all right so it is a littleit it is 440 it is March 13th 2025 and they're calling the Wood Creek Texas trees and parks board to order um and I will call the RO Shan do you go by chanon toille all three um either one actually Shannon super Bill Shannon super B okay Shannon superville here all right Bill dite I'm here Jacob melroy he's on yeah he's on his way he's on his way okay and J he okay thank you and um there's no public so there's no public comments there's no consent agenda there's officers of or councel yon yet no buiness so the first item of business for the Tre Parks Board is discussion of possible action to elect officers of the trees and parks board for 2025 and so your officers are are the chair the vice chair and the secretary so the secretary's role is new to our committees and it's just what you would expect it to be um they're like keepers of the minutes you know they work with the with the chair for you know sort of record keeping and work with staff to make sure they've got you know copies of the minutes or you know and agenda stuff so they're just sort of the administrative arm of of the committee so you know with Jakob not here um you know we can we can postpone this item um or if somebody said I don't care you know then hand so you would so what we would need
if we want to if we want to postpone this item no longer hey sorry I late all right so we just started the meeting um I've got you counted as president um the first item of business is discussion and possible action to elect officers so that's we need a chair a vice chair and a secretary um you have four members present now so you could fill all the roles um you could fill no one um but but we need a nominate you can self nominate um or you can be nominated and there would be a a vote so Chair by Shar well who was on the board ni well the the the returning members of the tree board are Jacob Channon and Judy so they were all on the tree board before um there's nobody that's carried over from the Parks Board Cheryl was on the tree tree board and we community delion so that's not confusing enough I'll get the red string Iris was chair who chair I was vice chair was vice chair yeah there's no officers because that committee is is gone so it's all new people whatever you did on the tree board you know makes no difference now unless you say well you I kind of enjoy that i' like to do it more you know I whatever so it's it's you are starting from scratch okay any
interest I I would recommend that we um have Jacob as the chair and uh Shannon is it Shannon as the vice chair and Peggy as the secretary j j j okay so the the motion um by Mr drum right is Jacob she then all right and then and then Judy as secretary okay but I'm really not interested in Secretary I don't enjoy that so what is the role of the vice Chair say okay the vice chair um the vice chair fills in for the chair um if they're if they if the chair can't be here the vice chair leavs the meeting the chair and the vice chair you know collaborate on communication with the group and with each other on like agenda items and stuff but the chair leads the meeting um so you know that's that's you know you've done that before but um it's it's you know a little bit more technical than the other positions the vice chair is sort of also he said kind of chair and waiting you know it's a it's sort of it's sort of a succession I mean a lot of people say well you know okay you can be Vice chair and then one then you become chair so there is some succession um thoughts on that um the secretary is like I said administrator and it's a brand new position we're still you know we're still working that one out so so the motion on the floor we don't have a
second so shouldn't even be discussing itly but um but the the motion is for Jacob as chair Chan as Vice chair and um and Judy is secretary so we can so is there a second on the we can also take them one at a time so I mean we could vote you could ask to to vote on the chair first and then the vice chair and then the secretary and that might be a little cleaner rather than you know one vot for all unless the three of you said yeah we good with that I don't I'm just not interested in doing notes and getting agendas yeah okay so I mean since I'm kind of new Jacob would be chair we I I could be Vice chair maybe Shannon could be secretary okay let's let's let's take it one at a time okay so we have a nomination on the floor for Jak to be chair we have a second second okay so well you so do we have a second okay so so all right so we have a can I open this up for discussion yeah we have a motion in a second so it's open for discussion okay I mean is there any other interest for chair yeah I saw the I saw the role that Iris played and it was quite it was pretty intense
