0:21 – 0:33Speaker 3

0:34Speaker 1

Sure. When is my pledge leading to the.

0:56Speaker 3

1:06 – 1:25Speaker 3

yeah. Remote request per agent two before oh, and Just the time for roll call. Yes. Yes. Roll call, please. Okay. Liza Bowers? Here. Yes. Yes.

1:36Speaker 3

1:47 – 2:03Speaker 3

Thank you. Thank you. Thank you for that, Celia. Public comments. The public comment section provides an opportunity to address the commission on items not listed on the agenda.

2:03 – 2:39Speaker 3

The commission welcomes your comments and request that speakers present their remarks in a respectful manner within established time limits and focus on issues which directly affect the commission or are within the jurisdiction of the commission as the commission is prohibited by state labs on discussing items not listed on the agenda. Item will be taken under consideration and may be referred to staff. Are there any public comments on any item not on the agenda? Let's see. And then presentations.

2:39Speaker 3

Yes. AHCHG transitioned to the new Clean and Green Commission. Director, whoever you're ready, will present.

2:49 – 3:12Speaker 2

I am. Thank you, and welcome, everyone. So as you guys are aware, group is now officially commissioned and in green commission. We are still awaiting, and I'll touch on it later in the meeting on something else that's related. We are still waiting on some updated branding around some the bulk of the tea paper clean and green items.

3:12 – 3:51Speaker 2

So, you'll see some branding that we put together just for the point of this presentation. So I'm gonna just go over some of the high level changes that have been made. So, on 04/1624, city council ad hoc was originally appointed to review the structure and operations of all city appointed bodies. In October, the task force approved a letter to the ad hoc committee providing some input on the future of the task force. And then in January, the task force approved a second letter providing additional input and impact on becoming a commission.

3:52 – 4:44Speaker 2

And on the March 4, council approved the creation of the Clean and Green Commission, uniform administration and guidance for operation of city commissions and changes to the city council's appointed handbook. So new things and kind of just the baseline rules around this commission membership is going to be 18 members with two alternates. Term limits are two and one half consecutive full terms of four years equaling ten years in total. Existing members are grandfathered in, so we start from scratch, essentially now. As far as orientation goes, staff liaisons will provide new members with, materials to integrate them and make sure that they serve as fully functioning members of the body.

4:45 – 5:17Speaker 2

The chairperson is required to become familiar with parliamentary parliamentary procedures for conducting and presiding over meetings. And as far as training goes, city staff will provide annual trainings as we've done in the past covering the Brown Act, conflict of interest, and all members of city commissions are required to attend ethics and harassment prevention trainings. Yeah. Slide. I'll kinda zoom through this one a little bit quicker.

5:17 – 5:45Speaker 2

So officers so the commission shall elect a chair and a vice chair, which we currently have. So that's a chair and one vice chair. No other officers are authorized. The chair shall provide overall meetings following established rules of procedure to allow for the orderly flow of business in consultation with staff liaison. The vice chair shall act in the chair's absence and shall assist the chair in the execution of their office.

5:45 – 6:17Speaker 2

As far as election for officers, the chair and vice chair shall be elected annually in October of each calendar year. Officers will serve a term of one year. A chair may serve a second term if reelected, but may not serve more than two consecutive terms. And commissioners, same rules as in the past, must have served on the town on the commission for one year before serving as the chair. Attendance rules, again, very similar to what what's been going on in the past.

6:17 – 6:58Speaker 2

Commission members are required to attend at least 75% of all regular meetings and cleanup events held in a calendar year. Commission members' seat shall be declared vacant if they are absent from three consecutive regular meetings without permission or failure to maintain the required 75% attendance requirement. And commission members are required to attend meetings in person except when in accordance with the established just cause and emergency provisions for virtual meeting attendance. Next slide. So on the Clean and Green Commission, the roles the commission served in advisory role to the city council.

6:58 – 7:50Speaker 2

Commissioners are responsible for reviewing issues within their commission's purview and making recommendations to the council. The scope of work will continue the number one thing will be to continue to promote and conduct community cleanup events, recommending policies on litter reduction, waste management, community beautification, and sustainable practices, and provide advisory comments on relevant ordinances in alignment with the city's strategic roadmap. Meetings, and this will be one of the the bigger changes. So commission meetings will meet five times a year aligning with the Cleaning Green Commission's events and the one citywide Earth Day event. So this month, normally, would not be a meeting, but since we have it on schedule, we wanna go through these things.

7:50 – 8:12Speaker 2

So the the monthly meetings will align with events. So we'll have five meetings a year with the five, the five events that you guys name is launch and the the one that you support. Subcommittees can continue to meet as needed at whatever frequency the group decides that they want meeting. So next steps. It's really business as usual.

8:12 – 9:06Speaker 2

Not a lot of changes, I think, for this group as far as operationally. The commission scheduled to adopt a revised 25 meeting schedule at its April meeting. While the dates of the meeting were called out in council's action, which will align with the events, we still bring this to you guys for adoption because there are times during the year that there may be a street party or something else going on, and you guys can make subtle tweaks to what your meeting schedule looks like. That's still allowed just like we've always done in the in the past. So staff is working to update web page content, we also have a working group that is kind of managing the transition to Clean and Green Commission as far as meetings go, cleanup events, email, social media stuff, swag.

9:06 – 9:35Speaker 2

We've had internal conversations already about swag. You know, essentially using what we have already, and that's fine to continue to use what we have. As we order new materials and stuff, we would brand probably a little bit different, and we're thinking we would probably remove the key payor part. It would just say clean and green commission. Again, that falls under branding, and we're waiting for some direction on branding from the city manager's office and the community community relations team.

9:36 – 10:11Speaker 2

And with that summary, I'll I'll save my I'll just get down now. Around the branding idea, you guys know that you guys have new electric vehicle coming, a new truck. That truck has arrived a couple weeks early, so we are eagerly awaiting direction on branding from upstairs to get vehicle wrapped, to essentially match the trailer, and do some things like that. So one way or another, for your guys' April event, the truck will be available and ready to go for you guys. It may not have the wrap on it yet, but that truck has arrived and will be ready to go.

10:11 – 10:49Speaker 2

And with that, we're open to public comments. I know council member Andrew is not here yet. She is gonna be here just a few minutes late. We'll answer whatever questions you guys may have. Colleen and I had talked ahead of this meeting about inviting legal, but we thought maybe it was a little more intimate for this group just to meet without legal here. If there are questions, we can definitely follow-up with legal if there are questions that involve city and Charlene that we can answer. So with that, I'll turn it back to you. I'll be here to answer questions if there are questions. Well, I mean, really, from as we've looked at things, it's really business issues. Not not a lot of not a lot of changes.

10:49 – 11:01Speaker 2

I will say that membership size, know, is an issue as we we've lost a couple of members lately, so the recruitment this year will be really important to try to get you guys back to the full size of the of the commission.

11:02 – 11:19Speaker 3

Todd. Sure. Do you have any public comments on this issue or this Not on my So that leads to commissioners. Thank you all for being here tonight. And who has questions? Tom?

11:19 – 11:33Speaker 5

I think you mentioned this. Chair mentioned this last month about the name. Could we keep the name on on the trailer, keep Hayward Cleaning Green? It's a good positive name. That's what what Melissa was saying. And

11:34 – 12:13Speaker 2

That's that that was kind of the approach Colleen and I were thinking of taking. I think the staff working group and Colleen kick in here when I when I go off track. We've had conversations about, you know, the events. You know, are the events still KeyPayward Clean and Green events, but you guys are the Clean and Green Commission? How do they want this branded? And and and I think, initially, the initial branding conversations, what I've asked for as far as guidance are recommendations that I can bring back to this group to try to hopefully have some input on something you like, something you don't like, just that and the other thing. But I think as far as the trailer goes, I don't think there are any plans to

12:14 – 12:59Speaker 3

I think one of the one of the things one of the most obvious things that they're considering, which I spoke with today is it's different. So you guys, the govern as a governing body, you are clean and green commission. But as far as your events go, the branding is keep paperwork clean and green cleanup. Mhmm. Yeah. They they kinda like or they're considering keeping that and not making it, like, clean and green cleanup. Okay. I mean, just because it's the the the community knows it as a keep and green cleanup. They never knew it so much as the task force governing body cleanup. You know? So I think there's some distinction between the two. Go ahead. Well, I agree. I agree. And to me, it's yes.

12:59 – 13:34Speaker 3

It could be the Clean and Green Commission events. Sure. We're the ones putting it on, and that's our proper name. Mhmm. But in my mind, it's a slogan. Yes. Our slogan, we own that as a almost like a copyright and a way. Keep Hayward Cleaning Green. And to me, that is very important because there's the word Hayward in it. And that's the community that you're reaching out to. It's like ownership of your city, keeping it clean. So to me, that is why that keep Hayward Cleaning Green is so important as a slogan. Cleaning Green can be anywhere. Exactly. The Cleaning Green Commission could be in Fremont.

13:34 – 14:00Speaker 3

I mean, I love Fremont's great, but you know what I mean? That we're a keyword. So why can't in the future, once we run out of T shirts or whatever it is, have the clean and greedy commission, but it's slow and occupied. That kind of thing seems to me that and it could maybe save some money with half food getting to a wrap trailer or Sure. Coming up with certain budget issues. That's my personal opinion there.

14:01 – 14:21Speaker 6

I was pretty much gonna say similar. But I think the idea also the fact that it says keep, so it's an action word Yeah. Versus clean and green. That makes a big difference because it's telling people what you want them to do, and that is keep He was gonna agree. So I think that is one reason for maybe using the same quote. And

14:23 – 14:38Speaker 1

I basically have the same comment. Because it is it's like a tagline in a. So you can, you know, change it to the the the commission, but I mean, have that tagline. I think that is so important. It's very catchy.

14:38Speaker 2

It's good to have your guys' feedback on this because as the group upstairs is trying to come up with this, they're still cooking this right now. So I think it's good feedback for us to give them immediately.

14:48Speaker 3

I don't think anybody minds. I mean, obviously, since we're not really a task force anymore, it was always a mouthful.

14:56 – 15:16Speaker 3

KHCG. That's what we all say. It's KHCG. You know? Or as my mom likes to say, KHGC. So keep Hayward green and clean, whatever. Keep green hair clean. Okay. So Along with that would be retaining the URLs for the website.

15:17Speaker 3

And the email address, okay, see passwords, and all

15:22 – 15:43Speaker 3

Yeah. Just whatever can make it easier transition. Website would still have you guys as a governing body as the Clean and Green Commission where the governing body page would Sure. And then from your page, it would hop over to the events and vice versa. On the event page, it would be like and here, hop over to the commission page, the governing body of this stuff.

15:45Speaker 1

And then are we gonna get a copy of what you just presented?

15:50Speaker 2

Oh, no. Excuse me again? Are we

15:51Speaker 1

gonna get a copy of what you just presented? Yes. Absolutely. I'll give

15:54Speaker 2

you the to copy.

15:55 – 16:08Speaker 3

So, yes, and just as a reminder, the city clerk's office did send all appointed members the official documents. Mhmm. You should have got that email with everything. Oh, an email. A full scope of everything. Okay. Just screenshot to

16:08Speaker 1

make it quick so we could I'll share them. Show the presentation. Question is about the EV truck.

