Okay, so the. Next. I am a businesses minutes approval minute 3.1 minutes approval recommendation approved in a 20. minutes or 20 are there any. Corrections or changes to the. minutes.

3:15 – 3:50Speaker 8

I seem to recall there was some discussion about some subcommittees and future work, but I think that was probably all part of the work plan. And I think we have on tonight's agenda to see the changes from the work plan. So I think otherwise that matches my memory. That's a motion. I move to approve the minutes. Senator Fenwick. To approve the minutes from May 26th.

3:50Speaker 6

Do I have a second?

3:54Speaker 4

I have a second, Josh. Okay.

Our next order of this year is number four, oral communications from the public. This portion of the meeting is reserved for persons wishing to address the committee on any matter not on the agenda. Speakers are limited to three minutes. State law prohibits the committee from acting on non-agenda items. Do we have any comments from members of the public? Any online hands raised? Okay, there being no comments, we'll move along to Number five new business 5.1 Performing Arts Committee Fiscal Year 2026-27 Work Plan Draft Recommendation Review and Approved Fiscal Year 2026-27 Performing Arts Committee Work Plan to be forwarded to the City Council for approval. The work plan is attached. Any comments on the revised work plan?

5:27 – 5:45Speaker 7

I just wanted to bring it back to the group, for those of Valerie who mentioned there was a lot of conversation about some of the ad hoc committees and various things. We want to make sure that everything got factored. We have four ongoing work items, and we have four continuing and new work.

5:50 – 6:04Speaker 6

OK, on page two, under 26, 27, community connections under milestones that we should be participate in community.

6:06 – 6:20Speaker 1

I wasn't here for this last meeting. If you have a reason for to participate in the neighborhood community, what was the rationale behind participating in the neighborhood community meetings? Then who is doing that?

6:22 – 7:28Speaker 8

I think the who would be members as they arise. Staff would let us know. Someone from Mountain View, Teresa, would let us know when they're coming up. And I had, I think I suggested that because it's an ongoing regular event as a way for us to make awareness about the Performing Arts Center and also this committee in front of the neighborhoods where we don't have to As a committee, as Teresa or anyone else from city council, to put on a special event for us. It's something we can ride on the coattails of that someone else is organizing. And when I was on BPAC, we would often send a member there to talk about some of the extreme effects. And I went to the committee, and it was pretty low effort for myself as a committee member. I just rotated around, and the city has already written all the setups. And invites to the new. That was, I think we, as a committee, we were open for other things. It just seemed like a easy start. Okay.

7:29Speaker 6

So did you notify the city beforehand that you were coming? Because they generally have speakers and whatever.

7:35 – 8:21Speaker 8

We were, so we were invited by our staff, which is, wouldn't be the director of a football team. transportation and we would sit at a table we didn't speak and then after the council members speak the college representative speaks and a couple of people speak then you're kind of there to answer there's like open q a and there's really some answer and then you also sit at a table okay i have to confess i haven't been to very many and it was so it was pretty low effort and opportunity to put some of those beautiful flyers that we make on the table and talk to people about what's coming up at the center and the work we do in the committee.

8:22Speaker 6

Well, I'm all about it. I mean, I passed off flyers in my bank the last 10 minutes.

8:28 – 8:42Speaker 8

But that was, yes, it was coordinated by the city so that the whole committee doesn't show up. Right. We don't break the act. It's like, hey, we already have too many people at table. It's not going to work this time.

8:43Speaker 5

know that better than we did in the local community. Absolutely.

8:47Speaker 8

So that was just as a lightweight get started community outreach.

8:55 – 10:04Speaker 1

And then I see that we still have the Art and Wine Festival on here as well. Just a comment on just thinking about history of we haven't We've attempted to do it for, I think, three years now and have not. And I'm kind of curious also as we move forward on initiatives to the leverage that they will produce. I understand doing the RNY and I understand going to increasing community connections, but... I mean, we can keep on saying that we'll review art and wine. We will review art and wine. I'm kind of curious if we will actually, we should continue to put it on our work plan if we have not done it after three years. I don't think we've come up with an idea either. I don't think we've come up with a next step other than we want to. So it's kind of just a discussion that we haven't. But we haven't also quite located our overall benefit in community connections that we would like to cultivate more deeply. So that's just kind of the thought as we're talking about community connections as well.

10:04 – 10:16Speaker 4

I didn't realize that this has been three years of that action item. Time flies. Well, I haven't been here three years. I only saw it one year, so this is the second year.

10:16 – 10:55Speaker 1

We just had it for a while. When we get to the community connection things, we tend to have a lot of... great ideas and we approach them. But on the end of actually seeing them to fruition, we haven't quite found our mouthpiece yet in the city is the thing that I'm thinking here. And it's also the difference of we can go out to the community and have Just analyzing our approach. I see the participating in community meetings, neighborhood meetings, as we are pushing ourselves out. And also, are we pulling people into the committee as well? The date and time and things like that is kind of the interesting thing.

10:55Speaker 5

So doing a multi-pronged approach as well as we're talking about increased community connections.

11:00 – 11:15Speaker 1

So kind of a second order question, not just, you know, what is increased community connections and how are we going to do that? We have a series of first order questions. titles and descriptions here and not quite a second order there. So just kind of an internal kind of question for how we are constructing this.

11:19Speaker 6

Well, I suppose the only way to move forward at it is to have a subcommittee. Well, we created an ad hoc committee last year.

