Youth Council - Regular Meeting

I'll call this meeting to order. It's March 4th, 2026, and it is 5.35 p.m. This is the monthly council meeting. So, and I will go ahead and call the vote. So, Chair Lucia LaCour. Here. Okay. Does anybody... Have any changes they'd like to make to the agenda or to the order of the items? Any agenda today? No? Okay. So, can I have a motion to approve the minutes from last month's meeting if no one has anything they'd like to remove or edit?

Okay, so this is going to be sort of like a short meeting. We do have, our first item is definitely really, really important because we have coming up on March 15th, the Find Your Field Fair, and so this is sort of a continuation of our college prep series, and I'm sure everyone's aware of what we're doing, but basically right now we've been pushing out the flyer for like a couple days, I think like a week, or I think it was posted last week, so it's been out for about a week, and we don't have that much traction, so we need to find ways to make sure that more people are seeing this event and that more people are signing up, so I sort of want to hear your guys' ideas on how to do that. I know tomorrow basically, so there's, just to, for everyone that's not fully in the loop, we're gonna have four stands. There's gonna be, right now, there's only about three representatives per stand, so there's gonna be three or four people representing STEM and engineering and healthcare, so on and so forth for all the other fields. We're having a Zoom meeting with them tomorrow to go over what the expectations are with them, to go over what they should bring, to go over what they should talk about, stuff like that. So tomorrow we'll give them the flyers so they can distribute it within their own schools or organizations. But I don't know, we need to really get this out here because it's coming up fast. It's in less than two weeks. So I want to hear your guys' thoughts.

I think we can put stuff up at school. I think that would help. I mean, maybe, I can see if we can do an announcement.

Okay, I have everything here. So we said we would need, now that we have less people though, originally he said 16 tables, because what were we thinking? Yeah, 16 tables. Is that fine? Just like 16 tables because every representative will have their own table.

From my opinion, I think if you feel that you're going to occupy, yes. But I don't want you guys to have 60 tables out and you don't occupy.

Or an event like that because then it's going to look empty. Can we... Because I'm thinking that maybe we do just two tables per tent and they can sort of like share space on that. Yeah, so like eight, but then if we're serving food, we also need tables.

Are we still doing like the ticket thing to make sure all the new people represent?

What was it? It was like we would have a table where we give out tickets to people participating and then the people presenting... they would punch a hole in it or something, and then they can take that off to the food.

So not anyone's just going to get food. Because the park is still open to the public. So you don't want teenagers that are just there, but not going to your activities, just going upstairs to get food.

The way to run a show we have is basically 3.45 to 4.45 they're doing this like walking around thing and at 4.45 we're vaping now you can go upstairs so anyone that went upstairs at that time would just be allowed to eat but like I like that I like that it makes it more like official.

Like, if you're in health care, be like, oh, this place at the University of Miami has a great volunteer program over the summer so that they can be giving kids, like, activities to do. Yeah, I'd say a business course that they've done. I mean, Jack, you're a good presenter. I mean, did we add you?

You don't need a QR code showing all your stuff, but I know you said you were going to bring some of your robotics things. Whatever makes sense for your field. You can also maybe bring a QR code to your research paper. I don't know.

The idea is for them to grab pizza and then network or whatever. So they don't need to be sitting. We can have a few chairs upstairs, but...

I know that Cecile is in charge of this medical club, and just have them introduce it. Like, hey, as your board member, I'm going to be speaking on behalf of this field that you're interested in. So if you want, I'm going to do that for a college club.

I'm going to say, hey, I'm going to be speaking at this event, talking about environmental advocacy. And there's going to be other career fields there if you're interested.

So please sign up and check it out. Have all of them do that. For those two tables, the tent is covering the middle portion. Is that better, or should we just do one table if they don't have enough space to be trying to find something? I mean, do all tables need a tent?

And then we'll post again on our Instagram and ask them all to drop their Instagram in the chat so we can tag them. Yes, perfect. And one more question, Rudy. For giving them community service, how do we go about it?

I'll have the template for the form and then... Somebody's going to have to have a sign-in sheet. A sign-in sheet. A sign-in sheet. Because I don't know everybody, all those kids' names.

I think the biggest thing is marketing.

It's very much a domino effect.

So if we get people to post to their clubs and push it out. I know a lot of club group chats have a lot of members, but not a lot of active participants. But there's also underclassmen and stuff. If we do . Ooh, what if we post it on Nextdoor? I can tell, yeah. We should definitely post it on the next board because I think parents might be excited about it.