16:15Speaker 3

I'm so excited. So it's a 100%, you know, EV, and then how many miles per

16:23 – 16:53Speaker 2

It's so it's on a it's on a Ford cutaway cab with a with a body on the back of it. So those are gonna know what a cutaway is. So we we ordered a a cutaway is essentially a cap with no bed on the back of it. So when you have a cutaway, you can make it a van body, a utility body, whatever else. To be able to get be able to transport a little bit of weight and everything, that's why we went with the cutaway versus some of the other models. It also allows us to have bigger batteries. So I wanna say the range did you take that

16:53Speaker 7

the other day? Yeah. I didn't take it,

16:55 – 17:33Speaker 2

but we did. I wanna I wanna say I heard 400 miles the other day, but I I can I can confirm? I know that they in the purchase, there's a a battery upgrade option. I know that was upgraded, so I think whatever whatever the maximum was they allowed for batteries is outfitted on the truck. To just give you guys some pictures I didn't do. The sides of the truck have, they're three piece aluminum pickets that can be removed. There's a new liftgate on the back of it. The the side pickets go up about yay high. They're not very big, and they're not terribly heavy. They're made out of aluminum purposely.

17:33Speaker 2

It dumps. It does not dump. It does not dump, but it's it's got a full brand new liftgate on the thing and everything, and the sides are not high enough that Thanks for

17:42Speaker 2

You can you would probably take bags and just toss them over into the bed. If you wanna take the sides off, you can. It's a it's a bigger truck. It's very Yeah. It's definitely a little bigger than what you guys have before.

17:52Speaker 3

Where do we charge?

17:54Speaker 2

Yeah. Charge yours. In the corporation yard. We'll charge it in the corporation yard. So every time that you guys get it, you'll be on a full charge every every time. Yeah.

18:01Speaker 1

Oh. One thing to get it full charge.

18:03Speaker 3

But yeah. So it does have the lift.

18:05Speaker 2

It has a, yeah, it has a full size liftgate on and everything.

18:08Speaker 3

That's right. So we need to keep both?

18:11Speaker 8

No. Good question.

18:13Speaker 2

The plan is the other truck due to age is going to the auction, which is honestly where it was supposed to go before you guys got it, actually.

18:21Speaker 1

Oh, wow. Okay. Yeah.

18:23Speaker 3

Is that an auction We always buy it.

18:25Speaker 2

Think it is actually It it actually is. We auction up at Sacramento. From him.

18:33Speaker 3

Tesla or which brand? Brand. What's a brand? Premium.

18:39Speaker 2

The what is it? Is it a Ford? It's a it's a it's a a it's a Ford. It's a Tesla. No. Don't

18:49 – 19:01Speaker 2

Ford. The the vast majority of our fleet is Ford just for maintenance purposes and and interchangeability on parts. 100 miles. So we will have Don't quote me on that, but I think that's 400.

19:01Speaker 1

We haven't even, like, about five to six times a year. So if we let it sit for, like, two months, is that okay?

19:09 – 19:22Speaker 2

I I think part of it too is just making sure that we that we always function the batteries and rotate them and stuff too. So it won't always sit just when you guys aren't using it. There'll be other things that we probably use it for just to make sure batteries are functionable and everything.

19:23Speaker 3

Make sure because

19:24Speaker 1

there are times, when you let it sit for too long.

19:28Speaker 4

Sounds like she's trying to to keep it on your driveway.

19:33Speaker 2

Information. We'll probably

19:37Speaker 2

it for a certain certain things. That's your choice.

19:39Speaker 7

So we keep the batteries charged.

19:41Speaker 3

Who is driving?

19:43 – 19:54Speaker 2

I I I think that's that would be a conversation you guys have amongst yourselves. It's not and when I say it's bigger, it's not it's not terribly big. It's it's it's just not it's not a pickup. It's not

19:54Speaker 1

a pickup truck. You know,

19:55Speaker 2

a pickup truck has smooth sides that run straight into the side doors. This one has doors, and it kicks out a little bit for the vent. But it's not it's

20:04Speaker 3

not that big. I'm scared. Like a smaller box truck. Oh, interesting.

20:09Speaker 2

The tire and the tires on it are really it's it's not very big.

20:12 – 20:36Speaker 3

Well, to be honest, actually, part of my original interview was, are you comfortable driving a truck? And so that is something that we might suggest to city council when they're interviewing people. You know, not everybody has to be somebody that wants to drive it, but is that something that you're comfortable doing? But it sounds to me like maybe there's a CGC camping trip in order. And

20:37Speaker 2

and I was gonna say too, if there's some of you that typically drive the truck, we we can hook up ahead of time, ahead of the event too if you guys wanna grab it, cruise it around, or or do something.

20:47Speaker 3

Yeah. Bear with us if we wanted if somebody was thinking they're comfortable, but they wanted to just make sure

20:53Speaker 8

they're comfortable on the streets. Mhmm.

20:54 – 21:10Speaker 3

You guys could give us a Absolutely. Orientation to the new truck. That's great. Okay. So the truck, is there any other thoughts or questions on Todd's presentation that

21:13 – 21:36Speaker 3

what we're changing over to as far as commission goes. Oh, I just thought of one. Well, obviously, we're only having the meetings around, you know, the typical two days before our cleanup events going forward. If as we progress in this new situation, we needed a special meeting, is that something that we can arrange or agree upon?

21:36Speaker 2

I I think we I think we can for a special meeting as well as

21:38 – 21:50Speaker 3

we do this session even. We can call for special meetings to take anything actionable. Obviously, it it would it would require that there's an action that needs to be taken. Okay.

21:50Speaker 2

I think the one change with the frequencies too is it there there may be a cadence that you guys can pull in the subcommittees. They can do little bit

21:57Speaker 1

a little bit differently to find that find the balance.

22:00 – 22:31Speaker 3

I am very happy that we're sort of streamlining this whole system because it was getting to be a lot of meetings with our previous subcommittee structure. And, yeah, there will be more, I think, importance on the subcommittees. But since we're streamlining those, hopefully, as a smaller commission right now, we won't be so overwhelmed with a lot of meetings. We can get focused. So that's my hope. It's new system.

22:32Speaker 2

And as far as just calling, refresh my memory in the group. As far as timing on the annual board and commission recruitment, that's going to be based in

22:41Speaker 3

think they start with groupings in, like, in May.

22:45Speaker 2

And and new and new members Their first meeting for

22:49Speaker 6

this group would be October. So they would

22:52 – 23:06Speaker 3

be sworn in. And so, typically, with this group, members would get sworn in on Tuesday, and your first meeting would be Thursday. But since there will be no future meetings in the month of September, first meeting would be in October. So

23:09Speaker 4

as we get information, do we need to reapply all of us?

23:15Speaker 2

We can't Re then we need to reapply? This is a this is a commission. You are a commission.

23:22Speaker 1

If you have, like, if we have,

23:24Speaker 4

for example, two more years to go, so I will stay in after three years, I will just start to reapply. Right?

23:32Speaker 2

You would you would start from scratch from when this was adopted and also a few weeks ago, and you can reapply for up to a ten year period. Is that correct?

23:42Speaker 3

I I think the remainder of your terms where you are right now still apply. The idea is from this point on, you have ten

23:49Speaker 1

Ten years. Yeah.

23:50Speaker 4

Yeah. So if you have two years to go, I'll stay two years instead of you have two terms.

23:57Speaker 3

Whatever your whatever is left on your term right now From now ten still yeah.

24:01Speaker 2

Thanks for doing the math on that for me, at least. Yes.

24:05 – 24:16Speaker 3

It is. But, I mean, yes, whatever you have left right now is what you have. It's just that now you are a commissioner and not a task force member. It's the only difference.

24:16Speaker 4

So it's no need to reapply Yeah. Entire team?

24:19Speaker 1

No. No. So it

24:20Speaker 4

will get only three extra bodies. Perfect. And we we only recruit three more bodies. Right? Because for 15, we need to get 18.

24:28 – 25:05Speaker 3

So, technically, you we actually didn't get a chance to mention that, but we have some resignations. So Doug resigned and Lucas Banks resigned. So the body right now is 13. So they will be recruiting for five to fill five vacancies. Yes. And and they will have two alternate, you know, they'll recruit two alternates. That does not mean I'm not familiar enough with all of your terms. I don't know if anybody has a term coming up ending this year that will need to let the city clerk show the city clerk's office will reach out to any of you whose terms end this year to see if you wanna be reappointed. Right.

25:06Speaker 4

I can. So I'm sorry.

25:08Speaker 1

You said Doug and who,

25:10Speaker 3

you said? Lucas. Doug and Lucas. Lucas. Yeah. And they are officially off the roster. The council took action

25:19Speaker 1

On both of them last last week. Yep.

25:24 – 25:43Speaker 3

Yeah. That might also tie into the idea. At first, we were planning to hold a special election in the field seat on the vice chair, but then this was adopted, and the the rules are one vice chair. So and we have one, so we don't have to go. Right. So, Sergei, you're

25:46 – 25:57Speaker 1

Is it? I thought so. I'm not. You're going to update the meetings now from here on until

25:57Speaker 3

Yes. So it's April. So we'll be bringing a revised schedule

26:01Speaker 3

Based on the council's adoption of of previous number of meetings. So we'll be bringing that to in April to adopt. And so, essentially, your meetings will be moving forward in April

26:11Speaker 1

April. June. Guess.

26:12Speaker 3

August, October, and then February, Right? And April.

26:17Speaker 1

Right. Okay. Thank you.

26:19 – 26:36Speaker 3

Essentially, the even months. Yeah. And we never we we did sometimes have a meeting in November, I think. Right? Yeah. But we're not going to. We never have. Okay. Yep. Okay. It's gonna be all about subcommittees, people.

26:38Speaker 1

So those are subcommittees. That's gonna we're gonna get to

26:44Speaker 3

that in a little bit. Okay. So so often?

26:47 – 27:00Speaker 6

Yes, please. So if, let's say, next year, we decided to have more cleanup events, then that designates more meetings. Right? Because we would still have a meeting prior to each cleanup event. Okay. Yes.

27:02Speaker 3

good. Questions?

27:02 – 27:30Speaker 4

We will sorry. Top question is, and as soon as we discuss it, if you like to do, like, five standard cleanups and we want to introduce new cleanup, then we're gonna use only truck, our new truck. Is it okay? So five is is is then we'll get this kind of like, do you remember before we put a box and the people put it? If you do, like, something, I just asking, like, if it's still working.

27:30 – 27:48Speaker 4

You use this truck because it's no gas. It's still not cost extra money. So we'll just get, like notified some people in the area and, like, two, three people from team or, like, like, two shifts, like, three people to three. Just collect junk and just dump it. Because to be honest, I think

27:48 – 28:09Speaker 2

we we did something similar to that. We did some kind of off the grid cleanups and stuff. And I I think as long as as task force members were leading that effort, I think that the city had flexibility to use. Yeah. Yeah. Because our observation shows them at least 70% what we collect will come in from trucks.