um I do have my concerns about my other obligations my my job to do this so I do want to open it up like this is an open spot y'all yes um so I only really saw um one meeting that I chair so I'm not familiar with what all is involved being a chair so um it sounds like a lot I'm not completely opposed to it yeah it it can be um now one other thing that I failed to mention is that um with the new committee structures um I've been appointed as leaon to all the Committees so you know I will I will be um sort of your go-to whoever whoever is chair whoever's on the committee you know I'm sort of the goto if you got a question if you need help you need something you know done if you get something need something through through the staff or whatever you know then I can help do that I try to make every meeting I can um and if I can't make a meeting I'll try to send like Chris or somebody to to sit in so that you have have a a council liaison person um to help with you know Robert's Rules and and stuff like that like like we we try to we try to keep you know fairly strong on Robert's rules um but it just gets a little a little tough sometimes you know just so you know these these like like for instance there's Robert rules says that you know
you have to Forum and and you know you can't have conversations outside of the meeting you can't get three members of the board together and and have a chat you know to and talk business you know those those are you know those are against you know open meetings but you know we put something in there in the ordinances that said yeah but sometimes trees and part or want to go out wants to go out go park and and pick around and and talk about stuff you know and so we we put that provision in there that you know you can we can be more flexible on open meetings as far as that goes you just can't go to the park and then make decisions you just have to look around then then you come back into open meeting and um do you know approximately how many hours um so so it's it's obviously going toate based on um um based on a lot of stuff now there's also a big difference in that you know the the tree board um planned events you know so it wasn't just you know conducting tree surveys and and and you know talking to the the certified arborists and and and that kind of stuff is I mean you plan Barbor day you plan the tree giveaway um when those things go on that takes a lot of time but but that's really not not really within the purview of treeson parks anymore you know that's that's those are the kinds of things that Community now now the reason I Want It All yall together is that is that um you know trees par says you know well we are a PR City USA um and that's important to us and that means we have to have an arbor day so we want to have an arbor day and so
you know working with the community relations committee to get that done and working together you know like the community relations committee is often running on you know making the plans they're getting it with input from from trees and parks and and at the time of the of the event you're probably going to be down there pitching in like you always do you know so it's just as volunteers right so um so it is it's a little confusing we're still kind seeing okay well how's this all going to play out because it's it's I mean is this it's all new we don't know oh yeah you play it by here just like we did last time yeah um if nobody wants to be chair I will be chair um I'll be fine with that but it's and I'll be side obviously and but also the the vice chair as well so we all support yeah okay so we have a so we have a motion on the floor and in a second by by Shannon um for Jacob mroy to be chair um all in favor please signify by raising your hand I you can go yourself so was it did you vote oh I didn't vote no okay so I'm going to say three and then is okay so so that passes Jacob McElroy is your new chair um than you so normally I would say okay take it away that's what I
got um okay so so now we need to nominate a uh Vice or you put your name did you say yeah I make a motion will you nominate Shannon as the vi chair no no you going to put yourself so you'll be the no Shan you want you want to nominate Shan and vice chair that means you're going to be secretary oh no I can't oh okay I was wrong somebody else can I don't know for vice [Music] okay okay so we have to have a second on Bill so Judy nominated bill right um and so we need a second on on that nomination I know it's all right so um so we have a motion in second um to name Bill drumr as the bus show all in favor please raise your hand say right and is there a nomination for secretary okay then I'll make the motion to have shanon be the secretary I'll second
I me most important thing is are you comfortable with trying on this role I am I'm going to do it I appreciate it we all do um all right so so we have a motion in a second all in favor please raise your hand say okay so we have a we have officers all right so so um you know in the future I mean so so one of the things that that we need to do is and we don't really have it on the agenda so we can't officially do it tonight but we can sort of have the have the discussion um you need to like you want to get your heads together and say okay our our regular meeting day and time is going to be let's say the you know the first Monday of every month or the second Monday of or the third Tuesday whatever ever works with your schedules so you sort of need to compare notes in your schedules for a regular day and a regular time like like we picked this one just because the tree board you know we were trying to I was trying to do it for the 17th but sure remind us there was Spring Break um so you know I was trying to set up for what was sort of a typical tree board meeting so yall are used to meeting then so that was probably PR to say um and there's no reason that you can't say that you know we we would like to have our meetings on the on the second you know Monday of the month at 4:30 you know so that's that's the decision that yall have to um to get together and and and talk and and what I'd ask you to do is since what we're saying is you can't you can't you can't you know have that conversation back and forth each other by email as soon as you got three people in the same email you know you're breaking Quorum or you're creating a
