all right hi everyone welcome to the January 9th 2025 Board of Trustees meeting Library Board of Trustees meeting we get started Sam there any correspondence welcome back uh grander on the slick board I came to tell everyone that we have up applications with the charter commission or Charter um we are the select board's looking to review the town create a potentially create a town Charter change which boards are elected and appointed investigating either go town and manager versus the Town Administrator all that so applications are open now uh for that we're looking for seven to nine people um I think they're due January 27th and we'll have a meeting on February 4th um to pick the individuals for that committee the expectation is there'll probably be two meetings a month for somewhere around 18 months is the current expectation um as I said there's talk of what boards will be appointed versus elected and things like that I don't think that it effect something I don't think it affects the library per se I think they're by State Statute they're but I'm not 100% Serv we were told that by one of the someone that went through the process but I haven't um where can people find more information on what the it's all should be all on the town website now have I got an email today to subscribed to the subject plus and all that so everything should be on thir and in between meetings how much work is expected I don't know how much is between meetings per se I don't again

okay the next set of minutes is from the rank bonde scholarship committee we had our first meeting um on January 2nd um sorry does everyone had a chance to take a look at those minutes any questions we're to talk a little bit about what's going on with it later minutes wise okay scholarship committee on January 2nd okay lastly for minutes the policy committee minutes from January 6 um has everyone had a chance to look at them any questions thoughts comment okay like to make a from January all in favor moving on treasurers report right state aid $30,000 $3,870 9 6 gift has $393 4890 mmdt has 9,324 building gift has $3,578 mblc um Grant has 6844 and the lead has $6,890 and the bar's ending statement value was 1,69 $ 39728 um still on it way currently in good sh okay um Sam did you let the the town know about the lead money and or I think we voted on yeah okay and they what they have any feedback about that um said thank you very much okay great and so those are just going to sit there until they decide to paying them over the next few years

okay so those accounts will see dwindle over time or they'll just take it all at once I think they're going to dwindle over time um but they're all at interest bearing accounts so they will also be that is good okay good for the town good does anyone have any questions about the treasur report yes all right moving on to the Friends report all right the friends did not did not meet in December but they sponsored a tree for the tree hunt which we found um and planning for mini golf is ongoing it's worked that's all I know great okay any questions from era they meeting on the 22nd this month they changed the data okay all right um building updates um so as you may have noticed the in the main entrance broke we're not really sure how but it it's broken um so um Eric called n security they came out and their estimate is $2,234 51 to repair it um Eric has requested that the town pay for it and Ryan approved the request so I believe Eric created a requisition and was going to contact nooba and is waiting that just we on the parts basically thank you Eric you er um yeah that's it there's I have the in here the estimate if you take a look at the town's pain thank you for updating that building prepar meus log to include that great um where did the agenda go here anything else to do with the building okay did did that happen before after the holding the door open by groups that were here that was before it was before that yeah um we're not sure how it happened we just someone just

happened to walk by and Noti it was um yeah it was like a random thing okay it was very windy that day but it's an inner door inner door yeah any questions about filing all right um Mike you're up your report uh I don't have much to report after I just tried along on the audio books and well do all the catalog stuff so it's really all I had that thank okay um Sam yeah with the holiday I don't really have much either um some good news though yeah yeah we um heard from um so the finance group that is reviewing the FY 26 budget has they've approved my request for a new Teen assistant teen librarian phys um now I have to go before the select board in fincom on January 21st to discuss that um that'll be at 6:30 and so hopefully everything goes well with that then it goes to town meeting for a vote and it passes that town meeting then on July 1st we can choose a new s team librarian for 35 hours a week and Megan is very happy about that I've talk to James about it as well he's interested and Megan is very interested in having James um so we'll probably post him new turn um yep and then um so that's it so fortunately didn't they didn't approve the Adult Services librarian position I requested um um Jim was very nice he came and talked to me we sat in my office and discussed it um he said there's a $4 million um deficit in the town and so um I had met with him a few weeks ago and the rest of the finance team about my request and I had indicated that um he asked me which one I wanted basically and I told him the