28:09 – 28:33Speaker 4

Mhmm. So pretty much we can get I'm not talking about this five. This five stay. But if you want to do extra, one or two, you can bring it and it's we will just announce it to people in areas and we will come to your area and put a front and we will take it. We'll put some limitations. They don't look like, you know, hazard stuff or blocks. So we'll yeah. But just idea.

28:33Speaker 3

No. Yeah. But I would what I would call that is, again, we can off the grid cleanup where we're not necessarily recruiting volunteers from the community. It's just us.

28:42Speaker 4

It's not it's not the only use to volunteers. We just need to support from Charles and John because at the end, they will put it. They need to Yeah.

28:49Speaker 3

Just to clarify, your idea is that you will allow residents bring their garbage to the curb so you could pick it up? I think we have to give some thoughts. Yeah. Yeah.

28:59 – 29:27Speaker 4

Yes. What I want to yeah. Like so what I'm trying to do, like, during our event, we have volunteers to get grabbers and stuff as they're going to wherever areas we are point them. In same time, we have people, our team mostly, and, of course, Mark to help us all the time. So it's, like, one or two pickup trucks circulating to get the stuff where you see it all the time.

29:29Speaker 2

Maybe if you guys

29:31Speaker 2

brought that to a subcommittee with the with maybe a recommendation of what that what that looks like.

29:35Speaker 4

I'm just asking, is it are you open to that? Because if I say it's definitely not, same as we just sunset

29:44Speaker 2

I don't wanna say that I am or I'm not, but I would say if you guys if you think it's something that's worthwhile that the task force wants to do and can route that through a subcommittee with the recommendation.

29:53 – 30:14Speaker 3

I think that would sorry to interrupt, but I feel like that is something I think that's a very interesting idea. And, Sergei, I think it would be something that actually would relate to our policy subcommittee in a way about illegal dumping and trying to Yeah. Facilitate working on that. Yeah. Where but it sounds kinda similar to what Axis Hayward already does.

30:14 – 30:49Speaker 3

But it doesn't mean that we could maybe supplement with off the grid cleanups to do a similar type of thing, but it might not be exactly what Access Hayward does. We I think that's something that we would need to kinda figure out in a subcommittee and then present it to to staff and the city about how that would roll out, basically. It's kind of a pro it's I mean, it's a great idea. I think it's off the grid cleaners. No. It's just So is that from the same neighborhood or No. Anywhere? Just It's

30:49 – 31:06Speaker 4

just idea. Let's just, take it offline, make some proposals, and do, like, business justification. Why I'm asking? Because this time, it's no such a thing as gas because it's electrical truck. Mhmm. So it will not cost any new one.

31:06 – 31:20Speaker 3

Sergei, I would ask you to maybe just make, like, a three point proposal of what what it looks like. And you are obviously very good at this kind of stuff, and this is what your amazing mind does is think of these ideas. So that would be that would be what

31:21Speaker 4

Yeah. So I I will

31:22Speaker 3

A subcommittee could work. I will I will send it

31:24Speaker 4

to you first, and then probably if somebody want to be part of that, we will decide which subcommittee will be part

31:29Speaker 3

of that. Yeah.

31:30 – 31:48Speaker 4

And we will it's pretty much will be kinda replacement of, senior art. Very Same same idea. Most of the people will be from, commission. I don't want to bring volunteers because it's kinda legal side. I don't want to do that.

31:48Speaker 3

Okay. So let me,

31:51 – 32:29Speaker 6

maybe just for a little bit of clarity. So we did something similar before, and we when we went to not having a cleanup every month, there were a group of us that still kinda wanted to have one, so we'd have one maybe every other month and so forth. And we would meet together, but we didn't have a forum. And so that was one of the things we wanted to make sure we didn't have with a forum because we didn't wanna have any kind of issues around maybe we're discussing things and so forth. And, also, because we didn't announce it, you know, like, in terms of, you know, in to let people know because it wasn't anything that was gonna be open to the public.

32:29 – 32:51Speaker 6

It was just gonna be us that was doing it. So just to talk about maybe some guidelines. You know? We using the truck is helpful. We usually collect more stuff, basically, bigger stuff and stuff when we use the truck than we do walking around. So using the truck we didn't do the truck at that time, but, you know, we could think about adding a truck in. Anyway, just to kinda,

32:52Speaker 6

add some things to what you might need to think about if we were

32:55Speaker 1

to do consumer thing.

32:57Speaker 4

If you concerns that we're not doing enough cleanups, we can do altars so we can do, like, normal regular cleanup when we bring volunteers, and then we do only ask.

33:07 – 33:52Speaker 3

Yeah. Absolutely. And that's exactly what Blaydas talked about. It's like these kind of off the grid things. And with that, I just wanna take one quick moment to acknowledge our member, Shingo, Nagai, and a couple of our previous task members, Jean and Tammy, who are basically doing exactly that on a regular basis on their own with the auto truck. Thank you, Shingo, for what you're doing to this community. Mhmm. Because they are. They're doing it. I'm sorry, Mohan. I I apologize. And it's all jobs. Jotty does a lot. I mean, beyond adopt a block stuff, it's like you're doing it more regularly in the areas that are not your adopt a block. So I just wanna thank you.

33:52Speaker 3

By the way, I may see you this Sunday if you're still doing it. Oh, I haven't. I can be part of the cool kids.

33:59 – 34:21Speaker 1

And I'm going to talk to the truck, by the way, and and they just realized. Is there a pickup in it, or is the box? I think, like, during cleanup events, we separate the main truck from the pickup, and then the pickup goes around and collects. Mhmm. Does it also have the option or no more? Just to separate?

34:21Speaker 4

Or Yeah. That's it. He's asking about who? Yeah. He's he's he's okay. So That's fine. To say.

34:27Speaker 1

As if I have a bed?

34:29Speaker 1

Oh, it's it's the bed. Yeah. It's it's gonna it's gonna separate from the Yeah.

34:33Speaker 2

You're gonna you get a bed that's that's larger than the the truck that you had before.

34:37Speaker 1

Yeah. I'm just I'm trying to see if I

34:39Speaker 5

thought that

34:39Speaker 3

I I was I was trying to get one too, and

34:41Speaker 7

So right. No problem.

34:42Speaker 3

At the shop. And

34:44Speaker 6

I can drive over there and take

34:45Speaker 3

a picture of you guys, Yeah.

34:48Speaker 1

Still have the. It's a pickup trucks. Right. Yeah.

34:52Speaker 3

Can see. I love yeah.

34:53Speaker 1

I thought it was just one big box strong.

34:55Speaker 3

Does it have back seat? Like, a back seat double cab?

34:58Speaker 2

No. It's a three seat, two seat, something Three seater.

35:03Speaker 1

No curtain. No curtain. Thank

35:07Speaker 3

you so much to the city of Durst. Amazing. So let

35:12Speaker 4

us know when we can come and try.

35:16Speaker 3

We're there Monday through Friday. They're there at 6AM to the guys are there from 6AM to

35:22Speaker 3

As long as it just let us know when you want a couple of you or if you wanna come, and then we'll make sure that the truck is there. It's not going anywhere. Right? So we're waiting on. So

35:32Speaker 2

there. Thank you. Yep. It's there.

35:33Speaker 4

Perfect. I will send you to, Karim. I want to see.

35:39 – 36:07Speaker 3

Heck. You know what? We can take a picture of it tomorrow too, and we'll send it all out along with this PDF. Oh, that would be good. Yeah. Okay. Are we are we ready to move on? Yes. Of Okay. So I think the next item on our agenda is minutes. Yes. Minutes from last month's meeting, February. Hopefully, you've had a chance to review those. And if you have, hopefully

36:08 – 36:32Speaker 3

Oh, wait. We need to ask that for the comments on those. Right? Generally, yes. Yes. But yes. Okay. Public comments on meeting minutes from February. I assume there's none. Anybody have any comments or questions about last month's meeting minutes? So I will entertain a motion and a second to approve. Alright. Motion's to approve.

36:32Speaker 1

And the second?

36:36 – 36:54Speaker 3

Sean, do you a second? Thank you. So I'll take the role. And so when I Oh, yes. Stay safe. Or abstain. Of Life of Bowers? Yeah. Yes. Yes. Tom Ferreira.

36:55Speaker 3

Sandra Braast. Yes. Vikram Gautam. Sergei Meldenkop.

37:00 – 37:38Speaker 3

Melissa Millman. Yes. Shingo DeGay. Yes. Deborah Patton. Yes. Chandu Sarandes. Yes. And George Viemel. Yes. Thank you. Okay. Thank you. So now we are at the fiscal year twenty five year end expenditures. Staff recommend that over the next couple of months, staff work with the chair, vice chair to use the remaining fiscal year twenty five budget to replenish supplies, equipment, and hand out swag items to ensure supplies are in place for Earth Day in April and fiscal year twenty six, which begins July 1.

37:40 – 38:19Speaker 3

Colleen. Have your lovely slides to walk us through. Yes. Okay. So we we do this pretty much every year at this time. We take a look at what's left in the budget, and so that's where we are. We're gonna we're asking that the task force or excuse me. The Clean and Green Commission allocate funds from its remaining fiscal year twenty five budget to replenish event supply and equipment, swag items as needed. The remaining budget, including all previously allocated funds, is about $4,000 right now. The time frame for this is tonight, I'm asking that you approve the application.

38:19 – 38:58Speaker 3

In April, I will be working with your leadership team on inventory so we can determine what's needed. And in May, I will start the procurement process to make sure that we can purchase everything and use the budget. And all items have to be in by June to qualify for fiscal year twenty five expenditures. And some of the items, just as a reminder, I probably don't have to remind you. You guys probably all know what that there are, but there are task force home member only swag items, name badges, the hats, the beanies, the vest. Look at Jeff. That was a good picture. It looks small. I know. I'm sorry.

38:58 – 39:43Speaker 3

And then the community event giveaways that we've stocked up on are pencils, pens, these bags, the reusable water bottle. We've got buttons. We've got stickers. We've got window cleans, a variety of different things. And then it brings us to our other things as needed. We reimburse for the the donuts that Tom brings to the cleanup events. Thank you very much. Portable restrooms for the events, snacks. From time to time, you guys need chairs, tables, different equipment, new canopy, wagons, whatever it may be. So the idea is we will get an adoption tonight to blanketly approve those the remaining budget to go to purchases like this.

39:43Speaker 3

And again, it will give me the authorization to work with the leadership to take the inventory and then procure the items of what we need.

39:52Speaker 8

That's all I have on that item. Thank

39:54Speaker 3

you, Colin. So to just be clear, we are going to be voting tonight just to approve the rest of the budget for these types of items. So that's

40:04Speaker 1

what we'll be voting on.

40:06 – 40:43Speaker 3

Not necessarily specifically what we're buying, just that we can use the rest of our funds to buy things like this. And I think in chairman, we can correct some of it. We are focusing a significant amount on seeds. I think that seed packets have been very popular as far as the birth. We wanna make sure that there is ample seed supplies to get you through. And, I don't know, director Roman, are you guys prepared at all? Moving on the the fiscal year budget. Yeah. And there's a reason why we wanna stock up on supply.

40:43 – 41:04Speaker 2

I think right now just as an as an organization, we're going through a belt tightening and some budget reduction exercises, specifically on our supplies and services budgets. So while this group's budget is is relatively small, I just think the advice is we should use the budget that we have this year to make sure we have what we need in stock, and then we'll deal with next year next year. But,

41:05Speaker 1

definitely, definitely, I think it'll be a

41:06Speaker 2

good idea to utilize what we have now to make sure you guys have enough supplies.