11:26 – 11:47Speaker 8

Right, but who was on that committee? It was me and Antara. Oh, that's right. But I wasn't able to make it to the festival, so it was not a great observation opportunity, and I Based on our schedule, there wasn't a good way to hand off for another person.

11:47Speaker 6

I mean, that's fine. I mean, are we keeping the same subcommittee or do we want to next time do a new subcommittee?

11:53 – 12:46Speaker 1

I think also providing the subcommittee with a greater objective. That's what I'm saying. I think we just need a slightly more honed objective for the community connections. But I think we all agree because, I mean, we keep on putting it on our work plan. So it's a good idea. I'm just asking if we are going to create an ad hoc committee, what specifically, what objective are we providing them essentially in all the things that we... Same thing with the... community neighborhood meetings what what objectives do we go with beyond the idea of like the center exists come join you know so that's my thought how do we make it engaging and and relevant for us to be there just beyond moving as an extension of the building you know well it sounds like you're suggesting a community connections committee as opposed to perhaps one targeted just for one event yeah we could do it that way too we could also discuss it now well i feel like um

12:48 – 13:16Speaker 4

I mean, especially hearing after what you said about the art and wine festival that it doesn't make sense to just do observations. I feel like we've all been to the art and wine festival in the last three years. It would be more effective if we decide let's actually sit down in a room with whoever people from the city are for the art and wine festival. The chamber. The chamber, okay. And then be like, hey, what can we do? Like actually have that discussion as opposed to us.

13:16Speaker 7

So I already had that discussion. And basically what I get told is you have a building that's in the middle of the art and wine festival.

13:22 – 13:43Speaker 4

So there's something there. Like open up the building and present something. So it becomes a restroom. Well, it becomes a restroom. But when they say... open up the building, does it mean like hold an event there? So we don't really know what we want either then. We don't want it to be a bathroom, we know that.

13:43 – 13:54Speaker 1

Well, we know the first order of like, we know that something with community presence and a large crowd sounds like, oh, that sounds like a good idea. But then we can't quite figure out the detail in that.

13:55 – 14:30Speaker 7

Right. And the problem with the Art and Wine Festival is that the stage, as you see right now, is right at our front yard so yeah it's it doesn't it's not conducive for us to have something inside the building yeah it's just in competition with art and wine festival and what i'll say is it's a big enough event there's very few clients that we have that can compete with that so right it's we try and we take it off as a primary as a primary day yeah yeah i've only got one client that can compete with and even if we were to like ask someone to put on like

14:31Speaker 8

Any shows, it's just there's already the band and all that stuff. So there's, again, also can't compete.

14:37 – 15:00Speaker 1

Yeah. Maybe that we're trying to juggle also the staff, the labor required to do such an event. And so it's kind of from, for us to make an informed decision, I think the question also is from the staff and labor side of hosting something, what would be an appropriate course, just to say that one limitation in our decision-making, what would be, from your perspective on staff, what would be something appropriate

15:01 – 15:54Speaker 7

feasible at a staff level just for the art and wine i think is a question and then we'll take this into our strategic like how to i i think it's how do i say this it's one of those large you know the festival is just bigger than the whole downtown and and us as a as a center and then we end up being a bit of a backdrop to it which is fine um But I think if you're going to participate in the festival, then you need to be out in the festival as a vendor, which costs. But if that's what the committee agrees to, then that goes in the budget. That's just a request. But I think trying to do something at the center when it's really a canvas backdrop to the band and everything else that's going on becomes problematic.

15:55 – 16:53Speaker 4

I don't know when one is supposed to discuss this, but I would love to see if this is on our agenda, on our real plan, if we can make an agenda item of it where we sit and discuss what is it really that we want. I feel like that's where I have the lack of clarity on what we're trying to achieve with this and the festival. We don't want to be a public bathroom. We don't want to have a competing... event but we want people to know that we exist so does that mean making a booth and you know it probably won't happen for this year obviously because it's tomorrow tomorrow but um i'd love to make an agenda item of it and be like okay if we were to have a booth what are we achieving with that like are we having a raffle people can sign up for our mailing list and then you know you get two free tickets if your name is selected you know like what's the purpose um

16:56 – 17:13Speaker 7

So rather than having an ad hoc committee meeting, have it as agenda item so that the whole group can talk about it and figure out as a group, like what the direction maybe that the ad hoc committee would have been. If we need a person. Yeah. Yeah. I would like that. Yeah. Okay.

17:13 – 18:43Speaker 1

Now, additionally, so because we're using the art and wine example right now, since it's about the work plan as just a general example about increased community connection. One thing I think that would that this is your line of thought is making me think on is if we were to have just a hypothetical one as a So if we had a booth and we were picturing a booth, what audience are we trying to appeal to? The general, because this also helps with when we say community connections, do we have domains of audiences of who are we addressing? Who do we wish to speak to? And we can say all audiences. But when we say all, what do we mean by all? So that's a thought too, because are we talking general public? When we were talking about the chamber, that's people who mediate the general public. So at what levels are we trying to articulate might also help clarify our work plan. So just kind of like posing to the committee while we're thinking about VR and Wine as an example, when we say we would want all community or like come in contact, who specifically are we targeting right now? And to what purpose is the thing that follows? Because we can bring people in and say, couple things too just to i know sorry a lot of different parts to hold here but we can say we are a committee come join this committee um see our meetings or we can also say we are the performing arts center come to the performing arts center which are different messages so that's kind of just want to float these different thoughts and start separating them i assumed we were doing the latter but Who was the latter again?