team like are in position and I explained to him you know it's very busy down here the teens are there's a ton of teens in here every night and you know Megan really needs to help in here and she's in person and so we can although Adult Services librarian position would be very beneficial to the library we'd rather have the team position so he honored my request and great the fact that God even one is really great with a deficit yeah yeah and I sent out um The Proposal budget to all of you that Ryan said to all the department heads que um yes keep that going sorry go ahead um yeah other than that um you it just uh we had a library Spirit Week where um we all kind of dressed up and there was a photo put on Facebook um the town staff engagement committee held a holiday party in the multi-purpose room and me and Mike and Susan and Jeff we all went to it it was very nice um they had it catered by um laa so it was great um and the winter reading program is about to start um and that's about it oh and um for my goals I did um send out a link to the marketing um and programming survey um so he emailed you comments yeah I made changes based on I kind of re range some of the questions and um sorry so I rearranged some the questions um I did see you're prominent about putting a link to the newsletter but I would let put work okay thanks for trying yeah I hoping it be informative as well as yeah yeah um so how often do

you visit the libraries first question what are the reasons for your library visits um do you tend children team de programming but that's said you could only get one we well yeah I can well there's multiple there's a that um how many programs you say attended in 2024 what is your favorite Library program how satisfied are you the type of De programs you like to see the library offer more of uh which form programming which you refer and which days of the week which time How likely are you recommend Library per others like primarily find out Library news and updates time da for library programs and after that you currently subscribe to the library newsletter you subscrib to children's room newsletter satisfi form of newsletters currently subscrib to town newsletter or currently subscrib to libraryies Facebook Camp are there any online or other social media platforms you like to see the library distribute information on would you prefer to see library or for more print marketing um do you library programs you tend to have that value to W and Community you feel the library adequately meets the education needs of your community have you any other town will programs so the reason I put that question in there I want to see how involved people are yeah and other yeah uh what improvements would you suggest to enhance your Ro Library experience any of the comments and how old are you and this is the only question people don't have to answer the are actually required um is there just for um so I just want to say if everyone has a chance to look at this and maybe give if anyone has feedback to give share it

with Sam Maybe by end of next week does that sound good um that would be that would be helpful I just had some in my head I was like probably not the best to go through it now so okay yeah just in terms of we might shorten it up by combining some of them into I'm just s like like d d d d with dots right anyway so add some FS if they're available if that if that formatting is available yeah um but yeah if everyone just take a look and get back to say by and that'd be great thank you for already doing that um and yeah so I I plan to put it out through all the regular channels that we do um I was to put maybe a flyer with a QR code maybe at the town clerk's office um and COA some PR out some copies as well some Pi copies um may be a flyer over um maybe local businesses with a QR code um can you get it in the school newsletters yeah send it to the school um I'll send it to you to put on the mom's Facebook page if it gets on the Facebook you can definitely just let us know we'll share it over and the friends yeah if there's any other I news you can think of just there's multiple pages that could be cross listed on um yeah so that's it so yeah if you have any suggestions just send it to me will it be included in the email newsletter or sent out separately um yeah I can put it in in the newsletter or send it um separately and um and the the so as long as you get it to me before the ends your comments before the end of the month so Nancy usually wants um submissions by the 15th but she's definitely taking stuff up until like the last day of the month so I'm hoping it'll be ready by then and we can even yeah start getting it out there and then you know over if people see a number of times maybe the fourth time they'll do it so well actually definitely get it to me before the 23rd because I'll be you so so by

next next week I you time to react yes yeah okay all right thank you Sam for putting that together for his single results yeah and as far as um financially we're on track and rest just just STS questions does anyone have any questions for Sam author report do not okay all right moving on to Old business all right Library board retreat and topics okay so um Katrina and Sarah and I um were chatting yesterday I was feeling like I'm not sure a retreat right now is worth it if it's not worth it like because some been down the pike but there we're not here yet um and so we kind of talked about it and and considered that maybe we would do one after the next election um because then we'll have our at least like well probably one new person um who will be engaged and also we want to have some out saying that the governance committee thing is coming the Strategic plan is coming and now it be a little bit too Ro um so I uh just wanted to that want to open that up to see if anybody is like no I really want to do it in March otherwise we will cancel cancel the March one and pick it up maybe in early fall no I okay all right just want to okay so we're going to cancel the retreat in March okay okay um all right Library meeting spaces so um I sent out uh Excel sheet with um how many times the historic Li room has been used since June 1st between June 1st and December 31st um so 158 times

