That passes. K. Okay. And so we are gonna have a brief report on our twenty twenty five revised meeting schedule, which Colleen has for us and business on that.
So it's very simple based on the council's adopting as a transition to a commission and reduction of meetings to coincide with your cleanups that was effective of the date of that action was was in March. So we brought to you the revised meeting schedule that coincides with the for 2025. Hopefully, you guys can see them up there. Is on there, June 26. Then there's the August 21 meeting and then the October 15 meeting.
Please note that August and October are both considered a special meeting because they land on a third Thursday, and that is because the fourth Saturday lines up that way. So it has to coincide so that you meet before your cleanup. And then one other thing to consider for August is there is a August downtown street party on August 21. So it was brought to our attention that if you want to participate in the August street party, you may wanna consider tonight moving your August meeting up another week to the fourteenth. That would then be far in advance of your cleaning, you know, holding more stuff.
But it's something to consider since we're having to adopt this revised schedule. So tonight would be the night to to do that as well. Okay. That's it.
So on that point of moving the August 21 meeting, just to be on the safe side, my thought would be, let's move it to that date, and then we have a little bit of time to decide if we actually can do that other street party, you know, if we have the energy and time. But at least we've moved the meeting so that we have the option

It's in your package? Oh, yeah. Basically yes. Hopefully, everybody's maybe taking taking a look at our financial report. So it looks like we still have where our total expenses were. This is today. Correct?
Yes. Today. So, for the last meeting, you, approved to use the remaining balance to purchase, swag and supplies, which one of the client have been working on. And so we're really planning to send every last penny. While we have it. Right? Yes. So this is for fiscal year '25. '25. Yeah. Which is ending in second month. Right. Yeah. It's gonna end at the May, right, or June? No. June, June 30. June 30. But, of course, the procurement process has to become completed in phases of the balance. Okay. And so we're
not sure what our next fiscal year budget is
gonna be yet. Right? I I
would anticipate it being 10,000, not 15.
And that
would be the
effect of July 1. Okay.
Well, given budget cuts everywhere, I mean, I'm actually pretty pleased with that. I mean
But but we are making sure, Rose and I have Yeah. Went to the shed and trailer and took a really good inventory and looking at what items you have that are for members versus items that are considered swag that you give away for other things. So we're making sure that you guys will have what you need to get by for the next the next year, 2026, fiscal year. Yeah. I mean And And you're still getting $5,000 next year. We just have to be very careful with your funds for the year. Right.
You know, and and last year, we obviously talked about kind of reducing our swag, and the bigger ticket items would only be given if someone really actually adopts a block or does something special and that kind of stuff. So and we are covering any kind of supplies that we will need it with. We bring new members on. So I
think I think we're being pretty And they forgot. Strategic. I think I I have not mentioned to you all that, we had approval, and we, using our internal budget for our adopt a block program that we have to purchase shirts for adopt block participants.
It's the poli knife shirts. Shirts. So
those will be given out to when we do a Doctor. Block Day in August, when we get those folks, hopefully, they come. They come in for the after the cleanup at the site. We'll invite everyone to come for light refreshments, meet everybody. We'll give some to people, and we'll give them a shirt.