18:44Speaker 4

That we're trying to get people to come to the center as opposed to the committee.

18:47Speaker 1

That's one thought, yeah.

18:48Speaker 4

Because I feel like people who are walking in a festival aren't necessarily like in the mindset of become a volunteer on a long-term basis.

18:57Speaker 1

But also broadly for the work plan as well, though, is the thought, too.

19:02 – 19:40Speaker 6

Right. Yeah, yeah. Well, I'm hearing a lot on the news during our polarized time. People saying, well, both can be true. You know, those are both, you know, worthwhile messages to deliver. You just read your audience, I guess. And I would say that who to target, it would be a younger demographic. And what we learned when we did the resident company review is a younger demographic is like 40 and up instead of some of her. It's true.

19:40Speaker 4

40 and up is considered younger?

19:43Speaker 7

As opposed to who's going for the majority of the performances for the audience.

19:49Speaker 4

Remember Come From Away? Oh, yes. I was one of the youngers in the audience.

19:53Speaker 6

Well, there you go.

19:55 – 20:20Speaker 4

get more people like you right more youngins like me young spring chickens i'm actually getting like eight kids or something to go to uit's show tomorrow with me so yeah six guys yeah yeah one of my girls one of my students is performing i just rallied all of the students i was like let's go support her

20:25 – 20:50Speaker 1

I see three messages actually that are coming about so I see come to the center message the younger demographics might be a message in and of itself that might be its own setting place project and then come to the committee is another messaging that we're doing just to kind of extrapolate so and then I don't know do other people have thoughts also on audience again messaging and then who we're directing the messaging at

20:52Speaker 7

Are we bringing this back? Yes, we are.

20:55Speaker 1

But the question is also for the work plan, how we want it to, that's what I was wondering. Are we set on this work plan or are we going to augment?

21:01 – 21:53Speaker 8

I'd say it's our second time seeing it and I think it's vague enough that I think we've already kind of given feedback that we'd like to see it as an agenda item. Obviously, like, we're not meeting again until August, right? So, it'll be more... But we can have a broader discussion about right now on the agenda item here is to discuss the work, like if we agree with work on the work plan. To dig in for those questions, which I think are super important, like who are we targeting? That sounds like an agenda item that we should. The other problem of attracting people to come and give our committee and give us input, maybe they would be, you know, we can do, I don't know, something. Right. People to come and give us input on what they think would be viable.

21:56Speaker 8

It sounds to me like just a slight adjustment for this work.

22:00 – 22:18Speaker 1

And then the thing I would say is that I don't, under increased community connections, I don't see review Mountain View Art and Wine and review of Make Music Day as independent from item two. I can see how, but I do see them as subsets to A to B. I think

22:19 – 22:32Speaker 4

Two is about finding additional community. And then three and four are like specifically honed on events that were community events that were already targeting.

22:32 – 22:57Speaker 7

Are you thinking, David, that like three and four should be. We could do BNC or I was going to say, you know, it's like increase community connections and then maybe maybe the title to. Number three would be find a way to increase community connections through the view of the Mountain View.

22:58Speaker 1

Because I don't see the intention as independent either. But then we do end up having two items on the work. No.

23:07Speaker 7

That's up to you guys. I mean, I can make them A and B and underneath two, or I can independent and just add the community connection into the title.

23:17Speaker 4

I mean, I feel like number four is quite different. Like it doesn't feel like an increase. That's more community participation. Yeah, because that's like a whole new event we're trying to create.

23:28 – 24:20Speaker 1

It depends how you think about it, because it's one of those things like more visibility means more participants, which means more people to volunteer and then commit to. I do see it as within the feedback loop of increased community connections. we can't do it with we can't do make music day without community connections that we don't currently have that's my thought that's the only but i mean we can keep them separated but i'm okay doing two abc or whatever Because then increased community connections becomes general broad, and then we have specific directions underneath it. So it does create the hierarchy of our main mission would be to increase these community connections, and this is how we're going to do it. And then we can move from there more detailed into each project, which is why I was thinking to organize it as such.

24:22 – 24:42Speaker 8

I'm fine with that as well. And I think I heard Cheryl say earlier, it's to be, so I think on... HAB-Masyn Moyer- It's currently just to do we have any no dates for cmc or fiscal year. HAB-Masyn Moyer- In this comment.

24:42Speaker 7

HAB-Masyn Moyer- Have a direction here. HAB-Masyn Moyer- So we make.

24:48 – 25:32Speaker 8

HAB-Masyn Moyer- Like do we know has. HAB-Masyn Moyer- This accounts for whoever schedules it. HAB-Masyn Moyer- Council, but someone from the city have they scheduled. dnc meetings at all so like we know when the dates are for the next year's yes but until this is approved as a work plan then like you're wanting to participate in something that hasn't been part of work i don't think i'm phrasing my question right you were saying it earlier do we know what those dates would be that because like maybe like Because if we're talking about going on the coattails of some other organized event, the community neighborhood meetings.

25:34Speaker 7

No, once this is approved, then I'll find that out.

25:37Speaker 7

That's where I'm going.

25:38Speaker 8

Okay, okay. I don't have it. You don't know because you haven't. Okay, I understand. All right.

25:47Speaker 6

Well, before we make a motion on this, we could ask for comments from the public.

25:54Speaker 6

Are there any comments from the public?

25:59 – 26:14Speaker 3

You know, I just happen to be the chair of the CNC. And we have a meeting tomorrow night at the River Room at the Community Center. So, Daveed, you are invited to come talk. I'm sorry, wait, I don't do acronyms, though. What's the CNC?