Okay. So now, mentoring miracles. I just put this on the agenda because I just wanted to understand a bit more that you're going to go to the commission and present it? I just wanted to understand what's happening.

I don't know if they are going to go through with that, but basically what they wanted is they wanted our funds to go to the space center. They wanted the buses, but it's just a lot more complicated than that. I'm going to talk to them and see what they want to do about that.

What do they mean by, like, they want our funds? They want Surfside funds, right?

Well, their initial pitch was to get sponsorship... as of um to get you guys to sponsor them and then how they were speaking was trying to get your guys uh to go with them but that would obviously come out of your budget yeah you know you guys do have a budget so i was explaining to the youth council, you guys, that just be aware that if you guys agree to this, it's going to come out of your...

So, is it supposed to be community service type of thing?

Is it their independent project where they want to... Basically, they have the organization Mentoring Miracles and they're partnered with a foster care house and they take the children on like on trips to the cruises or just business centers to get them exposed to different fields and careers. So they wanted to take them to the space center. NASA. Yeah, NASA. But they wanted to connect, do it to kind of connect with the community here and give them exposure or something.

To help with the funding that we're providing you guys.

Yeah. And they were asking for transportation, the admission fees for the NASA meals and materials. Did they have an amount of money? They said around like $1,500 just for the admission fees.

Just for the admission fees? Okay. I mean, here it says that Constanza said that they wanted to request monetary support from the town, but then we would have to pay our own way. Like, okay, whatever. Like, we didn't agree to anything, but you're saying that it's a little unclear what they're doing right now? Are they going to come back? I'll talk to them. If they want to come back, they can, but... Could you tell them to advertise the... Can you feel fair?

If it's like exposing them to the rear fields, I think it would be a good event.

It was all pretty unclear to me. I suggested to them that if they wanted to be sponsored by the Town of Surfside to try to bring it to the commission because that's a big chunk and sponsorship should go to the commission.

There's a lot of details that it would be a tatter to like you guys going with And then I would need parental consent from all you guys if you're under 18. And we would probably have to have staffing on that trip just to make sure you guys are safe through the town. So it's a lot of details that we're just not ready for that.

But Sophia, if they want to come back, they're super free to come back. It's great what they're doing, so we'll be here if they want to come back.

But as of now, I don't think we're committed to anything.

And then the next is just the native garden update. I saw they used the fire heat or whatever. That looked really good. Was that this weekend or last weekend? This weekend. This weekend.

It's on Sunday from 10 to 12.

You guys are welcome to come if you want. Okay. And this is something that you and Jerry did together, or is it?

Pretty much. It's also an association with the National Honor Society at my club, so we could force people to come, because I'm not sure too many people hold an interest in native plants. I know there's going to be refreshments provided, drinks, so on and so forth. And Ivy Hernandez is going to speak. There's going to be a plant giveaway. Little wildflower seeds left over from another event. And I think we're going to clip a little bit of the extra plants and pot them for anybody who wants to take them. And then larger plants will be given away to actual Surfside Town residents.

Cool. And you're going to go, obviously, and you said you're bringing your National Honor Society? Cool. Okay.

Are you still providing service hours for that? Yeah. I'll have to talk to Jerry about how to get them through the town of Surfside, but I'm not, none of you guys are in HHS, so there's also hours coming in from there for the people who go to my school. Should we spread that to the ecology club at Beach?

Okay, then the last thing is just the youth sports tournament update and I'm looking at the minutes. Okay, so you guys talked about having a tennis match as being the first sport?

And then I read in your notes, over to the notes, that you guys had talked about, like, waivers, right? Yeah. So everyone before they get to the tournament would need to sign a waiver?

Yeah, we were thinking of having, like, QR codes for before and also... Did we settle, like, papers better, or what was it? I forgot what we had said.

If you guys, instead of a tournament like this, that's probably going to be... costly and a lot of time consuming if you guys did like a teenage game night and made like a call to like all teenagers to come to like maybe at the park and we could do like checkers, chess, battleship, connect four, like all the old school games that you guys played when you were kids and play them now and have like maybe prizes and obviously have like night refreshments, candy maybe instead of pizza when they have like candy. and have it like a game night with you guys. Instead of something like this that is probably not even an option because I know that the reservations are coming in for the tennis center now because the Miami Open is coming. The fourth season is booking it now. I don't know how available the dates will be. And you can still do it tournament-based, but for games.