quorum and it's against the Texas but you can tell me you can you can send me an email and say you know my best days are Mondays and Wednesdays um and I prefer afternoon meting you know and and I'll compile those and and we'll just sort of mix it all up until we come up with a with a good time and it's not it's not really um important um you know sort of the day of the week like P andz like to me meet the Wednesday before the council meeting because they could get something done you refer it to council and it could get on council's agenda the next week right so but that's not really that big a deal here for for what Don trying to do so it just it's really what is most convenient for you and if it's if it's afternoon if it's morning you know if it's you know I'm not going to suggest Saturday but you know it really is entirely up to you so just just give us some thought give me some notes and and I'll see if we can't can't get that together um so and I I mean I can turn it over to you or I keep uh keep on going so my only uh question was we can't email more than three of us at a time does that include like you can you and you you and Channon could be going back and forth you know forever no problem you and Bill could be going back and forth together forever but if you if you send something to Shannon and copy bill you know the three officers um you've just created a corner okay even with blind carbon copy well I'm sorry blind carbon copy is fine okay so it's the the you if you if you send something out to every like you can you can send something in fact in fact you really need to that's one of the things I'm thinking like the secretary would be you
know really good for is to say hey reminder you know we've got our meeting coming up you know into two weeks you know if we needed we need agenda items or whatever you could send that email out um but BCC the other for members going get the last member if you BCC it you can't reply on so you haven't you haven't created that Quorum you haven't created a discussion in Quorum so the respones just replies back to Shannon you know Shannon compiles the information and says okay Mr chair we' got an answer right so it it sounds weird but it you get used to it makes sense yeah but yeah BCC is the magic of of these things okay so um we have officers the next item on the agenda is city council has asked for yall to um review the existing city of wh Creek Parks master plan um which is in your packet or we can um oh I'm sorry it's in the agenda packet so you have to go online to the meeting so if you go if you go to you know Woodcreek tx.gov and look at meeting documents there's a tab for meeting documents you'll find your meeting um and if you open if you open there PDF that the packet the this document is um Okay so they're wanting us to review the entire master plan well the is that without revision the part and Recreation that's here it is so it's I mean this is one sided so it's
not as bad but that is that's the man plan and we can get um if it's it's one of those things a lot of these things are big files that they don't email very well so if you go to the if you go to the the agenda packet this particular plan is both in your trees and parks board packet but also in last night's council meeting packet on the on the website so and if you need help finding it getting it just you know reach out to me and I'll I'll take but the the um the thing is this information is what 2019 I think I was just about to ask you I can't see that yeah I think it's 2019 and so and it hasn't been updated or reviewed so what council is asking is that y'all spend some time and it's and probably you know you probably want to set you know on your agenda you know for okay we're going to Workshop the master plan and have everybody take a look at it make their not but but um I was explaining a little bit earlier that U that you sort of want to look at it and say okay well it said that we wanted to do this within three years check we did it or we're 80% there or or whatever that is um we wanted to do this in five years you know we wanted to have you know Trails well we haven't done that yet so um so so it's like okay so you take a look at the thing you know just you want to read it and and sort of get get um to know it a little bit because that is sort of your Bible um for parts and so and then say okay we're
