Board of Public Works - Regular Meeting

all right good morning everybody welcome to the regular meeting of the city of charlestown board of public works today is june 4th 2026. it is 10 a.m and this meeting is being live streamed under production multimedia we'll begin our meeting with our pledge of allegiance i pledge allegiance to the flag of the united states of america and to the republic for which it stands one nation under Thank you so much. Let the record show that board members Mayor Hodges and Maggie Wilde are here. Ernie Thompson was unable to be here today. We have our clerk treasurer Don Coomer with us and our attorney Perry McCall. We have an agenda that's been provided. I will make a motion to approve as provided. I'll second. Second by Maggie Wilde. We have our standing business, which includes the approval of our meeting minutes from May 21st, our current claims, and our payroll allowance socket from May 18th to May 31st. We can move straight into new business, and I believe that Hannah, our program coordinator, has a couple of things for us to consider before we start the program.

Yes, ma'am. Just a bunch of invoices today. They're all contracts that have already been approved. This first one is for the playground inflatables. It's for our Founders Day inflatables that we're going to have in bounce houses. That check is for $828.60, and I just need that approved. $828.60? Yes, ma'am. Do we have a motion? I'll make that motion. I'll second it. All in favor say aye. Aye. Aye. Any against? Okay. Sorry. This next one is Science Camp. So our contract previously stated that the total cost of registration would be $175 as a facility usage fee from him. We would take $25 out of that total per camper. So he's going to get the remaining amount of that. He had 25 campers. So his total would be $3,750, and I just, I need to be able to cut that.

To pay that check to him, okay. Yes. So I'll make a motion to approve that. We've used that program in the past, it's been really well. I'll second. Second by Maggie Wildall.

Aye, that's unanimous. Thank you so much. The next item is just approval of the request for proposal for lighting installation and decommissioning for our animated light show. The demands of the light show are getting to the point where they're exceeding our staff's ability to hang these lights, basically. So what I've done is we have drafted a request for proposals for people to respond to that to provide that labor for hanging the lights. So the program is still done through our contract with Under Production Multimedia and Jill Stewart who does that programming. Our lead laborer over the light show will still be on hand to direct and oversee explaining what goes where, but we just need the physical help hanging the lights because it's quite a bit. So I sent that over to Perry for his review. We made a couple edits. The team, the design team as well as the lead laborer have reviewed it, made a few edits. And I'm just seeking permission to go ahead and advertise that request We would receive those quotes and open them at our next meeting, which would be, I mean, I'm sorry, our July 2nd meeting. We would open them. So about a month to respond. And then we would anticipate awarding that contract at our next meeting, our last meeting in July. So I just need a motion to authorize us to go ahead and advertise that quote.

All right, and then we also had the standard yearly agreement with the Summer Works program. This is the same worksite agreement, Perry, that we've done the last two years. You had time to review it. We have, I think they sent us, they anticipate five positions this year. So it would be one with wastewater, one with media, and then the remainder with the city's grounds crew.
