The meeting is called to order on December 9 at 06:03PM. We're gonna start with roll call, so please go around and say your first and last name. William Martin.

0:111

Can you invite me?

0:31 – 0:490

Seeing how we have no absences, we can move on to approving the consent calendar. So please look at the minutes of our previous meeting and check for 11/18/2025 and check for any mistakes or things that are missing.

1:010

We did that.

1:011

Okay. Yeah. We're just doing November.

2:46 – 3:040

Does anybody else have any other changes? Okay. Seeing none, can a commissioner please make a motion to change major to mayor under the commissioner report? And approve the meeting minutes of November 18. I make a motion to approve them

3:041

approve the meeting minutes of November 18 and change major to mayor under the commissioner report.

3:15 – 3:340

Approved the order. Will somebody please second? Okay. Now on to public presentations. Does anybody have a public presentation?

3:42 – 4:190

Seeing none, we can move on to general business. So we can talk about the work plan where commissions or committees can give updates to their progress. We can start with civic engagement. Civic engagement met last Monday, which was December 1, and we made a good amount of progress on the new, new resident welcome package. We also made a big stride of translating it fully to Spanish, which we are looking to get approved by somebody who works for the city and can verify that it's accurate and things like that.

4:19 – 6:050

And I don't know if somebody else wants to continue the report. But And then one last thing, we did decide that we're gonna start with just putting the link on, like, trying to get on the city website and youth activity center website before actually making, like, physical copies or expanding it beyond that. Would youth empowerment like to give their update? Then last one, could community building please give an update?

6:052

I can start. So for community building, we decided that we were gonna pivot from our multicultural night market that

6:121

we were initially planning on

6:13 – 6:472

doing and doing like a career or a job fair instead that would be oriented towards like teenagers. And so we are in the process of planning that right now and we're trying to come up with a timeline for that. As for our hackathon, we wanted it to be early next year, like early twenty twenty six. I'm thinking maybe, like, February or March. So we're trying to transform all of our material that we had ready from last term into things that we can send out to people for this term.

6:47 – 7:142

And we are also we started working on our we are not really strangers interview questions, and we're currently trying to find a time that works with all of the commission all the commissioners in our committee to figure out when we want to go to the senior center and ask the seniors that question. And when we decide a date that works for all of us, we're planning on reaching out to the rest of the commission for anyone that's interested in attending as well.

7:17 – 7:560

Does anybody have any additional comments regarding their committee? Okay. Could we please get set times for next week. We need to set times for the meetings for tonight. So civic engagement can meet at 06:45PM. Community building can meet at 06:40PM. K. Now can we please get a motion by commissioner to approve the work plan?

8:161

Six thirty five.

8:180

Can somebody please second? Second. What was initial? Second. Second.

8:36 – 8:480

All in all in favor, aye. Aye. All opposed, say nay. Motion carries. We probably should vote on the

8:491

yeah. So you guys get a vote on the minutes too.

8:54 – 9:060

Moving back to the motion approving the meeting minutes from November 18. All in favor say aye. Aye. All opposed say nay. Motion passes.

9:09 – 9:311

So, Malia, whenever there's an amendment to the meeting minutes, there's two parts to that. Somebody needs to make a motion to amend the minutes with the following changes. And then second, vote. Once that has passed, if it has passed, then make a motion to approve the amended minutes, a second, and a vote. Okay.

9:32 – 9:470

So two separate. Can we do it again? Okay. Will somebody please make a motion to change major to mayor under the commissioner report for the last meeting. I make

9:471

a motion to change major to mayor for the commissioner report meeting minutes for the last meeting.

9:55 – 10:260

All in favor, please say aye. Wait. I second. Oh, can somebody please second that motion? All in favor, aye. Aye. All opposed, say nay. Motion carries. Can somebody please make a motion to approve the amended meeting minutes from November 18? Amended.

10:29 – 10:510

Can somebody please second? Sorry. That was the last okay. All in favor say aye. Aye. All opposed say nay. Motion carries. Sorry about that. And then moving on from public presentations to the staff report. Does any staff have a report?

11:23 – 13:103

Some announcements to go around. Just a reminder, I think I mentioned it last time. We have the team destress yoga coming this Thursday. So it'll be The goal is to for it to just be a team card since we don't have an exclusive team card right now, but you can have a kids card or a don't card. And the contest will be open over to make it easier for you guys to make sure.

13:11 – 14:343

Another thing too is we're already prepping for something called StenZone. So it's gonna be a citywide thing. The date is gonna be Sunday, April 19. So we are definitely recruiting volunteers for that. If you're already a city volunteer, that'll make it easy for you to that are only that you're only able to access for free with the library card, but programs and

14:341

other things, we don't. How many of you have the of Santa Clara library card? Take your hand.

14:420

Oh, that's wonderful. Mateo.

14:443

It's super easy to get one just give us

14:48 – 15:030

the desk and we'll get you some. Thank you so much, missus Newsman, for your report. And are there any other staff reports? Seeing none, we can move on to commissioner's reports. Any commissioner have a report?

15:05 – 15:221

There's not really a report. Like, can I, like, make a request about, like, the the items? About what? About the bias for Oh, see. Yeah. Oh, okay. We can put that in. Okay. Are you okay with that? We

15:230

can talk about that

15:231

afterwards. Okay. Yeah. Mhmm.

15:28 – 15:512

Yes. So as you guys might know, one of our sister cities is Izumo, Japan. And the Izumo exchange students are coming in January. That's like the first batch of students that are gonna be coming, and we are currently looking for families that are willing to host them. It's gonna be one week.

15:51 – 16:292

I am trying to find the dates right now, but I yeah. I will let you know about the dates. It should be around, like, January 25, we need people that are willing to host, especially people that are willing to host boys. So if you are willing to do that, please reach out to me and I can send you the form. As a host family, all you would really need to do is drop your student off in the morning at a designated location, and they'll spend the day doing activities with a city volunteer, either from sister cities or with a council member.

16:30 – 17:072

And you would pick them up at around, like, 04:30 or 05:00 in the evening and then have dinner with them and maybe take them to a place or two in the evening. Obviously, if you have, like, homework or need to study for a test, that's totally okay. It's okay if your parents take them out, and it's also okay if you guys just do, like, a fun family event in the night, like, board games or something like that. And then on the evenings or sorry, over the weekends, it would be really cool to take your student to like San Francisco or Santa Cruz for example based on what they like. So it's a really good experience.

17:07 – 17:242

And if you need volunteer hours, I can also reach out to the Sister Cities Adult Board and see if they are willing to give people volunteer hours for that. But it's a really, really good experience and you get to learn Japanese and make friends across the ocean. So I highly recommend it.

17:26 – 18:030

Thank you so much. Are there any other commissioner's reports? Seeing no other reports, I will adjourn or yeah. I will adjourn this meeting at 06:20PM. Yeah. Our next meeting is scheduled for Tuesday, January 13 at or twenty twenty six.

18:07 – 18:300

commissioner please make a motion to adjourn this meeting at 06:21PM? I'll make a motion to adjourn this meeting at 06:21PM. Can someone please second? Second. All in favor, please say aye. Aye. All opposed say nay. Motion passes. The meeting is adjourned at 06:21PM. K. 10:00.