right on track here um we've actually exceeded expectations here um to make those notes and bring that back to council um you know in a couple months and or you know what what however long it takes you just to take a look at it and then and then at some point we say okay well we want to okay let's do a rewrite of the master plan which is something that we would probably wait until you know sort of budget time and say okay we want to budget next number of dollars um maybe to get some professional help in in putting it together or maybe maybe you know somebody that's really good with you know that kind of kind of graphic that was rayon Tilly who was very active with the city for a long time and was very good this kind of stuff oh I'll do it I'll do it I'll do so so it's it's and it doesn't have to be the same thing but but the the ultimate goal is to say okay well hadn't been up there since 2019 you know maybe you know by by 2026 we won't have a new one you know so that would be something you say okay our our goal would be to just take a look at what needs to be updated and go from there so um so there's no real action on that unless you well you probably should say Okay I want um like I say I I move that the um the uh Parts master plan be put on next agenda um for a workshop to discuss can the chairperson make a motion yeah that's one thing with like like the mayor can't vote I can make motions it's sort of whatever I don't um but in your group you can vote and you can make a
motion okay I'd like to make a motion to uh put on the next agenda discussion of reviewing the part master plan once we find out our next uh meeting dat yeah that's good just go keep it next agenda and and I would I would add that it's a workshop next agenda a workshop to discuss okay the different the reason I say a workshop and we're going to go into the workshop in a second and what we're doing here is really kind of a workshop too because it's it's a pretty open discussion um but that's the difference when of workshop and and like these actions the action item typically with an action item you say okay I knew that um plant a tree in the Triangle I second okay said okay well what kind of tree you know you can have you know some liit discussion and then you just vote you know so so that's that's a typical you know action item and a motion where the workshop is if you're just throwing it out there and brainstorming no actions make an action you can you can make an action so what you would do is to um is to you put a workshop on the agenda which I'll help you with because because that's that's something that staff and and I Chris build in the software so that does go up on the website so you can find it um and so um so we would have we would put an agenda item in there for the workshop and then we would put an agenda item on there that said something in the in the realm of discuss and take possible action on whatever came out of the workshop right
so all right so um did we get a second second all right I'm also going to do your minutes so is that all in favor please raise your hand say hi hi all right so now um this is the whole point of this meeting is to be able to go into joint um a joint Workshop um and so you always say okay we're going into a workshop at at 5 08 so you note the time that you go into the workshop and you knowe the time you come out of the workshop why I have no idea but we're now in a workshop 5508 so the purpose of the workshop is to work with community relations um and discuss plans for the Arbor Day event which is April 4th you know it's like right around the corner so um so those of you that are on the have been working on this um may be just sort of given update of of you know sort of what it is and where we are um so yes we are right around the corner from Mar day feeling pretty good I'm connected with I think almost everybody um had one on one but you already know charge Tre oh yeah so we're really just kind of this is our fourth annual AR day so we're just trying to make it bigger and better and bring more people out just to keep them educated um and make it a fun Community event to bring neighbors together um this year we're doing it on a Friday
afternoon to do um last year we ran into having a lot of people that make it because there was a lot of other City events happening um kids had Sports Saturday morning so we had we're trying trying something new this year that we're doing a five to seven um we're call it like a food truck Friday more of a happy hour type of event um so who's the food truck we are waiting back on a couple um trying really hard to get Schoo Yard Dogs did Mickey get back to you no well I gone back and forth and then I but you have their contact information I don't have that I've just been reaching on via Facebook but if you have a contact at the science per well yeah and um and I said uh y do I mean I was thinking about our day too so it's nice she was like we would love to like we I think they had a busy week with that and so what are they called schoolyard dogs yeah but anyway what she said was that um they don't mind doing it as long as it's not their regular hours um and I don't think they work Friday evening you know I think they they probably close it down about 3 so can you get from your permanent location to the triangle and and ready to go in two hours so that would be the question but she was you know she was I didn't she was very receptive I just sent her another ping yesterday just saying I know you're busy just wanted to follow um so you met the mayor the other day I did tell her I was like we're planning several you community mes City Wood Creek looking to make connections with truck so uh waiting here back on that but I'll go through what we have confirmed um so far um we're going to