26:14Speaker 8

What is it? Council Neighborhood. That's what this, too, is. Council Neighborhood Committee.

26:23 – 27:41Speaker 3

You guys have been rattling it off, so you're welcome to come talk, and I will be a pleasure to introduce you to all the people that come. So, that's one thing. Another thing, you know, they have two stages during the Mountain View Downtown Chamber of Commerce. There's a youth one over in the Wells Fargo parking lot. Are you aware of that? Have you ever thought of saying maybe move them into the second stage and say, hey, we got the second stage here. You may want to be inside instead of outside. Yes, I don't know how much the noise filters in, but you have a potential stage there that maybe could work out. And you do have a backdoor entrance that could bring them in that way. So you could have people just come the back way instead of coming through the front way. That would put off the bathroom. That's just a thought. Another thing that you can do for that is take highlights of all the various plays and put it on a loop and just show it in the theater so people can stop in, see all the excitement, of course the best shots, and then they'll circulate out. Just a thought that you're working on this work plan.

27:43Speaker 6

That's good. I don't know anything about copyright things for clips from You know, these companies.

27:49Speaker 7

Oh, yeah, it's usually, once they've produced it, then they have a clip. Okay.

27:56Speaker 4

May I ask, this is the 6.45 p.m. Some children's group, what is this group?

28:02Speaker 3

They have the youth. Okay, so I just noticed it last year. Very young bands, teenagers, whatever. Ask the chamber, ask, you know, Peter Katz, what they're doing over there.

28:12Speaker 6

A parent mind festival.

28:14Speaker 3

Yeah, it's not the Art and Wine Festival. They're not the main act.

28:17 – 28:29Speaker 3

But they're over at the state. If you go to the Art and Wine Festival, there's the young people's part. Yeah. And in fact, they're right across, right where the chamber office is. And they have a stage.

28:30 – 28:54Speaker 3

So you may just say, hey, would you like to maybe come here? One or two groups are just, I don't know if it's 103 degrees. But then you get to show the younger demographics. And yes, at 40, you're extremely young. But I'm just throwing, you know, just observations. You guys are better at this than I am, so I'm just throwing some ideas out.

28:55 – 29:09Speaker 4

I'm thinking whoever these kids are, they'd be a great photographic for the Make Music Day when we do start doing that. Oh, right. We could give them a park space or the back. Which might be a space, you know.

29:10Speaker 8

I think this is a point of order that I'm not sure we can

29:13Speaker 4

Yeah, yeah, we can't discuss that, but I'm just thinking that it's- Okay, thanks for seeding us with that idea.

29:20Speaker 6

Yeah. Okay, Mr. Cox.

29:23 – 30:09Speaker 2

Okay, my comment is I think it's great to be reaching out to younger people because there's so much of the involvement that I've had over the last 16 years. It's been mostly with people even older than me. And it's interesting because I talk to people She said to me, she said, well, she said, you know, I said, I see lots of young people that are ice cream social and other ice cream social, stuff like that, but I don't see them getting involved beyond this. And she said, well, she says, the people who get involved, that's how they are able to influence what they want in the city. So I think that's a great idea you have, and I want to just emphasize it.

30:10Speaker 2

You could have an ice cream social inside, and that would bring people.

30:16Speaker 3

To get ice cream.

30:19Speaker 6

Okay. So where are we on this? Any other?

30:26Speaker 1

The only thing that we've talked about is just taking two and making ABC. That was the only thing.

30:32Speaker 6

Taking what?

30:33Speaker 1

Taking item two and making it ABC.

30:38Speaker 1

Which is small at the end. Led to a big discussion, though.

30:42 – 30:58Speaker 6

Well, I just noticed I made a note, though, that under quarterly impact report. So we've been doing that spreadsheet for a while, but I think it'd be nice to add a statement about new client impacts.

31:01Speaker 1

Also, the 35th anniversary is not on the work plan.

31:06Speaker 8

It's happening before the 35th.

31:10Speaker 5

Not necessarily. Not necessarily. What did you say, Kurt? New client impact.

31:20Speaker 6

New client impact report. That's also vague in the format or whatever can be decided on later.

31:36 – 31:48Speaker 7

No, you're right. It's not. Because initially it wasn't done initially. Yeah, I didn't initially it wasn't. It was going to be in August and now it's going to be in. So, oh.

31:49Speaker 1

Additionally, that's later on in the agenda.

31:55Speaker 6

We can't put it on the work plan?

31:58Speaker 7

No, you can. You most definitely can.

32:00 – 32:15Speaker 8

I'm just saying, like Valerie didn't know, so I was like... And our last meeting, because it was going to be in August and we'd be back in August, it didn't make sense to have it on our work plan. In January, it probably should be.

32:15Speaker 6

So where would it go?

32:18Speaker 7

It would go in... It's a work item. It's not an ongoing.

32:21Speaker 4

Number three, if we do two AVs.

32:29Speaker 5

Number three.

32:31Speaker 7

Yeah, we have to approve that. But the tentatively become three would be our 35th.

32:40Speaker 1

Additionally, one more thing I wanted to note that we also don't have the, do we have the joint the gallery walk again on our work plan?

32:50Speaker 7

It's the top one ongoing. Gallery talks? Wednesday, November, it's right there.

32:59Speaker 5

Ongoing work?

33:01Speaker 1

Ongoing work, A. Oh, so he'll season on gallery stuff.