41:11 – 41:25Speaker 3

I'll also be looking at bag inventory, you know, the the actual trash bags. Make sure you guys have ample room. I don't know what's in the the shed, so I wanna make sure that. But but, yeah, might as well.

41:25Speaker 1

I can help you out. Any

41:28 – 41:44Speaker 3

other part of presentation there? Any public comments on this item? No. There's an online machine. Commissioner. K. Any questions? Yes, Sam. Had a question.

41:44Speaker 9

How do the adopt a block groups get the trash bags? Do they have to contact you and

41:51 – 42:17Speaker 3

come in? So, well, first of all, when you become an Adopt A Block group, you get an email with all of the instructions. And in that instructions, there's a link where you, submit your supply request. But that link is also on the webpage. So if you go to the city's website for adopt a blog, it's all there. So you click it, and you order your supplies. And then I will communicate. It comes directly to me, and I communicate with the individual to come to the yard, they pick up their supplies.

42:17 – 42:28Speaker 9

And the reason that I'm asking, the the garden club are we're adopting multiple places, and we're starting to, like, move on that. And so thank you. Thank you for your support.

42:28Speaker 4

In your case, we can just get it more from and give it to you.

42:33 – 43:02Speaker 3

That is actually, I think, what needs to be if I'm correct me if I'm wrong, please, but I think the the clarification here is that if you adopt a block, are those supplies coming from our budget of supplies, or are they coming Is that separate? No. It's a separate it's it's a streets budget that supplies this program. The adopt a block program. So it's not KHCG's funding that supplies the Adopt A Block grabbers and beds. That comes up. Am I correct on that?

43:02Speaker 2

Yeah. If you're in a pinch, you need some badge real quick. That's one thing. But, really, for Adopt A

43:07Speaker 1

Block groups is you need

43:08 – 43:20Speaker 2

to keep supplying contact calling. That comes out of a separate budget from the task force. The task force budget is for your guys' events, your needs, and and little things that you might do to support adopt a blog. And

43:20Speaker 3

Is that part of what you were asking, Sandy? Is that

43:23Speaker 3

what I was asking. Okay.

43:27Speaker 6

She could have all of it. Okay.

43:30Speaker 3

Yes. Tom. And those

43:31Speaker 5

In our event subcommittee, Shandu was wondering, could we get more of those tattoo supplies with the h on it? She's very good at that.

43:40Speaker 3

We have actually a lot of those.

43:43Speaker 1

Oh, we have.

43:43 – 44:08Speaker 3

Yes. So, Chandu, yes. You are truly our official tattoo artist. Thank you. Yeah. You make the scenes of you. We do have quite as we ordered, my friend. We have a lot of those, but a lot might go during if I hope you're coming to the citywide cleanup event in April, but yes. Yes. We will need you'll probably need some backup help. But Yep.

44:08Speaker 1

So now now it is trying

44:10Speaker 4

it's just trying to allocate money on big buckets, and then they will start talking about what you're doing.

44:16 – 44:31Speaker 3

Yeah. I'd like to work with Chevron leadership or any member who wants to go to the shed and take a solid inventory on these things, and then we can make a determination, you know, what are the things that are the most of the most important significance that we need

44:31 – 45:16Speaker 3

replenish. Sure. Of course. Yes. I think, in my opinion, yes. The tattoos have been super popular, and that's great because it gets kids in and our younger populations, but parents do. And the seeds have just been great because they are so environmentally responsible as far as swag goes. So those are two things I'm I would like to begin to soak up the dates. I'll or debrief on the February event. I pulled the the answers to, like, how did you hear about this? And it was really nice to see that it was. Oh, so interesting. It's good. Okay. Yeah. Any any other questions on How many bags? Do we still

45:16Speaker 6

have bags left or not?

45:17Speaker 3

The actual key hair cleaning green bags. We have a lot in the shed. Oh, we do? We do. Wonderful. That's good to know.

45:24Speaker 4

Nothing on my nose is I

45:26 – 46:11Speaker 3

don't know how many comes in I mean, the box is, like, you know, two feet by two feet by, eight inches and then full. That's cheaper on the outside of the box. Yeah. Yeah. Sugar. But but, again, so this is an action item. So after the comments, I will Yeah. Any more comments? Anybody? And then we'll be on this. To approve that we can use the rest of our budget for these types of items. K. I think we can motion and second. Mhmm. Tom is Second. And Second. Survey a second. Thank you. Please take roll the phone. So when I say your name, if you can say yes, no, or up to date. Linda Bowers? Yes. Celia Chinchun? Yes. Gwen Dossi?

46:11Speaker 3

Mohanen Awali? Yes. Tom Ferreira.

46:15Speaker 3

Sander Frost. Yes. Ingram Gautam. Sergei Melnico. Yes. Melissa Millman. Yes. Shingo Nagai.

46:23Speaker 3

Leverend Patton. Yes. Chandu Sarandas. Yes. And George Viemil.

46:28 – 46:52Speaker 3

Thank you. Fantastic. Let's see. Oh, now I'm talking a little bit. Okay. Actually, agenda item, we're on number eight. Right? Differentiation items. Yeah. Financial report and attendance report.

46:59 – 47:16Speaker 3

That both are in your packet. Yeah. We image coverage expenditure. We'll be spending the rest of the. Attendance, you're friended correctly on the big payments. Large. Payments. It was important to do that. It's

47:18Speaker 3

But, anyway, if again, reminder, if you see anything not reported accurately, just me, and I'll correct it for the next meeting.

47:26Speaker 1

And it's important that we

47:28 – 48:08Speaker 3

correct it sooner than later because this is turned into the city clerk quarterly, and that's why every quarter you might get a letter if you have some executive options. So let me know if there's anything that, doesn't mean Did everybody hear that again as a refresher? Very good. Are there any public comments on financial or attendance reports? Okay. So what's going Yes. No. I know. I'm getting to the commissioner. Oh, yes. Yes. Yes. So on the in this piece. Yeah. It was really a fiscal year, not our own dinner.

48:08Speaker 3

Next. So Sorry? It was day care by fiscal year, but as the new goals, it'll be calendar year. Oh, okay. It'll be calendar year. Yeah.

48:17Speaker 6

Oh, okay. So calendar is

48:19Speaker 1

in January is good. It's gonna be here.

48:21Speaker 6

And that's gonna start with the first January. Yeah.

48:24 – 49:12Speaker 3

I'll have some I have some work to do to agree more about everything in terms of So by that April meeting, you're starting to see a shift in the way information is going forward to align with with council decision. Okay. So, essentially, the because, yes, for a lot of us, I mean, 75% attendance rule as things have been dropping off over the fiscal previous fiscal year and rolling into the new fiscal year. That's where you could be busted to see your attendance percentage rise because once again, one's account are these meetings and cleanups. That is what is strictly counted for our attendance percentages that are that 75% number.

49:13 – 49:57Speaker 3

So, of course, I I got one of those letters. Okay? So a lot of us have gotten those letters. I am hoping that it's not gonna discourage people or upset people too much because if you have been doing other things, there, of course, is very good argument why to stay. And, so I don't want people to get discouraged. But really going forward, this is our commitment. And luckily, as a commission, we're not gonna have as many of these meetings to attend. K? So things are gonna get streamlined. Hopefully, it won't feel so overwhelming for everybody.

49:58 – 50:35Speaker 3

But this is our commitment, and, you know, we signed up for this. So these are the important ones. Think about it. And that is just the way it's gonna be counted. There's just no way around it. But, of course, you're doing other things. I that's some sort of thing. You know, if that's add to what you say. I was gonna add is that so it's the attendance for meetings are regular meetings. So in the event then, we have to have a third Thursday meeting because it coincides with the fourth Saturday.

50:36 – 51:12Speaker 3

Special meetings technically are not required. Oh. Just so you know. And that's why if you look at the attendance report, it's color coded so that you can see what's required, which are the two to three, the blue meetings, and the green cleanups. Right? The yellow activities are things where the little asterisk, We added that so that council, when they review attendance, they can look and say, wow. This person maybe missed missed two things, but they really are engaged with this group, and, you know, we're we're being favorable on that. So if they're taking and not speaking, and she's here, so she can

51:12Speaker 1

help. Sorry.

51:14 – 51:41Speaker 8

I was at an event for the city, so that's why I'm late. Be bad timing talking about attendance and be late. Sorry about that. Excuse my voice. I got over some cleanup, but my voice hasn't gone up to me. So please excuse my voice. Yes. We do look at a full picture when we when we see the attendance. We do consider, is this person active? Have they been engaged? Have I seen them at the cleanups?

51:41Speaker 3

Have I seen them

51:41 – 52:08Speaker 8

in meetings and maybe they're lower on attendance? But we we do wanna stress them to the meetings because that's when the organizing work really happens. And the cleanups is where we have the heavy lift. So we have talked Cher and I have talked about minimizing some of the extracurricular activities so folks won't feel burnout. So you all have been streamlining your ad hoc committees to help with that so you all can focus on on the cleanups.

52:08 – 52:44Speaker 8

We also have reduced some of the extra things that were attached to the cleanups so you all can focus on cleanups. So, hopefully, that will help with, like you said, the capacity issue you might be facing That's right. So we can keep your attendance up. But, again, we understand these are volunteer positions, but we do have people who wanna be on this task force who are who wanna be engaged and who will make this commitment, but we value all that you're doing. So, hopefully, these these numbers don't discourage you, but encourage you to engage in a different way.

52:47 – 53:11Speaker 3

Yeah. I I guess, I understand that getting the letter can be frustrating and a little bit scary and disconcerting. But to me, that letter isn't meant as that they're immediately booting you off or something like it's kinda like it's a warning. I mean, it's a true one, but it's not meant to scare anybody off, particularly if I'm broke down.

53:11 – 53:38Speaker 8

Yeah. Yeah. It's not too scary. It's just to give a heads up. And if it continues, then we have to have a a conversation. But Sure. It's we we understand this is volunteers. Sometimes and all across all the commissions and task force, sometimes it is a wake up call for you. You might have other things going on in your life that you might have you might wanna focus on instead of this, and that's totally fine. We can always participate in a cleanup as a volunteer.

53:38 – 53:57Speaker 8

Thank you. But we we do value your time as a task force member. And I know everyone's talking about low attendance, but I wanna give kudos to everyone with meeting meeting the 75%. And those who are meeting the 100%, kudos to to you all too because that is a lot of work and commitment. So thank you to to all you guys that are serving everyone.

54:00Speaker 8

Thank you so much.

54:01 – 54:28Speaker 3

Thank you. Any other thoughts or questions on this particular agenda item? K. Then I think we are ready for subcommittee reports and updates. I'm gonna start with the.

54:29 – 55:10Speaker 3

So we didn't have these guys last month for January. So if January and February combined, they're so a little low. For the whole month of January, probably February, I pulled data with one new dude. So, you know, it was a holiday. There was no event. So so we have one room, Mount Eden, Puente, and they adopted over by the. We actually pushed out a ton of renewal request and have four people renew. We had two people retire or groups. I'm sorry. And we still have 57 out there that are just pending renewal.

