Welcome to the board of registar meeting. and it's uh Monday, August 4th at 10:05 a.m. So, like to call the meeting to order and start with our first agenda item, which is to approve the minutes from the July 7th, 2025 meeting. Um, do we have any comments?
No, almost. I just have just have one um that we um we did have question about um Michael Janette and Tom Bernard being appointed and it one of the things that you said you clarified the role but I don't know if you want to put in there that you check with the state. Oh okay. you know, that might be just kind of satisfy any question of um whether or not that's, you know, going to be a conflict or anything. Okay. I don't believe you, but uh sure, I can add that in.
But you mentioned it. Yes, I did check with the state. So, yes, if I add that in there as a sentence, do you want to approve with that? So, can we have a motion to approve that? Um um Amy uh did check with the state uh to clarify whether or not board of registra the u appointment of temporary uh board of registars are not in conflict with being members members of the board of registars. All right. And then the next item that we have is the um use of the board registar stamp on voter registration certificates um for initiative petitions. So um so just to clarify what this what this actually is.
Yes. So the state had sent a notice to all of the clerks that they're going to be requiring this for the first 10 people that sign the initiative petition. And I just wanted to make you aware that I would be using your stamp on this document. This is the document that'll come out of our office. I will type the person's name in as it they are registered with their address and um the date and I'll stamp it and we will be initialing who completes the document. Okay. I just wanted you to know. Yeah. What was the process before? Like what changed?
Yeah. I don't ever remember uh doing this in the past. Um, so maybe it's a new requirement. I'm not sure, but um, they did do it this year and I just wanted you to be aware that your stamp is being used on this document. Okay. I've only had to fulfill one to date and they're all due by August 6. So maybe somebody will bring one in between now and the end of the week, but Okay. Okay. All right. So we have a motion to approve the use of the registar stamp. Um all in favor I I
Okay. So done. I think that uh let's see the next thing is we need to schedule a meeting date. So what what would be upcoming in terms of u the um elections and the election? So, the next big event we have is the town meeting. I'll continue to keep the voter uh list up and I'll continue to do the search for duplicates and um we're still getting the confirmation cards in. So, I feel like our list is pretty current. And then the next time we would um be questioning or looking at anything is when we do the census form and I'll start getting that ready in November for print in December. So, we could probably wait till after the town meeting and do something mid November or early because of the holiday if you want to. I can show you the form. We can talk about it, you know, if there's anything we want to change to make it more readable for the voter.
Okay. Should we do this prior to the town meeting or Well, I don't I don't know if there's anything that we need to do prior to the town meeting. I will continue to keep the voter list active like Okay. I I've been doing monthly I've been pulling the report and looking for duplicates. Okay. So unless you want to have another meeting, there wouldn't be another function for voting this calendar year. Right. And the next time we would talk in reference to the voters would probably have to do with the census. Okay. Okay.
So um and you know I'm new so I have to ask questions. Uh for town meeting do we have any role in helping to prepare for that? So, our my role is to check in the voters and to take the minutes and there's other a few other things with that. But when we check in, there's uh typically five of the poll pads set up and the residents check in there. It's not considered an election function. Um so we just check them in and then we retain the data. It's a clerk function, not a registar function. Correct. Yes. What is the actual date of the town meeting?
I think it's let me just tell you I think it's October 9th. I don't want to be wrong. Yeah, the last meeting went very well. I thought everything was the town town meeting. Meeting. Yeah, it's in May. So, it's probably September.
I think it's early October. Yeah, I think it's I think it's the ninth, but Columbus Day is second Monday, not Indigenous Persons Day, I should say. I know I have it on my calendar. So, let me see. Yeah, it sometimes it's hard to find that stuff on the town
on the town website, which it should it should be easier to find election dates. Yeah. So, I think I think u the 13th is a holiday, so we know it's not that. And typically, what day of the week is it on? Monday or Tuesday? Yeah, it's on a Monday. So, it' be the sixth or maybe the 6th. I'm gonna I'm gonna find it though because Okay.
I don't feel so bad. Sometimes I go looking for stuff and it's like, why can't I find it? Yeah. At least if the clerks have trouble, I don't feel bad. Exactly. Yeah.
How embarrassing. I'm not sure. Yeah. You think it's under like election information, but it's not there usually. I October 20th. Sorry for the delay. It's actually on my page. No problem. Well, I do plan on making a few changes to the website, so Oh, there we go. Yeah. Sorry about that.
