You want to make Yeah, I'll go go ahead if you don't mind real quick. For everyone watching the video, we'll be a slight delay. I thought I thought we were going to have to

3:35 – 5:290

Okay, I'll call the meeting to order. This is the Coffee County audit committee. This is the meeting. I forgot to grab my copy, but that's okay. Today's June the 3rd, 2025. And our first first order of business uh is approval of the agenda. I'll make a motion to approve the agenda. Second. Okay. First and a second. All in favor say I. I. No opposed. Next item is approval of minutes of the March 19th, 2024. Wasn't sure I couldn't find where we had approved those last year. I know it's sometimes we only have one meeting. Let's see. We had two two meetings last year. We did. And that's probably this that's the second. The second one. Okay. Okay. Um well I think um I believe it's appropriate because Linda wasn't at that meeting. So I don't think you you shouldn't vote or make a motion. So it's going to be up to you. I'll make a motion to approve the minutes. Okay. I'll second. And all in favor say I. I. I okay and it's been approved. Okay. Now the next item business is election of officers. So the chair will

5:29 – 7:280

entertain nominations for officers which is just one and it's chairman. Yes. Would you like to say chairman? Yeah. Yes. I'll make a motion for Gary Hunt for chairman. I'll second it. You've got a motion in a second for Gary Hunt to remain chairman of this committee. So, all in favor say I. I. I. Thank you. But I think this is my last year on the committee, isn't it? There is a tool to retain members. If the commission uh votes to suspend the rules, then it is possible for you to stay. Okay. But that'll be addressed a year from now. Yeah. Okay. All right. We want to next item is review the audit findings and this is for the uh it would be the prior year to see prior year. This is if they were resolved for the So both of those were resolved. Yes. They always put in there whether they're resolved or not. Oh, right. This was for June 30 23, right? Yes. Okay. And those Yeah, those were all resolved. satisfactory. We had a couple lively discussions on those and and they did get resolved to to everybody's satisfaction, I think. Yes. Do you have a copy of the the current findings? Um they're for the 24th. They're in the book audit book. Okay. So, we don't have

7:25 – 9:230

a Okay. The the next item will be our our the fiscal year 2024 audit findings. I think there's only one in it. Yes. And it had to do with the mayor's office. Um I can explain that right quick. There was a uh a re roofing contract of the senior citizen center out on Highway 53 and we used a cooperative uh to uh award the contract. And there was some TCA language that prevented us from using construction and roof roofing contracts through cooperatives that did business multi-state. It was under our impression at the time when we approved that it was Orion. Is that the name of the cooper? Omnia. Omnia. Sorry. Omnia is the uh cooperative and it was brought to our attention by the controllers, auditors at Omnia actually does business outside of the state of Tennessee which uh prevented us from using them for this particular construction materials and construction products and projects. And anyway, it was an honest error on our part because we thought this cooperative had a state contract like we do vehicles and stuff. So that's that was the finding. They have since to my knowledge I think they they have changed that to where we could do this now this year. So anyway, so you didn't get bids did not because because of the That's correct. That's correct. That was that was the reason for the finding because you

9:20 – 11:120

didn't didn't ask for bids. Had that had Omnia been a single state cooperative state of Tennessee only, we would have been compliant. Okay. But we were not. So, but I think we're go I think we know what to do moving forward. So, yeah, the legislature has amended the TCA code for that and now they do allow us to do that. It made it happen quicker. Yeah. You know, we got the roof fixed quicker is the reason we did that. We could get a speed ticket and then they raised the speed limit. Great. Okay. But that um all that took place before your term office. That is correct. Those contracts were uh initiated prior to me becoming interim mayor. It shows the corrective action plans were already submitted, right? Promise not to do it again. I don't see it was a previous purchase in person. So, Anybody got any questions about that? Sounds pretty cut and dry. Yeah, those to me, too. I think that's pretty good. We only had one finding. Yeah, very good.

11:15 – 13:120

All right. Uh, is any other business? Mary, you got anything coming up that you know? No. Have they already started the audit for this year? Yes. I know I've been had some correspondence with the auditor. So, I assumed it. They're doing their prework. Yeah. Okay. When when will they be in house show up? Um they should be here a little bit in September and then kind of October. It depends um how they work. They How long do they normally stay with you? Forever. They always they're here quite a bit because they like to use our conference room because it's next door. I guess that's over there. It's roomy and they can lock the door when they've got their stuff and they can go do the fee offices and they need to go do the schools and it's just convenient. So, which is fine with me because I can always come and give them things or whatever they need. So, that keeps me from emailing so much. But yeah, supposed to be done in December. They generally the audit report generally gets released around in March. So yes, it's we're supposed to be the first county audited and supposed to be done by December, but usually sometimes this they end up having to go to some other county and come back. So it usually is end of February if notice the December 16th. Yeah, I didn't think I got Well, I forgot. He he always emails. Yeah, he should email everybody. Audit committee commissioner usually y'all get it.

13:17 – 15:030

If you guys excuse me, I'm going back to the mayor's office. Okay. Okay. All right. Thank you. Thank you. Well, there's nobody Anybody have any questions? No, I mean it's moving along. How many people do they normally bring to do audit work? Is it this Steve? Steve Reer is the audit manager. Steve. Yeah. And then of course we have Amy still he overseas the field auditors and then we usually have two here and one goes there's two here and one down in schools. Okay. And then yeah how it works. We're expecting at least one finding next year. Oh, yes. Yeah, the budget amendment, right? Budget. Yes. I already know that one's coming. Yeah. Well, I'll be surprised if it's not. I think it's supposed to be that one. We'll deal with that next year. Sticky point. Yep. All right. Well, there's no other business. I'll entertain a motion to adjurnn. I'll make a motion to adjurnn. Okay. First and second. All in favor say I. I. I. We are. Yep.