33:06Speaker 5

Okay, great. We've got two scheduled. Okay. So...

33:24 – 33:41Speaker 7

Yeah, I just crossed it off from last month. Well, thank you. So we can put it back on. Yes. 35th anniversary celebration planning, January of 27. We had roundtable discussions. So you tell me, like.

33:41Speaker 8

So it sounds like the milestone date that we would be discussing would have to be earlier than January 27.

33:55Speaker 4

You have a date for it set, right? Oh, right. It's a month long.

34:09 – 34:22Speaker 7

Because we had an ad hoc committee for that, too. Yes. My apologies. We will have to put a line through it.

34:32 – 34:48Speaker 8

So just for a clarifying question, it sounds like there would be a need for work writing. So maybe review the plan. I know we're about to do that. It's our next agenda item. But what would the work writing be for this committee for the 30th century that we're talking about?

34:51 – 35:07Speaker 7

So we had an ad hoc committee. And I got great ideas from the ad hoc committee. And those can move forward. I think it's just continuing with the ad hoc committee and then bringing the information to the board as we move closer to the event.

35:08 – 35:25Speaker 8

So folks will get more involved. Mending this would be an item to, yeah, the ad hoc committee, continue to ad hoc committee and bring updates back to the committee on regular basis. Does that sound about what you were thinking, Tommy?

35:35 – 35:50Speaker 1

Just a good question, because I'm curious when we, when we changed due to a, B and C, but how will it end up getting. Formatted each. Are we going to put milestones ABC? Are we doing underneath the ABC?

35:51Speaker 4

They probably like the ongoing work items.

35:56 – 36:08Speaker 8

That would be my proposal to format as that. You can see. They're still kind of their own sections, but they're tied together now with that. Yeah.

36:08Speaker 5

Just checking. I was just wondering.

36:15 – 36:30Speaker 7

Great. So now we have one, two, BC, two, two, ABC, and three is a very big data. And we added new client impact reports to see an envelope.

36:36 – 37:06Speaker 8

So I would like to move that we accept this draft work plan with the amendments on page. Ongoing work item C have new client impact report folded. But to what currently is 2, 3, and 4 being numbered as 2A, 2B, 2C, and then we add a number 3 related to the 35th anniversary.

37:15Speaker 1

I just saw from last planning. Can I tack on, or do I have to amend the entire motion? I only have one amendment.

37:22Speaker 8

Once you tell me, then maybe I'll make the whole motion.

37:25 – 37:48Speaker 1

For increased communication, community connections, the only thing that I have that I noted was to gather community input on various topics with just a language that I wanted to add. That's one of the intentions of... of increased communications to gather community input, because each one requires gathering community input. So I just wanted to. So just the 35th. I just wanted to add that somewhere, that language, just to be clear.

37:50Speaker 4

You mean that you want to gather community input?

37:52Speaker 1

Yeah, it's on various topics for the increased community connections. And it gives us a little bit of elasticity.

37:59 – 38:59Speaker 8

So let me try this as a rephrase of my motion. So I move to accept the draft work plan with the modifications of Ongoing work item C, adding new client impact report to that. On work items, leaving one alone, changing two to be a broad increase community connections to gather community input and spread awareness. Under that, two A would be participating in community neighborhood meetings. et cetera. To B would be review Mountain View Arts and Wine Festival on Castro Street. To C would be review Make Music Day. The new item three would be the 35th anniversary updates from the ad hoc committee and from

39:07Speaker 5

I second that.

39:09Speaker 6

OK. Everyone in favor? Aye. OK.

39:12 – 39:42Speaker 5

The motion passes unanimously. OK. Moving along. That's 5.2. Tour of Lesher Center.

39:42 – 41:18Speaker 7

Well, back in the day when we had other committee members, we did a tour to the Lesher Center implementation. And that's important to this facility because one, it's the same architect. So it's very similar in, they have, they have three stages, but it's also the same age. It was built about the same time. And it's a very good sense of, gives you a very good sense of like how they operate and care for their facility and what the operations are there and kind of gleaned what the potential is here for this center. So basically, it would have to be, and you guys can add in. I mean, you do. Well, then we got to take you this time. So what I'm thinking is, you know, we can, it'll have to be a posted meeting, but we can go and tour the facility. Carolyn Jackson is the managing director there, and she's very gracious. So we can figure this out, and I'm thinking of this summer. In early fall, we can pick a date. We went over and they gave us a tour and took us backstage and showed us, you know, where everything was. And it really kind of gives you just a good sense of kind of how we compare at 35 years old to another facility that's equally the same age, comparing a new facility to us and the potential of what this facility is.

41:20Speaker 8

I love it. Sounds great. I've seen shows there, and I'd love to see more of them.

41:27Speaker 6

Did you prefer Saturday?

41:30 – 41:56Speaker 7

Saturdays tend to be better. And I'll reach out to everybody, and we'll figure out. I'll reach out to Carolyn. First, I'll reach out to Carolyn to figure out. what timing would work for them. They don't show up. Hi, we're here. Yeah, and we'll figure out. And I'll include you, even though you're not a new committee member. I've forgotten that you went to the other one.

41:56Speaker 1

Yeah, I went to Livermore. Walnut Creek. Walnut Creek. Okay, great. Yeah, I did not go to Walnut Creek.

42:06Speaker 4

Is Walnut Creek a similar sized city to Livermore?

42:11Speaker 8

It's smaller.

42:13Speaker 1

It's not the same demographic at all. Or composition.