kick off the event with a tree uh an oakal 101 um with Elizabeth fromn for services um and then we're going to have a tree expert panel so we can do like a Q&A um we've put together a list of some questions to get it started in case someone is just jump right up and ask questions right away um but we have we love trees who is our official City Arborist um that will sit on that panel we have the team from oakal Pros we have Jacob who's certified oakwell arborous as well with simplea Tree Care um and then we just confirmed as well David Baker with the Watershed Association and then we do have um we were waiting to see if Watershed confirm but we Aqua is interested in coming out and being a part of Arbor Day um they were really great at our tree giveaway in November they were very Hands-On very helpful um they want to you know bring some Goodwill to the city and so they are curious how they can get involved in it um I haven't promised anything I just said bring it to the board and see it were really helpful last year because what they what a lot of them did I live in Cypress on Cypress Point and they were on the dam there or the and we were and all the neighbors came out and they were they sent a lot lot of people just to take all the stuff off the jam take it away chainsaw it and everything so so if everybody's on board I don't know in what if we just want them to come out and have a presence and have an info table um I'm sure everyone knows their that conflict with the Watershed and that I mean I've been in tension with that yeah
I've been trying to mediate that a little bit and you know they they respect each each other they're just add odds on some things but but as far as being able to get together um to promote Arbor Day I don't think there would be any conflict whatsoever okay so if everyone's on board with that I'll I'll follow up with Lauren yeah but would be talking about you know how to manage plan Tre when you can't put the host in right so so information table makes all the sense in the world okay perfect well we'll invite them for that um and then moving into our vendors or information tables um Iris has locked in a great uh group again we have the oakal pros who not only going to sit on the panel but are going to have info table um Watershed Association will also have a table out Master garders will be there the um master naturalist the Native Plant Society um and then she is a couple of pending um ass out for uh Birds Unlimited out of uh Dripping Springs so we're a bird City here in wiberly so that could be pretty cool to have them in as well um and then we also um a former tree board member Terry Bernie bit I'm not sure if you guys are familiar with her she's a good relationship with the guys over at M gals over at King feed so sheing for them um if they want to come out with a table or donate something maybe a tree some plants um something on those lines um and then Christa was working on kids activities um we have a face painter confirmed that will be something new that we haven't done so something fun for the kids because we have the panel we have the question you know the Q&A the tree opal discussion so something fun for the kids um get their face
painted some tree themed art which will be cool um and then iris is going going to secure um some seedlings some little plants we did this two years ago we brought out a whe barrel full of dirt had some little pots and the kids got to decorate the pot and and plants and take it home something that they can grow and transfer um once they see that arriving um and then miss Shannon has been working on our food beverage and bathroom um and so we're working on the food track still I got a couple ass out um she's confirmed the Wimberly shaved ice for snow cones for the kids too which will be another great draw for families um she's going to really uh pump up our popcorn station this year make it more like a dessert bar um and then we have the Porta poty confirmed um we'll have water on hand um and then our goal with bringing in a food truck is to be able to provide food for free to people that come so get another draw to get more people there um and once once we lock that in our goal is to have set up a tab and then as we have people checking in at the event at the info table they'll get a ticket for the raffle and then a food ticket and they can go and get something from the food truck um and so let's see what else one technical thing on the on like the port you know if we're if we're paying any money out that has to go through gym that has to go through St so so it's like okay so here's here's the contact we made you know we we've discussed you know but here's the contact they need to have like because they need to have like A9 they have you know get an invoice or whatever for them to get paid so so you don't want to just give me your credit
