsorship packages. And so we're looking at corporate sponsorships as well as leveraging resources that we have to to provide some of those events, including activating the 900 Plaza with some of the summer concert series that we already have programmed and relocating them to that space. And then as you guys have provided input and we've heard from other community members that there's a strong community interest in a stadium event, which is the most significant and costly activation. And so we are gonna be doing targeted sponsorship opportunities for that event. So these this is a very macro level cost of the events.

We are continuing to work internally to refine these budget amounts, but this is what was taken to the city council. So watch parties and sports experience range between 115, 375. Obviously, it depends on where the events are held. If it's held outside, it requires more resources to be brought to, like, a park facility, or we partner with existing facility like a stadium that already has some of that infrastructure, the cost can go down. The live music or performance, which would be, like, the community concert can range between $2.35 and $4.80.

This really depends on the caliber of the artist that we would like to bring to the concert. Obviously, if we want, you know, a Taylor Swift or Bad Bunny, that would be a little bit more costly. Not those exact, but different calibers opposed to, you know, a a community group. Night markets and festivals, so this is the cost that we, the staff, anticipate would would we'd have to invest into activating or creating that outdoor space at 900 Lafayette. And then the and creating those the the stage, the seating areas, and then areas or space for food trucks to go.

So this is what that cost would go towards. The Stem Bowl, we anticipate a 125 to 210,000. We are looking at hosting this event at the convention center. Like I said, we already have the date confirmed for April 19 and moving forward. The event was very successful in the in 2016 that if we want it to grow any further, we need to expand the footprint, and that's why we're taking it to the convention center.

And then lastly, the stadium community event. And so because of the logistics of opening up the stadium, this is one of the more it is the most costly event that we are proposing, or we did propose, and it ranges between 145 to 1,200,000.0. And that's just there are certain costs that just opening up the facility, we're gonna have to, you know, cover. And so that is between 1 and and 2,700,000.0 just for the events. Next is the activations.

So the mission shines. This is the business lighting campaign where we could light up different buildings, either private or city facilities with lights depending on the whether it's towards the mission meets the moment campaign or depending on the type of event that we're hosting if we wanna pair it with maybe the the countries that are playing at the stadium. So this would be partnering with different businesses to light up their buildings. Quarter art, this is something that we've been working with Trent Museum in bringing in an artist, a local or not a local artist, but an artist that has worked with the city before to bring a quarter art, which would be different or four installations of sports legends that are from Santa Clara to highlight them and and and bring awareness about our own local legends. And we're we believe it's gonna range between 20 to 50,000.

And as I mentioned, it'd be four installations or four different art pieces as part of this. The aerial slogan display, which is the one that we're hoping to put on the landfill, and it would have the biggest visual impact where it would have the 26 Santa Clara mark, and that would not only be visible to residents in the community, but hopefully people flying in and out of our or above Santa Clara. And then lastly, the community art project, and this is something that we're hoping that could be at multiple events, and it would be something where it would be a series. And so at each event, it would be one I don't know if that's correct term, installation. And then at the end of of the year throughout the campaign, it would be a series of different murals that would be a convolution from those from community members contributing to those murals, whether it's at the stadium event, at the 900 Lafayette or outdoor plaza activation, at the concert, and so it would it would build up to various a series of different murals.

And so we're anticipating February that this these would cost, which would bring the total between 1.2 to 2,900,000.0 in anticipated cost. As I mentioned, we're still working now that we've gotten, you know, direction from council, we're moving forward. But in in two parallel lines, we are going to be moving forward in getting sponsorships and moving forward with refining these budget numbers. So some of the milestones. The activations are now taking place now through July 2026.

The events themselves will be taking place between Super Bowl and FIFA, which we've March and July. The slogan and logo campaign plus merchandise will be now through December 2026, so you guys will be able to be buying merch all next year. And then some important dates that we wanted to share. December 5 is the big FIFA announcement of the group, so that's when all of the host cities will know what teams are gonna be playing in their stadiums. December 6 is sixty days to Super Bowl sixty, so we're fast approaching Super Bowl.

December 11, NFL Super Bowl decor will be released, and then March 30 03/03/2026 is a hundred days to the FIFA World Cup. Very fast approaching. So upcoming priorities. Staff is continuing to work on the sponsorship package that we hope that we can get some feedback from you guys tonight and the budget, as I mentioned, refining those numbers for these events. Engaging a producer for the for the events, we're gonna need a lot of help to put these events together.