42:17 – 42:28Speaker 8

I think it's kind of one of the bigger theaters in that area. It attracts groups from a lot more places.

42:28Speaker 5

It's really charming. The old Sunset Town. It is?

42:34Speaker 1

Yeah, don't get caught in Walnut Creek.

42:37Speaker 1

It was back in the day, yes.

42:39Speaker 1

But times have changed.

42:40Speaker 7

Times have changed. Thank goodness.

42:45Speaker 5

Thanks, Janelle.

42:54 – 43:05Speaker 6

Yeah, I've really enjoyed it, and it was eye-opening. So I think you'll enjoy it. Okay, is that all for that?

43:05Speaker 5

That's all for that.

43:07Speaker 5

I'll just make it happen. Yes.

43:10Speaker 6

Six, item six, committee staff announcements, updates, requests, and committee reports. There.

43:18 – 45:49Speaker 7

Yeah, that's me. So update on the 35th anniversary celebration. As I alluded to earlier, we've moved the dates. I have an explanation for it. We, as you all know, are spending our money to update and take care of some safety items in the facility and just improve the overall facility and our main stage deck, as we call it, our floor. is in serious disrepair and we were able to get the rfp out it's posted right now time in august to make the repairs so what that meant is we were going to do repairs and 3d late three days later we were going to do a 35th anniversary and that felt a little uncomfortable because if they need an extra day or two days um that's a little too tight so I felt in my due diligence for the facility that we needed to move forward with replacing the deck and getting that repaired. We'll have a brand new stage floor coming season that launches in September. And we actually opened in January, 35 years ago. So it's a little, you know, we're going to have to do some marketing on it, but if we have an anniversary celebration in January, it's, you know, celebrating the past 35 years of operations. And we pretty much have the entire month of January. I blocked it off because I was going to be doing repairs in January, so I kind of just flipped it. So I'm going to put together basically a couple things, a little bit of a mini presenting season. I'm already talking to some artists. And then we have an entire weekend that we'll, of course, do what I'll call open house, and it'll be free and open to the public to come. And that'll be our community groups. And that's kind of what we had already talked about with Carolyn's committee level of doing a community day and having our community groups come and perform and having all the stages and giveaways and just the general free and open for everyone. But we're looking at bringing in hopefully a headliner. I'm having a little conversation with some folks and then I'm going to the WAC conference in September. But I'm also, everyone's already launching their seasons right now. So I'm looking at my counterparts' seasons and looking at who they have around December, February.

45:49Speaker 5

And might I be able to pay you some gas money to come hang here for weekend in January.

45:57Speaker 7

So more to come on that. More to come. Lots more to come. Very exciting.

46:04Speaker 6

I have a facilities question. Yes. I told a friend that the floor was being ripped up, and she wanted to know what you were going to do with the wood.

46:14Speaker 7

Because it's been painted probably 150 times by now, and it's very damaged. It'll get rid of all the moisture. It's basically toxic, too, because it's not wood.

46:24Speaker 6

It's been painted. So it has to be, yeah. I guess she was thinking it was a pristine hardwood floor when she said that. Why would they rip it up?

46:34 – 47:08Speaker 7

Yes. No, no, no, no. Yeah, so it's basically, you know, but the sprung, the other part of it is because it's also a cushioned sprung, that has long been flat. It doesn't give our dancers any cushion. So I felt it was irresponsible not to fix that when I have the opportunity to fix it now. And then we have a nice fresh new stage for it on the system. And the first one that will come in and dance on it.

47:09Speaker 6

How long is a stage supposed to last?

47:13Speaker 7

It depends on the pounding, but yeah, it should probably be replaced about every 20. Okay.

47:19Speaker 8

Is this our first replacement? Yes.

47:24 – 47:43Speaker 7

So pieces and parts of it have been replaced and band-aided in various spots, but you can only do that for so long, people. It's not safe because, you know, we keep tearing it up and screwing things down and then you can do it unevenly. It's just, it's not.

47:44 – 48:02Speaker 1

I'm falling out for the 35th too, just a little bit. So then I would put in contact with the staff liaison for the Youth Advisory Committee. So we're working with Youth Advisory at some capacity just regarding youth at 35th. Which we have, I mean, seeing how that moves forward, you know, but that's just one thing I wanted to know.

48:02Speaker 8

Ice cream social.

48:04 – 48:16Speaker 1

No, hopefully they get to have some autonomy as to an open mic or something like that. But that's the idea, help them coordinate. And I'll surely make sure that they are coordinated. Happy to help on that.

48:19 – 48:35Speaker 6

Well, I'd like to compliment Teresa's management of the center because she's made many upgrades since I've known her. What, a month after you came on or something like that, right? I've been hearing all the... I started in...

48:35Speaker 7

It'll be four years this August.

48:39 – 48:51Speaker 6

Yeah. The whole place is much safer now that she's in the building. That's fantastic. Thank you very much, Carol. I appreciate that.

48:51 – 49:37Speaker 7

Yeah, it's been a labor of love, but she's... I've called her in days previous, and I appreciate... I hope there'll be a day when I won't say this. I call her the grandma house. She's a little bit like your grandma's house in that there's nothing wrong with the bones. This is a great house. She's beautiful, but you know, that olive covered stove needs to go some things that need to be updated. So, you know, I think everybody's been through that house at one point in their life. So that's, I kind of referred to her as that, but you know, as we replaced the deck and we will, the second stage will be next. So we'll replace the floor in second stage. So there's a lot of things lined up. This was important.