and about 150 of those were Patron uses um and then eight were for staff use and it was 16 this past month for example okay um so yeah do Patron use what's the definition of Patron use so whether or not um a patron requested it or like I in there usually I'm the one that only so like if yeah like if we want if we had a meeting or friends had a meeting in there or something like that so there's there's 158 total that were in there or occurred and 150 of them were patrons not meetings that were like overflowed okay it was patrons request so can I group request to use that yes so um for nonhis reasons yes yes so it's like an average of 202 per month yeah so yeah want to go over some of this stuff so um while I understand Andy's point of view uh you know the rooms the all the rooms are very well used and busy and um to divide the skirt room really is not a feasible option um because it's you can't really do an aset it doesn't really that way um and it would have to be a a staff entry thing also to divide to actually divide the room with divider I would sorry I wouldn't trust patrons to do it um and it's it's a it's a they're big doors that have to be moved so it would require I would really prefer staff do it over patrons also they're not soundproof and so depending on what groups are going on in there um like

food addicts right now is meaning and the historical you know and uh the dungeon and Dragons is happening on the other side of the stretch room so it's very loud and they're an anonymous group there are a lot of there's also grief and support group that needs in there um you know so there are groups that it wouldn't really work um and yeah so it's and also the the issue that was brought up about patrons or high schoolers being turned away that's not a real issue it's not really a thing that happens um um I it's it's really a nonissue in my opinion um I understand that you know they you know want to protect the historical room and but patrons are not being turned away um and the room when it was in the other library was used for the same purposes when I created basically the design of this building I designed that room to be a conference room a meeting space room it was not just a historical room that's why there's a table in there that's why there's a TV in there that's why the room is on aset so so question yeah because we know that our rooms are being used we know there's a lot of overflow we know that's not being used if there's other rooms available and things like that right um can you I know I appreciate the spreadsheet can you put in there like you do for sturs and Murray can you add that spreadsheet going forward I know I just asked you to do this like a week ago and that's but the the spreadsheet that we have that shows what groups we're using during which times whether they're Library groups or external groups or Dena can you do that for the historical one too and part of the reason for that would be not just like how is it being used for our own purposes but when the town says we don't have any spaces and we can kind of show

we're using this and this is H right this is what's happening all the time you know we're we're at our limit we're maxed out so we definitely when we built the library we put more rooms in and it was going to add meeting room spaces as a town for a whole and since then decisions have made for other buildings that have actually reduced the number of meeting rooms for the town to use and so the information you put in here helps us to have that holistic discussion are yeah I mean this was six months with your data so that's why yes yes that's a week ago so but um yeah moving forward we can we can definitely do that that' be great think helpful for everybody to have datab about everything so yeah right all right thanks and also in terms of answering questions from patrons who concerned about how that Library how that room is being used we have more idea about when the timing and like how long meetings are and when when could the room be accessed by people who just want to go in there so having data means we can hold a better conversation so yeah um speak speak of meeting spaces one of the things we talked about yesterday um Katrina I think you would wanted to ask about um for the I can't I Just sh this one this report right the one we were just talking about yeah um if it's possible if we have the information to put in how many people are in them in some of them we it's because we are going back and forth we already have a library program once because you have it on the other right is it possible to know how many people are using the spaces for no on the reservation form it's required to estimate how many people will attend so you have that data so seon creates these reports and it takes her a very long time to create okay so I mean if it's absolutely necessary yes but I mean it's kind of an extra thing that we're that's already

data that we provide yeah so I mean if if it's something you really want I can I can ask you to do that but I think it's just an extra thing that's not really okay if we come up with a look at it yeah um okay um moving on does anyone have any other questions about that about the r down um okay new business um we have that now in a two different pairs about the Bon day scholarship um so and uh last year um it came up that because it's a small town and we all know people that we want to try to find a um try to be as unbiased as possible when people are applying for the scholarship um there are some people that we just know really well and we might have an inherent bias for or against because of that so we um so Wendy last year suggested coming up with a rubric um which uh Stephanie did an awesome job coming up with and Chris updating we have actually two different ones one is for the essay component and one is for the interview component um the either way um the we're going to have the deadline being March 9th for the applications um and so these don't have to be perfect uh until until then um but we thought we'd bring them up and just see what people thought of them um I this was part of the it was part of the packet right yeah um has anyone had a chance to look at them yeah okay um so we already know what we think because we did it what are some other people's