card right no no I have them um yes so um I got the email address from so reive the um and then save the dates are out um so now we're just going to really start blasting it now that last night at city council everything was officially approved so now we can actually share more details of what we have confirmed um and what we can um what we can share it's just solid now so we can really get it out there um road closure is also confirmed saw that as well um we're going to close off did you guys attend have you been to Arbor Day before in the past yes you have um so we do it at the triangle Le block off brollow just to give us um one closed Road not make us an island the West the West Fork of rollow yeah so not the main not the main um I have a s map so I'll share that with everybody too once we kind of finalize things um but if anybody has anything else that they think could be fun or any other input from some of our new from Bill I guess new on the board or bet if you have anything we're happy to plug you in at this point like everything's kind of just rolling as far as everything's almost confirmed um and so I think day of health will be you know crucial we a lot are we kind of designated everybody a Tas so Jacob P trees food and beverage um panel um so if there's anything that catches your ear you want to dive in on or jump in on I'll jump in let me know where you need the help okay yeah I'll jump in yeah
y'all y'all's Community Relations Committee um we don't know what we're doing yeah well you know it's it really is all you know and there's stuff that we've always done before but it's never been it's been like over here and over here staff has done some and and other stuff just like so we just wanted to be able to consolidate that and have a um and by no means doesn't mean that you know five people have to do all the work you know you're you're you know you can pull from Council you can pull from other committee you can pull from volunteers but you know yall are the brains behind you know what is what what the public pace of wood right um and and it's like I come from a PR background um so it's a this this is near and dear to me um and you know really want to I think it will help I mean it sounds like a lot right now but I think once we get you know figure out we have to be able to have a meeting first but um but I think that once that starts rolling I mean the we can't we can't act on anything because we can't we can't convene as a as a board but um the main thing that really came out of the or one of the things came out of the council meeting last night is request for community relations to create sort of the calendar of proposed events you know for the city so it would include Harbor day it would include tree giveaway so you really have to coordinate with the other committees with the staff with the council and say okay what is it we're going to do and then that goes online um it probably will yeah ultimately it will be online um but uh but so say okay well we want to do an arbor day this is sort of the budget that we think we're going to have based on past year or we want to do some other things we were talking to to Shannon and
she wanted to add something new to Arbor Day you know so so it's um that collaboration is really important um and it's also nice because you know y'all can you can you can have two members of trees and parks and two members of community relations in a convers and you haven't created a quum because you have two people from each so so it is you know we want to make it as easy as possible to collaborate but we are still governed by the state and we have to do things you know trans just to comment about the panel we do have power we'll have a microphone avable and who's providing tables how do we so we've done in the past is um kind of join forces and see what we all have and then I create an inventory list of you know what's needed and then we kind of plug in based on what everyone can bring um I have a c table you do okay and I have a can I have a 10 by 10 can we need we need a can yeah um the city has a a table or two well that one actually um I've brought tables from my former company you know they have the as long as you got the tablecloth is not bad you there like plastic Lo time tables um and you know I've thrown you know yard lawn chairs in the truck and um for the for the PA system um I just steal the churches you know well maybe I should
rep yeah I'm storing the church's PA system that they don't use anymore um so I've got I've actually got a couple of microphones and we can also use microphone from here um so we can we can um actually for the panel I mean we could have a couple of microphones instead of just the one pass around so I have to think about has pi up a couple tables or but I think that's should be easy enough to do yeah and I can borrow tables um from my work as well and we have some of the shorter 12 in six foot tables so it's like a half so it's just shorter skinny tables um and then everybody that is like bringing or that is coming as a vendor for Ino tables they typically bring their all their own setup so once we I'll go back and update our site plan and kind of get a count for exactly what we need but like the face painter and the snow cones they'll bring their own um I think the biggest thing last year was our our joint collection of chairs for inside the Gazebo for the actual o um presentation and this year it'll be slightly different people have more uh won't just be Carl flocky up there talking and we actually have someone new this uh this year her name is Elizabeth so um so Elizabeth is the new Carl she's showing up as the new Carl with Elizabeth I say Elizabeth in okay yes it's n y a wo and she sent me pronunciation that she will be bringing