49:37Speaker 6

Gosh, you guys, you can't put in a third floor like it was supposed to have. So there'd be rehearsal space and all that.

49:45Speaker 7

That and a full floor.

49:47Speaker 4

Yeah. A couple things.

49:51 – 50:07Speaker 4

I have a question. Is there anything that we as a committee are doing for the 35th that we need? need to be involved in since we meet back in August. I mean, you guys already have an ad hoc committee for January presenting.

50:07Speaker 1

At this time, I don't think we have anything to come back with for the committee specifically right now, not for January. Well, now for January, but I'm not sure.

50:15 – 50:43Speaker 7

Not specifically. We kind of just plotted out, I guess, a few things that we could share, you know, the committee could share is that we agreed to like 4 to 8 p.m. not an all day event, but very, very tight, nice event timeline. Okay. And both stages running at the same time. I think in January, we may lose the park stage depending on weather, but you know, it's not, that's, you know, that's a minor.

50:44Speaker 4

This is the weekend, the open house weekend that you're talking about. And you're, you haven't set that date yet. Cause that's going to be contingent on what you're able to fill up with the other people. Yeah. Okay. Right.

50:55 – 51:09Speaker 7

And hopefully, like I said, I'm having conversations right now. So hopefully by August, I should be able to tell you that this is the open house weekend. And then the others will be contractually driven.

51:10Speaker 4

And, David, what we were saying about the youth contingent of this, we're trying to connect.

51:14Speaker 1

And for the open house situation as well, I believe.

51:18 – 51:30Speaker 7

Well, it was kind of a way to give them an hour on the second stage for open hike and be able to just have the teens come in and just do what teens do.

51:31 – 51:42Speaker 4

And I was just wondering how our work plan of reaching out to the community is connecting Is that something will be an agenda item for August?

51:42Speaker 1

Like if there's been through the ad hoc right now, but agenda item.

51:51 – 52:08Speaker 7

Yeah, I've had one specifically, I would think that, you know, we're not going to meet in July and ad hoc now that we've moved the date, we can get back at it. And then, you know, there, there would be an update, definitely in August. Are you thinking of something specific?

52:08Speaker 1

I'm just thinking... Do you want the teens to come?

52:12 – 52:50Speaker 4

No, I was just thinking about using this as an opportunity to kind of set the stage for our community partnerships that would eventually also feed into Make Music Day. I'm thinking CSMA is such a great institution near the area. It's as simple as inviting them all. getting them somehow involved where it's not just an event that they're attending or I don't know I'm just thinking like CSMA as an organization and then obviously we already have like PYT and stuff but there's I'm just thinking all the different youth organizations that are out here.

52:50Speaker 6

That's true. I think we're still on just 6 on announcements.

52:55Speaker 1

This is 6.1.

52:57Speaker 6

We kind of skipped over to 6.1.

53:00Speaker 1

We are in 6.1 I thought.

53:01Speaker 6

Okay. I wanted to also bring up the dinner.

53:06 – 53:20Speaker 8

I was waiting for that. We tie off the 35th anniversary session.

53:20Speaker 4

So there's no action item to be taken right now for general committee. And you guys will just give us an update in August.

53:27Speaker 1

That's the next time we meet, yeah. as the ad hoc me and we.

53:32Speaker 4

Okay, so that's that.

53:37 – 53:51Speaker 1

I just wanted to comment on the... We hadn't discussed, just as an ad hoc, because while we're in discussion about general things, we hadn't discussed the idea of reaching out to a non-city entity, I think, that we hadn't thought in regards to being present in that capacity.

53:51Speaker 7

To be present on the stage.

53:54Speaker 1

Yeah. Or like CSMA in some way to be...

54:00 – 54:27Speaker 8

that's an interest and that logistically kind of intrigues me because I feel interesting I don't I just want to comment just like that into my mind I heard that and I agree very excited to hear an update for more in August plans and there's ways that the rest of us can help with certain things that the ad hoc committee would like us to do yeah I would love to

54:28 – 54:46Speaker 4

help in whatever youth engagement we're looking like this whole trying to get younger demographic, 40 year old younger demographic, like, you know, if there's ideas or whatever that come up there, I'd love to. I don't know what it looks like, but I'd love to brainstorm it.

54:53Speaker 1

In August, we meet that committee meets, then we can present something and have a discussion.

55:13 – 55:24Speaker 6

So, can I move back to the dinner then? Yes. The volunteer dinner. So, Atari and we went and Debbie went, so. What did you think?

55:25 – 56:54Speaker 4

I thought it was such a lovely event. It was so nice to, I was amazed at how many volunteers we have. And not just the number, but the sheer number. number of years that all these people have volunteered. You know, I thought they did such a great presentation saying like this many hours in, you know, or this many years and totaling like just how much, how much support the centers had in a shock that they had people who had been volunteering as far back as the inauguration of 35 years ago. Like the fact that somebody has continually volunteered for 35 years is insane, you know? And it just, I don't know, I thought it was quite amazing. And I thought it was very cool. We all sat on the stage and had the meal and it was very smooth flowing. Like it wasn't like, you know, like one of those weddings where people are like, when is my table going to get called? They are the ushers. Yeah, they are. They're very good at that, you know. So, and the food was good and it was nice to just chat with, you know, different people. So I thought it was really inspiring and inspiring. Like, I like that they acknowledged some people who were first year, like, within their first year that they had done a lot of powers. It's kind of good to see, like, the benchmark. So I just really wonder how you get all these volunteers. Like, that was my, like, how do people end up doing that? Like, how does that, word of mouth?