So the attendance report, you'll notice in the packet also a result of the transition from health force to commission. The attendance is now on a calendar year, not fiscal year. Oh, nice. Yeah. So it's it's been revised to reflect calendar calendar year. And just things I wanna remind everybody is the blue columns are regular meetings. Your attendance is mandatory at those, and it does count. So unless you're excused for excusable reasons. The gold columns are what are considered special meetings, and attendance is not mandatory. That's highly encouraged because, again, the the the the group here cannot take action if we don't have a quorum.
You know? So it's important that you come even if it's a stressful meeting. And then the gray columns are your cleanups. Those are also mandatory, and your it counts towards your and against your attendance. And then oh, you know what I was just noticing I left out? I left out the columns for the community events. So my apologies and my excitement to shorten it onto a small piece of paper so we can see it. Yeah. So I'll make sure I get those calls
and for, like, the downtown student party and things. Yes. Because Yeah. Well, we'll talk Yeah.
And then those the attendance at the community events are also they're not mandatory, but they're very they're encouraged. Yes. Because, again, the team needs to be out there. It only works when there's a team out there. And and then the council does look at that. So it is good if you can't if you miss some meetings, don't panic right away. But if you can come to a downtown street party and work, when they look at the overall attendance, and I believe council member Andrew has mentioned that, they will look and see, well, you're at least engaged in other areas and then take that into consideration before removing somebody based on attendance.
Colleen pretty much wrapped up what I
was gonna say. But, yes,
I want to reiterate if you ever got one of the letters from the city that you might be in trouble, don't get scared right away, and please talk to somebody because staff knows, your leadership should know what you're doing behind the scenes, and we'll stick up for you and say no. You know? We don't wanna lose this person. So, always always talk to somebody that are concerned about some kind of attendance issue before maybe making a a black and white decision. Okay. That's the number of events that so there's nine attendant total of nine attendance required items. And so so far, like, if you look at the first person, you've attended three of the required nine, but the the rest of them haven't happened yet. So

Obviously, we can do that. I I know we've already got a full, calendar going on, and we have a small team and all of that. But I really need to know if somebody we need three leads for the three subcommittees eventually. We've got policy.
We've got events. We've got education outreach. I'm willing to, just to get started, head up one of those. I was debating either, events or education outreach, probably leaning towards education outreach. Liza, I was hoping you might consider doing policy.

If they are interested, reach out to me, and I will help you get started. I know how to do it from last year. And, you know, it's just since we are a smaller team, it's actually gonna and it's actually in smaller it's gonna be easier to coordinate when you meet. You know? And it and you may not have to meet that much if you're really not taking on a project.
Just kinda start thinking about What business we're gonna, work these into like, what what do we wanna do with these subcommittees? And who wants to kinda take the lead in getting a group together and talk about, you know, what do you what kind of project you might wanna take on? I mean, I definitely want to challenge another beautification project. Still, Todd, someday you're gonna get an email about that. I don't know.

So, you know, even if we start maybe working on that project as a subcommittee this year, it doesn't mean that that the project's actually gonna happen this year because we're short staffed. But at least we're starting the process of, you know, getting the ball rolling on something. Blayna and I talked about with the policy definitely challenging. They're doing some more with illegal dumping. So I know she has some ideas. And so that's the concept here, that we need leads. And, basically, a lead is gonna coordinate the meetings and just kinda do what I'm doing, but much more informally. So, so that's my 2 cents on that. Yes. But we

Like, in my opinion, is, you know, maybe help coordinate when we're having a big event. Who needs who's gonna go to the trailer in the shed and help load things? Or what kind of information do we need updated?
You know, that kind of thinking about what do we need for a particular event. So what kind of swag are we bringing? You know, support for leadership, our whole team to have it run smoothly. So not one only one or two people are doing the work for every single event. So that's kind of my thought about that one. You didn't have a question. Yes. Go ahead.
I I don't know how we're to communicate right now. So if we share each other's calendar, that would be great. For example, how often do we meet? Let's say, every other month or Tuesday, Wednesday, Thursday because sometimes not only education or outreach, I might
be
interested occasionally, eventually, if I'm available. So we should be sharing account.

But, yeah, I mean, I'm sure if, you know, one person wanted to attend something you know, because maybe events and outreach is gonna do a project where the two groups can help each other, but my colleagues so you send a representative.

And one more thing. So for the events committee, was that where we're gonna collect the data for who shows up as well? You know, how we had
to do something. That forth.
That because we wanted to maybe even do that at this event since we might have a whole lot of different groups from different places. Events. Able to, you know, collect that data. You know, we have, you know, I don't know, YMCA or somebody at the homes or, you know Yeah. At home. Those groups, we were gonna try to make a list.
That would be one where events could do the, like, data collection number crunching. And then they give that information to Outreach, and then Outreach knows where to what other places to hit. You know? If we have a lot coming in from one area and not the other, then that's where the two teams could work together.
So maybe a couple of people from there could volunteer to do that, but this particular event is.
You know? Just maybe a job. Something you all look like
your names up there maybe. You know? Especially if you're doing registration. Right? It might be easy to to do that. Just, you know, some of the things she's asking.