And so we have already received the bid packages for the producer, and now staff's reviewing them internally so that we can get them on board. We are moving forward with engaging a signed company or moving forward with the aerial art display. Our goal is to have it up for the December 5, but there's some issues that need to get resolved that we are working through. And then we are implementing the branding campaign, which is including banners, swag, and merchandise regarding the where the mission meets the moment campaign. And then we are continuing to work with our partners for event dates and logistics.

As I mentioned, we have some updates. The stadium event, we are looking at a possible date to have an stadium event at the March or sorry, February, early March. And so we will be discussing, you know, what kind of event that looks like later in this meeting. We are still moving forward with different events. So the FIFA clock down clock rotation campaign is still that clock is still moving around the city.

It's currently at Santa Clara University. So if you guys wanna go check it out, it's there. As we mentioned, April 5 is kind of a big day, so we're trying to get the aerial slogan up. We're also gonna be holding the holiday tree lighting. And on December 11, we're doing a partnership with Telemundo to Momento to Jugada, where the city is gonna be doing a soccer clinic at the youth soccer park by the stadium.

So the direction that council provided was we are prioritizing the development implementation of the five community events and the four art activations that we discussed. We are going to take this necessary steps to proceed with the aerial art project, and they provided us $1,000,000 in funding. So this is seed money. Thank you. And so as I mentioned, we anticipate the overall cost of the events going up to almost 3,000,000, and so there's $2,000,000 that we are gonna be striving to fund through sponsorships.

And so that's a a big a critical task that we have to move forward with. Next, authorize the city manager to execute agreements to so that we can move forward with that seed money. And then the other critical follow-up item is the council directed the city manager to develop the sponsorship packages and provide council with an update, the first meeting in January 2026. So for tonight, the committee meeting, we wanted to get your feedback on the type of stadium event that we would like to host. As I mentioned, we're looking at February and early March, and so what what kind of event does that look like?

And then we are gonna be handing out the sponsorship packages, and then if you guys can provide some feedback on that. Like I mentioned, $1,000,000 in seed funding, we need to bridge that $2,000,000 gap with sponsorship. So this is gonna be very critical for us moving forward to help garner that that deficit that we need. I know that there's other opportunities. There's talk about the contract with Outfront where I think there's a number being raised out there, like, maybe half 1,000,000 that will be generated through that, but we are looking to maximize our opportunities through the sponsorship so that we can ensure we are able to provide the full range of events that this committee has recommended for 2026 community engagement.

I have a couple of questions. One, to define the cost for some of these events, for instance, can we look at we have con like, concerts with live acts. And we look at the cost of concerts with DJs instead of live acts because I think that'll dramatically cut down the security costs at some of the existing events we have, like the Arts and Wine Festival and the Tree Lighting Ceremony and the Spooktacular, whatever we do in Santa Clara, to give us an idea of what those types of costs are at the Parade of Champions just so we know. Because I I saw some of those costs, they look really, really high. And then one thing I was looking at today for stadium events, in our lease agreements with the stadium authority and the 40 niners, there's a provision in there for civic events at the stadium.

And so there's civic events and meeting spaces, and we haven't done any of those in eleven years. But it says that the civic events are to be paid by the stadium authority. So when you talk about raising money, that might be our option for the stadium event. And I have the actual I'll give you the provision of the lease of the lease agreement. We've never had an event at the stadium. So so we this would be our first event at the stadium, but it should be paid for by the stadium authority because it's there's a provision for it. And I thought it came from the discretionary fund, but I wasn't sure. So I'm wondering if you can look into that. So we don't have to raise that kind of money because that would take our entire budget to do that. So those are those are my comments and questions. Javier?

So actually, Mary, you, actually asked the question that we were asking. So our business members brought this up that, I guess in the past, not sure who might have been here except for, the mayor. But, before twenty sixteen Super Bowl, the feedback we got was there some kind of opportunities that either businesses or residents got to experience the Levi's Stadium prior to Super Bowl. I'm not sure if that's true or not, but I think they were saying it's a great way to create a sense of engagement with the community, get them excited. And I think that ties into the mayor's question about what kind of access do we have to that space even if it is simple mixers to get them excited.

But we'd love to know that because there are a lot of businesses interested in either partnering or at least getting people excited to be able to offer, you know, other discounts or things, but they were just thinking more of it as a way to get the excitement engagement going over the community.

One thing I was looking at too is to ask the chamber to help us with fundraising for all your businesses that you have, because I know, like, the San Jose chamber is helping their fundraise for their events in San Jose, and San Francisco is doing the same. So we're gonna look to your chamber as well to help us fundraise. And maybe they fundraise, they come to a specific event at the stadium, you know, as a thank you for the fundraising or something like maybe we can do something like that.