55:10 – 55:52Speaker 3

So we're we're not really sure what's going on there. We're gonna probably start making some phone calls and try to do some more direct outreach to those people and see what's going on. For access handler request, this is the topic of adoptable trash debris on public property. 76 total requests for the two months, and you could see there Tom Ruth, Tom Ferreira. HAYWARE concerns Good. The Syrah family, the Hans family, Melnikoff family, and the list goes on. I see Shingo down there and Tammy. I think Tammy also enters things in under some other aliases and stuff, so she's kinda busy. Yeah. She is. Yeah.

55:53Speaker 3

that was it for the the two

55:54Speaker 4

I promised my neighbor, mister Gonzales

55:57Speaker 4

hear who's working for you. Say so he's a great adopter. Very great. So my neighbor.

56:05 – 56:31Speaker 3

Okay. So, definitely, hopefully, at the birthday event, you guys can really push somehow the program and maybe even had to get people to sign up on the spot and give them some slack. Think, and one of our members here, Andy Frost, I think, has ideas about how to maybe promote the adopt a block with some other

56:32Speaker 9

You know, is the time to talk about it, or is that gonna disrupt the meeting?

56:35Speaker 3

Well, actually, part of the presentation being part of the update. Yes. And So

56:44 – 57:24Speaker 9

as I mentioned, the Eden Garden Club is kind of embracing a doctor block for pollinator pathways on the park strips. So we pick up trash on the adopted street fronts, but then we're also sheep mulching and putting in native plants with the consent of the homeowners. And so there's permission being granted, but we're greening. And the plants have been, like, either grown out by garden members or donated or, you know, it's really easy to propagate plants. And it it's we're down the street from Maricelina's, and he's aware of what we're doing.

57:24 – 57:41Speaker 9

And it's it's been pretty exciting. And then bringing back the natives group that's, like, Bay Area wide, They're they're kind of excited about what we're doing too, and I can talk of adopt a block. We're putting plants into the park strips. And

57:42Speaker 3

Yeah. I would encourage

57:43Speaker 1

So I don't know if that's legitimate.

57:44 – 57:58Speaker 3

Time you have a community member's ear, you could definitely put a plug in for the program and have them go to the website. They could just go to hayward-ca.gov and search adoptable, and everything about the program is there, and they can apply.

57:59 – 58:24Speaker 9

So I think the really big deal is that we got permission from to plant the Sun Gallery property in the front and adopt maybe that section there that's by the the middle school. We're we're still kind of working working that out, but everybody seems to be on board with it, and we're gonna be putting in native plants and ideas.

58:24Speaker 3

Fantastic. So Sun Gallery is basically adopting a block. Is that correct?

58:29Speaker 9

Yeah. Yeah. Or it'll be Just Eaten Garden Club. Okay. Trying to figure out where the garden members are in the neighborhood so we can keep their regularly stay stay on top of it all.

58:41 – 58:56Speaker 9

sense. So I I think it wasn't clear to the the lead on this who lives on Montgomery that that was the process to get bags and, like, report back because we've been doing a whole lot of work and picking up just, a ton of trash, and it's not even reported. So

58:57Speaker 4

No. See, no interest or seven is probably Yeah.

59:01Speaker 4

No. No. You need to be kinda yeah. It's

59:05Speaker 9

I'll do better.

59:05Speaker 3

Have you actually adopted the Google box yet?

59:08Speaker 9

Yeah. Yeah. We got her signed.

59:09 – 59:53Speaker 3

Okay. So yeah. So so probably you guys just need to remind them how to use AccessAward. Yeah. So when you go in and you you're submitting your request for our team to come pick up the bags that are collected, you have to pick the group name from the drop down, and that's how I know Okay. How I get the numbers. You just gotta pick that group name. Basically, this is all tracked through Access Payward, and that's it's important because then we can see who's Yeah. What. Even if you're just you got your own couple little blocks. Even if you don't even need bags picked up, you wanna put them in your own trash bin, you can still log it in that you disposed of the stuff yourself, but that you did a cleanup, and then it gets logged into this information.

59:53Speaker 9

You're measuring, like, tonnage, or are you just counting bags? Or how how is it measured?

59:58 – 1:00:23Speaker 3

Well, when I've done it and, obviously, I need to pick up the pace on my own blocks. But when I have done it, I have just said I did a cleanup, and I had two bags disposed in my own bin. I made a note of it in Access Hayward, and then they can see that, okay. You had two bags. No. I didn't calculate out exactly how much bags weighed. But two garbage bags went into my own garbage.

1:00:23 – 1:00:39Speaker 7

Well, we'll we'll calculate it. When we pick it up, we put it in our nose. It was picked up within twenty four hours. One bag is considered one yard because you can't accumulate you know, two bags would be one yard too. All the way up to, like, four bags would be, like, two two yards. So we'll we'll calculate it as we go.

1:00:39Speaker 4

Nice. Nice. Yeah.

1:00:40Speaker 3

I mean, there's there's a way to kinda comment and just give a little bit of information about what you picked up and what you did with it, but that you did a cleanup. And then that's how that gets logged as well.

1:00:50Speaker 9

And this isn't the proper forum to talk about community compost?

1:00:55 – 1:01:13Speaker 3

I think maybe something that Bloody. I think maybe we wanna that in a subcommittee. We're in subcommittee updates right now. So maybe when we get to if it's not related to adopt a block, when we get to the one of the next groups, maybe we can we we can put

1:01:13Speaker 6

that in. Sure.

1:01:14 – 1:01:55Speaker 3

I just wanted to point out for adopt a block. When someone applies, we they hit the submit button. It's gonna come to our office. We do all the background, reading, math, everything. When we hit approve, the system shoots out the congratulations. It's approved. Here's all the details about this program, and it's very it has a lot of information. I'm sure most of you have seen it. It talks about how to use Access Aware. It talks about how to order supplies, talks about cleaning up the private property, not the or public right away, not private property. They would grab and stuff like that. And it also talks about, oh, and by the way, if you can clear a storm drain, you know, when it's that time of year, do that too on your topic. You know, if it's don't get in

1:01:55Speaker 6

the streets, we talk about something like that.

1:01:57 – 1:02:34Speaker 3

So when you're talking to people about the program, you can direct them to the website. If you don't have anything handy for them to do it, have them search adopt the blog. It'll take them to the page, and they can do everything from there. And then everything will be communicated to them through the process, including when to adopt the sign. You know? Oh, I'm sorry. When to request your sign. Because that's actually Emmanuel said we have to do. You have to email us back and say, we finished our our two cleanups for the first quarter or whatever. Can we get our sign? And then we communicate with you on what is your sign gonna say and all of that it's gonna be installed.

1:02:34 – 1:03:06Speaker 9

Oh, we've we've been really successful with the creeks cleanup with the kids too. Like, that that's been phenomenal, and and really appreciated help from the the staff. It was it was just a great event, and it's happening more more often. Like, we get more requests for youth to come in and be with friends of San Lorenzo Creek to pick up the and we're working with resource conservation district too. So if if that is that considered it's an activity, I guess. It would be like a special event maybe with

1:03:07 – 1:03:28Speaker 3

It it so the adopt a block program is is adopting a public right of way block. Not it it really doesn't extend to those creek areas and and those types of activities. And maybe I don't know if anybody else needs to jump in on that, but those creek areas are considered private property. Right? They're not property. Or

1:03:28Speaker 7

It it is property and property. Just know what side you're on. Half halfway down the whole creek in the Allegheny Counties.

1:03:36Speaker 4

And there's a leak.

1:03:37Speaker 7

other one towards, like, Safeway. Behind Safeway is City Of Hagris.

1:03:41 – 1:04:16Speaker 3

It's a unique activity that you all are doing, and it's handled outside of the program because it's coordinated with the office. And I know that they're hauling away debris. I think they're getting in there and doing some cleaning before volunteer get in there, and then you guys are doing more cleaning, and they're coming back and picking that stuff up. So it's really kind of a a specialized attache outside of that the doctor block program. Good work. We've had people call the office, and they're like, oh my god. Even people cleaned it. It was great. Thank you. Yeah. And then we're telling them, oh, well, if you're so happy with that, you should probably think about joining something like that. So

1:04:20Speaker 3

Can we adopt a gated community? Sorry, I'm trying to say that again.

1:04:25Speaker 4

Gated community. Gated

1:04:27Speaker 3

community. It's public private public right away. So if it's in the if it's gated, that's considered private.

1:04:35Speaker 1

So what about if it's not gated and but it's a, like, an HOA community. If it's

1:04:43Speaker 3

a private owned street that the city does not maintain and that the HOA maintains, then

1:04:54 – 1:05:18Speaker 3

you gotta remember that we are we are doing you guys are all volunteers, but all the resources behind supporting the work that's being done is taxpayer money. So it it really is to serve the public right away and not any private areas where those private fee persons have maybe paid funds into a HOA that pays for the maintenance on their areas.

1:05:18Speaker 4

But on HOA, you can limit a doctor. You can do you or he will. Just say if you like, then you can do it your same. But back to

1:05:29Speaker 3

Not policing everything,

1:05:30Speaker 8

though. Yeah. Just

1:05:32 – 1:05:45Speaker 4

city will not provide you anything, but you can say here what city does. And because we are HOA, gated community inside, like, city and city, we can do same we can do the same problem. We can just, clone it and leave it.

1:05:45Speaker 3

Just keep in mind, that that they won't if you put an access handler request in for a bag of garbage that's in an HOA area, we're getting meetings group. We we Yeah.

1:05:55Speaker 4

We don't want that. What I say. So as soon as it's inside, CT will not do anything, but you can do yourself.

1:06:07 – 1:06:49Speaker 3

K. So I think it's we should move on. Yeah. So thanks to chair Melvin. At the last meeting, she presented these streamlining the subcommittees, and so you will have to pare it down to three. Policy Subcommittee being one of them. And I just put a cover slide together here just to remind everybody of what that policy subcommittee looks like. And I'll share we can share this with everybody again. The members that were assigned to this policy subcommittee are there. Eventually, when you all start scheduling your meetings and you provide me with what those days and times are for the year, I will add that to this slide.

1:06:49 – 1:07:04Speaker 3

And this this slide deck will be at every meeting because this is an opportunity where you guys have seen it in the past. Right? We have the bullet points of what the subcommittees talked about and the highlights that they wanna share. So this will just become routine for every meeting. So everyone just remembers.

1:07:04 – 1:07:39Speaker 3

That's I don't know if there's any policy subcommittee report updates now? I mean, when it comes to these new subcommittees, obviously, I kinda took the liberty to put a group together based on what people were on this previous year. And everybody was given a chance to ring in via email if they did not like what they were put on. We did not get really any feedback except Sandy. You mentioned that you wanted to be on policy or there was a.

1:07:41Speaker 9

The type of policy.

1:07:43 – 1:08:05Speaker 3

Okay. Well, you are you're not one. Are you enforced? So still, I think there's time for people to say whether or not they are happy with this and wanna change that. But my hope is that we can still have some subcommittee work done given that we're reducing our normal meetings here.