thoughts how people used these kind of rubrics for I mean storing us say one thing that looks more like we've seen before for interviews has anyone had experience with it so we this is similar to one that we use for presentations which is not interviews um but it's words something like this has worked well for the purpose of eliminating bias when we're like scoring the able to do it without kind of making it personal or trying I know we can't really do anything anonymously especially if enging people but in terms of that we something similar it's the um value rubric so it's one of the like high school and college open odr open education resources that you from and all we really did with that was change the language so it's like you know are they making eye contact while they while they speak with us are they kind of putting their best foot forward and I the only thing I would say having used it for those presentations is I like that it allows kind of an X Factor like you're scoring and you're making it um you eliminate the bias or reduce the bias um but then if you kind of have a feeling one way or another con chinking with somebody else that did those numbers and say Here's the reason I went with a three why did you go with a two and I've only found that it's helpful for me afterwards if I have to defend a certain score or not defend but conversationally at least explain why I arrived at that then it makes me kind of more open-minded to to a score somebody else might have or even firmer in my belief in whatever I had originally got but you know it's not watch just this kind of scoring grid and how that's benef and um in terms of like the patterns we're seeing in an interview how do these translate to the job that is being asked to these students like are these reasonable to score a student who will

have becoming for a scholarship position on the reason I thought yes is um because the the more complicated one we eliminated for the written portion because that was not a very specific prompt it's kind of like you know write and apply and to be more complicated or you know more layer for the interview um the reason it would correspond well is because it it's just kind of different language for is this person putting their best foot forward which I think is going to apply and we haven't come up with standard interview questions yet that's one of the things that we were saying so we can almost reverse engineer the questions that then would work very well if if there are questions that that need to be asked anyway but make sure that the the specific questions we're going to ask in an interview allowing room for it also to be organic if it's going to be sort of a conversation this speci four five whatever metrics we want to hit I think we could make sure that they do elicit a response robot that we could assess in this way and then in terms of the job requirements I would like to hear from Sam and Mike about how does this the a higher score here has very specific delivery and eye contact and requirements but may not be necessarily aligned to the scholarship job or at least Ian they are a public speaking job like a public facing job so I would think scoring higher on these would be good but I don't they're public job they don't have much interaction with public okay so it doesn't mean necessarily that a student shouldn't be considered for right this based on the interview scoring blower I mean we had three candidates last year and I mean to be honest they all barly shy y so and they have ears I

don't think any of them get I didn't do the interviews last year so I don't can't speak to how that happened but they they they did well in your job they did well the interviews they were not they didn't have a whole lot to say so it was I've been doing this for 10 years they've never had a lot to say yeah still kind of like pulling te to get them so I think questions need to be first not I don't know but the questions definitely need to be in place so that there's definite things to but when you know they give a one- sentence answer and that's yeah it then I mean they might not do well on this but what I found with presentations because again I don't want it to ever I I don't ever want it to be unfair to anyone who's shy or has any sort of problem interacting in that way but the macro questions of like did they understand the purpose and audience of what they're doing did they present them did they put thought to this are their language choices deliberate even if that's not true sometimes if you get a good feeling you being one way versus another but I think it does make a lot of have the questions and I think this is and if everybody's getting you know twos and threes that's not a problem gives you something to a frame of reference to compare to are they seeings no right just for us so almost of course it matters but if as long as they're not seeing it because I could see where that would be very overwhelming like what we expected you expect we're not asking them to put a presentation together so some of you know it's just like you're coming in for an interview many probably their first it's a job which is probably more geared for an introvert anyway so there's all these things that are like you're giving them you're giving them an opportunity to have maybe the first inter they've

ever had no it's absolutely good practice for them and if they did come out after the fact and say is there you know can you review why I didn't get the scholarship or whatever is there something I did and you'd have the scores to go over and the responses to the questions so that's the whole point this I remembering from last year what narrowed it down I believe from five to three was more the essay it was the essay because there were a couple essays that just looked completely generic and didn't mention the library at all and like they were college essays that were just yeah submitted for that so I think yeah so this is absolutely important but so is the rub for them okay like the essay was the the first the first cut and I think if maybe the process will change but like you've reviewed essays first and invited people back for did they all get an interview or only the ones who we chose so the essays the ones who like the essays from came for an interview and then we ended up Tuesday three okay was chat GPT a concern last year for the for the esss but they well it's a good question it is I mean none of them sounded I would say two of them sounded like they were in a who would want thaten so polished that one go be but again I don't know that kind of fits with more of the Integrity of her yeah do we explicitly say them can gosh do you have to we do as I'm curently