But there's not we'll have, like, 200 some odd people maybe. Yeah. And so maybe we can Most of it. You know, the people, yeah, that registered ahead of time, or maybe we can use the app or whatever. I mean, that's where it's We might have large groups, and we can get the information for those groups so we can contact them maybe for the next cleanup as an example. Yeah.
Because yeah. That will happen automatically because I have all that data on the back end. Okay. And From Eventbrite. Right? Yeah. I mean, I've actually logged on to Eventbrite now and looked look. Yeah. I think what would be good for your team for the events of committee is this Saturday is to kinda keep a sharp eye on how much trash maybe is collected and use that Google Doc to input the other two. The volunteers, how many community service hours you get, how much trash you estimated was collected, those things that you guys are tracking. And then also the sub the events subcommittee can report out at the next meeting when you debrief. Because, like, sometimes I'll come in and I'll say you guys had this many volunteers. Mhmm. This many hours were given. Instead of me giving that data, your events team could be managing that.
That would actually be helpful for me because that's one less thing I have to look up and keep track of. So that would be a a big help if that group could do that.
This is leading into our upcoming event, which I need to talk with you guys about that later. But registration in the morning, obviously, is gonna be the crunch time, then it's gonna ease up. And in the end, when everybody comes back in, we probably won't need as many people at the table just to collect the supplies again and just direct people to go get lunch or maybe go to our booth and
get a treat or something.
So that might be a time kind of at the end where maybe Mohamed, you might go take a look at the all the trash, you know, kind of Take a picture. Yeah. Take a picture. You know what I mean? So it's short, sweet. For the month of March, we had no new groups. We had none renew. We had none retire. We still have 57 groups pending renewals. Okay. And we're gonna start flushing some of those out a little bit because if they're on they haven't responded in the last, like, eight months of us trying to engage them, we have to assume that they're not an active group, and we need to retire them out so that we can have some accurate data. And then over on the the the right side I'm sorry. Can you guys see that?

We had 53 requests and asked us, hey. We're gonna pick up Adopt A Block trash debris. And you can see the groups that we've noted were active, and then we still have about 37 requests that they did not enter their group name. But then these at the very bottom are some of the names that we we saw as the person who entered it. Wasn't. Correa, Honey, Ham, Paige, Jacintho, McCready, Meryl, Horace, and Yurvy. Yeah. You see, Tom was really busy. Yeah. Tom. But it's it's a lot of the same folks every every time.
And Tom is not here because he is receiving a Hearts of Hayward award. So that's pretty cool. So that's what's happening. Yeah. So congrats, Tom.

So my point here is that I need everybody to really look at this calendar and then take it home and look at your calendars and really consider what you can help with. Because I just did an event yesterday at Shabot all day, and I understand I didn't unfortunately, last meeting, I forgot to ask for some extra hands. And it was such a great event, but it was a lot of work for one person. Luckily, the rage students at Chubeau came couple of them really came through and helped out, which I wanna give a shout out to rage student Nayeli and rage student Maria.
They're all great, but they really backed me up. So thank you to those folks. And head of, maintenance, David. So met Chabot.

Like, what did The event was for Earth Week. Uh-huh. Their Earth Week event. And, yeah, just met great more great students, faculty, met Fred Clay who works in transportation for public works. He's a powerhouse, amazing person that commutes all the way from Santa Cruz to work for this city and is passionate about it as do some of our other people commute from far distances, Todd, Modesto.
So it was a really fun event, but I will not be doing another event by myself. So please look at the calendar. Not everybody has to do everything, but most of these require at least two to three people, and the downtown street parties require more. For those ones, though, I think what we're gonna do like we did last year is do shifts. Like, the beginning setup and middle and then middle breakdown. So, again, everybody's not getting overwhelmed and stressed out. That's my 2¢ on events that do not count towards attendance. But please start looking into the future and thinking about what you can or cannot do.