1:08:06 – 1:08:49Speaker 3

We need people to step up as leads truly, and maybe champion some different goals here for this year and next year. You know, maybe think forward into next year. I mean, we have been through kind of a cleaning of house this last year, so I understand there's adjustments and all of that, especially with the size of the group. So I don't think we have to be super rushed about this, but, you know, let's be thinking about what we wanna do. What can you champion if you're on, you know, if you're gonna be on a subcommittee and if you have the time and energy to lead one of them.

1:08:51Speaker 6

Could we go back to the other slide for the policy one more time?

1:08:56Speaker 1

The previous slide.

1:08:56Speaker 3

The previous slide. Two slides back.

1:09:00Speaker 6

Yeah. I'll look at that.

1:09:03Speaker 3

Why that means do you have good question?

1:09:05Speaker 1

No. No. I just wanted to review one. And then

1:09:08Speaker 3

And, Colleen, you said you're gonna send me.

1:09:10Speaker 1

Yeah. You're gonna send me

1:09:12 – 1:09:24Speaker 3

I'll send you something. Yeah. Well, let me put it this way. And I had my PowerPoint of this, Colleen. It's pretty much the same wording, but she made it more beautiful. Yeah. So, yeah, that's I can't have.

1:09:26 – 1:09:56Speaker 3

She's a master at this stuff. So I And I think what we could do is let's get through April. And in the next coming weeks, I'll start to work with chair Melvin to come up with a strategy to kinda get kick start these subcommittees. We may need to go ahead and I'll I'll pull each different subcommittee group, and we'll set up, like, an initial meeting to kick start and get you guys started. And then you guys can talk amongst yourself and decide who wants to be a lead, how what's your guys' availability, what kind of meeting structure you want.

1:09:56 – 1:10:25Speaker 3

We could slowly start to put that together and add it to the slides so you guys there was a request that we make sure that subcommittee meetings are, put on the slides so you guys keep remembering when your meetings are. So Yeah. To kinda just go off of that I mean, when I when I was doing a lead for one of these subcommittees, obviously, it is a little bit of an organizing deal because they're Zoom meetings. They don't have to be there in person, not every time or whatever. Yes.

1:10:25 – 1:10:45Speaker 3

If you have five people or three people, it is about coordination and emailing and making it somewhat convenient for everybody. So it's a little bit of work back and forth, but it can be done. And I think the consistency will be good. And, again, we are streamlining. We only have three as opposed to six or seven when it was before.

1:10:45 – 1:11:13Speaker 3

So I am asking tonight for people to seriously consider being a lead, what you wanna do, if you can do it at all. You're because not required. This is not required. But if you have ideas, think about what idea fits into which subcommittee and, you know, what you wanna do and what you can do, what you wanna do, that kind of stuff. So that's my request.

1:11:13 – 1:11:31Speaker 6

I'm sorry. Could you also send to everybody on a particular that's already on the subcommittee, everybody else's information in terms of their phone number, email, whatever it is. A roster. Roster everybody. Yeah. So that everybody tell them they have to have everybody else's. And it's

1:11:31 – 1:12:05Speaker 3

not on the roster anymore. We just we still and nobody's particular fault, things have changed. Yeah. But you know? This was the outreach. This was the Outreach. Together goals, projects, and how it ties into the strategic road map. And then here are the members as a reminder that were assigned to do the outreach subcommittee. And then, events subcommittee was the third one. And, again, goals, projects, and how it ties to the strategic road map.

1:12:05 – 1:12:46Speaker 3

And all of this was, read out loud by chair Melvin at the last meeting. And, again, I'll send the slides tomorrow you have it. And then the members that were assigned to the events subcommittee. The. We do need yes. Yeah. I just I just looked at that. Thank you. And I don't know. Was Doug did you take Doug off the policy? Yeah. Right. Anyway, so, yeah, as far as outreach goes, that name, I thought Sergei had a good point. Outreach is also education, so that's why that name changed just to remind you guys. So it is sort of, like, outreach and educational at the same time. But, yeah, I think I

1:12:47 – 1:12:59Speaker 4

think, yes, events will kill you in your activities. Pretty much events, subcommittees will provide you platform. So but if you need something.

1:13:00 – 1:13:31Speaker 3

Yeah. I mean, obviously, as chair and co chair, we're also in charge of events and the required ones. So anybody that is leading that or has ideas about extra events or I mean, they're all related, of course, mostly. You know, they there's a lot of crossover between these subcommittees, but, you know, there's a specific idea that's gonna be the forum to talk about it and discuss it. Not not here to get into the details.

1:13:31 – 1:13:46Speaker 3

That's what the subcommittee committees are about. It's the details. And if there's a particular project that you wanna champion, that's where the details are gonna be worked out, and then it's gonna be presented here and hopefully approved by everybody and the staff, of

1:13:46Speaker 4

I guess one more important, like, if, say, you're one commit subcommittee, if, like, months later, you would decide to move, it's it's fine. But people can leave from left to right.

1:13:58Speaker 3

I think consistency I think consistency is kinda good if we're you know, you gotta gotta pick. I don't think it's just flopping back and forth. But if you wanna be on

1:14:07 – 1:14:39Speaker 4

It's my question. Yeah. Go It's up to team because it's it's not really formal. It's just to help us to do our kind of business better. Sure. We have a three subcommittee right now, and we split people's involvement. And we ask them if everybody will review their subcommittees, their sign, and they're comfortable with that. Mhmm. Mhmm. And people say, yes. We're comfortable. So we don't like it sorted. So for some period of time. But if people change their mind, somebody change mind. Probably, they can they can let just move.

1:14:39 – 1:15:00Speaker 3

I think absolutely. If somebody is not happy on one subcommittee and then, like, realizing that they wanna be on another. Yeah. We can I think we can be flexible with that? Absolutely. I mean, nobody I personally wouldn't want anybody here miserable on what some committee when they could be happy on another. Like, absolutely not. And because, again, we're volunteers. Yeah.

1:15:00Speaker 4

That brings your point. Everybody volunteers.

1:15:03Speaker 3

Volunteers. Yeah. Would rather make a difference in some other area than I that's definitely worth a whole.

1:15:09Speaker 4

Yeah. Happiness is a key.

1:15:11Speaker 3

Yes. It was supposed to

1:15:12Speaker 4

be what the achievement was. Absolutely. So,

1:15:16Speaker 3

so I don't know.

1:15:18 – 1:15:40Speaker 6

Oh, I'm sorry. So if the particular subcommittee said that they might wanna meet in person, I think they're trying to come up with that we might have an opportunity to do that, reach out to or whomever. And we might be able to meet, like, here or meet somewhere else, but, you know, that I believe is probably still a possibility. Yeah.

1:15:40Speaker 3

Think so as long as it's not a form. Right? Yeah. I'm sorry. I'm having a hard time hearing. Thank you.

1:15:47Speaker 1

Please, like was just me because

1:15:50Speaker 3

Yeah. No. It's not. It's hard to hear in here sometimes. So I'm sorry. I should have been projecting more. Let's all project. Was that was the question about meeting space?

1:16:00Speaker 6

Yeah. Meeting that if a particular subcommittee wanted to meet in person, there's a possibility for that by reaching out.

1:16:07Speaker 3

Send me a note, and I'll try to book this room or another space. It just depends what time of the day it is and that And as long as it's not important.

1:16:15Speaker 6

Yes. And then If the

1:16:16Speaker 3

companies have been declined, then that'd be important. So yeah. No. I think thirteen. Divided by You can't have seven. Seven is important.

1:16:25Speaker 4

Seven is important. I'm trusting.

1:16:27Speaker 1

Okay. That's the only thing.

1:16:31 – 1:16:46Speaker 3

That's why I had five people on each subcommittee before when we were 15. Like, let me just divide it equally. Five fourth here. But now we're down to 13. So I don't think any of the subcommittees will be able to work. So Yeah. But

1:16:50 – 1:17:03Speaker 4

maybe, like, you know, some subcommittees chair can join even that for the sixth. Right? So Oh, okay. The sixth. So we just maintain the number.

1:17:03Speaker 3

Just be mindful. That's all. You know?

1:17:06Speaker 4

And it seems that it's not how many people are. That's how many people you invite.

1:17:12Speaker 4

Right? Because you don't want to invite more than six. Because if everybody show up, you know, they'll

1:17:18Speaker 3

But we don't have even an yeah. Okay.

1:17:20Speaker 8

I I hear you. You just need to be careful, ma'am.

1:17:23Speaker 3

Yep. Absolutely. The way that everyone on the line, there's there's no more than five on the reset.

1:17:29 – 1:17:40Speaker 4

Right. But for example, like, some of the subcommittee, like, Melissa like to join. It's a little bit plus one. So we need just my season number. It's not heated. And even said

1:17:40Speaker 3

So, yeah, whoever's the lead is just gonna have to say.

1:17:45Speaker 4

Yeah. Yeah. Yes.

1:17:47 – 1:18:22Speaker 3

That's the thing. It's you're the lead, and you're sending out the email about the meeting date. Check who you're sending it to. Make sure that you got the right people and the right number. Anyway okay. Alright. Are we ready to move on to our event debrief from our last cleanup, which I am super happy about and just wanna compliment everybody here, all the hard work they did. Seriously, like, superior work on everybody's behalf. Just yeah. Great work.

1:18:22 – 1:18:34Speaker 3

And you see there you have 64 attendees. Really good. 13 commissioners. We have one year. So I'm

1:18:34Speaker 8

gonna be at 49.

1:18:37 – 1:19:19Speaker 3

What? But I'll double check. I mean, I'll take 64. Sure. Yeah. So this this so this what I put here is from the question. When they register and they input information, I pull that data. So these are the groups that people associated with under the registration. The family, memory of and Gill, College Corp, Cal State University East Bay, Chabot Fire Safety Club, honoring program, Ginger Bridges. Ginger's been here before. She's an adoptive participant. And then other people just put adopt a block block Sure. Association. Here's how they heard about it. They either received an adopt adopt a block email that I sent to everybody or a stack email with nine people.

1:19:19 – 1:19:53Speaker 3

Website was six. Maybe they just went on the website and found it from a friend or relative with 12. Scrolling Eventbrite three. Facebook two. Keypayers, the green flyers, the cabling event is four. Pretty good. And a safe packet handout was two, and Heather was 26. I don't know what the other was. I think I'm going to format that that they didn't put what Heather is because I'm curious to know what that is. That's a lot of people. Okay. Yeah. Then do we have any service hours? 21 people asked for community service hours. Sorry.

1:19:53Speaker 4

Can we push I don't know the last time we made this notification. We push if someone choose others to force them to put other is? As you see, you can see.

1:20:03Speaker 3

But the what?

1:20:03Speaker 4

Do you remember when we added this? When people choose how they know, last one was other. Can we push people to specify That's

1:20:12 – 1:20:25Speaker 3

what I was just saying. I'm trying to capture. What is the other? We took off door hangers. Let me Yes. Slide. Okay.

1:20:25Speaker 6

So I really like this report. I was hoping that maybe we could

1:20:28Speaker 3

either bring up. Perhaps. Yeah. I'm sorry. Oh, okay. You either. Very positive.

1:20:35Speaker 6

So I really think that this is really great. It'd be great if we could have these stats for every cleanup event. Maybe the exact same stats with you. Maybe I've been

1:20:44Speaker 3

trying to be more regular at brain tubes.