56:55 – 57:06Speaker 7

It's a bit of word of mouth. And then I will be honest, like, a lot of our volunteers volunteer Um, here they volunteer at the Hammer or they volunteer here and they also volunteer at Lucy Stern.

57:07 – 57:18Speaker 7

Um, you know, it's a way to be able to see most of the performances. So, you know, there's that and it's, it's kind of its own little circle of folks. So there's that, you know, that kind of pod of the folks.

57:19Speaker 7

And some other folks that, you know, sign up with the city.

57:22Speaker 5

Ooh. Okay. Okay.

57:24Speaker 7

Just regroup.

57:26Speaker 4

Is it like 18 year old minimum or like? Yeah. 18. Okay.

57:30 – 57:50Speaker 7

60, we, we can take, I mean, we don't, we don't, we don't have anybody under 40, so, like, we're not going to get 16-year-olds, but not, it's not that we couldn't take them, we just have to have a, um, uh, the hour, the hourly work, because they're after hours, you know, like, the shows will go until, okay, might be there till 10 30.

57:50 – 58:03Speaker 4

I was just thinking for our high school kids who need, like, their volunteer hours, yeah, and, and if they're already, like, theater arts kids who are into it. It's like a good fit. Yeah. No, that's great.

58:04Speaker 1

Yeah. Is that a pipeline? I don't know.

58:07Speaker 6

It's kind of interesting. Well, I started volunteering in Chicago. Because then I didn't have to pay $100 to see a production.

58:17Speaker 1

This occurred to me at the dinner. This occurred to me at the dinner.

58:21Speaker 4

That's what I realized. They can see all the shows. I think somebody was joking that she had seen Come From Away, but like eight times at that point.

58:31Speaker 1

That was kind of interesting.

58:33 – 58:46Speaker 7

Well, because we had such full houses for that one, we needed a full compliment. And so we were short. So we were sending out emails like, if you have time and can do this. And she's like, yeah, I ended up seeing it six times.

58:46Speaker 1

And I thought Oren, Oren, yes. I did a great job speaking. And I'm clearly also the camaraderie that is built in just his, his language was, how long has he been with the center?

58:56Speaker 7

Cause he's, he's been there six years now.

58:58 – 59:12Speaker 1

Okay. So, um, so that was also lovely to hear him and how he coordinates the, um, And a lot of the volunteers had great praise for how he handles a lot as well. So that was something.

59:13Speaker 4

Yeah, that was good to see that they all really admired him and enjoyed his work.

59:18 – 1:00:17Speaker 6

Well, I moved here 12 years ago. And that is actually one of the first things I did was the usher training because I was so into that sort of thing in Chicago. And the training was kind of onerous at that time. Very, very detailed and all that. Way more details. Because in my opinion, if all these weird scenarios come up that people were asking about, the answer is go find the house manager. Right. Yeah. Contact staff. Yeah, whatever. So it's all streamlined. It's, you know, runs very smooth. And the same thing with the awards ceremony. And having it on the stage was a pretty brilliant stroke, too, because it's a lot more spacious than the lobby. Everybody was just jammed in there.

1:00:18Speaker 1

It was a lovely event.

1:00:20Speaker 6

Yeah. So more kudos for Teresa.

1:00:25 – 1:00:47Speaker 1

I was speaking with some of the ushers too. With some of the changes, whether it's code of conduct or different things, they actually, there was the adjustments they noted are going well as well. So in their comportment as ushers as well. And so that was lovely to hear whatever changes are happening have been, the ushers are in full support of that. So from top to bottom, it seems to be a well-oiled machine.

1:00:48 – 1:01:09Speaker 8

Let's say congratulations. And I assume that ushers get to see the shows for free. Thank you. There's an organization I volunteer for, a theater group in the Bay Area, South Bay. And if you wanted to see the show, you had to buy a ticket still with an usher.

1:01:10Speaker 8

So I did that twice.

1:01:13Speaker 5

Twice. Two times today.

1:01:14Speaker 8

So it seems like a better way of getting volunteers. It's a little easier that way. That's fantastic.

1:01:25Speaker 5

Yeah, that's unusual. I also wanted to do the Usher's West Bay auditorium, and I definitely did it as well.

1:01:32Speaker 8

I did it as a kid in the Fort Wayne Civic Theater.

1:01:37 – 1:02:13Speaker 5

It was an impressive experience. I think we began like an hour and a half before the show. basically just familiarize ourselves with the map yeah that was our main responsibility to direct people to the right seats and stuff so it wasn't like advanced advanced ushers advancing theater we're advancing downtown actually it was my experience when i moved here this chicago was a lot more laid back than mountain

1:02:16Speaker 6

That's funny. It made no sense to me.

1:02:18Speaker 7

You weren't sure you were in California.

1:02:21Speaker 6

So as far as I can tell, our next meeting is scheduled for August 19th. Can we just confirm that people might be available to go to that forum?

1:02:34Speaker 5

Yes. Exciting update.

1:02:35Speaker 4

I know. I'm so excited. Well, I'm on a wait list for my free Shoreline tickets that week.

1:02:48Speaker 4

I should be here. That's Neil with ACON.

1:02:56 – 1:03:13Speaker 6

Okay, so it looks like we will have a forum. So I think we are good to go. So this Performing Arts meeting of June 24th is adjourned at 7.20 p.m.