It's a great suggestion. Second question was regarding the timing of this. Is there a reason it is in February versus the July after all the major sporting events?

Like, a closing ceremony? Limited because of the the events themselves. They they have to set up and tear down, and that extends the time of usage of the stadium. So that's the first date that we have. We can continue to ask if there's an availability in July, but we have a date that we on the table right now, and so that's why we wanted to bring it to the committee.

For instance, if we had the youth cup, the soccer cup, you know, they could be at soccer park and then at stadium, and then they'll change the field after. Yeah. Just a comment about the stadium availability. My understanding is the NFL is gonna take over the stadium right after the 49ers season's over, they'll have it in lockdown. That's what they did ten years ago. So and then also as far as the event, if it's in February closer as close to the Super Bowl as possible, that could be an opportunity to still have the Super Bowl field in you know, intact with all the logos and everything. So that could be an advantage to to have that as a highlight.

And now that you have some dates lined up for things, are you gonna be able to or can you get those events in front of the Bay Area host committee or whoever you need to so that there's some visibility on all of this. And the second is for fundraising, why don't you just go to NVIDIA and pay for everything? This guy.

Just in mind, I guess, concern is that it is in late February, early March, and the weather surrounding that. So and then I'm gonna be walking around and handing out the sponsorship the draft of the sponsorship packages, if you guys can go through that. And as you're thinking about the stadium event, if we could also think of ways that we could leverage that event to help with the sponsorships. So that's it for me.

So I was just curious if we're, you know, reaching out to these other organizations in the community who are also great with providing volunteers and financial support. There's that.

Can we use the excess funds to either reduce what the city is paying or to move it into another less sponsored event?

I know there's the designated, donation kind of, requirements, and is that gonna apply to all of these donations, Or is it just, in general, people are going to be contributing with sponsorship recognition opportunities?

But I think one thing that I saw, unless I missed it in the sponsorship package, was in the past, we've had sponsorships where an organization or an individual can sponsor is like a major sponsor, and then their name is on every event, you know, every, you know, every event. So or they can decide to sponsor a particular event. But I think what's missing is the overall sponsorship.

Thank you. So we were focused on the stadium event. That was the bulk of our discussion. The thing that some of the questions we brought up were just about what the goal of the event is, what kind of ROI we're looking for. It doesn't have to be monetary.

And what's the purpose of the event, and how can those be guiding principles to help us figure out what we might do? We talked about the timing of it and how weather would be a a factor, and then also possible partners that could help offset costs and also help with attracting visitors to the event, whether that's celebrities or, you know, even if there's a partnership with the 49ers alumni, something like that that could help draw people to the to the event. One idea was if we do a movie night, not just show a movie, but also have maybe some music along with that that plays music from the soundtrack and also one of the lead actors from the movie. So to be something unique, something special, something different than what other places are doing or have done. Yeah.

And then there were some bands mentioned, so we have some ideas around that. And another idea could be even having a festival at the stadium, something kind of like Art and Wine Festival Light, depending on the timing of that. And let's see. Fireworks as well could be a possibility at the stadium.

One was the sponsorship package, and we were wondering whether or not there would be consideration to add another level that would give the community the ability to be sponsors as well. Like, if we did say, like, a copper sponsorship, for instance, below the silver sponsorship, that would enable people to donate, like, a thousand dollars sponsorship, maybe up to $2,500. And that would be a great way for people to get involved and have their name in lights and be a part of everything that's going on. So it might be a great incentive for the community.

Another thought was about a 5 k as a community event. It probably wouldn't generate 15,000 people, but it would definitely get some people out of the stadium, and it would be a good weatherproof option because that time of year weather is definitely tricky. And then these proceeds could go towards the sponsorships for the events. And then regarding the night markets, once we know who the different countries are that are going to be participating, have restaurants that are geared towards those countries participating in the night markets. One thing just to add is that once once they draw the teams on December 5, we'll know as far as watch parties and things of that sort. Right? We'll know are what games do we wanna host? If we're hosting three, are they all of USA games? Or do we look into our diverse cultural community here and then pick games that we know the vibrant communities want to attend?

And then you'll find that when you name what teams you're showing, a lot of these different groups will come out of the woodwork, so to speak. And some are corporate groups who allocate x amount of funds to promote whatever community it might be, or just these pockets that we have here of Portuguese, Italian, Korean, etcetera. I think that's a a good thing. So I'm looking toward those events like the watch parties and the and the the night and food festivals and things, I think once we have a clear idea of what what demographic we're going after, I think there's a lot of ways that we can pursue that.