1:20:46Speaker 6

Yeah. And maybe just one more thing, and that would be the amount cleaned up. Right? We wanted to make sure that we have the amount of, you know, whatever. Yeah.

1:20:56Speaker 3

We have talked about it. I I definitely need to do a little bit more coordination with that because I don't I'm either, acquitted with the staff that's at your event.

1:21:05Speaker 6

Yeah. I think that we need to probably collect that for you. Yeah. Right? He said that we would have somebody at the one of us or whatever make that you know, collect that

1:21:13Speaker 6

So we need to have that. I thought we did. We still have

1:21:16Speaker 3

the forms. No. I filled out. I did try to do a little bit of filling out of that. I mean, I looked at the pile and kinda Yeah.

1:21:23Speaker 6

Because I thought we yeah. So maybe we can discuss that. But Yeah.

1:21:26 – 1:22:06Speaker 3

But if we do have if we have enough manpower there to have somebody that can specifically do that for the event, then I say, like, let's go for it. Mhmm. Otherwise, again, if we have enough manpower because we are all doing a lot of jobs there. And I guess I would actually defer to John here on this because and Colleen and staff and maintenance. I'm I'm not trying to go against what you're saying at all or the idea that but what is really truly the importance of us sort of, like, listing the type of I don't think it that is getting picked up.

1:22:06Speaker 2

So it's For us, it's for us, though. It's just not a type. We're reporting out on everything that we do in Cubic Yardage, and your stuff flows through through our reporting.

1:22:15Speaker 3

So So I guess I'm trying to because the form we have is, like, listen how many strollers are there? How many this? And it's

1:22:22Speaker 6

don't we we don't wanna do

1:22:23Speaker 3

that. Okay. So Yeah.

1:22:24 – 1:22:46Speaker 6

I don't I think what we thought was that what we would do is just do the cubic yard. Sure. And then if there was some major thing there, like 15 mattresses or something like that, then we would just write that in. And and then there was some other than that It's really, like, a street situation where there Yeah. Yeah. Yeah. Something, like, weird or whatever. Or something. We keep saying same way. Yeah.

1:22:46Speaker 1

You can't you can't dispose of oil with the trash. Exactly.

1:22:49Speaker 7

That separate. We know to go pick up that, and we're we dispose of it instead of going with all the other trash.

1:22:53Speaker 3

Blake, Mohammad, and Shingo know. Because they were out. Collected car parks. Yeah. It looks like three car bumpers. It was kind of a new

1:23:02Speaker 7

That that can go with track. That don't matter. Just like just like material that is hazardous, we wanna put, you know, hazardous waste Sure. And stuff like that.

1:23:10Speaker 3

To keep that separate.

1:23:12Speaker 7

Because now now waste management is going through the vents that we dump. We found a tire. We found a mattress. We found this and that. And we told we can't separate your mat mattresses, but we can't do the tires.

1:23:22Speaker 2

Okay. Tire oils tire oil batteries.

1:23:27Speaker 3

Basically, the so when we are out there on the truck collecting that stuff,

1:23:32Speaker 1

we need I mean, we probably need

1:23:34Speaker 3

a list then of the things that we should set aside separately because we've been throwing it all in one pile. If you guys want us to put tires

1:23:42Speaker 8

that. Get you a list for sure. Like, what's crucial.

1:23:45Speaker 7

Just those four things that we just

1:23:46Speaker 4

then we just kinda separate those.

1:23:49Speaker 6

We'll keep And then we're just reporting the cubic yard. Got it.

1:23:52Speaker 3

And, again, a cubic yard last time you explained was sort of like a

1:23:56Speaker 2

Love seat. That's that's a cubic yard. Mean, a

1:23:58Speaker 8

yard is three feet. Like, huge by three.

1:24:01Speaker 3

Three three foot by three foot.

1:24:02Speaker 7

But in debris, it's slightly different.

1:24:03Speaker 1

But I don't even but, you

1:24:04 – 1:24:17Speaker 3

know, I would like to propose for the cubic yardage. We can ask whoever's staffing it to let John know or and they can get that information to me. How many trucks did they pull out? And we we could do this cubic yardage. Right? We could do that?

1:24:17Speaker 7

Well, they do. You guys take a a inventory. Right? You guys basically

1:24:21Speaker 3

That's what we're trying to figure out.

1:24:23Speaker 7

Well, basically, you guys have truck. Right? And you guys let us know how many truckloads you guys dropped off.

1:24:27Speaker 3

Nope. We have not.

1:24:28Speaker 7

We have before. Okay. Finally doing that. When I was picking up your guys' stuff, Jeff would tell me how many truckloads you guys dropped off.

1:24:36Speaker 7

Your guy's truck, and then we would know how many guys we went and picked the trash from

1:24:39Speaker 3

you guys. That was happening. That's how know how it's happening now.

1:24:43Speaker 1

Okay. Okay. That's my fault. Maybe I should

1:24:45Speaker 3

No. No. No. That's okay. I'm just thinking if if the street guys are going out there with the NecroTrucks and they're filling it up halfway or all the way, they're gonna

1:24:53Speaker 2

That holds 20 total items. That's gonna

1:24:55Speaker 3

be because the truck the NecroTrucks is, like, how much they pull once we bring We do.

1:24:59Speaker 1

I gave you my.

1:25:00 – 1:25:12Speaker 3

I'm just saying we can call it the cubic yards that way. We're not gonna count tires, mattresses, or anything like that. So if you guys wanna do a little jot down on a piece of paper and share it to me, then I can We just we have a form already.

1:25:12 – 1:25:26Speaker 2

It's extensive. Well, for purposes of of Blayfish's question, though, if if we count the cubic yardage, just making sure that we're separating the cubic yardage to report to you guys of what did the event yeah. Is what is what what looks for. Right? Okay.

1:25:26Speaker 8

Thank you. Yeah. I'm I'm actually still a little confused. You see?

1:25:33Speaker 3

They were really only doing cubic Okay.

1:25:36 – 1:25:49Speaker 6

And I think what we're doing is with them that's different than what we're doing before is we really wanna separate those things by the tires. We hadn't done that before. We could put them aside or put them Yeah. You know? We can We could sort of. We could sort them.

1:25:49Speaker 3

Yeah. But okay. Yeah.

1:25:50Speaker 6

Other than that, think it's just for good.

1:25:53Speaker 1

We're not having

1:25:53Speaker 6

to do all that. You

1:25:55Speaker 8

you guys are Call out

1:25:56Speaker 6

that form. That form was very key. It's pretty good. I mean, it's a You have

1:26:01 – 1:26:26Speaker 7

big items, though. So that will be have to be documented by my guys too because when we're going separate from picking up the pile at 11:00 Mhmm. We're also getting called to go pick up household of beef and stuff at different locations because it's too heavy. So that goes into our our, weekly letter program, not towards you guys. We're not counting that, but maybe we should start counting that too. Yeah. Yeah. I mean, I

1:26:26Speaker 3

think Because we

1:26:27Speaker 6

do send that back big stuff through it. We tell people to give you doctor's favorite, but are Ultimately, just make sure to

1:26:34Speaker 2

what you guys wanna accomplish. Mhmm. As long as all of the cubic yardage is captured, whether it

1:26:38Speaker 1

was you picked up or us, as long as

1:26:40Speaker 2

it's all captured, that's good. Secondarily, though, making sure that we're able to report to you what was picked up at your event K.

1:26:48Speaker 1

Is what we're looking for. Right? Yeah. If you think

1:26:54 – 1:27:32Speaker 3

And I will make a night shift. Obviously, to help out anything hazardous, tires, just pain, anything else, any of that kind of batteries. Yes. If we can separate it out, we'll try to do that, obviously, for our global environment, for our shared planet. Okay. Okay. Well, I think that sort of sums up subcommittee updates. Does anybody else have any thoughts, questions or sorry. Not subcommittee, but also event. Does anybody have any comments or questions about our last event?

1:27:34 – 1:27:45Speaker 3

I think so. Anybody any other things anybody noticed that any concerns? Okay. And I forgot to ask about public comments, but

1:27:47 – 1:27:58Speaker 8

oh, was there a trash? Because I had to go pretty far. There's nothing trash. Was there a lot of trash that you guys accumulated to see? I know you lost the numbers, but anecdotal.

1:28:02 – 1:28:34Speaker 3

Actually, in the closer area, I think it wasn't that bad. But as you got further out, like, where you were Yeah. I just saying that, I think you know? So it is kinda interesting sort of where we stage these events depending on where they're staged. Yeah. You know? I mean, obviously, everybody's trying to do their best to pick the right spots to do this kind of stuff. But, yeah, there's some outlier areas. I know you were discussing adopting the block over again the freeway or finding out if some of the businesses Yeah. Yeah.

1:28:40Speaker 3

They're having their business in our city. The things they can do to give back is take care

1:28:46Speaker 2

of their own blocks. Okay.

1:29:17 – 1:29:41Speaker 3

We already did that. Okay. Alright. So our next event. I mean, sorry. I apologize. Lot of conversation. Earth Day event, obviously, coming up on 04/2625. Yeah. Pretty much anybody that can be there for that, be great for our citywide cleanup.

1:29:41 – 1:30:25Speaker 3

We need pretty much all hands on deck. We have had a meeting, with city, with, Eric Pearson, and, other members, plus Colleen and, John about that. So you will pretty much be doing the same thing that we've done every year, helping out with registration, you know, handing out of, supplies, and then we will have our own tent and table. Since we are shorthanded this year, we might be spending our own table tabling area, might have to take a back seat in the morning while we're helping out with registration and fly the Endeavor with mapping.

1:30:25Speaker 6

We're doing the mapping. Right? Like we did last week. Guys will.

1:30:29 – 1:30:54Speaker 3

I'm gonna take charge of that. But, also, during registration, we did have a discussion about kind of having better lines and Mhmm. Registering people so people don't start bunching up and being a little bit more organized about that type of situation. So that is a conversation that has been going on. Of course, at our April meeting, we can work on some more details about that.

1:30:55 – 1:31:23Speaker 1

Yes. One comment from the last event. We switched sides on on registration versus, you know, how we end up on mapping. And I think it was confusing for a lot of people because they're so used to, you know, in their one direction. So I think we should keep it consistent. We've always had it now for years, so why change it? Okay. Can you hold that one thought? Because

1:31:24 – 1:31:35Speaker 3

I'm done. Any public comments on this again? Here, you just say it. You just say it for the record. For the record, are there any public comments? There are none. Yes.

1:31:37Speaker 8

So sorry for the.

1:31:38 – 1:31:50Speaker 3

But so can you sorry. Can you me that again? Like, what happened? Because believe it or not, I was over at the Tate morning, and then I really did do registration last year. So I don't know

1:31:50 – 1:32:20Speaker 1

what's happening. This is from the last event. So when anytime we have a yeah. We change sides on so it's to direction from reg from registration Got it. Where, you know, you you quickly go down from registration. You need that mandate. Right? Mhmm. So the sides were switched. So the order switched, and it's confusing for a lot of people. So I think we just need to keep it consistent. We've had like that Got it. Years, so no sense in taking.