um program of video I suppose and and we've got a larger screen and and she'll do that for about 20 to 30 minutes and then they hman world will speak about five minutes and then they'll be a Q&A so that'll be going on in the Gazebo and then other like they'll still be face painting and stuff over there so a lot of a lot of organized chaos yes so a rough you know General timeline um the porta poty will will get delivered sometime Friday morning um I'm planning before 3 definitely not oh my yeah it's not GNA be delivered over night last night they tumped it over they they breay painted somebody tagged it and yeah it was really a beautiful thing to walk up to Saturday oh yeah um but so quarter party will get dropped um at 300 PM is when we would like everybody to arrive um so that's when we'll start setting up um Jacob has been tasked he's did a great job the last few years collecting our road closures um the barricades the trash cans everything from here for City uh from City Hall bringing it down um so we won't officially close that portion of red Hollow until we get closer to the actual start once the food truck arrives then we'll really we're going to they'll be in a slightly different place than they were last year um but the residents will still be able to access and get in and out um and then they'll it'll be a hard close once the event starts at five so like 4:40 will really be like no more you're done um and then 5:00 pm everybody um will all have our own stations to man so we have a wood creek info table um with a bunch of brochures and information um encourage people sign up the newsletter just it's all we'll all
be on display and we'll kind of take turns U Manning that um um food track will open the face painter snow phones will open um at 5:30 roughly this when the mayor will come on and just welcome everybody and just go with the flow of events um and then introduce the idea of the raffle and then um the tree panel um he'll go into that and then that'll be from 5:30 to about 6 um and then we'll do the Q&A um and I can't even believe that I didn't mention this earlier when I was talking about confirmed items that we have the lovely Monica rasco coming back again to do Story Time which the kids have always loved so we'll have that after the Q&A wraps up or roughly around that same time and then around 6:30 we'll say thank you and uh do the raffle and that will be the last half hour and we'll strike and end and break downs at seven be fun yeah that's a lot of planning impressive great uh yeah so they've been working on it yeah it's our time so yeah it's slowly getting better and better more detailed and a little more organized helps to have it the forth coming yeah exactly you learn St exactly yeah so the materials so did we get materials like from um Arbor Day or the Arbor Day Foundation like those materials go out yeah yes so we have a tub of brochures and packets and information that is stored in the shed over here um along with a second tuab that has sped like plates and napkins and other things um that we can use our banners and then our Tre City flag um have table cloth and then we have some of the um table cloth that we bought
last year um a lot like some of this stuff and I I can talk to you about it but like we we had a lot of stuff and our goal with everything that we purchased up until this point is we want to be able to reuse it so we created banners that didn't have dates on them so that we could reuse them every year um this year we do have a budget to um we want to get a second banner and put it out at the front entrance um last year we only had the banner at the event um so having something that we can put out a couple weeks before um do you have a small thing that goes with it for the date so so what iris and I were talking about is creating a banner that will have a space that we can add U like I have a Cricket machine so you can do like removable vinyl um so I can make that and just print the date and add it to but we didn't have that last year and as long as I can get it to tap tomorrow morning and then she can get order tomorrow uh we should be able to get it in time they've been pretty quick um and then the other thing that we have budget boards to do flyers and get them out so that's something that we'll need volunteers prior to the actual day of is walking to the houses around the triangle just letting them know hey we're going to have this event you probably already heard about it that's just the courtesy we want to come and officially invite you but also let you know that this road will be Clos um and here's a contact if you need anything but um but yeah I feel pretty good about it and I hoping everybody [Music] else do you want me if you want to take