writing okay I think we're over complicating it by getting to that though like yeah I feel like that's maybe where the interview is the most important like the connection and that you know these skills that if this person is truly passionate about getting the scholar ship then these things become easier to see in an interview and answer to questions um so using these is kind of our basis for now I think our maybe our next goal is to kind of with Sam also come up with some questions like standard questions that we would ask every every person and then see whether or not this rubric reflects on the kinds of things we're looking for in terms of those sense yeah okay and even this one can be reduced so much further but just the idea one thing I'm sure but like with this or like with this age group um do you understand who you'll be interracting with even if it's not right even if you said they super yeah I mean Paton might ask them a question and our instruction to the scholarship kid would be please tell refer them to the staff you know we wouldn't have them you know go find a book for a patron or do anything F of Staff do we just say please if anyone asks you a question please just ask them to talk to St you'd rather them say that than like LOL find somebody or okay it's a first job for many of them so yeah introverts right okay good first step yep go back and yeah okay and he said oh in the application I was to share that um it looks just like last year's uh um I'm going to gather um yeah do you have it okay good um I don't know if you can make that from here have people a CH did you share did was this okay everyone have a chance

plan Mond day and how are we marketing it I have I am getting together a list like last year of all of the guidance counselors here Parker and nooba um valy also the class advisers for juniors and senior class at littleon high school also The National aor Society adviser a couple of others I have list um and I sent them all an email outlining but here's the situ here's what it is little brief thing here's the application this is what it's do please send it out to people so um do you want to submit it to the high school what's that principal letter yeah yeah that's right and yeah I can do it on Facebook and things like that also so parents see it um yeah after all I didn't think I did all of that last year and we still got five but five five then we had had five what's that we also extended we're not doing that this year I don't think students are like can someone who is it last year get it again or is it in I don't remember do it it says in there no okay or I don't know about application if they've already received it it's just about time 26 okay um I going to send this out on Monday if anybody has any more feedback before then please send it before otherwi it'll be Monday okay thank you y yeah that'd be great um okay moving on to library policies so the first one we will look look at is

um Library usage because what we did was we updated the library usage pack U policy we added language from area we had created a a patron code of conduct which we don't need and we we found that from other Li every libraries um so we took some of that language and added it to the library usage so oh I see okay you should have tracked coms you did I there was there were others where we specifically said the comments oh the comments are um so we will be adding the link to the baring but thought there were comments about what we added I feel like none of these had I don't know what changed any of these that's what I'm saying I thought that we had tractor changes and I'm not seeing that we did there was one I tried to second you reminded me that need so I don't know why it's not showing um can you mine is showing in a different color so I can I can tell you what we added if um I don't know why like it was so we we added under personal conduct we are suggesting adding stealing damaging altering or inappropriate use of Library

know thank you everybody all right other business anyone have any other business I have some other business sort of um love your library month is February and um so that's you know we're all touting the benefits of the library and whatnot but I was thinking it might be a good time for us as trustees to thank the other departments that support the library even in small ways um so almost reverse love your library because they also help to make the library what it is so yes of course we need to like do something for our staff but um this in February February CBR Library month right it's Valentine's celebr Library so even for the staff this is something we have to really we should we should talk about yeah how we want to thank the staff because of course they make the libr what is that's a huge thing but um in addition there's other things like I was just tracking the Departments that we've had input from or with and of course we have the TA and the slot board um and the finance department like the you know we delivery of the bar and any of the money transfers and all those things go through there HR has been one of our frequent departments right now it helped with the installation of the computers right yeah there they're still doing stuff still doing things um we have Eric and George maintaining our fac facilities now which is amazing the DPW is the snow removal and ground maintenance and lwd was the energy tracking for us they still send me a monthly report um about that and uh they did the EV Chargers and then helping with the sewer backups was huge and lcvs like seeing Sam monthly at this point we have the fire department police department in general who've helped with staff trainings and emergency plan and all those things and it just feels like I think you know with