1:32:20Speaker 3

From our just our From that to the

1:32:23Speaker 3

Because I'm specifically talking about citywide. I know. I'm saying that's what

1:32:27Speaker 1

I that's why I perfect Let's just sit by saying Got it. One comment on the previous.

1:32:32Speaker 3

Got it. So we need to just keep it consistent Yes. To that, including Citywide. Yes. Got it. Okay.

1:32:39Speaker 6

So on the same So I think what happened last year was that when because it was like a You

1:32:48 – 1:33:27Speaker 6

Well, yeah, U shape. Mhmm. Right? So when people went down here, got all their registration, got all their supplies, then the mapping was this way. And so it was hard for people. They just came around this way. It was hard for people to know that we actually needed them to line up this way because there was so many people. Mhmm. So we either need to have it all one straight line, or we have to have it such that they don't get caught up in this, like, in this shape right here. They get caught up right here. Mhmm. And then this push this line still back. Mhmm. And then meanwhile, we still had to move people over because we still had all this room over here. Did that make sense? For people to line up. I don't know if

1:33:27Speaker 3

that makes sense. Like, people were bunching up at a track.

1:33:30Speaker 6

Yeah. Right. Right. They were bunching up right here. And then we they didn't know because we didn't have enough signage for people to come around, and then we we could help them that way. So that's

1:33:40Speaker 3

So we did actually discuss this during

1:33:42Speaker 1

This year, we do the cones straight for

1:33:44Speaker 7

the for the straight line.

1:33:46Speaker 7

Right? So, actually, they'll come in they'll come in off on the line with just checking here. Mhmm. You have to turn

1:33:53Speaker 7

And get their sign up and get everything. Then at the end the end will be the mapping.

1:33:58Speaker 6

Okay. Straight.

1:33:59Speaker 7

Okay. Don't worry. We'll make a u. We'll make a l from the beginning to the end of the day.

1:34:04Speaker 6

And then once yeah.

1:34:05Speaker 1

And hopefully, that's a shared Mhmm.

1:34:08Speaker 3

And this is not part of what How's gonna be security? This is didn't I like

1:34:13Speaker 1

She don't care. Dang it.

1:34:14Speaker 6

Well, we are trying to do that.

1:34:16Speaker 7

Yeah. It's like Yeah. There's new people

1:34:18Speaker 1

that keep that keep coming in with

1:34:20Speaker 7

the city and not knowing. Mhmm. So you gotta just help them out.

1:34:24Speaker 6

Yeah. Yeah. And the good news is we had enough people where that was a problem. Yeah. Yeah.

1:34:30Speaker 6

didn't have that many people, it would never have been a problem. So yeah. Good thing.

1:34:34 – 1:35:04Speaker 3

Well, and this is why we were discussing it in the morning when all the people are funneling it. We may have to put our own this year because we're a smaller team. Put our booth on a hold a little bit while we get everybody checked in because we might need more members to help guide people in those lines. And especially when we have people that are not preregistered, that was another issue because it does take a little bit more time when someone is not preregistered as we know from the last event. So we could have, you know, help with that.

1:35:04Speaker 1

I think for the most of our most of our the task force at that time, members were at the registration, so they were helping people.

1:35:13Speaker 3

There was there was, like, five or six people at the other table too. Oh. Oh, yeah. Because I

1:35:18Speaker 1

was over there. Oh, you were one of them? Yes. I am. That's what

1:35:22 – 1:35:33Speaker 3

I'm saying. So you guys actually know way more about the registration for Sydney White than I do. I was on the other side of the park setting up our tabling and tent and all sorts of other stuff going on.

1:35:33Speaker 1

Well, shouldn't that be set up earlier?

1:35:35Speaker 4

It shouldn't be it shouldn't

1:35:37Speaker 1

be setting up when people are registering. It could already be

1:35:42 – 1:35:53Speaker 3

I don't know. We're there pretty early. I think if I could jump in. I think Eric Pearson, whose team organized the event. This came up during our meeting about the the tabling.

1:35:53 – 1:36:30Speaker 3

And, really, the tabling is more for when people come back from the clinic and through the lunch. So his advice was that the the tabling piece could wait till everyone gets through the registration process and out cleaning, and then you guys can kinda switch gears to your. Yeah. There's a portion of us that could then go and do our setup for CGC. So, anyway so, yeah, it'll probably be more focused on registration in the morning, and then we can think about our own table a little bit later on.

1:36:32 – 1:36:45Speaker 3

Okay. Think we have anybody else have any thoughts on that? Nope. Alright. Announcements and updates.

1:36:50Speaker 3

Council member updates.

1:36:54 – 1:37:22Speaker 8

Oh, this recently, the SRC Yes. About that. Think we were focusing on tree canopy. Software is all over right now. But there's more information about what types of trees, heritage trees, what's the process of getting a permit, all that, making sure there's accountability when a tree is cut.

1:37:22 – 1:38:05Speaker 8

All that information is in a good tree ordinance. We are finishing up our strategic road map in taking a couple weeks. So keep an eye out for the city agenda on updates to that. We had part one already earlier this month, and then now we're gonna do part two as part of the council meeting. So it won't be on a Saturday. General plan, we just had an update for the general plan. It's passed there between years. The last one was in 2014, so we had an update about the projects that are related to the general plan. That was we see all the list of projects. It's over 400.

1:38:05 – 1:38:35Speaker 8

I think it's 133 projects that our staff is working on as they relate to the general plan. And I think we're we have about 300 of them going right now, but 10% completed, which is pretty good. Apparently, you get an update from that from the last meeting. It's also online. And then I did actually have a question about the sun gallery. Hard, you said you who's working?

1:38:35Speaker 3

You can. So commissioner from

1:38:39Speaker 8

wanted to know if you work with Hard in their volunteers and parks program because they could they also have a volunteers and parks program for their different locations.

1:38:49Speaker 3

So there might be another group of

1:38:50 – 1:39:12Speaker 8

people you can gather, do anything related to to heart facilities. So just. And Juneteenth, time change. So it's June 21, two to 6PM. More information will be coming out pretty soon, but it's six instead of four to eight.

1:39:15 – 1:39:26Speaker 8

updates hopefully that you heard. I should get. Always a shock. And then It's here. You're right.

1:39:29Speaker 3

Anybody have any questions? And then staff updates?

1:39:33Speaker 1

I don't have any.

1:39:35 – 1:40:11Speaker 3

Thank you so much. Chair updates, basically, I think I've sent enough, but I will actually remind people that I have Colleen worked so hard on the kid is our iron ons, same volunteer for our official a excuse me, HCG. It's gonna be so hard to change to see. You're in. Know? CGC. If anybody wants one, please take them. See. And then what else? Shoot.

1:40:16 – 1:40:53Speaker 3

I think that's well, I think that's it. If I think of anything else, I will email you guys. So I think at this point, we can affirm the meeting. Oh, shoot. I did. I'm sorry. Future action item groups. I'm sorry. Okay. So in April, we're going to adopt your revised 2024 calendar reduced for reduced meetings.

1:40:55 – 1:41:37Speaker 3

Tentatively adopt wait. Yeah. In June, we're gonna tentatively adopt the fiscal year '26 budget and these calendar year '26 clean applications dates, August and top the calendar year '26 meeting events and activities calendar. So that's all coming in the next few months. I'm sorry. I interrupt? Because we just always skip something when we were doing subcommittee. Updates are really, really important. The beautiful yard contest Oh my gosh. Yeah.

1:41:37 – 1:42:16Speaker 3

Launches this month. So, hey, get out there. If you see yards, take the photos, get up to Sergei, and we're starting this whole process over between this month, March, all the way through all of September. All nominations are due by October 1 so that you guys can vote on the winners in October. I'm so sorry. Skipped that. And I Very important. I was there in context. I forgot too. Yeah. So, yes, that's another one. You are going Count on you. Even more. Yes. Yes. Certainly, from last year. What would you prefer from everybody? At least four? K.

1:42:17Speaker 4

No pressure. But even two will help.

1:42:26Speaker 3

Yep. I mean, yeah, if we all just nominate two houses, it's 26 altogether.

1:42:31Speaker 4

And I will probably talk about slight changes compared to last year.

1:42:40Speaker 3

For the presentation? It is for the end of the year? No.

1:42:43 – 1:42:56Speaker 4

No. No. No. For how we approach people. Because, like, if I'm talking to you and you agree, we can close the deal. We can sign it. Yes. And no one is yeah. As soon as it's what we missed last year We

1:42:56Speaker 3

can put together some packets so you can have them in your hand. So when you're not

1:43:00Speaker 4

there I don't want you to waste this time and send email and again and again.

1:43:04Speaker 3

So I like it.

1:43:06Speaker 2

Salesman, you're gonna close the deal. Write this. I

1:43:12 – 1:43:24Speaker 3

can work on that, and I can bring some trans sockets and get every member to it. So you I mean, we we have all the previous. Yeah. We have a nice approach. Changing. Right. But some of them

1:43:24Speaker 1

I'm sorry. Yeah.

1:43:25 – 1:44:08Speaker 3

It changed a lot because we weren't gonna approach somebody at, you know, knock on their doors and say, that all kinda was evolving a little bit. There were some parts where we weren't gonna be doing that. Or if we're, what was the Yeah. We have the guidelines. So I think that the the issue is and I'll try to make it fast so we can wrap up. But I think the issue is some members don't feel comfortable knocking on people's door Yeah. To introduce themselves and say, hey. Do you wanna do this? Other members may. So we need to have a script or something. If you're gonna do that, that you follow some guidelines if you're gonna do that, which we Yeah. We we do. We already have all this. If somebody wanna knock on the door, just take a picture, get the address, and send it to Sergei. I think that feeling is some people might be like, what's that person?

1:44:08Speaker 3

Yeah. We get calls all the time. Right. There was somebody from my house taking a photo, And it may has nothing to do with you. Right? It could be something

1:44:16Speaker 4

Then if somebody really need to some experience, I will more than happy if you go with me and we will work together for one or two houses, and then you'll do it yourself.

1:44:26Speaker 1

And I I think it's important that if you go and knock on doors that you have on your your gear. Yes.

1:44:35Speaker 3

Did you get it to that anything like that? Yeah. Wear your badge, your vest, your shirt, something that identifies you as a task force member.

1:44:42 – 1:45:15Speaker 4

You have to identify yourself. You have to be with badge and explain to people. And, usually, you have all this, like, the doctor blog with you, all this stuff. So you will it's a really good time to talk and introduce ourselves as a team. Because sometimes, you know, like, you make your pictures and you want to get closer, and it's better if you ask permissions. Right? Because if somebody just come into my, like, front yard and start, like, you know And, of course, some of the people, they will say no. Right.

1:45:19 – 1:46:00Speaker 3

I'll have tickets for you guys next week. K. Last thing, it is 08:45. It's been an hour and forty five minute meeting. I will, as your chair this year, try to keep these meetings under two hours. But given that we are gonna have reduced meetings, there might be more on our agendas because we are not having so many meetings. So please be patient if they go close to two hours because we have discussed a lot tonight and gotten through a lot regulations. We all did it. And, so thank you for your time. Our next meeting will be Thursday, April 24.

1:46:01Speaker 3

Let's see you all there. And the meeting is adjourned at 08:46PM. Thank you, Scott.