over we have the same thing every if if something happens in the food truck just doesn't happen um you know we could just go to Costco and buy a bunch of hot dogs and buns and bring Grill up yeah that was yeah that was an idea which is which is I've got a big we girl I can up there Jim like a girl yeah okay yeah yeah this is our this is the last oh I had a question so so okay they get a rle ticket and then they get a a food ticket so it's a food ticket good for either a dog or snow cone no so the snow conbs we have um I think it was 60 snow conb so we're paying the minimum um to get her out for the two hours and that will get us up to 60 snow con okay need a ticket for S no okay I mean we could if we just I do know the line at at schoolyard dogs you know for the I mean it it's long and it's it gets long so you know so we have to just sort of monitor that I mean they've only got one window yeah yeah know okay well it was work was it you didn't give no I was watching the kids it was good Chicago Chicago was good as what I had in Chicago they have V stuff yeah so yeah so if anybody has any suggestions on a food check or food or anything you anybody you know but um yeah that's I just went to I was going coming from Blu hole the um food truck at Willow Lake
[Music] yeah and yeah there stationary you and it's a Friday evening which GNA be yeah well I just I just my eyes lit up a little bit because they had their sign on the side of the truck that says you know Monday through Friday or Thursday through Saturday or whatever 11 to3 they have different hours yeah for sure oh yeah because of you know the willik has yeah I'll [Music] be but anything else oh another so we um your s are you are sourcing trees one five gallon and then Iris said that we bought 50 gave away 46 so we should sell four in inventory that we could also add to giveaway uh yeah so I think I sent you a price on the cost of the five gallon tree uh do we want to do multiple five gallon trees because they're I think 20 to $25 is what I was um this is what I sent you and we hadn't discussed species yet so so um what we have that we didn't give away last year is southern magnolia um what did really well last year was red bud and well out of our three choices the red bud and the Desert Willow um I could get more of those um
$100 rle prizes M so we could get four um four five gallon trees okay just variety so those you give away from raffle tickets uh yes sir yeah did you receive one in November at our other Arbor Day event well I would like to see if we could figure out how many survived got in the ground actually got planted so that would be nice yes so we're not wasting get everybody's name and that wins one this year so you can track it yeah we have a list of um everybody who took a tree or signed up and registered for a tree from November okay probably it my doesn't will yours I actually just I kept it in doors uh I didn't plant it in the H so I just planted it I got the magnol so yeah just see this huge beautiful tree they're surviving okay is Willa surviving I drive by and she looks a little dark a little right now but so Willows after like mine at my yard they're all defoliated but I haven't walked up and little test you know is there a tree that's planted anywhere in Wood Creek to signify the event so we've planted um because of the drought we did the first year or
actually the first year we donated one to CJ and then um the second year we play with Willa at the triangle and she's right outside the okay that's one you're talking and then last year we planted another desert Whow in the um rain Garden area of austa Park that was what they wanted as well so wil yeah um do we have just on another note do we have um recycling containers we're going to have garbage I'm assuming we also might have yes we will yeah and wor about the the plastic bottles that I'll be buying if we I have beverage dispensers if we wanted to get a couple of gallons of water and pour in there that's that know yeah we did encourage everybody and there's a water fountain at the triangle now so people can and we can encourage that in our verbage when we're promoting it um that you know on everything it says V beverages beverages um and so people can choose what they'd like to come to to 7 um um but any other questions or thoughts ideas think you're well planned are you are we um so for the um raffle are there any kids children's
items in the raffle as well like we're just raffling the trees just the tree so the kids will have we'll do the little table where they can plant a little plant yeah take that away um was it your wheel barrel Jacob who brought that full of dirt uh yeah I think it was mine I can bring it again oh we would love that so typically I bring out yard games as well should we just you you know what I have um I'll just bring all that stuff he's got a giant like J yeah I mean I don't know too much too many kids activity seven I mean the face ping and it can be open to adults like we' like this to be like a community Gathering so not just come and go but just come and hang out enjoy the Green Space nothing I would love to see more promotion of all of the updates and all of the changes that are being made at the park so I'm very invested in trying to make things happen at them um and so I would love for people to come walk over bike over ride over whatever you need to do and come and enjoy Friday afternoon the weather should be beautiful and the park looks amazing so one question Jeff is going to be doing the welcoming do you also want to introduce the panel I can do that so I can get all that get if I can get you know brief bios and things I can make introduction the other thing that was requested by staff is and and actually I'd like to have it too is some verbiage you know they can put out in the emails and things yes um actually
