Town Council - Special Meeting

WE'RE GOOD TO GO.

ALL RIGHT. WE'LL CALL OUR FESTIVAL MEETING TO ORDER. I GUESS I'LL DO A ROLL CALL. MR. CALHOUN'S ABSENT. EVERYBODY ELSE IS HERE.

OKAY. SO I JUST SENDED YOU GUYS A REVENUE REPORT. THIS IS WHAT WE'VE COLLECTED SO FAR. I WAS ABLE TO GET A COUPLE MORE SPONSORSHIPS TODAY. IT LOOKS LIKE WE'RE GOING TO END UP AROUND 38,500. We are we have sent all of our logos and everything to the printers. So everything is should be should be approving those proofs that they send and everything should be good there. Hamilton County TV. We'll be here on Friday at 1030. We're going to air from here. Usually we have a sponsor set in with us. So we just found out that it was going to work out today. So we're going to try and get a hold of somebody either. We thought about even Duke Energy coming if Mark LaVar was able to be here or somebody from Gaylor. If not, then we'll get one of the other sponsors to come in. They will also be doing a live broadcast on Saturday. They used to do that, and then they got so busy that they weren't unable to do that, but they will be here on Saturday. And we parked them over by the stage, and they air the entertainment all day on Saturday.

Just make them good ones. Okay, so WIBC, our commercials, I sent that to you guys all in an email. Our commercials and Christine and Mark Herbrandt were very pleased with those. So they started running today. So they'll be running this week and then next week. WWKI, the digital ads are running. Annie and I will be on mail call, which is next Wednesday. We'll go up there and we just do a little piece on the radio. ATM, our ATM gentleman had called and his ATM machine went down. We were able to go ahead and get a hold of another guy. And he's going to set up two ATMs. One will be here. and the other one will be on Walnut Street in Kauffman. So before, When we, for our ATM, we got like 50 cents of each transaction. And we never, maybe like, oh, it just depends, varied, you know, but probably the most we ever got was a little over $100. But we actually were able to, we charged him $200 a spot. So, yeah, so that's nice.

And we get no percentage then.

Right, no percentage. We just, we'll get $400, which is great. Banned emails and passes, all those have been mailed out. Stage is scheduled. The stage may come in on Thursday evening. He's going to let me know. If not Thursday, it'll be on Friday. The fire amusement permit has been paid for, taken care of. Dumpster has been ordered. Manifold, restrooms. We always just double-check on everything, restrooms, tents. Flyers and maps. Annie's still working on them. Those should be finished tomorrow and then she's going to push that out on Facebook and then people will share it there. Let's see. Vendors. So I was kind of concerned about vendors because I was like we were like taking so many calls and so many emails and then all of a sudden it was just like nothing. Nothing in the mail. The mail's been crazy though. The mail has just been crazy. I We actually mailed out the water bills, and I bet we have got, I bet we have gotten, I bet we had 50 calls today just alone on water bills. So not sure what all that is, but then all of a sudden today it was email after email, phone calls. So in our 200 block, which is East Main or West Main, we have one spot left. Food vendors are all taken care of. 300 block, which is down here, we've got five left on Main Street. 400 block, which is north Broadway. We've got more down there. We've got 12 down there. We've got in the 500 block, we've got two. 600 block, we've got five. 700 block, we've got four. And then in the 800 block, which is south of Broadway, we've got about 18 there. so it was like all of a sudden it was just like but i'm not i was getting pretty worried but then after today it was just like well maybe people are just like it's you know taking a minute to get in so um so hopefully we'll get those filled so uh other than that you guys have the report unless you guys have any questions whatsoever we had talked about

Well, we got big. We ordered a big balloon and then also restroom, the big restroom pole sign. So those have been ordered. They've already came in.

That's a great idea. I hope it'll work. I say it'll work. That may not be something that they can see.

I think we also... ask the vendors i know we try to do some of this last year is tape something to their food truck or whatever to say where the bathrooms are because when people are ordering food that would be a good place to do you do you have a laminator do we have a one i'm sorry a laminator and we do have a small one yeah like that'll do a sheet of paper yeah i wonder if that would be yeah you make up

Sure.

And then you could, well, if they throw it away, it's not the end of the world, but if they turn it back in, it's something we could use forever.

We laminated the Good Samaritan Network forms, and we pass them out to all the food vendors, and they bring them back to us, and we have them for every year.

Another thing we should laminate if you've got one is those stupid exit signs that make us put up in the tents.

That's true.

Those are just in a sleeve, and they, it's always a pain.

yes I did not find anybody for the information tent Marie so I don't you kind of mentioned that maybe somebody from your church or somebody if anybody knows another boy scout girl scout it's just something that make a note yeah that they get they earn badges Ronnie I know has been over there helping with the trash boxes thank you Ronnie yes yeah so i'm not sure who else who else has been over there we'll buy you a free hot dog we'll get you a free hot dog

We did get the new letters in for the town sign. Yeah, I saw it.

It looks a lot better. Nice. I'm glad they've got them in the size.

And we did get the shelter house, you know, Bolden's came, and we ended up going over there. There were several that helped that, you know, bleached the tables, the chairs. Every chair, every table. You know, really. And then the people that had it this past weekend, are very good very good at keeping things and so they went in there really cleaned good so um there's only one more rental before festival and that's luke luke always keeps it real clean so so that was nice the band is going to be over there again this year the band was going to do that is that saturday morning and are they going to do anything friday they do saturday and sunday we send back in our confirmations we send back their information to our vendors to advertise for them so the info tent whoever usually does it it's all the festival info yeah shirts we we have just a few shirts we have just a few shirts left but it's mainly just um the maps and the flyers and people will stop and say hey where's this or what's this you know so And then they clean the hospitality tables at both places.

Do you let them have any of their own literature or anything like that?

Yeah, that's fine.

So I think the main thing now is just getting the rest of those vendors filled.

i talked to ed today and i think he and i are coming down whenever they deliver the chairs and the tables to set up for that so you know what day that's going to be that'll be thursday the chairs and tables will be here thursdays on with the tents too but the stage may not be here until friday um i i'm it depends on he was he's working out his schedule maybe thursday night and neil i thank you for always being willing for us to put a tent on your property that's nice

We'll buy you a hot dog, too.

We're gonna really need to hit Broadway Street over here where the new sidewalk went in. I kind of regret that we didn't wait till after festival to put those sidewalks in. It's a mess. I just pray that

We don't have red out there and then straw, I guess. Straw mats and straw bales both kind of.

And in our public safety health awareness area, the EMA canceled because of the floods. So, and they had a big part in it. So.

are the train going to move any equipment they have in town out of town yeah that's that's a good question i can i can make a call and yeah yes definitely they've got a couple weeks to do it still you know let them go north of here i mean they could move it up yeah most of the fertilizer plant i thought i heard a train whistle the other day and i was like oh that's right they've got all kinds of cars

Are you good to do that again?

I DID TALK TO LUKE ABOUT THAT TRIPPING HANGER WE DISCUSSED AT THE LAST MEETING HE CAME OUT CHIPPED IT AND WAS GONNA GRIND IT DOWN OKAY SO I DON'T KNOW WHERE THAT'S ALL I CARED ABOUT IS I DIDN'T WANT WHEN I LEFT HE HAD JUST CHIPPED OFF THE PIECE AND HE WAS GONNA GO GET A GRINDER I DON'T KNOW IF HE'S DONE IT YET BUT HE WILL PERFECT ALL RIGHT IS THERE A MOTION TO ADJOURN OUR FESTIVAL MEETING I'll make the motion to adjourn the festival.
